Why hire a project management company?

1. Project Preparation

• After identifying the exact needs of your company, we prepare different project proposals. Ifrequired, we hire experts to find the most efficient solutions.

• We prepare draft plans to facilitate the compilation of a project owner program which is as accurateas possible.

• We present the advantages and disadvantages of the different technical solutions to the projectowner.

• If requested, we help the customer find the most ideal area and site for the planned project.

• We study local construction related regulations and discuss questions that arise with thecompetent building authority. We also identify possibilities of modifying local buildingregulations if the same is required for the project.

• We conduct the preliminary negotiations with the competent authorities and public utilityproviders.

• We assist in the preparation of tender documents.

2. Preparation of Plans, Obtaining Authority Permits

• We prepare the necessary set of plan documents or issue a tender invitation for planners, help thecustomer select the best bidder and prepare the contracts to be made for the project.

• We organise the consultations with the competent authorities which are required to prepare the finalplans.

We undertake the following activities in this work phase:

1. Building permit obtaining

• Preparation of a set of plan documents, with the level of detail required by law (c/w technicaldrawings, a technical description, planner’s declarations, etc.).

• Performance of general contractor tasks: coordination of the work of specialised planners and thedetails of the plans prepared.

• Acquisition of licences for the completed plans and studying alternative technical proposals forfurther planning, to achieve the best cost level.

• If necessary, conduct the planning committee procedure and prepare the documents required forit.

2. Other Permits

Preparation of licensing documents not being part of the project’s building authority licensing process,obtaining additional licences required (plot registration, installation permits, fire alarm system, road,parking area, public utility connections, etc.)

3. Budgeting

We prepare the potentially most accurate cost calculation forthe project owner, based on the materials and technicalsolutions selected. The jointly compiled budget will serve asa framework in the course of project implementation.

4. Tender Plan and Budget

Preparation of the set of plan documents with the level of detail required for bidding for construction,c/w quantities without pricing. The plan documents clearly present the level of quality expected bythe project owner. The documents specify the material/equipment types and solutions expected tobe used and offer contractors the possibility to propose alternatives. Preparation of a draft timeschedule for the cornerstones and milestones of project implementation

5. As-built Documentation

Preparation of the as-built plans documented by contractors and their uniform structuring foroperators. Revision of handover documents.

3. Project Supervision

• We issue a tender invitation to contractors and subcontractors for project implementation.• We supervise project implementation and, as part of that, monitor the observance of deadlines

and manage budget usage.• We organise and coordinate regular cooperation meetings.• We provide the project management services related to the use of grants used in projects.• We also provide construction supervision as the planner.

As part of project supervision, we undertake to perform the following tasks:

1. Prequalification of Contractors

Examination of the technical and financial suitability of the companies planned to be involved inproject implementation; using the prequalification system, assessment of these companies.Preparation of the list of companies planned to be invited for the tender and the finalisation of the listtogether with the project owner.

2. Organisation of Bidding for ContractorsPreparation of bid documents (technical descriptions, draft budgets without actual prices, draftcontracts, time schedules). As agreed with the project owner, organise a general, field-specialised ormixed bidding process.Dispatch of RFQs and documents to pre-qualified contractors. Evaluation of bids, preparation ofcomparative analyses, checking of quantities. Selection of the companies submitting the best offerstogether with the project owner and their invitation to further negotiations. Personal technical andprice bargain meetings (1-2-3 occasions).Evaluation of the alternatives, technical and financial possibilities proposed by contractors. Selectionof the best offer together with the project owner.

3. Preparation and Signature of Contracts

Preparation of contracts, using the draft contract samples compiled by us, which contain theguarantees, money retentions and responsibilities, as preliminarily discussed and agreed with thecustomer. Put the partial time schedules prepared by contractors together into an overall time schedule,which serves as the basis of implementation scheduling.

4. Reporting of Construction Commencement to Authorities

Report the commencement of construction to the Building Authority and the Tax Authority, asprescribed by law.

5. Handover of Construction Site, Launch of Construction Activities

Checking of the location of plot points by geodetic surveyors by an independent geodetic surveyor,construction of temporary facilities (as per contracts), documentation of the circumstances ofconstruction (entry checking, safeguarding, work safety, etc.).Checking of documents and official reports to be supplied by the contractor, as required by law (riskanalysis, quality plan, report to the Employment Authority, etc.).

6. Grant Management

If the project contains parts planned to be implemented from grants, the technical and financialperformance of such parts is monitored separately. When closing the project, we prepare the requiredtechnical reports, photo documentation and financial account settlement documents.

7. Communication

With the frequency required by the customer, we prepare summary reports about the progress ofproject implementation, to supply information for the project staff (employees) and externally (for thepress).If necessary, we organise the preparation of the construction and general information signboardsspecified as required in the communication chapter of tenders.

8. Usage Permit

Following the successful completion of the technical handover-acceptance process, apply for the usagepermit and take measures to ensure that authority regulations are satisfied. Provide preliminaryinformation for specialised authorities, organise site visits, prepare documents. Preliminary calculationof fees payable to authorities. Collection of the necessary documents from the contractors employedand from the project owner. Preparation of the environmental documents and organisation of theperformance of the necessary test and measurements.

9. Live Operation Licence

Participation in the live operation licensing process, as required by the function of the facility, on thecustomer’s side.

10. Guarantee Site Visit After 1 Year

1 year after the completion of the handover-acceptance process, organise a guarantee site visit, preparea defect list and order the elimination of defects. Availability during this period in case any technical

4. On-site Project Management

• During the construction phase, our company also undertakes the organisation and coordinationof actual construction activities and, if requested, we provide full-time presence at the buildingsite.

• We do the technical supervision jobs prescribed by law and required by the project, as frequentlyas required by the actual work processes.

• If requested, we organise works supervision service by the planner during construction.

We undertake the following activities in this work phase:

1. Technical Supervision, Work Safety, Quality Assurance

Technical supervision of the activities of experts of special fields (architect, utility, electrical, low-current,civil engineer, structural engineer, environment protector, public utility installation company, etc.), asprescribed law, as frequently as required by the actual work processes and the customer. On-sitechecking of compliance with labour safety and quality assurance plan requirements.

2. Financial Scheduling, Budget Monitoring, On-Site Project Management

Lead weekly cooperation meetings, prepare minutes about cooperation, continuous informationsupply to the project owner. Discussion of any questions arising in the course of construction with theproject owner. Represent the project owner during authority inspections.Continuous monitoring of external factors connected to the projects (public utility connections,neighbour relations, etc.).

Monitoring of the budget which was prepared preliminarily and updated based on signed contracts,in the light of the contracts made and the invoices issued. Updating of financial scheduled, approvalof invoices and management of additional works.

Part of on-site project management, take photos and keep a photo archive about the progress ofproject implementation.

If required by the nature of the project or the project owner, organise the provide continuous presenceof construction supervisor(s) and, if needed, an assistant engineer at the construction site. In this case,the construction supervisor participates in the daily construction meetings, cooperation meetingsand invites the planner to act as works supervisor.

3. Technical Handover-Acceptance

Organise the technical handover-acceptance process, put together defect lists and supervise theelimination of defects. Prepare the documents about the completion of construction.

4. Contracts with Public Utility Companies

Make preliminary calculation about consumption, sign contracts with public utility service providers.

5. Training

Prepare the quality and operation documents of all structures, systems, machines, etc. built into thefacility, manage and inspect the required test runs and hand the facility over to its future operator.
