1. IntroductionLive Well Central Coast is aimed at educating and showcasing all components of wellness. Held at Gosford Waterfront, the Festival is a celebration of the lifestyle on offer to us all on the Central Coast, and will bring business and community together by focusing on all aspects of healthy living, nutrition, food, wellness and happiness. The event program will encourage attendees to discover the many ways you can nourish your body, participate in workshops and classes, eat at many of the healthy food stalls, or connect with local businesses to find out more about the health benefits of their products and services. The Festival will focus on three main stages – MOVE, EAT and THINK – with

a number of guest speakers, fitness activities and workshops taking place on each. Sally Matterson, our ambassador, will set the tone talking all things health, food and fitness. The event program will also be centred around our key event hubs focusing on all areas of wellness, for all ages including the ‘Good Vibes’ hub, the ‘Treat Yourself’ hub and the ‘Forever Young’ hub. The event aims to educate patrons, and provide exciting activations, workshops and activities throughout the day. Central Coast Council is seeking proposals for guest speakers, workshops and event stage involvement to enhance the overall experience of the event and increase audience engagement. Live Well Central Coast will take place to coincide with World Health Day on 7 April 2019.

Central Coast Council is seeking project proposals from those in the health and wellness industries, to be involved on our three main stages. This can be via a guest speaker, fitness activity, workshop, class or other. Solo artists, performers, designers and collectives are encouraged to apply. The stages that are being considered include:

This stage will focus on food related workshops, cooking demonstrations and activities centred on nourishing your body.

This stage focuses on getting the body moving through various fitness activity and different types of exercise.

This stage will focus on our overall wellbeing and the way in which we live, including environmental, mindful and spiritual elements.

3. ConsiderationsEvent HubsThe site is also broken down into the below hubs:• Forever Young – A focus on

seniors and activities to enhance their health and wellness.

• Kids’ Corner– A focus on kids and activities to enhance their health and wellness.

• Good Vibes – Focuses on mental wellness, mindfulness, relationships, work place wellness and spiritual elements of life. The THINK stage will be located within this hub.

• Treat Yo Self – A hub dedicated to self-love and pampering.

• Food – This hub not only contains the EAT stage, but is dedicated to providing delicious food offerings, to get us thinking about what is in

our food and how we should be eating to optimise our health.

• Healthy Living – A focus on fitness and physical activity, as well as health based products to enhance your fitness. This hub will also contain the MOVE stage.

• Please consider which hub would be most suitable to your activity, and identify this in your application. Note the above hubs may be subject to change.

Workshops• Can be free or ticketed.• If ticketed, the organisation is to

arrange and manage tickets prior to, and on the day.

• Workshops should complement the event, through the event hubs or stages identified above.

• Workshops should be engaging and involve event patrons in the process.

• Workshops must be 45 minutes – 1 hour in nature.

• The organisation is able to promote their business and hand out business cards or information following the workshop. Please identify if this is a requirement in your proposal.

• If the workshop is food based, the organisation is to provide all necessary equipment, appliances, utensils and ingredients to conduct the session. Central Coast Council will provide the staging equipment and basic kitchen requirements on the event stage.

• Please consider staging, power or other requirements for your session, and identify these in the proposal. This should include sound, lighting, footprint and space requirements. Note that while Central Coast Council will aim to have this equipment available onsite, this is by request

only and cannot be guaranteed. Any equipment which cannot be provided by Council will need to be bought to site by the organisation.

Guest Speakers• Topics should be of a relevant

nature to the event, or event hubs and stages identified above.

• Topics should be current and hot topics in the industry at the moment.

• The speaker is able to promote their business, and conduct book signings or other at the end of the session. Please identify if this is a requirement in your proposal.

• Session must be 45 minutes – 1 hour in nature.

Activities • Can be roving or static.• The activity must compliment the

event, or must be relevant to one of the stages or event hubs above.

• Should consider audience engagement and interaction, as well as patron access and flow through the selected hubs / event site.

• The activity will need to complement any event that is existing in the proposed hub location, and organisations must work with event organisers during the process

• Sessions must be 45 minutes – 1 hour in nature.

• If this is a fitness / physical activity, please ensure people of all ages are considered when programming.

General• The sessions should draw

event patrons to the event and act as a point of interest and contemplation.

• The sessions will need to complement any event that is existing in the proposed site location, and organisations must work with event organisers during the process.

• Please consider staging, power and other requirements for your session, and identify these in the proposal. This should include sound, lighting, footprint and space requirements. Note that while Central Coast Council will aim to have this equipment available onsite, this is by request only and cannot be guaranteed. • Proposals should indicate if the session will need to be chaperoned by Council staff or security, or can run self-sufficiently.

• Note, if you would like to run multiple sessions throughout the day please identify this on your proposal.

All above considerations should be addressed in the project.

4. Timeline15 October Applications open for proposals.

15 October – 2 November

Walking tours of event sites / proposed hubs. If you require a walk through, please contact [email protected] to make a booking.

16 November Applications close.29 November Shortlisted applicants notified.

29 November – 10 December

Details of proposals developed further with consultation between shortlisted artists and Events team.

17 December Successful applicants formally engaged, and details for event program to be provided.

5. BenefitsAs part of your involvement in the event, you will receive the below:• Your company logo and blurb in

the event program distributed to over 5,000 people on the Central Coast, Newcastle and Sydney.

• Social media exposure to an audience of over 35,000 people.

• Access to signing area following the session onstage.

• Will receive a 3 x 3 space to setup a stall to sell products or promote your organisation at the event at no cost. Stall location at discreation of Central Coast Council.

• Exposure to over 3,000 event attendees.

6. General Terms of Engagement

• All materials, preparation and transport are the responsibility of the organisation.

• The organisation will liaise with Central Coast Council Event Officer regarding bump in, timings on event day, timetables, etc.

• The organisation must provide their own labour support if required.

• The organisation must meet all health and safety requirements of Central Coast Council.

• The organisation must provide copies of relevant insurances (including public liability insurance with a minimum indemnity of $20 million, working with

children’s checks, risk assessments and Workers Compensation Insurance that meets statutory requirements).

• The timetable will be developed by Central Coast Council. The organisation is able to send across preferred timings, however final scheduling is at the discretion of Central Coast Council.

7. Selection Criteria• The selection panel will be made

up of representatives from Central Coast Council.

• The selection criteria for projects will be based on: o A creative and innovative

response to the brief that complements Live Well Central Coast.

o Relevance to the event, event hubs and main stages.

o Capacity to deliver. o Experience delivering

sessions. o Session timings and capacity. o Relevance to the audience,

and popularity of proposed session.

8. ProposalsAll applications are to be submitted via email to [email protected] The application process will require:• A description of the concept,

session and any other activity. • The proposed hub or stage

the session is relevant to and proposed timings.

• A short description of how the session relates to the event, event stage or event hub.

• Plans/sketches of the proposed session.

• A resume and example of previous work.

• Social media channels, website and following of the organisation.

• Any technical, sound, lighting or other requirements from Central Coast Council, noting the clause above.

• All relevant insurances including, but not limited to, Public Liability, Risk Assessment and Working With Children’s Checks (if applicable).
