PRESIDENTS REPORT

Another year on and I remain humbled and honoured to have been entrusted with the stewardship of this great club, and remain committed to serve going forward for my final year as President ….. should you chose to elect me. The normal pattern of club life continues to change into what has become the new normal, and the committee have continued to be challenged to reconsider how we function, and meet the needs and expectations of our members. In doing so, we have held firm and been somewhat guided by our catch phrase of TRAIN | RACE | BELONG.

TRAIN Our club run continues to be the cornerstone of our training program, and has been well attended year round (except for the restriction period) including most of winter which is encouraging. It continues to provide a great opportunity, for the club to connect with the local community, and is a great introduction to the club and you for potential new members. Thanks again to Col Hood for continuing to host us each week. Thanks also to our Co run captains Brettski and Rolf, for your weekly updates, and stewardship of the run. Arguably our biggest training improvements have been through our swimming sessions, thanks to Swim Captain Bree Anderson who will be sorely missed this coming year. The introduction of Tuesday morning squads was extremely well attended, and the Monday night video sessions explaining the sets and the drills meant that those that could not attend Gunnamatta on Tuesday morning, could take it to their own pool to follow. The Friday night social swims continue to grow in popularity and continue to be well attended. Also encouraging is how many have extended these swims to a Saturday morning as well including our older Juniors, many of which swimming around the island for the first time this season. There has been plenty of feedback from members expressing how their race swims have improved due to

these open water swims, and the more turbulent conditions that they grow accustomed too. Club Captain Adam Stroud introduced “Saturday at 6” this year which was focused more on intermediate level triathletes, and covered all three disciplines as conditions permitted. Whilst attendance was low, the crew was regular and will no doubt grow with continued patronage. We hope to get this up and running again soon. Many members form their own cycling groups both with other club members and with other groups. Notwithstanding the efforts of our regular Sunday bike pack participants, these sessions require some assistance to develop greater attendance. In the coming months we are looking forward to revealing some new race distance programs targeting sprint, standard and long course distances which will incorporate the club training sessions as part of the programs

RACE A big Thank you to our new Race Director, Mark Galea, for taking on this role and congratulations to him for the job he has done to date. Mark has looked after the “Individual Eyewear Aquathlons” , “The Running Company – The Shire Triathlons” and the “Lifestyle Physiotherapy Saturday Duathlons”. Thankyou also to our series Race Directors The Deb’s looking after the “Kim Mason Travel Managers Sunday Duathlons” and Stu Ford continuing to run the “Endeavour Cycles Time Trials” often in the new virtual format which has enabled us to continue these events through Covid. Whilst external race participation was much lower than other years due to the virus, there have been some fantastic results at external races, particularly Husky which continues to be the clubs most attended race. Unfortunately our Local Kurnell series did not go ahead at all last season, however we continue to work with TNSW and local authorities to try and resurrect this most important event.

BELONG At the beginning of last season we made a conscious effort to try and engage more with our members and encourage more of a social aspect to the club. We have attempted to achieve this through regular barbecues post-race Unfortunately most socialising post races continues to be an issue due to the pandemic but this is something we want to promote more when the situation permits. Our annual presentation night is potentially another casualty of the current situation, but the committee will set a new date once things settle down. The online survey was distributed in May which was geared at gauging member engagement. This had a high response rate so thankyou to all that took the time to answer. A big thankyou to Alicia McCulloch for putting the survey together and for compiling the results into a comprehensive report. This will serve as roadmap for the new committee to work out what direction, you our members wish for the club to go. New club member shirts are currently being produced and will be available shortly free of charge to all financial members. As you should all be aware by now Tri Australia have moved their membership platform from Active to Go Membership. Whilst this new platform provides more flexibility for clubs and associations it will bring with it challenges, most notably the requirement for all members to manually renew. To date this has seen a vastly reduced membership across NSW clubs and similarly at CTC, as previous members forget, put off, or chose not to renew.

