FISCAL YEAR 2016-17 DIVISIONAL OBJECTIVES – SharePoint Instructions For the 2016-17 budget cycle, the College is utilizing SharePoint to gather the information related to your objectives. There have been some new features added for this budget cycle. You are required to complete the following: PART A: Statement of Object o In this section, you will enter in a descriptive term for the objective, align the objective with one of the College’s three strategic goals, assign a priority and provide a brief narrative that provides evidence of need for the objective. PART B: Objective Accomplishment Plan o In this section, you will enter the activity leader(s), activity benchmark dates and a brief narrative that describes the evidence of a successful objective. PART C: Resource Usage Plan o In this section, you will enter the resources required to accomplish the objective. Use of Existing Resources of your home division Use of Existing Resources of other divisions New Resource Requirements The divisional objectives should include both continuing as well as new initiatives/projects. Later in the fiscal year (May 2017) you will be required to complete Part D, which deals with the assessment of your objective. This form should not be used to request additional budget funds for on-going operations. You need to consult with your dean/director and vice president to discuss additional budget funds for on-going operations. FISCAL YEAR 2016-17 DIVISIONAL OBJECTIVES – SharePoint Instructions For the 2016-17 budget cycle, the College is utilizing SharePoint to gather the information related to your objectives. There have been some new features added for this budget cycle. You are required to complete the following:

How to get to the new SharePoint Divisional Objective site

You log into the SharePoint area from the FY17 Budget tab in myCCP. Under the heading “Submission Web Forms,” click on FY17 Divisional Objectives -SharePoint

You will see something similar to the screen capture shown below.

The Documents section contains informational guides that may be helpful.

Click on ObjectForm on the left hand side which will reveal the FY16 and FY17 subdirectories.

To review the objectives submitted during the FY16 budget cycle, click on FY16.

To submit a new request, click on New Objective Form.

Part A: Statement of Objective

This part of the form has a pull down menu for selecting the Strategic Planning Goal and radio button appear related to the goal selected (Supported by Objective). Use free form text entry for the Divisional/Departmental Objective field and the Evidence of Need for Objective field (either direct entry or via cut and paste). The Priority selection is a pull down.

Part C: Resource Usage Plan

This section of the form contains free form and section pieces. Note a blank text line is automatically available but you may add more entry lines using the Insert New Resources Item. This allows you to reposition items as well. Please complete all three sections: Use of Existing Resources-Home Division; Use of Existing Resources – Other Divisions; and New Resource Requirement Item. The New Resource Requirement Item has a drop down allowing you to select the type of new resource required (examples: PT Salary, FT Salary, Consultant, Contracted Services, Software, etc.)

When you have completed the Divisional Objective, click on the Save As icon. You will be prompted for a file name. Please use the following naming convention:

5-digit Org Code, followed by underscore (_), followed by Objective Name Example: 50000_FaciltyMasterPlan

Your information will be saved within the Budget SharePoint site. To edit your saved file, go back to the Budget Objective SharePoint Home Page and click on Objective Form (on left side of page), Click on the FY17 subdirectory and all saved Objectives will appear in the middle of the page. Double click on the Objective which you want to edit.

Instructions for Copying an Objective submitted last year which is saved in the FY16 subdirectory You log into the SharePoint area from the FY17 Budget tab in myCCP. Under the heading “Submission Web Forms,” click on FY17 Divisional Objectives -SharePoint

• Click on ObjectForm on the left hand side which will reveal the FY16 and FY17 subdirectories. • Click on FY16 subdirectory. • Click to the left of the file name that you want to edit and save in FY17. • Click on the Files option which is located at the upper left corner of the screen then

click on the Send To button and select FY17. • When presented with the “COPY” screen, click on OK which is located at the bottom right corner

of the screen. Prior to clicking on OK you can change the name of file in the “File name for the copy” box.

• When presented with the User Confirmation screen, click on OK. You will receive a confirmation that the file was copied.
