Rules and Regula ons

YO Ranch Resort Hotel & Conference Center, Kerrville, Texas EWA reserves the right to prohibit any Exhibitor, Exhibit or proposed Exhibit, which, in EWA’s opinion, is not suitable for our event or is in

conflict with an exis ng exhibitor. In the event that two exhibitors are merchandising same or similar products, EWA reserves the right to limit this type of exhibit to the first exhibitor registered.

EWA reserves the right to adjust or make changes in booth assignments, up to and including the date of move in, to ensure an even traffic flow.

Each Exhibit will include a 10’ x 10’ booth, 1 (one) 6’ skirted table and two (2) chairs and one (1) trash can. No Exhibit shall be allowed to project into the aisle beyond the assigned space. If you need more space you will need to purchase an addi onal booth space. No Pipe & Drape.

The Exo c Wildlife must approve all dona ons in lieu of booth fee two weeks in advance of the event. This op on exists for a limited number of exhibitors.

Electrical service will be available to a limited number of exhibitor spaces on a “first come first served” basis.

Exhibitors must protect machinery and exhibits in such a way as to ensure that no injury will result to the public, visitors, guests, employees, or any other person or property. Exhibitors agree to protect and hold harmless the Exo c Wildlife Associa on and its officers, direc‐tors, and employees from any and all persons or ac ons which may result in injury, loss or damage sustained upon the space occu‐pied by the exhibitors respec vely, or on account of machinery and property under the control of such exhibitors or on account of negligence of exhibitors, their representa ves, employees or agents.

Affixing anything to the walls, doors, floors, or ceiling of func on rooms is not permi ed. Exhibitors may use a nonpermanent type such as 3M tacky tape. All Exhibitors, their agents or employees shall be responsible for any injury or defacing of the ceiling, walls or floors of the building.

Neither the Exo c Wildlife Associa on nor the management of the hotel will be responsible for any injury which may occur to an exhibitor or its representa ve or employees, nor for the safety of any exhibit or other property against robbery, fire, accident or any other de‐struc ve cause. Insurance, if desired, shall be taken out by the exhibitor, who hereby agrees to hold Exo c Wildlife Associa on harm‐less and free from all damages or liabili es of any kind.

The exhibitor assumes the en re responsibility and liability for losses, damages, and claims arising out of the exhibitor’s ac vi es on the premises of the YO Ranch Resort Hotel & Conference Center in Kerrville Texas and will indemnify, defend and hold harmless the Ho‐tel, its agents, servants and employees from any and all such losses, damages and claims.

Hotel will not be responsible or liable for any loss, damage or claims arising out of exhibitor’s ac vi es on the Hotel premises except for any claims, loss, or damage arising directly from its negligence. Exo c Wildlife Associa on will be responsible to nego ate the con‐tract with its exhibitors.

Exhibit Space/Size – Average booth areas are approximately 10 feet deep by 10 feet wide unless previously arranged otherwise. Please make sure that your booth will fit into the confines of this area or you will need to purchase additional booth space! No exhibit will be allowed to project into the aisle beyond the assigned space. Each booth area includes a six-foot, skirted table and two chairs. Curtains or drapes between booth areas remain unavailable. The hotel provides electricity if needed.

Security – In addition to normal hotel se-curity, EWA will provide a uniformed officer in the exhibit areas from 8:00 a.m. on Friday until noon Sunday. We recommend exhibitors bring drapes to cover their tables and mer-chandise when booth is unattended. Despite our extra efforts, disappearances are still pos-sible. EWA assumes no responsibility for missing merchandise or accidents of any kind.

Your booth space will not be reserved until Exotic Wildlife Association re-ceives your signed Exhibitor Form

and Rules and Regulations.

Setup and Teardown – Move in will be Thursday, March 3rd from 3:00 p.m. until 9:00 p.m. Exhibits must be ready by 8:00 a.m. on March 4th when registration opens. Exhibits open at 8:00 a.m. on Friday and Satur-day. Move out is Sunday, March 6th from 8:00 a.m. un-til noon.

.Exhibit Space Charges – For EWA members, booth fees will be $500 for single or $750 for double booth.

It may be possible to make a donation to the auction in lieu of the booth fee(s); this donation must possess a

minimum retail value of $750 for single booth or $1000 for double booth and must be approved by the EWA

by phone in advance. This option exists for a limited number of exhibitors. Exhibitors, who are not EWA

members, add $150.00 to each amount listed above. This also includes one full registration, per booth space,

which includes all meals and admittance to all events. Additional Exhibitor Registrants are $150.00 each.