JUNIORS

Our Juniors continue to be a highlight for the club, and it is extremely rewarding and encouraging for our coaches to see a retention of many of our older juniors within the CTC training program that ordinarily may have moved to external training coaches. It is testament to the dedication that our coaches in particular Erica Galea have toward our superstars of the future, and for this I thank them all. Our Juniors were kitted out in new tri suits this year, funded by the efforts of club volunteers that assisted with the timing of the Tynans Memorial Challenge.

We have been asked to time this event again in October and the committee will determine where we can commit the proceeds.

Administration

Whilst there has been a slight downturn in activity, the committee have spent a lot of time creating and promoting our “brand”. This can evidenced through social media, emails, the Blurb, the club website, and indeed our race day presence with banners and club kit. We are proud of our club and we want it to show to anyone that happens to come across us. A huge thankyou to Mairaed Crawford and Rolf Behrens for the work you have done on this.

SPONSORSHIP The new three tier system has operated well and the races have been well patronaged by the naming rights sponsors. I am pleased to announce that all but one of our existing sponsors have remained with us, and we welcomed a new sponsor “Herbisaurus” onboard. Thank you to all of our sponsors for their ongoing support of CTC and its members. I can report that the club remains in a healthy financial situation, partly due to the financial assistance provided by our sponsors, and good financial governance. This has enabled us to assist our members hip pocket by reducing pre-Covid membership fees by 25% for the 21/22 year. Including free club membership to those members over 65 years. It would be remiss of me not to mention the passing of our previous Treasurer Ian “Tempo” Templeton this season. As a community club, we can only operate with the support of volunteers that give up their time for the betterment of others. To all that have assisted in some way throughout the year whether that be donning an orange vest and heading down the lonely back straight of Waratah track, paddling a board alongside our swimmers, or being involved in difficult decisions and discussions on the

committee, I thank you, but also challenge you to take another it to another level and consider what you might be able to assist with in this coming year as we try to deliver quality support and events to our members. See you out and about Hummo

ROLE DESCRIPTION

RACE DIRECTOR:

The goal of the Race Director (RD) is to provide race and transition experience for age group athletes

of all abilities (juniors and seniors) in a fun, organised and safe environment. These races are

organised and run by volunteers who are committed to making these races accessible, which is why

the cost per race is kept to a minimum. The races also provide professional-level results catering to

those looking to improve on their best time, however all participants who give it their best on the day

are celebrated.

2020 - 2021 SEASON Overview

The 2020 – 2021 started with John von Ell as the Race Director and then handing over to myself in

November 2020. When I was first asked to consider taking on the role it was with much hesitation

that I agreed but was convinced that if nobody stepped up to taking on the role there would be

potentially no racing and that would impact not just our adults but our juniors who rely mostly on our

club racing for the experience.

After running my first few races and seeing all the happy faces of the people who participated, I

realised I really enjoyed putting the races on for them.

Even with the challenges of COVID-19 we were able to successfully run our race schedule with only

one race (November 2020 Duathlon) being impacted by poor water quality.

Two programs (Her Aquathlon and Her Triathlon) were run during the season to increase female

participation within the sport.

The Her Aquathlon training/race program was held during November and December 2020 with the

race being held on the 12th December 2020 with a total of 26 females that participated with 14 senior

racers and 12 junior racers. Bree Anderson, CTC Swim Captain and Coach, ran the program. All had

a great time and enjoyed the way the race was run.

The Her Triathlon training/race program was held during April and May 2021. This was held over 4

Saturdays with the first three weeks being swim/run/bike session and the Her Triathlon being held on

10th May 2021. The numbers were lower than expected and we believe this was due to the event being

held at the end of the season, and at a time where Winter sports had already commenced therefore

ruling out those in, or needing to juggle, weekend team sports.

With the Sutherland Pool re-opening after their renovations we were able to schedule and run two

triathlons which were very well supported with close to 80 participants competing and plenty of

volunteers to help with the both triathlons. These were our first triathlons since December 2019.

Our Saturday morning aquathlons continue to be very popular almost 2 to 1 compared to the Friday

evenings and it has been recommended and endorsed by the committee that from next season the

aquathlons will be run on a Saturday morning only.

I would personally like to thank Adam Hummerston, our club President, and John von Ell for their

support during the season as well as their advice during the season.

With the reopening of Sutherland Pool two triathlons’ plus her triathlon were held during the season.

