Process Overview
• The Mass FTE update process is a facility to populate the FTE values against the Position in ESR
• There are 5 main steps to the process– Log a service request (SR) on the ESR
service desk– Provide requested information in correct
format– Submit the file to ESR– Running the process in ESR– Review confirmation log

Log into ESR and select the User Responsibility Profile (URP) of “HR Administration”. Select “Workstructures”.Select “View Position”.

The NHS Interface Team will
• Sense check the file
• Add the header and footer records
• Submit the file to ESR
• Confirm the file loaded successfully
Please note that the Mass FTE update process has had instances of overwriting manual updates since the last payroll run. As a result the files should only be run in ESR following the completion of a trusts monthly pay roll run.

Running the Job in ESR
• Login to ESR and select ‘Local Workstructures Administration’ URP
• Search for job ‘NHS-to-ESR Position data Inbound Interface : Process Files’

Completing the Process
• Once the job is completed in ESR check the process log.
• If a further process is required a new file can be created and submitted to ESR.
• If the process is a success the SR can be closed.
