    Dear exhibitor at the DSE Fair Aalborg!

    We at Students' Business Relations are happy that you have chosen to become a part of the DSE Fair Aalborg 2018, and we are looking forward to bidding you welcome!

    The preparations to the Fair are already under way, which is why we therefore send you this exhibitor booklet, which contains information about the Fair as well as an overview of the infomation that we will be needing from you with the associated deadlines. We have created an overview of the important deadlines on page 5, and it is important that you do your part to live up to these deadlines and manage to pass on any relevant in-formation to colleagues and external exhibitors so we can avoid inconveniences for you during the Fair. Thereby we can give you the best experience in regards to the DSE Fair Aalborg 2018.

    If you are in doubt about something, then you are more than welcome to contact us. DSE is driven only by voluntary students, which means that we sadly cannot always be ready by the phones - however, you can always leave a message on our answering ma-chine or send an email, and we will answer you as soon as possible. We are prepared to help if you should have questions.

    Us volunteers at DSE work hard to make the DSE Fair Aalborg remain a really good chance for you exhibitors to meet the students so that there is a sustained possibility to create and maintain the contact between students and companies. We experience that the students appreciate the given opportunity to meet you and hear more about your company. The Fair is used by engineering students who want to gain an overview of job and career possibilities, and the Fair is therefore a good opportunity to tell about your company and the opportunities there.

    Since the students have a technical background, we would strongly encourage you to bring an engineer or equivalent to your stand who can talk about the technical aspects of their daily life at your company. We experience that it is especially the question "What can I use my education for at your company?", which drives the students - and the Fair gives you a really good opportunity to tell about the possibilites at your company and thereby attract the young talents. The Fair makes it possible for the students to put their studies in perspective and thereby simultaneously come in contact with you about stu-dent jobs, internships, project collaboration, and/or employment.

    About DSE

    Students' Business Relations

    DSE is an independent, non-political, and economic independent organization. DSE is driven by around 100 voluntary students from the faculties of technic, science, health and medicine at Aalborg University.

    It is DSE's vision that the Fair gives the students perspective within their education by gathering relevant engineering companies and interest organisations in the changing scenery in Aalborg.

    Through the DSE Fair Aalborg you will get a unique opportunity to market yourself ef-fectively towards the next generation of engineers. This can be done through stands, through job adverts at the DSE Fair Job Bank as well as company presentations for the students.

    The students use the Fair to inform themselves about the possibilities of employment, internship, trainee courses, bachelor’s and master’s theses as well as to receive an-swers on specific questions about your company.

    The engineering students from everywhere in Denmark are invited, and we will pro-vide transportation from e.g. Aarhus, Esbjerg, Herning, Horsens, Frederikshavn, and Fredericia. This will make it possible for you to come in contact with a wide range of engineers.

    Besides the Fair, DSE also roduces Pejling and arranges Focus Night.

    » PEJLING

    Pejling is a company handbook for engineering students and recent graduates that helps the students with job applications. Pejling is published in a stock of 15.000 and is handed out and promoted all over the country for one whole year.

    » FOCUS NIGHTFocus Night consist of a row of study-specific company presentations.After the presentations, the students can network with the representatives from the companies during the buffet and thereby create a relation to the companies.

    Important dates

    Friday, June 8, 2018: Deadline, catalog formula

    In the catalog formula, the information for the company page in the Fair catalog must be filled out. Furthermore, the sign-up for the company presentation is also found in the catalog formula.

    Friday, June 29, 2018: Proofreading

    The possibility to proofread your company page before print. The catalog committee will send a PDF-file to your company associate, provided the deadline for the catalog formula is abided.

    Monday, September 17, 2018: Deadline, practical formula

    The practical formula deals with a range of practical information regarding the Fair, e.g. reporting of the stand's expected electricity consumption, how you can order miscel-laneous equipment for the stand, estimate the number of adverts to the Job Bank and sign-up to the morning and lunch buffet as well as the Fair dinner.

    Friday, September 21, 2018: Job bank

    Deadline for receiving the job adverts to the DSE Fair Job Bank, which must be sent [email protected], and the materials for the info screens.

    Sponsors

    We have in the past years had great success with holding a competition that the stu-dents can participate in during the Fair. The companies, who wish to sponsor a prize for the competition, will have their logo shown at a visible spot at the Fair. Previously, there have e.g. been sponsored powerbanks, powerpoint-presenters, USB-speakers, LEGO products, sportbags, and the like.

