SAGE 2017

FactoryMaster is now compatible with SAGE 2017.

FMScanners – Stocktake

A new stocktaking module has been added to the FMScanners along with new stocktake options.

Please read below or contact your account manager for more information about this module.

FM Scanners - Stocktake Module

A new module has been added to the FM scanners so that they can record quantities of items found during a stocktake.

Please be aware of the following conditions:

- FM Scanner stocktakes will ONLY contain stocked parts.

- FM Scanner stocktakes will ALWAYS be a 'blind count' stocktake where the scanner users will be unaware of the 'expected' stock quantity.

- 'Ad hoc' or unknown batches cannot be added via the scanners. These must be created manually via the main application.

- FM Scanner stocktakes will only COUNT the stock quantities. A user will still need to adjust and / or confirm the location count manually in the main application before any stock is adjusted.

Step 1: Create The Stocktake

When a new stocktake is created the user will now have the option to create a 'Confirm by Location' stocktake:

Note that the stocktake scanner facility is ONLY available for a 'by location' stocktake.

Page 4: FactoryMaster Release Notes Version 11 - The Access Group · Note that this option can be defaulted via the 'STOCKTAKE_USE ... - Using this facility will NOT stop users issuing stock

When presented with the stocktake range you can select the 'Use FactoryMaster Barcode Scanners' option to enable FM Scanners for this stocktake.

Note that this option can be defaulted via the 'STOCKTAKE_USE_SCANNERS' control flag.

Once the stocktake has been created you can zoom to view the new stocktake by location screen:

This screen will show the progress of the stocktake showing the current count of all batches within each location.

As the stocktake is performed this screen will be updated to show the counted batch quantities.

Page 5: FactoryMaster Release Notes Version 11 - The Access Group · Note that this option can be defaulted via the 'STOCKTAKE_USE ... - Using this facility will NOT stop users issuing stock

From here you can allocate a specific scanner user to a location either by zooming on the 'user' field or by using the 'assign locations' button:

Notes:

- Users allocations to a location can be changed / removed at any time. - Only a single user can be allocated to a location. - A user MUST be allocated to a location in order to perform a stock count.

Once a user has been allocated to a location the FM Scanner user can begin the stocktake process.

It is recommended at this point to inform the scanner user that they can begin the stocktake process. This can be done manually or via the internal messaging system.

Step 2: Count Stock In Allocated Locations

Now that a stocktake has been created and allocated the scanner user will be able to log into the stocktake option and view the stocktakes allocated to them.

Main Menu -> Stock Menu -> Stocktake:

Page 6: FactoryMaster Release Notes Version 11 - The Access Group · Note that this option can be defaulted via the 'STOCKTAKE_USE ... - Using this facility will NOT stop users issuing stock

The scanner user can select the stocktake to process. This will show all of the locations allocated to them:

The scanner user can then select the location to begin the stocktake process.

The main stocktake screen shows the barcode to scan, the quantity counted and any items already counted in that location, so for example:

Page 7: FactoryMaster Release Notes Version 11 - The Access Group · Note that this option can be defaulted via the 'STOCKTAKE_USE ... - Using this facility will NOT stop users issuing stock

The counted quantities are then submitted to the main application:

The scanner user should continue this process of counting and scanning stock until all stock in the location has been counted.

Optional: Cancel a counted quantity

If a batch quantity has been counted incorrectly a quantity can be cancelled by via the 'Cancel Quantity' option:

Page 8: FactoryMaster Release Notes Version 11 - The Access Group · Note that this option can be defaulted via the 'STOCKTAKE_USE ... - Using this facility will NOT stop users issuing stock

Here the scanner user can scan the batch and enter a quantity to cancel from the location count.

In this example the scanner user has entered a quantity of 20 instead of 10 and wants to cancel a quantity of 10 from the count:

The quantity has been removed from the stock count:

Note that cancelling the entire counted quantity will remove the batch from the location count.

