PRIOR TO YOUR FUNDRAISER1. SELECT A LOCATION n A list of current fundraising locations is provided to you and you’re responsible to secure

your preferred site. n Choose your site carefully. Make certain your location is easily accessible to customers.

2. ELECTRICAL NEEDS n The BBQ machine must be within 100’ of a 110-volt electrical outlet. Your group is responsible to secure electrical power for your BBQ. n If you select a location that does not provide electrical power, Nelson’s™ has a limited number of generators and will provide one (based on availability) for your use for $30/day.

3. ORDERING n Please place your final order seven (7) business days prior to the event date. n A member of the sales team will inform you of the completion time of your BBQ Chef.

If you wish to extend the stay of your BBQ Chef and vehicle(s) for a maximum of two (2) hours, you may do so at a rate of $25/hour. Your group will receive credit (in 30 minute increments) for any time not utilized.

n Changes made within seven (7) days of the event will be charged a $20 service fee. n Customers with specific needs (i.e. having product complete by a specific time) must

specify at the time of scheduling. n Cancellations and/or date changes must be made no later than seven (7) business days prior

to the event otherwise, you will be charged 50% of the estimated invoice. n An additional distance charge may be applied for travel outside our typical service area.

4. PERMITS n All Michigan groups are required to obtain a permit directly from your local county Health

Department. All Elkhart County, Indiana groups are responsible for obtaining registration and licenses from the Elkhart County Health Department. Please call 574-875-3391 to make arrangements.

n If a fundraising date is cancelled or rescheduled, your group will be responsible for any associated Health Department permit fees as they

are non-transferrable and non-refundable.

THE DAY OF YOUR FUNDRAISER:1. MEETING THE CHEF n Our sales team will arrange a specific time for a member of your group to meet with our

BBQ Chef the day of your event. n Electricity or a generator must be available to our BBQ Chef immediately upon arrival.

2. WORKERS n Please arrive 30 minutes prior to serving time. n We recommend that a minimum of three (3) adults be present for the duration of your event. n Have a folding table available to serve as your workspace and a portable tent for shelter. n Have a cash box well stocked with start-up cash/change.

3. HELPFUL SUGGESTIONS n One (1) person wearing one (1) serving glove should handle the product. (The ungloved

hand will be used to open and close the insulated containers.) n That person should place the product in the fold-over and hand it to the next worker who

will then close the fold-over. n The fold-over should be handed to the customer horizontally so the juice from the product

remains in the fold-over.

4. INSULATED CONTAINERS n NEVER allow these to sit directly on the ground. The container holding the food

product should be placed on a table top, as instructed by the Health Department. n The lid of the container should remain closed as much as possible to maintain the heat of

the product. n You MUST maintain a temperature of 140 degrees or higher at all times. n Nelson’s™ will provide an insulated container while your BBQ Chef is on-site.

5. FINANCES n All groups will be required to submit a $200 non-refundable deposit upon scheduling an

event to reserve the date and equipment. Nelson’s™ must receive the deposit with 14 days of scheduling the event.

n All new customers must pay 50% of the estimated total invoice 14 business days prior to the event. The remaining balance is due the day of the event before the BBQ Chef leaves with all Nelson’s™ equipment. (Cash, Check, Visa & Mastercard are all accepted forms of payment.) You must make arrangements with the office Monday through Friday if you choose to pay by credit card.

n Nelson’s™ must have a signed copy of your Indiana General Sales Tax Exemption Certificate (Form ST-105) prior to your fundraiser. If this is not on file in the Nelson’s™ office, sales tax will be charged on your invoice and is non-refundable. Your Nelson’s™ sales representative can mail/fax/email you Form ST-105 if necessary.

n If your group has a minimum of a five (5) year history with Nelson’s™ you may be permitted fifteen (15) day payment terms.

n Please make one check payable to Nelson’s™ within 15 days of your event. Nelson’s™ will not accept multiple personal checks from your customers. Please include a copy of your invoice with final payment. Include on the check the name of your organization, the invoice number and event date.

With over 45 years of experience helping groups like yours, we have 7 key tips that will help make your fundraising event a huge success. Here they are…

HELPFUL HINTS

1. HAVE FUN – Recruit enthusiastic and lively volunteers! Make certain they’re smiling, up-selling and promoting sales to potential customers with their positivity.

2. PRE-SELL TICKETS – The success of your fundraiser depends largely on pre-selling tickets! Promote ticket sales through all members of your group – spread the word about your event.

3. FOOD HANDLING – Nelson’s™ will provide you with a hot delicious product. Please make sure your group maintains these high standards. Use gloves to handle the product, keep containers closed to maintain the temperature, be neat and clean when transferring product into the foldovers and please wipe excess liquid from the exterior.

4. BE A GOOD TENANT – Remember you are borrowing the location of your fundraising event. When the day is complete, please pick up trash and leave the area in the same condition as when you arrived.

5. COMMUNICATE WITH YOUR BBQ CHEF – Our employees are well trained and willing to assist in any way they are able. During your event, if you realize you have under ordered Port-A-Pit® chicken or Pit-Tatoes®, let your Chef know. If possible, arrangements will be made to increase your order.

6. HONOR YOUR COMMITMENT TO CUSTOMERS – If you have pre-sold tickets and stated that you will be at a location during specific hours, please follow through on this commitment. If you sell out early, please have a representative from your group stay at the location until the official ending time to explain the situation to those that may arrive. Record the number of pre-sold tickets vs. the number turned in the day of the event. This step is crucial to the success of your fundraiser.

7. BE SAFE – As is the case any time moving vehicles are involved, use extreme caution and pay close attention to your surrounding environment. If threatening weather moves in, have your group secure themselves in their vehicles until it passes.

Nelson’s™ Catering & Fundraising holds itself strictly as a wholesaler to the organization. It is the organization’s sole responsibility to determine the methods by which to sell the product they have purchased from Nelson’s™ Catering & Fundraising.
