As per the reference from Mr. Samuel of (ER Department), Mr. Saminathan assigned me in this work (record room – database generation).

I started the work without having any clue on how this work goes but by the end I got good understanding of maintaining the data in the record room & at the same time importance of maintaining these data.

Well I and my mate Sheena have been guided by Ms. Satya Prabha (ER department) & Mr. Arvind (ER department); they made us to work in the desired way by which we finished the work on forming a database of the record room.

I Done this work for 4 weeks and somehow I managed to complete this work, by loading / feeding the data into the system.

Totally there are 3 record rooms & one VMS room which also consist of all the files of resigned employees

Apart from these record rooms there are two more rooms which also have some files which are personal files & key files related to operations (i.e.) Purchase files , MP& L etc. Also the room consist of the resigned & transferred files of employees during different years.

Files have different names (I.e.) TA- Training Apprentice, AA – Act Apprentice (Which is not in practice in recent days), T0 – Confirmed employees, CA- Company Apprentice, FCG- Ford College Graduate, DI files – the files with only tag number yet to get the Employee Number.

All these files have a check list attached to that you can find the personal details (Name, Address, certificates, proof’s etc...) & official details (Training completion & evaluation, Appraisal details, promotion, confirmation etc...)Details of the employees.

Have collected some basic information regarding the functioning of ER & also their roles & responsibilities.

Got some information regarding ESI & EPF, How ford is providing these benefits to it’s employees according to the Act.

I did manual work in noting down the total number of files physically present in the Record room both (Live files & Resigned files).