Step 3: 'Completing' a location

Once the scanner user has counted all available batches in the location they can mark the location as 'complete' via the options menu:

Page 11: FactoryMaster Release Notes Version 11 - The Access Group · Note that this option can be defaulted via the 'STOCKTAKE_USE ... - Using this facility will NOT stop users issuing stock

This Document is the property of Access UK © Copyright 2017 Access UK Ltd | All rights reserved Page 9 Classification – Restricted

Once the location is marked as 'complete' it will no longer appear on the list of available locations for the allocated scanner user to count and show as 'scanned' in the main application:

Note that if the location requires further counting then the status needs to be updated manually using the 'set as pending' option in the main application.

Please be aware that at this point no stock adjustments have been submitted into the system and need to be confirmed manually via the 'confirm location' tick box next to each location:

Once the location has been confirmed the stock adjustments are submitted and CANNOT be undone.

Step 4: Marking the stocktake as 'Historic'

Once the stocktake has been fulfilled or is no longer required it can now be marked as 'historic'.

This will remove it from the list of available stocktakes for the scanner users to count.

The stocktake can be marked as 'historic' via the 'Change Status' button on the stocktake maintenance screen:

Note that the stocktake status can be changed at any time.

FMScanners - Tooling

A new tooling option has been added to the scanner application allowing scanner users the ability to view tool details.

FMScanners - Scanner Assignment: Works Order Issue

A new option has been added to the general tab which allows a user to assign scanner users to a works order in order for them to issue component stock without having to kit the works order.

Please read below or contact your account manager for more information about this module.

FMScanners - Scanner Assignment: Works Order Issue

A new option has been added to the general tab which allows a user to allocate scanner users to a works order in order for them to issue component stock without having to kit the works order.

Please be aware of the following conditions:

- Works orders assigned using this option will ONLY contain stocked parts. - Only a single scanner user can be assigned to a works order at a time. - Using this facility will NOT allocate stock in any way. - Using this facility will NOT stop users issuing stock or creating a kitting list for the works order in the main application.

Step 1: Assign the Works Order

Goto: General Tab-> Scanner Assignment Menu -> Scanner Assignment - Works Order Issue:

From here scanner users can be assigned to a works order. To do this either zoom on the 'assigned to' field or use the 'Assign Works Orders' button:

Page 14: FactoryMaster Release Notes Version 11 - The Access Group · Note that this option can be defaulted via the 'STOCKTAKE_USE ... - Using this facility will NOT stop users issuing stock

Now that a user has been assigned, the works order(s) will appear on the available list on the scanner application.

It is recommended at this point to inform the scanner user that they can begin the works order issue process. This can be done manually or via the internal messaging system.

Step 2: Issue The Stock

In the scanner application goto: 'Production Menu' -> 'Works Order Issue' and select a works order to issue stock to:

This screen shows the outstanding components on this works order. Note that as the stock is not allocated the screen will not show any batch or location information.

The scanner user can click the component to view the current stock locations and quantity of the part:

Page 15: FactoryMaster Release Notes Version 11 - The Access Group · Note that this option can be defaulted via the 'STOCKTAKE_USE ... - Using this facility will NOT stop users issuing stock

Note that this facility is for information only and scanner users will NOT be able to issue the stock by selecting it here.

Once a batch has been found they can scan the barcode, enter a quantity & location to issue the stock to the works order:

Page 16: FactoryMaster Release Notes Version 11 - The Access Group · Note that this option can be defaulted via the 'STOCKTAKE_USE ... - Using this facility will NOT stop users issuing stock

When a transaction is successful the outstanding quantity is decreased:

The issued stock will appear in the main application as normal:

Note that in this example the works order contains identical components. The system will issue the stock in LOP / # code order.

Optional: Return Stock

If stock has been issued in error it can be returned back into stock.

To do this click the 'options' button:

Then select the 'Return Stock' option:

Now select the component to return stock from:

From here you can scan the barcode of the batch of stock to return, enter the return quantity & location:

And displays as normal in the main application:

Once all of the components have been fully issued the works order will no longer appear in the 'Scanner Assignment' screen.

