Overview

Purpose The primary objective of the FirstCall Transport Monitor (TRM) is to create the transports requested from the

FirstCall mobile application and manage the users who request access.

The FirstCall Transport Monitor (TRM) supplements operational data captured during the dispatch and flight

process via Golden Hour Live and Flight Vector.

Please Note: REACH Air Medical Services LLC uses Flight Vector

Technical Support Supported Browsers

The FirstCall Transport Monitor (TRM) was designed specifically for use with Internet Explorer

o While other browsers may work, they are not currently supported by AMGH IT

AMGH IT’s Helpdesk (Service Now) is the main entry point for reporting all problems/support requests

Hours of Operation:

o Monday - Friday, 8:00 AM - 5:00 PM CST

o After-hours support is only available for urgent and high-priority/impact problems

Urgent -- major production outage, performance degradation, or instability causing significant

impact to the company

High -- large number of users impacted or a small number of users can’t use a mission-critical

application

System Layout To facilitate the data entry process, the system has been designed with the use of tabs to capture the different

data elements required by the system. Not everyone has permission to the Admin tab.

To access the site, please select your company-specific URL:

o AMGH employee (Login) please provide your network credentials; user name which is typically in the format

of lastnamefirstname or as otherwise specified by AMGH IT and your current password

o Non-employee contractor (Login) please provide your credentials, user name which is your email address

and your current password. Please Note: If you don’t remember your password please click the,

“Forgot Password” link and enter your email address and an email will be sent to your email address to

reset your password.

Transports

After logging into the Transport Monitor (TRM) system, you’ll default to the transports page. Scene/Interfacility

transports requested from the FirstCall mobile application will come to the transports page. There are 3 tabs on the

transports page (Unassigned, Active, and Completed).

Unassigned Transports You click on the red bar and then select “Acknowledge Only” for the incoming transport request. This lets the requester

using the FirstCall mobile application know the process for dispatching an aircraft has started. All transports that have

been acknowledged will be placed in the “Unassigned” transports tab with a status of Unassigned.

You can search “Unassigned” transport request based on the filters listed below.

o Transport Types – Select (Scene or Interfacility)

o Click the “Search” button to filter request by the selected criteria

You can also sort “Unassigned” transport request in ascending or descending order by clicking “From” or

“Created”

If you click on any transport request under the “Created” column it will toggle between the “Date/Time” and

“Elapsed” time since the request was created

Please Note:

o An audible alert will sound off for all incoming scene/interfacility request.

o A counter will show the number of incoming scene/interfacility request in the queue.

Actions

o Click the “Create” button to fill out the flight information and create the request.

o Click the “Void” button to cancel/remove the flight request from (TRM) and the FirstCall mobile app.

You need to make sure the flight has been dispatched in Golden Hour or Flight Vector (REACH) before creating

the flight.

Create Transport (Interfacility)

1. Enter the Cad# used to dispatch the flight from Golden Hour or Flight Vector (RCH). (Required)

a. Golden Hour format XXX-XX-XXXX

2. Cad System defaults to “Golden Hour” for (AEL, EGM, & MTC) and “Flight Vector” for (RCH). (Required)

3. Select a Pod from the pick list (R1, R2, R3, R4, R5, R6, and R7). (AirEvac only) (Required)

4. Tail# defaults to the correct aircraft after you’ve entered the Golden Hour or Flight Vector Cad#. If not, select

the correct Tail#. (Required)

5. Program defaults to the requesters Preferred Transport program that submitted the request. (Required)

6. Orig Facility defaults to the hospital the requester selected when submitting the request. (Required)

7. Enter the first 3 characters of the Recv Facility and a list of hospitals will start to display. (Optional)

8. Enter the Initial ETA in a 24hr notation i.e. (2359) (Optional)

9. Status defaults to “Assigned”. (Required)

10. Click the “Create” button to create the flight and send flight information to the FirstCall mobile application.

11. Click the “Cancel” button to cancel creating the flight and return the request back to the “Unassigned” tab.

Please Note:

We get a Golden Hour data feed every 1 – 2 minutes that will update the Tail#, Status, and ETA (if existing in

Golden Hour) after the Transport has been created.

