Research projects

• The Working Parties use data from the EBMT patient Registry to perform three types of

clinical research:

1. Retrospective studies

2. Prospective non-interventional studies (NIS)

3. Prospective interventional studies (Prospective Clinical Trials)**

• ** New EBMT Unit for Prospective Clinical Studies:

1. Important increase in the number and complexity of our prospective non-

interventional studies (NIS) in multiple working parties.

2. Centralisation of all the prospective clinical study activities in the Leiden Data Office.

3. Specific studies will be carried out in both Leiden and Paris DO to facilitate closer

dynamics between statisticians, data managers and the working parties involved in

different studies.

• Data sharing – AGNIS project

o The new Med-A has been mapped to the new CIBMTR form (TED)

o Data of approx. 20,000 registrations from 46 centres were forwarded by the EBMT to CIBMTR during 2016

o 4 TED related data collection forms were automated

– HLA

o HLA data were reported to > 12,000 transplants

o Increase mainly due to the upload of HLA data coming from Anthony Nolan donor Registry

• Data collection and quality

– Med-A: Med-B harmonisation with new Med-A completed and the manual has been

updated

– Paper free: data entry of standard paper forms - MED-A, MED-B, HLA and Follow Up – is

no longer be offered by EBMT. The objective is to increase the quality of the database

– Cell Therapy: New forms for the collection of cell therapies have been implemented

in the Registry. The Data collection forms are ready for data entry

• Elsevier has been appointed on February 1st 2017 to work on the new registry

system.

• The development will be based on MACRO, a powerful, flexible and user friendly

Electronic Data Capture (EDC) system that can be customised further to meet

EBMT Registry requirements.

Transplant Activity Survey 2015 (1/2) Trends:

•Highest number of HSCT reported: > 42,000 HSCT

•Continued increase in haploidentical HSCT in both BM and PBSC

•Continued decrease in cord blood use in malignant disease but not in NMD

•Continued increase in DLI - 11% since 2014

Unqualified Opinion

The EBMT is maintaining its high standard of modern management and

has, for the second time, obtained an “unqualified opinion”, we can be

proud! This demonstrates that the EBMT is improving its financial stability

and provides assurance that money is spent and allocated according to our

mission.

What is an “unqualified opinion”? It is an independent auditor's judgment

that a company's financial records and statements are fairly and

appropriately presented, and in accordance with Generally Accepted

Accounting Principles (GAAP).

Improvements to be made in 2017

However, the hard work isn’t over yet, we still need to ensure the following 2

priorities are executed:

1. Study Budget Follow Up = the multiyear grants are still not followed up

on a regular basis.

2. Tax Control = Since 2014 the EBMT is acting on the flow chart of the tax

control framework and will further implement this framework into the

financial policy of the EBMT in 2017 in order to allow a thorough

discussion with all local tax authorities.

The EBMT continues to develop and build on its strategy

for diversification and retention of resources

EBMT also works hard to assure its

‘non-earmarked’ income (Membership,

Sponsoring, Annual Meeting) covers

the structural cost of the Society

(Registry and Management) and

investment in non-commercial

academic retrospective and

educational studies/activities through

our Working Parties (WPs).

Financial directions

Professionalising educational events

As part of our mission to professionalise all our educational events, the EBMT Board has taken the strategic

decision to start a process to fully in-house all education events including the annual meeting management

until 2020. As a first step, all accounting and financial flows have been centralized within the EBMT and plans

are underway to further invest in a team to support all educational events.

Investing in “structural innovation”

Over the last few years and in 2016, the board has earmarked more than 300k Euros per year for structural

innovation. As a consequence of this strict financial policy, we have achieved earlier than anticipated a major

financial milestone, which has allowed us to commit to and start on the urgently needed new registry.

Consequently our budget for “structural innovation” will from now on not only be dedicated to the registry but

also open for other innovative tools, which need a startup funding such as new educational tools. We are

inviting all our members to get creative with any suggestions!

Financial directions

Stay connected with EBMT

Part of our positive outcome will be used to upgrade our appearance in the World Wide Web during 2017.

This new web appearance will also allow EBMT to integrate future educational tools.

Further professionalizing JACIE

JACIE is an ongoing success story of EBMT. In order to keep up with our success and the increasing

numbers of accreditations, as well as all new developments in quality management, we plan to strengthen

our JACIE team in Barcelona as well improve support to our valuable inspectors. In addition, EBMT will

embark on supporting a project to better allow benchmarking for centers. However, this further

professionalization has meant an increase in accreditation fees, which has been approved by the Board of

Association and will be implemented in 2017.

Tax control framework

Since 2014, EBMT is improving the Tax management and will further implement a new Tax framework into

the financial policy of the EBMT in 2017 with our partner E&Y in order to allow a thorough discussion with all

local tax authorities.

Financial conclusions

In 2016, EBMT has successfully achieved full control of all financial aspects, which will pave

the way forward in 2017 as EBMT embarks on long-term obligations such as the new registry,

new webpage and JACIE. With this full control of all financial aspects, the Board has agreed to

invest 1.200K€ in the new registry, with the project starting in 2017. EBMT will be closing the

year 2016 with a total expense of 2.906€ and a total income of 4,654K€, which means a total

positive balance of 1.748K€. The net profit of 1.748K€ will be returned to the reserves in order

to consolidate further the financial reserves of the organization as well as serve all missions of

EBMT. This includes mitigating financial risks during the building of the new registry, investing

in future “structural innovations”, and professionalizing educational tools.

New Membership Initiatives

In February 2017, a new membership category for Low-to-Middle Income Countries

(LMICs) was created in order to engage fellow transplanters worldwide, and endeavor to

improve the quality of care of BMT patients in developing countries around the world.

– Benefits of the LMIC membership include: reduced annual membership fees (450 euros/year for

centre members, and 20 euros/year for individual members)

– This initiative was a project developed following the EBMT Nurse’s Group’s efforts to provide an

option for a less expensive membership for Indian nurses, and has since been extended to all

individuals, in all LMICs (as defined by the World Bank Group)

The EBMT is also now offering a special offer to Chinese centres and individuals looking

to apply to be a member. This includes reduced fees for the first year of membership,

and an opportunity to be sponsored by our Global Committee to join the EBMT.
