Core BPM

Core BPM is the kernel of AuraPortal. It contains three resident modules:

The first, Processes, controls the BPM (Business Process Management).

The second, Intranet / Extranet, manages the communication between employees, and also

between customers, suppliers and other external agents, via an extremely powerful workflow

system.

The third, Document Management, manages all the entity’s documents (texts, images,

videos, etc.), in a fully integrated and global manner. This document handling can be

conducted concurrently with two systems: Microsoft SharePoint which is incorporated in the

application, and AuraPortal File System which is a system designed by AuraPortal and the

most recommended option, especially if better performance with large volumes (millions) of

documents is required.



Optional Modules

The Optional Modules are extremely powerful, their main interest being the synergy they

generate with the BPM processes.

The presence of these modules linked to its outstanding and unique BPM process system, converts

AuraPortal into the widest and most powerful software platform for controlling the organization's

Business Rules

AuraPortal has an innovative approach to genuine Business Rules, much simpler to manage,

however more powerful than anything ever seen before. This module houses all the company

Following the most advanced standard trend, the AuraPortal Business Rules are "declarative" meaning

that they do not "act". Instead, they are kept separate from the processes and are invoked by the

process engines only when they are required.

WIP (Wide Interaction Platform)

The WIP (Wide Interaction Platform) module is a platform exclusive to AuraPortal that offers the

possibility of any person outside the organization to participate in its processes as required.

Any external person may be a performer of tasks within the organization's processes once he becomes

a Guest User. This is achieved when the visitor asks for being registered by filling in the corresponding

form from the organization's website and his request is approved.

The Guest User has access to a private area created for his exclusive use. From there he can start

processes to make inquiries, initiate cases, receive notifications, place purchase orders, check the status

of manufacturing orders and deliveries, receive and perform process tasks, view emails and modify

any registration data.



Content Management

The Content Management module of AuraPortal allows the publishing of Announcements, News,

Articles, Videos, Documents of any kind and, in general, any content in digital format.

The module is seamlessly integrated with the BPM, so that any company can create its own digital

information to gain a complete and tailor-made content management without having to recruit a

specialist.

One important application of the Content Management module is the construction of websites, no

matter its complexity.

AuraPortal has taken into account the integration with internet search engines (e.g. Google) and has

included an automatic Sitemap creation system, which indexes all the desired words in the internal

indexes of these search engines to allow rapid location by internet users.

Online Commerce

The Online Commerce module allows the automatic creation and administration of Internet

storefronts for the sale of company products and services.

AuraPortal is the first BPM software to include a seamlessly integrated e-Commerce system, which is

The total integration of online orders with the product Supply Chain poses an extraordinary

Users

There are three types of users capable of participating in the BPMS processes:

Employees, External Users and Guest Users.

Employees and the External Users need individual licenses, either Named or

Concurrent. However, Guest users are included in the Wide Interaction Platform

Module (WIP) and, therefore, do not need individual licenses as their number is

unlimited.



Employees

An Employee User has the broadest scope of performance. He enters the system through the

Employees Portal (Intranet) from where he can start processes, work with process tasks and free tasks

and also have access to all resources of the application like families of Documents, Accounts, Items,

Projects, Areas, Processes, etc. He may also design Processes if permission is granted. Employees are

registered in the Organization Chart of the company which is the tree of the family of employees.

External Users

The External User is intended for lodging Distributors, Customers, Suppliers, etc. that have a high

degree of interaction with the enterprise. The External User enters AuraPortal through one of the

External Portals (Extranet) freely designed by the enterprise according to the class of organization that

the user belongs to. The External User is allowed to initiate processes and be the performer of process

tasks, although his capabilities are limited in comparison with the Employee User. This type of user is

intended for lodging Agents, Distributors, Customers, Suppliers, etc. that have a high degree of

interaction with the enterprise.

Guest Users

The Guest User communicates with the enterprise using the WIP (Wide Interaction Platform) that is a

working environment accessed, for example, through the corporate website. They can start and

execute certain processes, carry out queries, etc. They may also receive Emails with links to forms

belonging to prepared processes. The possibilities are restricted compared to External Users and

Employees, so it is a type of user thought for lodging possible customers, and distributors, and other

agents whose relation with the company is not so intense.

Licensing

Corporate Licensing

Includes unlimited Employees and External Users. If the WIP (Wide Interaction Platform) module is

present, it also allows an unlimited number of Guest Users.

Licensing By User

This mode makes a distinction between Employees Users and External Users and allows two kinds of

license that can co-exist:

Named Licenses. Each license must be used by only one user who accesses the application by

identifying himself with a login and a password. The user always has exclusive access and

availability.



Concurrent Licenses. There is no limit to the number of users who can access and use the

application. However, the number of users that can be connected simultaneously is limited by

the number of concurrent licenses purchased.

Note: Both licensing modes (Named and Concurrent) can cohabit

both in Employees as well as in External Users. Also, it is possible to

request a decrease of the number of existing Named Licenses and an

increase in Concurrent Licenses or vice versa, and also it is possible to

substitute existing Modules for new different ones. In these cases the

cost adjustments of increase and/or decrease will be carried out

taking into account the variations of Licenses and the variations of

Modules and only the global differential cost will be charged for these

adjustments. In the case that the result should be negative this does

not generate the right to a refund, but however, the maintenance fee

for the future years can be reduced in accordance with the new

situation.



