Mini-Rugby Showcase at 2017 HK 7s - Information for Coaches and Parents
We have almost 2,500 children to get safely to and from their games and very little time to do it.
Please help make this possible by reading and following these notes.
Players (parents please note)
DO:
� Wear full club kit.
� Bring mouthguards - you won’t be able to play
without one.
� Be ready to play as soon as the hooter goes and
get off the pitch immediately when your game is
over.
DON’T:
� Bring bags or water bottles through the
tunnel. These will not be allowed on the pitch.
� Wear jewellery (necklaces, earrings, etc), hard
hair clips or non-approved glasses. Soft hair ties
and rugby-approved glasses are allowed.
� Huddle on the pitch before or after your match.
Coaches
DO:
� Wear coaches’ kit: club shirts and sports
shorts/shoes.
� Get on and off the pitch quickly, and go straight
through the tunnel area once finished.
� Bring your team to the West tunnel entrance on
time, no stragglers, and take the team through the
tunnel in one group.
� Check that your players DO have mouthguards and
club kit.
DON’T:
� Allow players to bring bags or water bottles through
the tunnel. These will not be allowed on the pitch.
� Block the tunnel area or pitch entrance after
matches.
� Huddle or linger on the pitch after your match, or
hand out medals in the tunnel area.
� Try to bring any of your team down the steps at the
North Stand.
FRIDAY & SATURDAY – HK Stadium
1. No time to mess around at the start of the day. Get to the Stadium gates early. Teams playing first go
straight from gate to tunnel to the right of the entrance gates at West Concourse Level and past the
bottom of the escalator. Don’t try to get a seat first - send someone else to do that.
2. For teams playing in the first time slot on Saturday only (i.e. 7:15am kick-off), your club chairs will be
in touch with to discuss special arrangements.
3. All teams to be at the tunnel entrance (West concourse) at least 15 minutes before the kick-off time of
your game. Be ready to enter the tunnel when called to do so by the officials at the door. Teams playing
on Pitch 3 (South) will be asked to enter first, then Pitch 2 then Pitch 1. Walk down the ramps, as they
can be slippery if wet. We do not want any injuries. Beware of vehicles and other traffic in the tunnel.
There will be Tunnel Assistants to guide you. Please obey their instructions.
4. Maximum of 2 coaches per team (wearing Club shirts). Maximum of 3 replacement players per team.
5. Go to the top of the ramp leading to the pitch and check in with the Showcase coordinators at the tunnel
exit onto the pitch. They will make sure you have come in at the right time and will check players for
mouthguards and sharp objects (hard hair clips, ear-rings, etc). They will direct you to your warm-up
area. If you have come through too early, they may instruct you to go back down the tunnel and return
at the correct time. Keep to the right side of the ramp all the time you are on it, to allow teams leaving
the field to travel through the tunnel, and to leave a clear channel in the middle for officials, media etc.
6. Make sure you know which pitch your team is playing on and where it is. Keep players together and as
orderly as possible. Report to Pitch Marshall and take instructions as to where to warm up. Warm-up
and match balls will be provided. No balls will be allowed through the main gates.
7. Do NOT take water or bags/backpacks to the pitch.
8. All coaches MUST be wearing proper sportswear (in club colours) including suitable footwear and shorts
(or tracksuit bottoms). Make sure all players are wearing proper kit (club shirt/shorts/socks/footwear)
and have MOUTHGUARDS. Ensure players are not wearing any form of jewellery, wrist bands,
necklaces, watches, sharp hairgrips, hard hair clips, or anything else that might injure any player.
9. There is very limited warm-up space. Please stay off playing areas while you are waiting for your game.
Go onto the pitch as soon as previous game finishes and be ready to play straight away. Team huddles
before or after the match waste your and other teams’ playing time. Games will end on time (even if
they start late).
10. Once your game is over, get off the playing area straight away. Teams should go back to the tunnel via
the walking space (black rubberised surface), NOT on the grass. This will allow room for the next teams
to take their places on the side lines ready for next games. Please do NOT linger on the playing area to
take photos (or for any other reason). Do NOT allow children to lean against signage around the pitch:
it is not designed to be leant on and is not safe.
11. One coach from each team please collect a set of medals from HKMFRU officials who will be in the front
row of seats to the right of the West Tunnel. Do NOT distribute medals at the side of the pitch or in the
tunnel. Please hand medals out once the team is back on the concourse level. Please note that medals
are given on the basis of number of players + 3 subs. Please discuss with your club chair if you have
extra medals, or a shortfall.
12. You MIGHT have a brief opportunity to take photos at the photo board near the mouth of the tunnel,
but ONLY if this is not holding up other teams or disrupting other activities. If the organisers ask you to
move on, please to so immediately.
SUNDAY – HK Stadium
Not quite so busy, but all the above points still apply.
For teams playing in the first time slot on Sunday only (i.e. 7:13am kick-off), your club chairs will be in touch
with to discuss special arrangements.

