Arrival A welcome gathering including dinner will be held Thursday evening. Details will follow at a later date. A tentative schedule will be provided prior to the Summit. Supplies Please feel free to bring a laptop, tablet or phone to take notes and access the Internet. Here are several items you should consider in preparation for the Summit:

Review district minimum standards Who will make up your district team?

In assembling your team, are you looking beyond those members who have done it previously? Have you considered members beyond your own club as part of your team?

What are your district’s goals? Involve district leaders in creating your goals, and develop an action plan to achieve those goals.

What are your district’s strengths and weaknesses, and how will you help address those needs? Be sure to come with any questions you have about your new leadership role. The National Mid-Year Leadership Summit is where you will find the answers to questions, enhance your leadership skills, build a foundation, and develop the confidence to lead your district to a successful year. Come prepared to work hard and learn, and also to make new friends and have fun. When your three-year commitment comes to an end, we hope you can take satisfaction in how your district has achieved a new level of success.

We are excited to host you in Norfolk, the location of Exchange’s 101st National Convention in July! We look forward to working with each of you in the months to come. Yours in Exchange, Tracey Edwards Chief Executive Officer cc: National Board of Directors The National Exchange Club

TAX-FREE GIVING FROM YOUR IRA A popular IRS provision allows those aged 70 ½ or older to make charitable gifts directly from Individual Retirement Accounts (IRAs) to qualified charities completely free of federal income tax (in any amount up to $100,000 per person per year). The income tax laws of most states allow tax-free treatment as well. Could you benefit? Making gifts from IRA funds that would otherwise lead to increased taxes can be a wise choice for most taxpayers. This is especially true for those who must take Required Minimum Distributions each year. We hope you’ll consider the NEC Foundation as your designated charity. (Check with your IRA administrator or a professional tax advisor for more information.) Contact: [email protected]

PASSTHROUGH GRANTS Exchange Clubs can secure financial support from organizations or individuals that wish to give the funds to a 501(c)(3) organization. The donation becomes tax deductible for the donor. For donations totaling $250 or more, the National Exchange Club Foundation will re-grant the funds to the Exchange Club submitting a Passthrough Grant Form. The NEC Foundation gladly provides this benefit to Exchange Clubs for a minimal processing fee of 2%. Many clubs and their local donors have been able to take advantage of the Foundation's ability to provide this benefit to maximize their donor's tax advantage. The application form can be downloaded from the main landing page of the Member Resources section of Exchange's website. Fees for other types of grants via the NEC Foundation will be discussed with those requesting the grant. Exchange is proud and excited to be in this 4th year of partnership with Veterans Matter and we know Exchange Clubs across the country continue to embrace the collaboration, as well! A message from Ken Leslie, Advocate in Chief, Veterans Matter: Hey, fellow Exchange Club members! This has been one incredible year for the partnership that has grown leaps and bounds between National Exchange Club and Veterans Matter! Exchange Clubs all across the nation have shown their compassion for our nation's heroes by making sure that our unhoused heroes have a safe, warm place to call home this winter! Last year, 30 Exchange Clubs came together and helped Veterans Matter be able to house 50 veterans and their families! With this year's 11/11@7 Rallies - that number is going to increase. We are eternally appreciative of the great opportunity that we, as Exchange Club members, have had placed in our path! Not only has it been impressive to see how many clubs have felt the call to help our nation's