    The prizes and your logo will be displayed at DSE's sponsor stand at the Fair and will in addition be part of the promotion towards the students prior to the Fair. The number and size of the prizes are completely up to you, but DSE recommends that the total price range lies between DKK 500,- and DKK 1.500,-. If you want to sponsor a main prize, the price range should be between DKK 3.000,- and DKK 5.000,-.

    You can bring your own prizes or let DSE buy them on your behalf where your logo will be added. DSE will prior to the Fair contact your company to hear if you are in-terested in sponsoring prizes to the competition. If you already know that you want to sponsor prizes to the competition, you can contact Nicklas Krogh Andersen at [email protected].

    Personal company host

    All companies will be assigned a personal company host. The company host will be a DSE member, who will help you by answering all of the questions that you might have. It is similarly your company associate who must convey all of the practical infromation before, during and after the DSE Fair Aalborg 2018.

    Your personal company host will be assigned by the end of August, where the host will contact you and thereafter be available during the entire period of the Fair. You as the company can always contact your assigned company host if any questions should arise regarding your participation at the Fair.

    You will, during the period, receive direct requests from the DSE's catalog committee regarding the content of the catalog.

    Included when purchasing a Fair stand

    Besides the stand, there are multiple offers that are included when purchasing a stand at the DSE Fair Aalborg 2018. » Company presentation: It is possible to conduct a company presentation of

    maximum 30 minutes including questions, where you can present an engineer-re-levant subject towards a group of students. It is recommended that the presenta-tion does not follow a traditionel presentation of your company since the students can find this information through your website, the Fair catalog as well as at your stand. At the company presentation, the following equipment will be available: Projector for the presentation through your own PC, wireless internet and electricity 230 V (4 plug). If anything else than the above-stated is desired, you are welcome to con-tact us, and we will then investigate the possibility to meet your demands. DSE works hard on promoting the company presentations as best as possible towards the students but we cannot guarantee the number of participants. The sign-up happens through the catalog formula no later than Friday, June 8, 2018. There are 12 company presentation spots available and it is first come, first ser-ved. The catalog committee will contact you regarding it.

    » Info screens: It is possible to have some slides displayed on the info screens during the Fair. Specifications to the slides:

    Resolution: 1920 x 1080Format: .JPGMax: 3 slides

    These slides must be forwarded to the company host no later than Friday, Sep-tember 21, 2018.

    » Job Bank: DSE will arrange the set-up of a Job Bank, where the companies have the opportunity to present job adverts. An estimate of the number of adverts must be stated in the practical formula no later than Monday, September 17, 2018. The submission of adverts must happen through [email protected] as a PDF file no later than Friday, September 21, 2018. Job adverts received after the given date are not ensured a spot at the Job Bank.

    » Fair catalog: All participating companies will receive a double page in the Fair catalog, which will be handed out to the students. Around 3.800 copies will be printed. Information regarding the set-up of the double pages will be present in the catalog formula.

    » Catering: Catering during the Fair for all company representatives is included in the price of Fair participation. The catering will cosist of breakfast and lunch buf-fets. Aside from that, there will be coffee, tea, water, and soda as well as fruit at the stand during the Fair. When you need of a refill, please contact a DSE member who will gladly help with this.

    » Fair dinner: On Wednesday, October 10, DSE will arrange a Fair dinner for the comany representatives and DSE members. A three course meal with supplemen-tary drinks will be served, and there will also be entertainment during the evening. The Fair dinner will be held at Comwell Hvide Hus Aalborg at 18:00. When purchasing a Fair stand, two tickets to the Fair dinner are included, and if additonal tickets are desired, it is possible to purchase them as such. The price per extra ticket is DKK 800,- excluding VAT. Sign-up must happen through the practical formula no later than Monday, September 17, 2018, and is required, no matter the number of participants. If you order more tickets but after all do not wish to participate, the cancellation must happen no later than Friday, September 28, 2018 or else DKK 800,- per missing participant will be charged, which also ap-plies to the tickets included in the stand price.

    Stand conditions

    Guidelines to set-up and takedown of the stand

    » Set-up of the stands takes place Tuesday, October 9, 2018 in the time frame 8:00 - 20:00. In the case of only few roll-ups, the set-up can happen Wednesday 10 October in the timeframe of 8:00 - 9:30.