AQUATHLON

Four aquathlons were held during the season with one needing to be cancelled due to poor

water quality. The cancelled race was rescheduled for Juniors as part of a Wednesday night

training session. Both Saturday events were far more popular than the events run on Friday

nights. On the 12th December 2020 we successfully ran Her Aquathlon that was very well

supported. All races used Webscorer for online registration and the chip timing system for

Membership fees were discounted by 50% throughout the 2020/21 season, as the committee

acknowledged the challenges and uncertainty posed to club members due to the COVID-19

pandemic.

During the 2020-21 season, approximately 60 new members joined CTC. Welcome to all

members who joined during this last season – we hope you achieved your triathlon goals and

had fun, and hope to see you back for the 2021-22 season.

Also during the season, a Members Survey was completed by over 100 of our adult club

members – thank you to all of those who took the time to provide feedback about how you

engage with our club. A report has been compiled and will be handed onto the incoming

committee to help guide the club’s priorities for the new season.

Female membership as a percentage increased slightly in the 2020/21 season, and we

welcomed new female members following successful and fun Her Aquathlon and Her

Triathlon programs:

The conclusion on the 2020/21 season saw the launch of Triathlon Australia’s new

membership platform. This new membership platform, means that all members must

manually renew their CTC and Triathlon NSW/Australia membership for the upcoming

season. Ongoing promotion of membership renewals continues through social media, e-mail

and text message platforms.

Dear CTC committee and members,

I wanted to take the opportunity to thank you for the opportunity to have

held the position of Junior Coordinator for the past several years.

I hope that I have helped grow the environment for our junior athletes to

learn about the sport of triathlon, develop their skills and confidence, and

mostly importantly, to have fun and enjoy being active with friends.

Whilst I will not be taking on the committee position of Junior Coordinator for

the 2021/2022 season; I am looking forward to continuing to work with our

junior athletes in the capacity of coach. I look forward to sharing my

knowledge and providing support for the next person in this role for the

coming season.

Please find attached a summary report on the 2020/2021 season, which was

an exceptional year for our juniors across all age groups. I was so proud of all

our groups across the season – from the improved water confidence and

bike handling skills of our youngest athletes to the competitive performance,

development and maturity shown alongside the best of the best young

athletes in our State, from our seniors.

It was also a pleasure to work with the amazing coaching team of Allison

Briggs, Claire Hirst, Deb Davidson, and Deb Fransen who came on as a

parent helper for our youngest group and proved herself to be an awesome

coach!

Season 2020/21 saw another successful Junior season. We saw our season

starting membership initially drop a bit with some previous members not

renewing, although the majority of these had been with the club as members

but were not regularly engaged with club training or events. However,

throughout the season we saw numbers increase with several new juniors

joining the club. All of whom were regular attendees at training sessions, and

our aquathlon series across summer.

Our 2020/2021 Junior membership covered ages 5 through to 18, and it was

exciting to see a growth of Junior girls between the ages of 5 – 12.

WHAT WORKED WELL

• We continued our split groups for both Monday and our Wednesday

group split further into four groups to allow us to create a much more age

and skill-level appropriate program that we hope will drive retention

moving forward.

• Mick Delamotte, HPT and former TNSW Pathway Manager, continued to

support our Monday night bike sessions senior group – working closely with

the new riders who had moved up into this group from the 4:30pm group

the previous season. Sadly for us, Mick will not be available to us for the

2021/22 season due to his move to QLD to take on a fulltime position with

Triathlon Australia.

• We continued our Saturday morning ocean swims for the senior group,

and these proved to be successful with a consistent number of

participants across the official summer training season.

• Following the success of the previous season’s Winter training program for

our senior group this also continued into 2020/21. This is aimed at those

athletes who do not play alternative winter sports, and who wanted

consistent training throughout the off season.

• Implementation of a Junior Tri Suit Loan program with an associated fee of

$25/suit allowed most of our Juniors to complete in club colours for a

reasonable outlay. Additional suits in the most popular sizes have been

ordered to stock up for the next season.