It is always RECOMMENEDED to enter the Recv Facility and Initial ETA if available, so that the mobile device

can receive accurate information.

Create Transport (Scene)

Please Note: If the device location is turned off and requester enters the “City, State” you will need to enter

the Initial LZ (lat/lon) for the pickup location.

a. Lat Degrees/Minutes: (i.e. N or S, DD°, MM.MMM’)

i. N or S (Default N)

ii. Degree up to two numbers (0-90) i.e. (DD)

iii. Minutes max two numbers (0-60) before decimal place and max three numbers after the

decimal place i.e. (MM.MMM)

b. Lon Degrees/Minutes: (i.e. E or W, DDD°, MM.MMM’)

You can search “Active” transport request based on the filters listed below.

o Status – Select (All, Assigned, En Route to Pickup, At Pickup, En Route to Dropoff, or At Dropoff)

o Pod – Select (All, R1, R2, R3, R4, R5, R6, and R7) (AirEvac only)

o Transport Types – Select (Scene or Interfacility)

o Click the “Search” button to filter request by the selected criteria

You can also sort “Active” transport request in ascending or descending order by clicking (“CAD#”, “Pod”,

“From”, “To”, or “Status”)

To update an Active Transport (Scene or Interfacility) click the CAD# circled in red above. The “Edit Transport”

page will display below.

5. Initial ETA defaults to 0000 or to the time entered when the Transport was created. You can update the Initial

ETA in a 24hr notation i.e. (2359) (Optional)

6. Status defaults to “Assigned”. You can update from the pick list (Assigned, En Route to Pickup, At Pickup, En

7. Click the “Save” button to update the flight information and send to the FirstCall mobile application.

Edit Transport (Scene)

Users

The Users page is where you’ll manage the registered users of the FirstCall mobile application. There are 5 tabs

(Unassigned, Pending, Approved, Denied, and Deactivated).

Unassigned Users who register via their device will be placed in the “Unassigned” tab waiting to be assigned to the correct

supervisor so that the users’ registration can be reviewed.

You can search “Unassigned” users based on the filters listed below.

o User Name - Type in the first or last name of the registered user

o Pref. Program – Select from the pick list of Programs

o Hospital – Type in the first 3 characters and a list of hospitals will start to display

o Agency – Type in the first 3 characters and a list of agencies will start to display

o Click the “Search” button to filter request by the selected criteria

You can also sort “Unassigned” users in ascending or descending order by clicking (“Submitted On”, “User

Name”, “Email”, “Hospitals”, “Agencies”, or “Pref. Program”)

Select a supervisor from the pick list highlighted in red

You’ll received a popup message to confirm your selection

o Click, “OK” to assgin to approve and user will move to the Pending tab

o Click, “Cancel” to remove the selection and staty on the Unassigned tab

Pending Registered users’ assigned to a supervisor will be placed in the “Pending” tab. Supervisors have the ability to Approve,

Deny, or Assign to another supervisor in order to compete the registration process.

You can search “Pending” users based on the filters listed below.

o User Name - Type in the first or last name of the registered user

o Pref. Program – Select from the pick list of Programs

o Hospital – Type in the first 3 characters and a list of hospitals will start to display

o Agency – Type in the first 3 characters and a list of agencies will start to display

o Assigned to –Select from the pick list of supervisors

Please Note: Defaults to the individual supervisor logged in

o Click the “Search” button to filter request by the selected criteria

You can also sort ”Pending“ users in ascending or descending order by clicking (“Submitted On”, “User Name”,

“Email”, “Hospitals”, “Agencies”, or “Pref. Program”)

Click the “Approve” button to approve the users’ registration request and move the user to the Approved tab

o You’ll receive a popup message, “Approve user?”

Click, “OK” to confirm

Click, “Cancel” to cancel your selection and stay on the Pending tab

Click the “Deny” button to deny the users’ registration request and move the user to the Denied tab

o You’ll receive a popup message, “Deny user?”

Click the “Deactivate” button to deactivate a user so that their credentials are invalid and move the user to the

Deactivated tab

o You’ll receive a popup message, “Deactivate user?”