PLAN EARLY FOR APRIL AND CHILD ABUSE PREVENTION MONTH April is child abuse prevention month and a time for a united effort throughout Exchange for our national project. Exchange Clubs across the country dedicate extra energies towards the prevention of child abuse by supporting their local Exchange Club Child Abuse prevention Centers. Clubs participate in projects that support children and families and expand efforts in their communities to raise awareness about child abuse. The National Exchange Club is introducing a new project for Child Abuse Prevention Month this April. It is called “Exchange Cares”. The goal is to provide items that will provide comfort or items of necessity to children who have been displaced due to neglect or abuse, house fires, homelessness, or natural disasters. The bags are given to agencies that come in contact with children in emergency situations. These can include shelters, child protective services, resource centers, sheriff or police departments, EMTs, emergency rooms, Red Cross and schools. Suggestions for items to be placed in bags include a small blanket, small stuffed animal, book, small toy for summer, gloves or hat for winter, travel size soap, toothbrush, comb, shampoo, toothpaste, socks, etc. A sample bag will be included in each Believe in the Blue kits. Fifty additional bags will be provided free to an Exchange Club or Exchange Club Child Abuse Prevention Center that wishes to start an Exchange Cares Project. Clubs participate in many projects throughout CAP Month, including:

Exchange Club CAP Centers – Support your local CAP Center/Exchange Parent Aide Program. Volunteer time, create a joint project, or assist with a donation.

Believe in the Blue kits will be available to clubs and centers. Request your kit for awareness and educational resources for your community.

Blue Mondays are a compelling way to raise interest and awareness. Look for Blue Monday shirts at Exchange Market or organize blue outfits.

Public Awareness Campaigns o Ask your mayor, council, or governor to issue a CAP Month proclamation. o Write a letter to the editor about the special interest month. o Get a PSA on your local radio or television station.

EXCHANGE UNIVERSITY Exchange University is a valuable online training resource available to all Exchange club-level officers and district directors. The submission of officer election reports each year (due by April 30) to National Headquarters, initiates the automatic enrollment of a club's president, secretary, and treasurer, as well as district directors. Check your membership records to verify National Headquarters has accurate email addresses for these individuals. Not only is this educational opportunity an important training tool designed to assist in leadership roles, it is also a requirement for many national awards, including:

Distinguished Club President Award Distinguished Club Secretary Award Distinguished Club Treasurer Award Distinguished District Director Award

Although these courses may be taken anytime throughout the year, completion of a course was required by August 1 if an officer desired to achieve any of the above awards. Certificates are sent upon completion. For more information on Exchange University, visit the Exchange University section through the Member Resources page of Exchange's website. Contact: [email protected]

MAKE PAYING DUES EASY FOR YOUR MEMBERS! Would your members like to pay their dues electronically or by credit card? The National Exchange Club is committed to providing the best customer service to its local clubs. To help achieve this ongoing mission, the NEC would like to inform clubs of a few ways that may be used to collect dues payments from members. Authorize.net Payment Gateway Accept payments anywhere! Authorize.net is a safe, secure website that allows clubs to accept credit card and electronic check payments. This service will allow the club to automatically bill its members and better maintain its membership roster. There is a set-up fee, in addition to monthly costs. There is also a fee per transaction and a batch fee. The club should first create an account with the Authorize.net website by entering the club’s name, billing address, phone number, and bank account information. Members have the option of either paying with a credit card or through direct withdraw. Members can indicate the amount and frequency of their automatic payments. Credit Card Readers for Smartphones and Tablets PayPal Here, Intuit Go Payment, and Square are examples of credit card readers for smartphones and tablets that can be utilized by club treasurers to collect credit card payments from members. After downloading the credit card reader app of choice to their phone or tablet, the club treasurer will enter the club’s bank account information. Most services will send a free credit card reader to the given mailing address when the app is installed. The reader fits into the headphone jack of the smartphone or tablet. To accept payments, open the app and enter the amount that the member pays for dues, then swipe his or her credit card. The payment will be transferred to the club’s bank account. There is a fee on each transaction.

ACH Payment Transfers ACH payments, which take the place of writing paper checks, are automatic transfers of money from one bank account to another. Most banks offer ACH transfers. On the ACH transactions section of club’s online banking account, the club treasurer should enter the name and bank account information for each member. Each member will indicate to the club treasurer the amount and frequency of this automatic payment for his or her dues to the club. Please contact your bank should you need any assistance.