    » Take-down of the stands takes place Thursday, October 11, 2018 in the time-frame of 16:00 - 20:00. The takedown MUST happen within the timeframe and must not start before the timeframe!

    » When the Fair closes Thursday at 16:00, all stand materials must be removed from the area unless else has been agreed with DSE.

    » DSE is in charge of the coordination regarding loading and unloading of materials for the stands.

    » On Tuesday, October 9, 2018 in the time frame 8:00 - 20:00, there will be a limited possibility in using the pallet jacks on the driving boards, which will be laid out on most of the Fair area.

    » After that, ONLY lifting equipment in the form of wagons with rubberwheels may be used since the other type of wheels will leave marks on the carpert.

    » There will be a limited possibility to borrow pushcarts for transportation of equip-ment.

    » On the Fair area, none of the equipment may under no circumstances be fixed to the floor, on the walls or on the ceiling, i.e. by drilling, bolting, and so on. Cutting the carpet is also not allowed. DSE will hold the exhibitor accountable for dama-ges that have occured during the set-up or the takedown of the stand.

    » It is prohibited to decorate or set up equipment, which hinders the clean-up after the stand's takedown.

    » DSE does NOT provide tools when setting up or taking down the stand.

    » The maximum stand height is 3,5 meters but it is possible to seek an exemption on certain elements of the stand, which may then exceed this height. The permis-sion is granted by contacting DSE before the stand's set-up. If this does not hap-pen, DSE reserves the right to ask the exhibitor to remove the height difference. This must happen no later than Monday, September 17, 2018 since it must be part of the fire evacuation plan.

    » The exhibitor is asked to contact DSE in case of extra heavy elements at the stand.

    » The set-up of stand materials outside the stand area is not allowed due to fire evacuation routes.

    Unloading of materials and parking

    » All parking is referred to the marked parking areas, see page 13.

    » Unloading of materials occurs in the marked area, see the map on page 13, where the entrance to the storage can be found. The DSE members will guide and coor-dinate the unloading.

    » When arriving, DSE will appoint a storage spot, where it will be possible to store a limited quantity of materials (e.g. stand packaging). The materials will not be under supervision, and storage will be the exhibitor's own responsibility. Missing items and damages to the stored good must be covered by the exhibitor.

    » DSE does not have the option to unload with a forklift.

    » Upon delivery of stand material by the carriers, DSE will appoint a storage spot until the stand can be set-up.

    Rent of stand equipment

    » It is possible to rent stand equipment through several suppliers. We recommend Messebyg ApS, which can be contacted at +45 2835 8280 or at [email protected]. In the practical formula, you can find a collection of offers from Messebyg Aps.

    Electricity and internet

    » The following must be done through the practical formula no later than Monday, September 17, 2018: The stand's expected electrical consumption must be registered in the practical formula to ensure that the electricity can be covered. DSE offers a 230 V with ground connection which can deliver approx. 1000 W. If more power is needed, an additional 230 V connection with grounding may be ordered. This is done through the practical formula no later than Monday, September 17, 2018. 16 A (CEE plug) connections are also offered. If these are needed, please indicate a total electricity need as well as which equipment is in need of being hooked up.

    » It is prohibited to make changes to DSE's emplaced electrical installations.

    Surveillance

    » DSE does not undertake insurance liability, but does provide security guard and sur-veillance inside the Gigantium throughout the nights between Tuesday and Thurs-day. There are also alarms inside the building.

    Stand guidelines during the Fair

    » It is worth noting that the fair stand must be staffed by at least one person throughout the Fair's opening hours. Read page 11 for the program of the Fair days.

    » For the sake of the otther Fair participants, DSE reserves the right to require spe-cial noisy equipment muffled. Acoustic and electrical/mechanical noise are regar-ded as noise.

    » Serving beer, wine or liquor at the stands is not allowed.

    » Distribution of materials may only take place at your own stand.

    » DSE provides, to a limited extent, cleaning during and after the Fair.

    » The stand floor plan, which will be available no later than in the middle of Septem-ber.

    Catalog formula and pratical formula

    Links to the formulas will be sent by e-mail. The guidelines and information for the company page in the Fair catalog will be evident in the catalog formula.Remember that the deadline for the catalog formula is Friday, June 8, 2018, and the deadline for the practical formula is Monday, September 17, 2018.

    It is encouraged that the text for the Fair catalog is written in English since the Fair also gets in touch with international students.