IMPORTANT NOTE
The Showcase games will be cancelled if there is a thunderstorm warning. If the pitch is wet or waterlogged,
the 7s organisers may cancel some or all games to protect the playing surface. This is beyond our control.
U10G & U12G WR7s SHOWCASE 2017 – GUIDELINES
Access: free entry to So Kon Po Recreation Ground, gates open 7:30am.
Warm up area: in goal area at each end of the pitch NO ACCESS to the dead ball
area
Assemble: at run on area 5 minutes before match. All players and coaches must
wear full club kit. Mouthguards compulsory. NO bags or water bottles,
jewellery, wristbands, necklaces, watches, sharp or hard hairgrips.
Spectator Stands: Parents and friends MUST NOT enter the pitch; they must
remain in the designated spectator area.
Accreditation Area: NO ACCESS except for WR7s accreditation holders.
SKP Pitch Marshall Duties:
• 10 x arrive 7:30am
• 6 x set up two pitches
• 4 x supervise warm up area, hand out warm up balls, ensure teams stay
within in goal area
• 2 x run on, check teams, correct numbers of players and coaches, correct
kit
• 2 x pitch marshals
• 2 x run off and medal distribution
• 6 x remove cones after final U12G match
• 1 x timekeeper, announcer (Meg?)
Pitch Map
After Matches: Please can coaches, players and parents stay after their matches
to support the WR7s quarter finals (starting at 9:22am), before heading over for
their HK Stadium Showcase matches. The U10G and U12G Showcase matches at
the Stadium are in the final slots, to give as much time as possible at the WR7s.

Minis are involved in the Sevens on all three days, as follows:
Friday Showcase games at So Kon Po (8-9am U10G and U12G) and at HK Stadium (10:15-11:38am)
Saturday Showcase games at HK Stadium (7:15-8:42am)
March Past at HK Stadium (2:22-3:22pm)
Sunday Showcase games at HK Stadium (7:13-7:48am, U12 and some U12G)
The Hong Kong Sevens is the only event in the World Sevens Series that allows Mini Rugby to participate in
Showcase games and a March Past like this. Please help keep this tradition alive by making it an orderly
spectacle and avoiding any disruption to the rest of the parade. Please read and follow these guidelines.
Players (parents please note)
Do:
� Gather with your club at the slope area on time
and in club kit.
� Drink water and take a bathroom break before
the March Past. You may be waiting in the tunnel
for a while before getting on the pitch.
� Keep walking in an orderly fashion with your club.
� Follow the directions of the organisers and your
coaches.
Don’t:
� Bring bags or water bottles onto the pitch.
� Stop for photos, or move away from your club
and coaches.
� Go beyond the 22m line at the South end of the
pitch or try to get close to the goal posts.
� Tackle each other, dive or perform rolls on the
pitch.
Club Chairs
Do:
� Make sure all your coaches, parents and children
are aware of how important these requirements
are.
� Vet the clothing of your coaches and players.
� Be responsible for your club’s behaviour on the
March Past.
Don’t:
� Let anyone on the March Past if they are not in
club shirts and wearing sports shorts.
� Allow anyone other than club members (coaches,
players) on the March Past. No non-coaching
parents, babies or infant children.
Coaches
Do:
� Wear your coaches’ kit: club shirts and sports
shorts.
� Keep your players together and moving.
� Be responsible for the safety and behaviour of
the children under your charge.
� Turn at the 22m line at South end of the pitch.
� Read the detailed guidance notes and listen your
club chair and the organisers.
� Allow the players to be seen by the crowd. Apart
from a few coaches to keep the players moving
and on the line of march, coaches should keep on
the inside (pitch side) of the March Past.
Don’t:
� Stop - whether for photos or to speak to the
crowd - or allow children to separate from your
club.
� Allow a gap to form within your club.
� Allow the children under your charge to engage in
horseplay.
� Let any member of your club - children or coaches
- get close to the goal line.
� Bring any bag or beverage container into the
tunnel or on the March Past.
As a coach, you are responsible for the behaviour of
your club’s members.
Your club’s participation at this event is at risk if you
do not follow these guidelines.

MARCH PAST BRIEFING
There will be a March Past Briefing on Saturday (the day of the March Past), for all Club Chairs / Reps with Accreditations.
Attendance is MANDATORY FOR ALL ACCREDITATION HOLDERS. This is critical to ensure everyone understands their
roles, and to communicate any last-minute changes from the World Series, HKRU or stadium management.
The Briefing will be mid/late-morning (time TBC) at the front of Olympic House, and will only last 15 minutes. Please
respect your colleagues by arriving on time. If you know you will be unable to attend, arrange a proxy to come for you,
AND inform the Showcase Co-ordinator via SMS or WhatsApp, in good time, or one of the HKMRFU Executive.
MINI RUGBY - ASSEMBLY PROCEDURES
Everyone participating in the March Past must wear their
Club’s rugby kit only (Club jersey, rugby shorts, rugby
socks, trainers). Only players, nominated coaches and
assigned referees are to take part. Clubs are not to permit
additional parents to join the march past.
Club Chairs are required to be at the top of the tunnel
(Concourse level) to organize their Clubs.
Clubs should gather their teams ready to enter the tunnel by
2:05pm. The March Past Leaders (MKY) should assemble at the
bottom of the escalators, whilst all other clubs should assemble
up the left side of the ramp (looking up the ramp).
Clubs should line up in the following order:

