INTRODUCTION TO MIS & ERP

What is ERP:ERP is one of the most widely implemented business software systems in a wide variety of industries and organizations. ERP is the acronym of Enterprise Resource Planning. ERP is just not only software. ERP definition refers to both; ERP software and business strategies that implement ERP systems.

ERP implementation utilizes various ERP software applications to improve the performance of organizations for.

1) resource planning,

2) management control and

3) operational control.

Advantages: There are many advantages of implementing an EPR system. A few of them are

listed below. A perfectly integrated system chaining all the functional areas together. The capability to streamline different organizational processes and workflows. The ability to effortlessly communicate information across various departments. Improved efficiency, performance and productivity levels. Enhanced tracking and forecasting. Improved customer service and satisfaction.

Disadvantages: While advantages usually outweigh disadvantages for most organizations

implementing an ERP system, here are some of the most common obstacles experienced.

The scope of customization is limited in several circumstances. The present business processes have to be rethought to make them synchronize

with the ERP.

ERP systems can be extremely expensive to implement. There could be lack of continuous technical support. ERP systems may be too rigid for specific organizations that are either new or

want to move in a new direction in the near future.

Types of ERP: SAP R/3 and B1:

SAP is probably the best known supplier of ERP software. SAP offers two solutions. The first is the R/3 suite and the second is the B1 suite.

LN/Baan:

Baan ERP software was originally created by The Baan Corporation in The Netherlands. It was purchased by Infar Global Solutions in 2003. Baan ERP software is designed for manufacturing industries working on complex products with complex supply chains that work on different methodologies.

Microsoft Dynamics NAV and AX 2009:Microsoft offers two ERP software packages. Microsoft NAV is targeted toward small and medium-sized businesses and offers modules for analysis, e-commerce, CRM, supply chain management, manufacturing and finance. Microsoft AX 2009 is designed for medium to large organizations and has functions that are useful for companies doing business in multiple countries.

JD Edwards Enterprise One:Enterprise One from JD Edwards is an Oracle-based ERP system. Enterprise One is currently owned by the Oracle Corporation. Enterprise One offers pre-designed modules that focus on standards-based process engineering and deep understanding of different business processes and requirements. Available modules include, among others, analytics, capital asset management, CRM, finance management, human capital management, manufacturing, ordering systems and project management. Higher level modules can be added for specific industries like real estate, construction, and food and beverage production.

Oracle E-Business Suite Financials and PeopleSoft Enterprise:Oracle offers two other ERP products. The first is E-Business Suite Financials. The other is PeopleSoft. E-Business Suite Financials is an easy to use package targeted to the financial services industry. It supports distributed organizations and offers modules for financial and operational information, dynamic planning, budgeting, forecasting and multidimensional profit analysis. PeopleSoft is a highly customizable suite that can support complex business requirements. It offers customizable modules for a wide

range of business types and styles and runs on a wide range of database systems and hardware architectures.

What is MIS:MIS (management information systems) is a general term for the computer systems in an enterprise that provide information about its business operations. It's also used to refer to the people who manage these systems. Typically, in a large corporation, "MIS" or the "MIS department" refers to a central or centrally-coordinated system of computer expertise and management, often including mainframe systems but also including by extension the corporation's entire network of computer resources.

ADVANTAGES: An MIS provides the following advantages. MIS improves the quality of plants by providing relevant information for sound

decision - making. MIS change the larger amount of data in to summarize form and there by avoids

the confusion which may arise when managers are flooded with detailed facts. MIS is successfully used for measuring performance and making necessary

change in the organizational plans and procedures. MIS facilities integration of specialized activities by keeping each department

aware of the problem and requirements of other departments. MIS serves as a link between managerial planning and control. It improves the

ability of management to evaluate and improve performance. MIS assembles, process, stores, Retrieves, evaluates and disseminates the

information.

DISADVANTAGES: Highly sensitive requires constant monitoring. Budgeting of MIS extremely difficult.  Quality of outputs governed by quality of inputs.  Lack of flexibility to update it.  Effectiveness decreases due to frequent changes in top management. Takes into account only qualitative factors and ignores non-qualitative factors like

morale of worker, attitude of worker etc.

Types of MIS:Transaction-Processing Systems (TPS):

Transaction-processing systems are designed to handle a large volume of routine, recurring transactions. They were first introduced in the 1960s with the advent of mainframe computers. Transaction-processing systems are used widely today.

Operations Information Systems (OIS):

Operations information systems were introduced after transaction-processing systems. An operations information system gathers comprehensive data, organizes it and summarizes it in a form that is useful for managers.

Decision Support Systems (DSS)

A DSS is an interactive computer system that can be used by managers without help from computer specialists. A DSS provides managers with the necessary information to make informed decisions. A DSS has three fundamental components:database management system (DBMS), model-based management system (MBMS), dialog generation and management system (DGMS),

Expert Systems and Artificial Intelligence (ES & AI):

Expert systems and artificial intelligence use human knowledge captured in a computer to solve problems that ordinarily need human expertise. They use flexible thinking processes and can accommodate new knowledge.