• Whilst we only managed to run two last season, the introduction of the

Brunch & Learn series, was a great hit with those who attended, an

opportunity for our Sponsors to speak with our Junior athletes and parents.

We did a recovery and injury prevention session with Lauren from Lifestyle

Physio and with Michelle Bruce from Tune Up Health and Fitness.

• We added to our equipment with some technique tools for both

swimming and running. These provided to be a big hit, particularly with our

more junior athletes. Adding a gaming element to training.

The other key highlight from last season, was the opportunity for four of our

regular Junior athletes (as well as two CTC junior athletes that train outside of

the club program) to be a part of the TNSW Pathway Program with the

introduction of the ROSTA (Rest of State Talent Academy) Squad.

This squad was put in place for those athletes outside of areas that have a

Regional Academy of Sport, and as an introductory to the pathway before

the NSW Development Squad (now the Emerging Talent Squad).

ROSTA provided these athletes with additional skills clinics and camp

opportunities, as well a dedicated race series (Billigence Pathway

Championship Series – of which Ritchie Walker was a part) to allow ITU style

draft racing at various locations between September and April. This

experience saw incredible growth in all the athletes that were selected in

terms of race confidence, training and skills, and overall maturity. It also

provided a great opportunity to meet and build friendships and networks with

young triathletes from across NSW.

From a coaching perspective, the opportunity to accompany these athletes

to races was invaluable both from an experience and networking point of

view.

I look forward to seeing some of our current youth and junior athletes apply

for the 2021/2022 Pathway if performance development and competition is

something they are interested in pursuing.

KEY TAKEOUTS AND RECOMMENDATIONS FROM THE SEASON

• Split groups continue to provide exceptional benefits to our Juniors;

however as mentioned last year they are more resource intensive and

require additional commitment in terms of coaches/ parent helpers to run

effectively and ensure a fun and safe training environment. If all the

existing coaches continue – there are still another two coaches or regular

parent helpers required for Wednesday night sessions, as well as

potentially another for the 4:30pm Monday bike skills session.

• Explore the opportunity for specialist coaches to work in with the program

– we did try to do this in the past season via volunteers we knew were

swim coaches, however, it was difficult to get firm commitments.

Potentially this could be a paid session if we are serious about it being an

offering.

• There were quite a few new starters who did Wednesday night training but

did not do bike skills training and did the Aquathlons but not the triathlons.

Need to investigate how we introduce older kids starting in the sport (e.g.

11/12/13) via a group that is appropriate. A 12-year-old boy does not

want to come back to a 4:30pm session if the average age is 7-10. But is

not bike competent to be at the 5:30pm session. Is there an opportunity

for upskilling 1:1 sessions or a weekly beginner bike on a weekend for just a

small group of new junior athletes – held at the track for safety.

JUNIORS PROGRAM NEXT STEPS

From a coaching perspective the 2021/2022 season plan will follow a similar

format to previous years to provide a progressive development approach

and provide fun, and age-appropriate activities.

There will be some new requirements added this year in line with the

proposed CTC Child Protection Policy whereby Parent Volunteers will be

required to sign a Declaration in relation to child safety. This policy will be

made available on the website and shared via Parent Packs.

All current and new coaches will be required to be educated on the policy

and required framework pre-season commencement.

KEY PROGRAM OBJECTIVES

- Retain and grow our junior membership in 2021/2022.

- Recruit new junior members with a focus on continuing to encourage

more female members. Schools’ flyer to be shared with local primary and

high schools, other Winter sport clubs in the Sutherland Shire area.

- Provide a defined pathway for our juniors to develop their skills and abilities

In the sport – via CTC, TNSW Pathway and other external opportunities for

Youth and Junior level athletes. To be put together from a coaching

perspective and shared with the committee for review and approval.

- Encourage more parents and/or club members to support the Junior

program via coaching certifications or ongoing active parent volunteer

support.

- Continue to foster the culture of TRI – teamwork, respect and inclusion using

our motto of TRAIN RACE BELONG.

COACHES AND SESSION PLANNING

Note the following will be based on coach availability coming into the

season.

MONDAY BIKE TRAINING

We will be splitting our groups again with a 4:30PM time slot and 2 x 5:30 PM

groups. Each group will have a dedicated coach + parent helper to support

the program objectives.