User Views

The following user views have been added:

vFM_TOOL_REGISTER

Import Manager

The 'Intrastat Transaction Code' associated with a stocked part can now be imported. If left blank then NEW parts will continue to be populated with the value set in the 'PART_DEF_INTRASTAT_TRANS_TYPE' control flag.

Outlook Email

The 'OUTLOOK_EMAIL' control flag has been replaced with the new control flag 'EMAIL_TYPE'.

The new 'EMAIL_TYPE' control flag allows users an email sending facility which does not require Outlook to be installed.

Any installations using the 'OUTLOOK_EMAIL' control flag will automatically be set to use the 'Outlook' option and will continue to work as in previous versions.

Loading Contract Prices To Sales Orders From Quotes

When contract prices are loaded the user will now be shown a screen showing ALL suitable quotes and will be allowed to select and confirm which one to use. Previously only the most recent quote was ever considered. If the item is also on the customer's price list then they will be given the option of loading from that instead.

The quotes shown will, by default, be for the same customer as the sales order and will have a status of either 'Pending' or 'Historic'.

The existing flag 'CP_QUOTE_SUCCESS_OTHER_CUST' will widen the list to include quotes for the part to ANY customer. You will be warned if it IS for another customer.

The NEW control flag 'CP_USE_SUBMITTED_QUOTES_ONLY' will narrow the list to exclude lines that have already been recorded as 'Ordered' or 'Unsuccessful'.

RFQ Load From Assembly

If you use the 'import from assembly' button on the RFQ screen then one line is added to the RFQ for each component in the assembly tree - so if the same item is listed more than once (eg at different levels) you get multiple lines on the RFQ.

Setting the new control flag 'RFQ_ADD_ASSEMBLY_COMBINE' to 'Yes' will consolidate these lines together. Note the ISSUE NUMBER must also be the same for the consolidation to occur.

Stocktake

A new 'By Location' method of viewing and confirming stocktakes has been added. This summarises the items on the stocktake by location and allows the contents of each location to be confirmed 'en-masse'. The old method has been renamed 'Stocktake By Item' and requires each individual batch or item in a location to be confirmed separately as before. A stocktake has to be run 'By Location' if you intend to user the new 'FMScanners' handheld scanner option to populate the stocktake (see above).

Stocktakes now also have a 'status' on them - allowing you to set them to 'Historic' when they are finished with. In the conversion to this version all but the most recent stocktake will be set as 'Historic'. It is however possible to change individual stocktakes back to 'Pending' if required.

Detailed stocktakes now allow NEW batches to be created for serial numbered parts which do not already exist in the system. The system will now also 'auto-suggest' new batch numbers in the stocktake in the same way as they can be suggested on the manual 'Goods Received' screen.

Page 20: FactoryMaster Release Notes Version 11 - The Access Group · Note that this option can be defaulted via the 'STOCKTAKE_USE ... - Using this facility will NOT stop users issuing stock

Works Orders Kitting: Sub Works Orders

The default functionality of works order kitting has been changed so that if the works order contains a sub works order it will be EXCLUDED from the works order kitting as the demand is being satisfied by the sub works order. The user is still able to allocate stock manually if required.

The control flag KIT_SUB_WORKS_ORDERS has been added to allow the restore the old functionality (ie, allocating stock regardless of if the component has a sub works order).

Customer Concessions

It is now possible for a 'Customer Concession' to be associated with more than one 'At Risk' or 'Internal Reject' record. When an 'At Risk' record is 'converted' to a 'Customer Concession' the user will now be given the option of creating a NEW concession (as previously) or to add to an existing one for the same part number. You will only be able to add to existing records which have a status of 'Planning'. As a result of this change the 'AtRiskNumber' and 'InternalRejectNumber' fields have been removed from the 'vFM_CUSTOMER_CONCESSIONS' user view and added to 'vFM_CUSTOMER_CONCESSION_WORKS_ORDERS'.
