(Infotype) in SAP. She will demonstrate how to review and update existing Education records, and how to create new and multiple records when needed.

The new SAP Education Screen (Infotype)

• Allows comprehensive recording of Degree(s), Graduation(s), Educational Institution(s), and Branch(es) of Study.

• Provides formal recognition of years of study when degree not obtained, or in process.

• Provides alphabetized list of accredited educational institutions for precise selection and reporting.

• Once Educational information entered, enables appropriate recognition of employee and institutional achievements

Opening the Education SAP Screen

• Click ECC to open the SAP Easy Access Menu.

• Open the “Master Data” folder listed to the left, and double click “Maintain HR Master Data.”

• Or, just type PA30 into the transaction code box at the top left of the SAP Easy Access screen.

• Except the additional icons allowing you to create, change, copy… specific types of HR records.

Reviewing Existing Records

• Enter or search for an employee’s personnel number (PERNR). Press the Enter key on your keyboard to select thatemployee’s record.

• Click the selection box to the left of the Education infotype, or type 9022into the Infotype box, and press the Enter key on your keyboard.

• Click the Display icon in the upper left to view the most recent Education record.

• If Education record(s) already exists, the most recent will display in the DisplayEducation screen. An initial default “Start” date (graduation date) will display as 1/1/2007.

• If no Education record exists, a message will display at the lower left of the screen.

Updating Existing Records

From the Display Education screen:

• Click the green Back button to return to Maintain HR Master Data.

• Once back in Maintain HR Master Data, click the little pencil icon to Change the Education record that you just selected.

• Click to select a record listed.

• Then, click the Change (pencil) icon at the upper left of that screen. This will take you directly to the screen which allows you to edit the selected record. We will look at the details of the edit screen when we review how to create a new record.

Creating New Records

• From the Maintain Master Data screen, once the employee, and Education infotype, have been selected, click the Create icon (image of a page of paper).

• The Create Education screen will display with a new Education record.

1. On a new record, “Start” date will initially display as today’s date. This should be replaced with the actual date of graduation.

Note: The “To” date remains “12/31/9999” when entering these educational records. (No expiration date)

2. “Degree” will be blank. Click inside the box, and then click the search icon.

3. The current list of degrees available to select will display. Click to select the closest match for the degree earned.

Note: If no degree has been earned for the study reflected in this record, select “No Degree” from the drop-down.

4. “Years of Education” is only to be entered if a degree has not yet been earned for the study reflected in this record.

If “No Degree” was selected from the Degreelist, then click the box and searchicon to select from the “Years of Education” entries.

5. Select “Institution” to display and select from the formal listing of 5000+ accredited institutions.

6. Select “Branch of Study 1” to select the degree major, and “Branch of Study 2” if a degree minor isto be formally recorded.

Note: If there is a dual degree, such as M.D. / Ph.D., separate records should be created for each.

Creating Multiple Records

• The same process is repeated when multiple records are required.

• If an employee has more than one degree (such as B.A., M.A., Ph.D., M.B.A.…), individual records should be updated / created for each.

• Additional records can also be created to reflect significant study at an accredited institution even if a degree has not been earned, or is in process.

Education Infotype in new ISR

• Previous education records have been converted to the new, more precise, Education screen.

• We can now update pre-existing records (with new selection fields provided), and enter remaining information.

• In the future, the ISR will also have this screen included so that we can reflect it immediately upon a new hire’s record being created in SAP.

Conclusion

• The previous SAP Education role has been updated with a new screen (infotype 9022) – New screen reflects educational accomplishments of

Hopkins employees.

• Update any records which already exist with the new information lists now available.

• Create new records to reflect degrees and years of study, which are not yet recorded in SAP.

• Maintain this information in PA30 as employees obtain additional degrees.