Investigate the option of a Saturday morning beginner bike intensive

program for juniors aged 12+ who are new riders.

WEDNESDAY RUN/SWIM

We will keep our groups as currently structured. Each group will have 2

coaches or 1 coach and a parent helper to support the program objectives.

We will also look to the broader club membership and/or triathlon community

to bring in guest coaches for different groups to work on specific sessions.

SATURDAY SWIM

This session may change in 2021/2022 or may need to be split. Those who

have regularly attended this session have become very competent open

water swimmers and require next level endurance and skills training. The next

group coming through will require open water confidence and basic race

skills.

JUNIOR GEAR REQUIREMENTS

- Junior tri suits for the loan pool – already underway

- Coach polos – already underway

- Additional swim and run technique equipment (as required throughout the

season)

Marketing & Sponsorship Report – AGM 2021 Sponsors

This year we returned to our sponsors paying a cash amount relative to our new tiered system

- Endurance, Sprint or Enticer – and tied to their sponsor race event. During the course of a

difficult year with much reduced activity for both sport and small business, although we had

two sponsors opt out of our program, we had one new sponsor come on board, and as a club

and a community we were lucky to have had our sponsors give us this continued financial

support. As a result the Committee have approved my proposal to recognise this loyalty for

the coming season with a 25% reduction in 2021/22 sponsor fees for our continuing sponsors.

We should all continue to #shoplocal and support our club sponsors where we can.

I designed a large adhesive window decal to be given to those of our local sponsors with

shopfronts, enabling them to highlight for their customers the interaction with their

community they have established through their support of local sport – and this has the

combined benefit of advertising the club to the foot traffic at those locations.

Grants

This past year we were the lucky recipients of two grants from TA/TriNSW totalling $3,000 -

aimed at increasing the participation of women in the sport – which enabled us to offer

opportunities at beginner level with interested females of all ages and abilities taking part in

training “boot camp” sessions leading up to confidently competing in a club race, with the

aim of driving new membership from that sector.

Following my completion of the “Win More Grants” Course, free through the Institute of

Community Directors Australia, throughout the season we applied for 5 other external grants

– (i) Sport NSW; (ii) Active Kids, (iii) Stronger Communities (PMs office); (iv) Club Grants;

(v) Volunteers Grant (PM’s office).

We received $1000 from Sport NSW through Mark Speakman enabling us to work with HPT

Coaching to set up a data base of customised training programs to assist our adult members

train towards new race and distance goals and which will incorporate our existing club

training sessions.

We also received $4000 from the PM’s Stronger Communities Grant to put towards the

planned purchase of additional timing equipment which will assist us to provide our members

with racing and training feedback. This includes more detailed timing splits particularly for

our cycling events, equipment to allow for increased competitor numbers/larger race events,

plus the potential to generate income by providing an occasional paid timing service to other

smaller race events in the community.

Advertising & Marketing our brand

This season the usual places where we could usually provide a physical “advertising”

presence, such as the Cronulla or Gymea Spring Fair, the Sutherland to Surf race, Cook

Classic, Relay for Life etc, have been postponed or virtual due to Covid restrictions. Thus,

apart from social media, our advertising has been limited to our members promoting us via

wearing club gear in the community. This will be reinforced in the coming season with the

roll out of new club member shirts Rolf has designed and the use by our members of other

existing items such as branded training gear, swim caps, swim towels, bumper stickers etc.

Future ideas to build on this could include CTC logo masks, drink bottles, gear/bike bags,

disc wheel wraps etc.

Hopefully the season will pick up safely soon and our scheduled events will run as the year

progresses, with momentum able to build in time for our premier club event, the Richie

Walker, with the potential for a new major advertiser to be identified and brought on board

for the 2022 race.

Purchased and started distributing new swim caps to all members.

The new portal was open twice in the 2020 – 2021 season with new items added for the second

opening of the portal.

Events are available from the club website and are viewable on computers and mobile devices. We

have utilised the booking feature during Covid restrictions to book in those attending the AGM last

year and the restricted Wednesday runs.