The line of players should wind up the ramp towards the
upper level keeping tight against the wall to avoid blocking
the movement of others up and down the ramp.
Within each club the youngest players should be at the front
and oldest at the back.
Players should line-up 5 abreast and this format should be
maintained throughout the march past.
On allowing players and coaches into the tunnel (around
2:15pm) officials will check that they are in full club shirts,
shorts and socks.
The first club will be stopped at the bottom of the tunnel ramp.
The line of players must be kept to the wall on the left (looking
down the tunnel).
Shortly before starting the march past, the line of players will
be moved forward towards the pitch behind the Police Bands.

ORDER OF MARCH
• Shortly before starting the march past the line of players will be moved forward towards the pitch behind the
Police Bands.
• Once on the pitch (at 2.22pm) all clubs will march waving at the crowd behind the Police Bands, down the
West side (between the 5m and the 15m lines), they will turn LEFT across the South 22m line, and then
turn LEFT again along the East side (between the 5m and the 15m lines) to the East Tunnel Exit.
• Marshals will be at the turning points, and other volunteers (coaches) posted along the line of march to keep
teams on the right line and ensure any gaps between clubs can be closed quickly to keep the march flowing.
Note: During the March Past, the crew will be setting up the staging and wiring for the band in the area
between the NORTH 10m LINE and the NORTH GOAL LINE. For the safety of players - NO MINI RUGBY
PLAYERS SHOULD BE ALLOWED INTO THIS AREA AT ALL. Please be aware that the staging crew may
extend this area to the half way line.
• Up to this time the important points are:
o Club’s MUST turn left before the South 22m line. Do NOT allow players or coaches to go near the
rugby posts.
o Avoid gaps forming within the line of players. Keep pace with the march.
o Prevent players from straying out of the line to chase souvenirs thrown by the crowd.
• Coaches should spread themselves alongside the players on both the ‘pitch-side’, with a few also on the
‘stand-side’ of the line to prevent players from drifting towards the centre of the pitch, or towards the
crowds. In addition coaches should be on the end of the club’s group (just before the next club) to gather
up any player falling behind the group.
• Clubs will be asked to provide one coach per club to precede the main body of clubs, to drop off into
predetermined spots along the line of march (West, South and East sides). Coaches walking with their teams
should stay on the INSIDE of the marchpast to give players and spectators the best, unimpeded view.
• PLEASE REMAIN VIGILANT AT ALL TIMES. THERE WILL BE A LARGE NUMBER OF PEOPLE AND PLAYERS (both
Mini Rugby and Senior Rugby) AND CHILD SAFETY MUST BE THE UTMOST PRIORITY.
• ENSURE THAT YOUR CLUB DOES NOT ‘SPREAD’ OUT DURING THE MARCH. KEEP THE PLAYERS TOGETHER AS
FAR AS POSSIBLE.
• IT IS A VERY GOOD IDEA TO ASK PARENTS TO WRITE THEIR PHONE NUMBERS ON THEIR CHILD’S ARM IN
PERMANENT MARKER - ESPECIALLY FOR THE YOUNGEST PLAYERS.

1. On exiting the pitch, the Clubs exiting West (VF, USRC
and HKFC) will turn LEFT at the bottom of the East
Tunnel, walk along the Service Level to the West Tunnel. 2. The first club (VF) may be stopped in the service tunnel
to allow the last band to clear the tunnel and go onto the pitch.
3. Travel up the west tunnel, and turn LEFT before the West Gate (DO NOT EXIT THE STADIUM). After turning left, travel further up the tunnel and exit at the western side of the Main Concourse.
4. On exiting the tunnel, turn LEFT and proceed up the Western Ramp leading to the Upper Levels. DO NOT STOP ON THE MAIN CONCOURSE LEVEL.

- All players selected to carry flags/name boards (including nominated reserves not listed below) must come to the entrance of
the West Tunnel by 1.35pm. An official will escort them into the tunnel before the rest of the Mini Rugby Clubs. Late
banner carriers will be replaced and will lose their opportunity. Any banner carriers not in full rugby kit will NOT be
allowed to participate.
- Banner carriers will be allocated flags/boards at the bottom of the ramp and placed under the control of an official, who will
move them into the march past as each of the senior teams arrives.
- Once finished, Banner Carriers will exit the pitch (Eastern side) walk along the Service Level towards the west side of the
Stadium, walk up the west tunnel (DO NOT EXIT THE STADIUM) and exit on to the Main Concourse
Level – West side – at the bottom of the escalators.