Considerations:

A potential problem with relying on electronic communication and processing of information is the loss of the vital human element. Sometimes, because of the complexity of information, an MIS report cannot effectively summarize it. Very rich information is needed to coordinate and run an enterprise, and certain classes of information cannot be quantified.

Comparison of MIS and ERP:

MISIn MIS there is no centralized database. Ever processor hasits own Information and the needs. The Information can bexchanged between the processors.

ERPIn ERP there is a centralized database and there are variousProcessors (computer unit) connected to it. There is no

History:

Microsoft Dynamics AX was originally developed as Axapta

inDenmark before Damgaard was merged with Navision Software A/S in 2000. The

combined company, initially Navision Damgaard, laterNavision A/S, was then ultimately

acquired by the Microsoft Corporation in the summer of 2002. Before the merger, Axapta

was initially released in March, 1998 in the Danish and U.S. markets. Today, it is available

and supported in forty-five languages in most of the world.

Custom AX development and modification is done with its own IDE, MorphX, and resides in

the same client application that a normal day-to-day user would access, thus allowing

development to take place on any instance of the client. The development language used in

Axapta isX++.

On May 26, 2008, Microsoft completed developing the latest version (2009) in facilities spanning the globe and including sites in Vedbæk,Denmark; Kiev, Ukraine; Fargo, North Dakota, United States; and Redmond, Washington, United States.

MDCC:

MDCC or Microsoft Development Center Copenhagen was once the primary development

center for Dynamics AX.  For a long time, the development of several key components of AX

has been moving to other sites like Redmond and Fargo. MDCC is located in Vedbæk and

also houses Microsoft Dynamics NAV and several other Microsoft Dynamics family

products. MDCC employs about 900 people of around 40 different nationalities, with

current hiring towards Sweden, Denmark, Poland, Ukraine and Romania.

Microsoft (current):

Microsoft acquired Navision Damgaard during the summer of 2002. Navision Damgaard

Axapta was first renamed to Microsoft Business Solutions Axapta, then to Microsoft

Dynamics AX for versions 3.0 SP6, 4.0 and 2009.

For example, the AOS became a true Windows service, a .Net business connector was provided, CLR Interoperability was introduced and XML data exchanges were supported through a set of code classes (Application Integration Framework), full Unicode support was introduced[6] and a new Service Management module.

Jun 2008

Originally named AX 4.1, later renamed to AX 5.0 (and finally AX 2009), the eighth major release of Axapta brings with it yet more improvements to the UI. This new version adds role-based concepts to both the Enterprise Portal and windows clients, support for timezones (utc), a new Site inventory dimension, and Enterprise Portal development through Visual Studio projects.[7]

Sometimes dubbed AX 6, it is said to include additional improvements to the user interface and application enhancements focused on specific industries like Retail, Media & Entertainment, and Public sector. Originally AX2011 was due to be released toward the middle of 2010, but this has since been put back to Q1 2011.

Ans) The motivation was to get a complete solution of ERP from our organization to solve our business problems and to enhance our functionality in power to over come our daily problems.

Ans) The problem earlier system that we could not manage to link our branches because the system was designed a local vendors they were not given us after sells support. So we decided to get a new ERP to another.

Q5) What kind of planning was done before implementation?

Ans) To manage our old data to easily import in our system and makeup our mind to get an enterprise solution to link all over functionality like, Financial, Inventory, CRM and Master planning.

Q6) What were the steps in implementing the process?

Ans) 1st step) was to map our previous business process to new business process.2nd step) Interviews was conducted by our system analysis to get the views and functionality our process there are doing successfully or not.3rd step) Import out old data into other system.4th step) Test run with our running data.5th step) Then final implement at last live implementation.

Ans) There was a lot of problem we faced in implementation of ERP in our organize the beg lack of training and knowledge of ERP process in our employs.

Ans) It was not along time for us to after implementations are still or financial, operational, customer satisfaction and other indicators to meet our requirements and operation.

Ans) The implementing cost was more than 2 million.

Q10) Did you achieve the outcomes you expected?

Ans) It was not a long time for us and getting the real fruit of ERP and after few days we are going to impotent or link our branches then we can estimate our calculate the real value of ERP. Q11) What was and what is your employee ratio before and after implementation of this process?

Ans) We inspecting more skilled employees to handle ERP in the future but our emphases are to train our current employees to handle the ERP.

Ans) We have a very large and modern infrastructure to handle our business like, we have latest technology of Intel corporation and Microsoft. More less we are using 60 computers in our head office and 20 in our other branches with latest configuration.

Ans) We adopt ERP to enhance our functionality and performance of our business process to meet the challenges and land marks of modern era.

Q14)Why is it so difficult to implement ERP?

Ans) It is not a difficult task. If we manage and implement every modules in its own level of functionality and we should have complete knowledge of these modules before trying to implemented.

Microsoft was not giving support to Pakistani Client or in other word has not been developed a payroll system.

Ans) There are many benefit like we can get the instant information of our inventory. A clear position of our cash, bank and also we can get the forecast of our sells cash and our dues.

Ans) The time period is 8 to 10 months.

Ans) In future we going to implement payroll system and going to adopt more modules like master planning and HRM.