Posts from Instagram are streamed onto the home page. The content has been checked monthly by

committee members to ensure everything is functioning correctly and is up to date.

Welcome input from club members for new and updated content for the website.

Run Captains - Rolf & Brett

Wednesday night club runs With the incredible year of Covid 19, floods in NSW, intense weather and a lack of events, the

Cronulla Tri Cub running phenomena has continued. We run Wednesday nights without fail give or

take a few close calls, or individual efforts to maintain continuity of the Wednesday.

Not only are CTC members running on a Wednesday evening, but they are also running individually,

in team runs, team training and events. There are many super running efforts produced by CTC

members in 202/21 that are applauded.

We are forever impressed with our juniors and their running development. The leadership of the

Junior coaches has seen our young CTC tribe greatly improve their running capability and

performance. The turn out and participation of junior members on Wednesday evening sessions this

summer was incredible, at a level for the senior group to be proud and inspired by, not to mention

well outnumbered.

The Wednesday night runs were interrupted by Covid in 2020 and again now in the middle of 2021,

however, we have achieved by promoting, participating, and achieving through great numbers, new

runners, returning runners, and social characters coming to join. The Wednesday night run has

always proved successful and is in a position to truly launch and engage more members to

participate in the coming years.

The CTC Wednesday night run route has continued on the Cronulla back streets, with the pinnacle

being a lap of the esplanade. We have had the heat, cold, wind and rain, and always a group of

runners to impress the course and achieve.

Runners in CTC runs, events, training have proudly worn CTC singlets and shirts to promote our great

club, demonstrating unity and pride. The more runners wearing CTC gear helps promote CTC,

encourages participation and sponsorship and community engagement.

The CTC running movement in all forms is about involvement, striving to achieve, betterment of

individual performance, health and most importantly friendship and comradery.

A Wednesday night CTC run can have as small as three runners when it has been cold, pouring rain,

windy, and those few achieve proudly together finishing that run. There is the nights where forty or

more runners graced the path which created the social interactions, allowed a mix of pace groups,

supported the stragglers….. and in the end, we all hit the finish mark back at the CTC club rooms.

The CTC club rooms post run has provided a place of great social interaction, friendship,

engagement, learning opportunity and an escape from the business of life to ensure you are okay.

Especially during the tough moments of Covid and the business of life in general.

We thank Col Hood who every Wednesday opens and organises the club rooms in preparation for us

to come, socialise, run and enjoy.

Every person who has run on behalf of the CTC this year, we congratulate you, applaud you and

encourage you do achieve more next year.

Cronulla Triathlon Club Committee & Support Role

Code of Conduct

The below code of conduct provides guidelines rather than rules of how members of the

Cronulla Triathlon Club Committee and those holding Support Roles, should behave and act,

to help ensure the committee represents the best interest of the association’s members, and

uphold the integrity of the club and its rich history. This code of conduct is in place to define

how one acts and is in place to complement but is not replacing the club constitution that

governs how the club operates.

1. Committee members are required to attend a minimum of 80% of committee meeting in a year, and meetings are to start on time. (see constitution – specifies 3 consecutive meetings cannot be missed - 18, (2), g))

a. Apologies for non-attendance to be provided to the club secretary 24 hours in advance of a meeting.

b. Matters discussed at committee meetings should be treated as confidential. Communication of discussions at meetings should only be shared with general members (non-committee) by a club official or a method otherwise agreed by the committee. Legal or privacy acts may require confidential matters to be minuted without naming or describing particulars of the discussion.

c. All Committee members should advise of any conflicts of interest which may restrict them from abiding by this code of conduct, and any such conflict should be disclosed at the beginning of a committee meeting, or at any given time to the club secretary should they arise outside of a meeting. In addition,

i. A Committee member has the right to request to the secretary that a conflict remains confidential, however the secretary has the right to request that the matter be disclosed to the other Committee members if they feel doing so is acting in the best interests of the club and its broader membership.

ii. If the conflict of interest is seen as a breach of the club’s constitution, or any code of conduct the Committee member may be asked to resign their position on the committee.