About AuraPortal Cloud

The name 'Cloud Computing' signifies that software application users may access multiple sites via

Internet where data centers containing the infrastructure, hardware, middleware and software that can

be of their interest dwell, and are safely operating and permanently ready to provide the requested

application on demand.

In the same way as an electricity user simply plugs in the cable to obtain the electric service without

bothering whatsoever about the cost and knowledge required to build and manage power plants and

a distribution grids, a user of computing applications in the ‘Cloud’ obtains the required service by just

‘plugging in’ the Internet browser that can be a PC, a Tablet or a Smartphone, at his convenience

without bothering about hardware or software requirements.

In Cloud Computing there are three different service levels:

SaaS (Software as a Service)

The SaaS Cloud Provider furnishes software applications from the Cloud, ready to be used with

high performance and reliability. Also includes the maintenance of the applications served, with

its updates.

PaaS (Platform as a Service)

It is a development platform offered by the Cloud Provider where the customers may develop

their own software applications.



IaaS (Infrastructure as a Service)

In this level the Cloud Provider facilitates the use of all hardware and operating systems that the

software applications may require in order to work. It includes air-cooled and disaster-proof

buildings for lodging the whole system plus guaranteed high-performance, wide-band

connections to Internet and all the required maintenance.

This service level allows customers to situate their software applications and operating systems in

the Cloud Provider’s data center but it does not provide the maintenance of the application

software.

The 'pure' user of a software application needs the SaaS level for accessing the software and the IaaS

level as the hardware structure where the software dwells, but he does not need the PaaS level.

Whatever the service level, in Cloud Computing the customer does not need to invest in hardware or

software. The Cloud Providers take care of all required investments.

The ideal providers of IaaS should be a recognized corporation with

large resources to ensure a service based on the best hardware in

totally safe locations.

On the other hand, the ideal SaaS provider is a highly respected

software vendor that offers their final products from a totally reliable

IaaS provider.

AuraPortal Cloud is the perfect approach for Cloud Computing. Its structure, called AuraPortal Cloud

is as follows:

Type of Cloud = Private to achieve the maximum data privacy protection. Each customer has

dedicated servers where no other customers have access nor share any data.

SaaS Provider = AURA. (AuraPortal)

IaaS Provider = Amazon AWS or Microsoft Azure plus AURA.

and safest hardware without any concern on investments or maintenance, at a

All maintenance work, including updates and new versions of the SaaS, and the

maintenance of the basic operating systems, data storage, etc. of the IaaS, will

the hardware, infrastructure and software in an owned data center, are the following:

Secure Sites

Three geographically separated physical disaster proof, secure sites, with all required facilities:

continuous activity and service, as supplied by the IaaS provider. (In this moment the provider is

Microsoft Azure but it may be substituted in the future at AURA‟s discretion).

Data Storage

Sufficient for housing all required data for a correct use of the software of AuraPortal.

Download traffic (from servers to users) of up to 1 Terabyte (1,05 Million Megabytes) per

Backup

The backup system keeps copies of the data frozen in a given situation, normally each day, so that

in case of data corruption provoked by a bad handling of the inputted data on the part of the

customer, the information of the previous situation may be restored. There are several levels for

this service as explained in Appendix A.

Maintenance

The Maintenance of the IaaS structure is carried out by expert technicians from AURA using own

resources plus those provided by MS Azure. This maintenance implies the elimination of errors

occurred during the operations and the assurance of the correct performance of the involved

equipment (software and hardware). It specifically includes:

Servers maintenance of hardware and operating systems

Maintenance of SharePoint Foundation 2010

Maintenance of IIS (Internet Information Server)

Maintenance of DNS (Domain Name Service)

Maintenance of SharePoint contents

Maintenance of AuraPortal BPMS contents

Extension Packs Installation

Includes the works related to the installation of the Extension Packs in the IaaS.

Integration with External Software

There are two systems:

Remote Integration. Through VPN (Virtual Private Network).

Near Integration. By means of additional ad-hoc servers in IaaS.

There are other compulsory services that are not included in the monthly fee and will be invoiced

Initial Installation

This service is provided by AURA and it must be paid only once (IaaS+SaaS).

Technical Support

For all questions the customer may have regarding the use of AuraPortal or for helping in the

solution of arisen problems either in SaaS or IaaS, AURA provides a personal support through the

channels of: AuraPortal process tasks, phone calls, email, skype messages, etc. This service is

obtained by buying „Support time‟ packs of 60 points (minutes) each. The customer may obtain

the service against his/her remaining available support points. In any case, the customer will get

free of charge when subscribing an AuraPortal Cloud contract, a pack of 60 points.

Optional

Other important services that are not included in the monthly fee are the following:

Consultancy

AURA provides consultancy services directly to customers in order to analyze and develop the

BPM (Business Process Management) processes that the customer organizations may need to

optimize their operations. Also, those jobs related to document handling, enterprise content

management, online commerce, etc. may be provided by AURA experts.

Training Courses

Onsite Training Courses. AURA offers training courses, delivered by specialized teachers in

onsite classrooms, for groups of no more than 20 students. The dates of the courses are

published on the AURA web www.auraportal.com. It is also possible to hire private training

sessions for the customer's employees in their own offices.

Online Training Courses. The Online Training Courses are more affordable and can also be

contracted specifically by the customer.

Coaching

Executive Coaching is regarded as a very powerful methodology for Management Development. It

collaborates in the improvement and optimization of corporate decision-making, and in the

development of professional competencies.

products. When preparing the „Decision Matrix Report on BPM Vendors‟ in

2011, OVUM analyzed and compared the leading Business Process