Click, “OK” to confirm

Click, “Cancel” to cancel your selection and stay on the Approved tab

Click the “Reactivate” button to reactivate a user so that their credentials are valid to use the FirstCall mobile

application again and move the user to the Approved tab

o You’ll receive a popup message, “Reactivate user?”

Invite User (Create Pre-Approved User) You have the ability to create a pre-approved user so that the user doesn’t have to register with the application.

1. Enter the users First Name (required) format up to 50 characters max, letters (A-Z), numbers (0-9), periods (.),

hyphens (-), apostrophe (‘), and spaces

2. Enter the users Last Name (required) format up to 50 characters max, (A-Z), (0-9), periods (.), hyphens (-),

apostrophe (‘), and spaces

3. Enter the users Email Address (required) format Up to 100 characters max, characters are limited to letters (A-

Z), numbers (0-9), periods (.), hyphens (-), and underscores (_)

4. Enter the Phone Number (required) format XXX-XXX-XXXX, 10-digit number, (0-9)

5. Select a Transport Program (required) – You can choose a max of 3 transport programs

6. Select a Preferred Transport Program (required) format pick list of Program Name(s) and Program

Description(s) selected from the Transport Program

7. Select an Affiliation (Required) – You must select at least one Hospital or Agency

a. Select a Hospital enter the first 3 characters and a list of hospitals will start to display.

i. Hospitals format Hospital name - City, State 1. The user can choose a max of 3 hospital affiliations

b. Select an Agency enter the first 3 characters and a list of agencies will start to display.

i. Agencies format Agency name - City, State 1. The user can choose a max of 3 agency affiliations

8. Click the “Invite User” button to send the user a “Pre-Approved User” email notification and they will be added to the Approved tab

9. Click, “Cancel” to cancel your invitation request

Admin

The Admin tab is where you manage employees and non-employees (contractors) using the Transport Monitor (TRM).

Add/modify a non-employee (contractor) To add a new non-employee (contractor) click the “New” button

Enter the First Name, Last Name, Email Address, and select an Affiliated Program

a. *Asterick indicates all are required fields

Then click the “Create” button

Non-employee (contractor) has no limit to the number of programs they can be affiliated with.

Non-employee (contractor) will see all flight transport information for only the programs their affiliated with.

Non-employee (contractor) will receive the following email notification after their account has been created.

Non-employee (contractor) will then set their password as directed in the email.

Non-employee (contractor) will now be able to login to the Transport Monitor (TRM).

Add User Role(s) Search for the user in the text box and a list of names will start to auto-populate.

Assign the appropriate roles for that user and click the “Add Role” button under the dropdown list

Frequently Asked Questions

I can’t login to the Transport Monitor (TRM) and I see the message: “Invalid Username or Password.”

Enter the same User Name and Password that you use when logging into the company network. Be sure these are spelled correctly and your Caps Lock is off.

I checked my User Name and Password and they’re correct but I still see the login error message.

Check your internet connection. Try to access another web site. If you cannot access another web site, it may be your internet connection is down.

If you are still unable to access the Transport Monitor (TRM) website, contact the AMGH - IT Helpdesk during

normal business hours (Mon-Fri 8AM to 5PM CST) at (877) 662-4615 or via email at [email protected]

If you create a pre-approved user and the email notification goes out to the user but they contact a Program Manager or Program Director and tell them that the link in the email they received has expired.

Tell them to enter their email address on the FirstCall mobile application and then click the “Forgot

Password?” link and they’ll receive an email asking to set their password.

Can I delete a user or transport in the system?

No you can’t delete a user or a transport after it’s been created. You can however void a transport after it’s been acknowledged.

Do I have to dispatch the flight in Golden Hour or Flight Vector before creating in the Transport Monitor?

Yes you have to dispatch the flight in the appropriate Cad system before creating in the Transport Monitor.

How can I tell if I’m connected to the Transport Monitor (TRM)?

You’ll see a “Green” globe in upper right hand corner that says “connected“ if you’re successfully connected

to the system

You’ll see a “RED” globe with an “X” in upper right hand corner that says “disconnected“ if you’re not

connected to the system

You’ll see a “Orange” globe in upper right hand corner that says “reconnecting“ if you’re trying to reconnect

to the system