2. Committee members and Support Roles;

a. should always respect the opinions of others, and equally be encouraged to share their own opinions in an open and constructive manner.

b. should act in the best interests of all club members at all times.

c. should not intentionally act in a way that is damaging to the club’s image or perception.

d. should be familiar with the club’s constitution and agree to abide by it and to the best of their ability the clubs general code of conduct.

e. are expected to provide to the membership officer a working with children clearance (WWCC). The membership officer should keep a record of all WWCC’s received and a check-list of completed clearances one month after the formation of a new committee, with follow-ups when certificates expire.

f. should act as leaders within the club, and should drive the club’s Train, Race & Belong agenda, especially the Belong by providing a welcoming and safe environment for all members and their families.

g. must read the Triathlon Australia Member Protection Policy, and agree to up-hold that policy within the club.

3. Committee members and members holding Support Roles can ask the secretary to add an item to the meeting agenda, should they wish to discuss a specific issue or topic by the deadline specified by the secretary for the upcoming meeting to allow members to prepare for the discussion.

4. Members holding support roles, or members with required expertise or knowledge, can be invited to attend committee meetings to provide updates or advice to the committee, or to receive information from the committee.

5. Should a topic or matter not be resolved in a reasonable time period, or there is not sufficient information during a regular meeting then the chair may request a subcommittee be formed to discuss the topic in further detail. The sub-committee can include members of the Support Group. The sub-committee will bring back to the committee a proposal or options to be voted and approved by the committee or; motion to postpone until a specified time.

Part 4 General meetings

25 Annual general meetings – holding of

(1) The association must hold its first annual general meeting within 18 months after its registration under the Act.

(2) The association must hold its annual general meetings:

(a) within 6 months after the close of the association’s financial year, or (b) within any later time that may be allowed or prescribed under section

37 (2) (b) of the Act.

26 Annual general meetings – calling of and business at

(1) The annual general meeting of the association is, subject to the Act and to clause 25, to be convened on the date and at the place and time that the committee thinks fit.

(2) In addition to any other business which may be transacted at an annual

general meeting, the business of an annual general meeting is to include the following:

(a) to confirm the minutes of the last preceding annual general meeting

and of any special general meeting held since that meeting,

(b) to receive from the committee reports on the activities of the association during the last preceding financial year,

(c) to elect office-bearers of the association and ordinary committee members,

(d) to receive and consider any financial statement or report required to be

submitted to members under the Act.

(3) An annual general meeting must be specified as that type of meeting in the notice convening it.

27 Special general meetings – calling of

(1) The committee may, whenever it thinks fit, convene a special general meeting of the association.

(2) The committee must, on the requisition of at least 5% of the total number

of members, convene a special general meeting of the association.

(3) A requisition of members for a special general meeting:

(a) must be in writing

(b) must state the purpose or purposes of the meeting, and

(c) must be signed by the members making the requisition, and

(d) must be lodged with the secretary, and

(e) may consist of several documents in a similar form, each signed by one or more of the members making the requisition.

(4) If the committee fails to convene a special general meeting to be held

within 1 month after the date on which a requisition of members for the meeting is lodged with the secretary, any one or more of the members who made the requisition may convene a special general meeting to be held not later than 3 months after that date.

(5) A special general meeting convened by a member or members as referred

to in subclause (4) must be convened as nearly as is practicable in the same manner as general meetings are convened by the committee.

(6) For the purposes of subclause (3):

(a) a requisition may be in electronic form, and

(b) a signature may be transmitted, and a requisition may be lodged, by

electronic means.

28 Notice

(1) Except if the nature of the business proposed to be dealt with at a general meeting requires a special resolution of the association, the secretary must, at least 14 days before the date fixed for the holding of the general meeting, give a notice to each member specifying the place, date and time of the meeting and the nature of the business proposed to be transacted at the meeting.

(2) If the nature of the business proposed to be dealt with at a general

meeting requires a special resolution of the association, the secretary must, at least 21 days before the date fixed for the holding of the general meeting, cause notice to be given to each member specifying, in addition to the matter required under subclause (1), the intention to propose the resolution as a special resolution.

(3) No business other than that specified in the notice convening a general

meeting is to be transacted at the meeting except, in the case of an annual general meeting, business which may be transacted under clause 26 (2).

(4) A member desiring to bring any business before a general meeting may

give notice in writing of that business to the secretary who must include that business in the next notice calling a general meeting given after receipt of the notice from the member.

29 Quorum for general meetings

(1) No item of business is to be transacted at a general meeting unless a quorum of members entitled under this constitution to vote is present during the time the meeting is considering that item.

(2) Five members present (being members entitled under this constitution to

vote at a general meeting) constitute a quorum for the transaction of the business of a general meeting.

(3) If within half an hour after the appointed time for the commencement of a

general meeting a quorum is not present, the meeting:

(a) if convened on the requisition of members – is to be dissolved, and

(b) in any other case – is to stand adjourned to the same day in the following week at the same time and (unless another place is specified at the time of the adjournment by the person presiding at the meeting or communicated by written notice to members given before the day to which the meeting is adjourned) at the same place.

(4) If at the adjourned meeting a quorum is not present within half an hour

after the time appointed for the commencement of the meeting, the members present (being at least 3) are to constitute a quorum.

30 Presiding member

(1) The president or, in the president’s absence, the vice-president, is to preside as chairperson at each general meeting of the association.

Alternatively, the secretary may preside as chairperson at each general meeting.

(2) If the secretary, president and vice-president are absent or unwilling to act,

the members present must elect one of their number to preside as chairperson at the meeting.

31 Adjournment

(1) The chairperson of a general meeting at which a quorum is present may, with the consent of the majority of members present at the meeting, adjourn the meeting from time to time and place to place, but no business is to be transacted at an adjourned meeting other than the business left unfinished at the meeting at which the adjournment took place.

(2) If a general meeting is adjourned for 14 days or more, the secretary must

give written or oral notice of the adjourned meeting to each member of the association stating the place, date and time of the meeting and the nature of the business to be transacted at the meeting.

(3) Except as provided in subclauses (1) and (2), notice of an adjournment of

a general meeting or of the business to be transacted at an adjourned meeting is not required to be given.

32 Making of decisions

(1) A question arising at a general meeting of the association is to be determined by:

(a) a show of hands or, if the meeting is one to which clause 37 applies,

any appropriate corresponding method that the committee may determine, or

(b) if on the motion of the chairperson or if 5 or more members present at

the meeting decide that the question should be determined by a written ballot-a written ballot.

(2) If the question is to be determined by a show of hands, a declaration by

the chairperson that a resolution has, on a show of hands, been carried or carried unanimously or carried by a particular majority or lost, or an entry to that effect in the minute book of the association, is evidence of the fact without proof of the number or proportion of the votes recorded in favour of or against that resolution.

(3) Subclause (2) applies to a method determined by the committee under

subclause (1) (a) in the same way as it applies to a show of hands.

(4) If the question is to be determined by a written ballot, the ballot is to be conducted in accordance with the directions of the chairperson.

33 Special resolutions

A special resolution may only be passed by the association in accordance with section 39 of the Act.

34 Voting

(1) On any question arising at a general meeting of the association a member has one vote only.

(2) In the case of an equality of votes on a question at a general meeting, the

president, vice president and secretary are entitled to confer to exercise a single, combined second or casting vote. This casting vote is to be the unanimous or two- thirds majority determination of the president, vice president and secretary.

(3) A member is not entitled to vote at any general meeting of the association unless all money due and payable by the member to the association has been paid.

(4) A member is not entitled to vote at any general meeting of the association

if the member is under 18 years of age.

35 Proxy votes not permitted

Proxy voting must not be undertaken at or in respect of a general meeting.

36 Postal or electronic ballots

(1) The association may hold a postal or electronic ballot (as the committee determines) to determine any issue or proposal (other than an appeal under clause 12).

(2) A postal or electronic ballot is to be conducted in accordance with

Schedule 3 to the Regulation.

37 Use of technology at general meetings

(1) A general meeting may be held at 2 or more venues using any technology approved by the committee that gives each of the association’s members a reasonable opportunity to participate.

(2) A member of an association who participates in a general meeting using

that technology is taken to be present at the meeting and, if the member votes at the meeting, is taken to have voted in person.
