Thank you very much for participating in this exhibition titled OCEANSʼ 18 MTS/IEEE Kobe/Techno-Ocean 2018 (OTOʼ 18). OTOʼ 18 is a joint convention between “Techno-Ocean,” a comprehensive

convention regarding marine science and technology, which has been held in Japan every two years since 1986, and “OCEANS,” the worldʼs largest international conference about marine science and technology, which has been held in the U.S. every year since 1975. Since OTO was held in Kobe in 2004, “OCEANS” has been held in the U.S. and Europe or the Asia-Pacific region twice a year. Then, it will be held in Kobe for the first time in 10 years since 2008. This manual is for those who exhibit at the OTOʼ 18 and includes the basic

information on the venue, notes for setting an exhibition booth, and the description of rental goods, documents to be submitted, etc. for carrying your items in/out of the venue. We would like you to carefully read this manual, understand its content

sufficiently, prepare and manage your booth smoothly. We would appreciate your cooperation.

3. Access

WHERE IN JAPAN: Kobe is located in Hyogo Prefecture, one of several prefectures in the mid-west of Japan that, together, are known as theʻKansai Regionʼ . This is Japanʼ s premier tourism area for overseas visitors making Kobe an ideal base city for visiting world heritage sites, both to the east and to the west. The Port of Kobe and its man-made islands are located on the north shore of the Osaka Bay.

EASY ACCESS: As a port city, built on a history of transportation, and with its own airport and Shinkansen station (Shin-Kobe), Kobe offers easy access for both domestic and overseas travelers.

CONVENTION VENUES: Closer to the airport than any other convention centers in Japan! Kobe Convention Center (the International Conference Center, International Exhibition Halls and other key venues) are located on Port Island, about 10 minutes from downtown Kobe (Sannomiya) and only 8 minutes from Kobe Airport.

The basic rules for exhibition are as follows. Please read and follow them strictly.

1. Regarding items to be exhibited①You can exhibit only the items that follow the purport and objectives of this exhibition.②The organizer of this event may restrict exhibited items that are considered to beproblematic because of their sounds, operation methods, materials, etc., or prohibit or remove exhibited items that do not follow the objectives of this exhibition from the point of view of the organizer.

③If you exhibit foreign cargo, please complete the customs clearance to make it domestic,before exhibition. Please do so, especially for items to be processed or consumed in the venue, such as plants (including seeds), lumber, animals, food and drink.

2. Management of items to be exhibited, and disclaimer①With regard to the management and security of items exhibited during the period of theexhibition, we will do our utmost to prevent accidents. However, we will not take any responsibility for the loss or damage caused by an accident attributable to force majeure (natural disaster, fire, theft, loss, etc.) or other occurrences beyond its control. Accordingly, we would like each exhibitor to take out insurance or the like.

●Secretariat recommends you to take the following measures for preventing theftimmediately after the closing of the venue.

・Bring back items that may be stolen to your office. ・Cover your display stands with white cloth, to hide your products. ・Set a rope or chain around your booth to prevent entry.

3. Prevention of accidents and responsibility①Please be careful not to cause an accident when carrying your items and decorations in andout of the venue, exhibiting them, demonstrating their performance, and so on.

②The organizer may order exhibitors to take some measures for preventing accidents duringthe acts mentioned in the previous clause, and restrict or suspend their work.

③Exhibitors shall be responsible for all kinds of damage to the equipment of the venue,a structure for the exhibition, a person, and so on caused by the carelessness or the like of themselves or agents thereof.

4. Exhibitors staying at their respective booths, and registration of aresponsible person Exhibitors shall stay at their respective booths, to attend to visitors, manage exhibited

items, etc.

5. Regulations on sound volume①Restriction on the sound volume of microphones, audio-video equipment, etc.The sound volume of microphones, audio-video equipment, etc. or products at a booth shallnot exceed 60 phon when measured at 2 m away from the front side of the booth, unless there is a complaint from an adjacent booth and the organizer judges that the sound causes inconvenience from the viewpoint of operation of the exhibition.

②Notes for the use of microphones, audio-video equipment, etc.Each speaker shall be placed inward, so as not to bother other exhibitors. In addition, exhibitors shall lead visitors to the inside of their respective booths, so that they will not stand in front of other booths and block their entrances.

③Measures for reducing noise in the venueExcessively loud sound from a booth would drown out emergency announcements and cause trouble to other exhibitors. Accordingly, please curb sound volume as much as possible.

6. Demonstration and advertisement in the venue①Please do not conduct demonstration, advertisement, or the like outside your booth.②Please be careful not to cause congestion at the aisle around your booth, duringdemonstration, advertisement, etc.

7. Demonstration, and distribution of samples of exhibited products①Please take measures for products and demonstration that could causeinconvenience to others (with a beam of light, sound, odor, dust, vibration, etc.)

②At the reception of exhibitors, which will be opened at 17:00 on Tuesday, May 29, and so on,exhibitors can give food and drink to visitors free of charge. However, they are limited to the products that can be handed to visitors in an unopened state (e.g. canned or bottled beverages, packaged cookies or rice crackers). Please describe them in Application Form A. If you want to serve food and drink, please submit a notification on temporary business to the public health center of Chuo-ku, Kobe, and also the secretariat of this exhibition.

*Please consult the health center about whether it is necessary to submit the notification.

8. Photo shooting, video filming, and copying①In principle, exhibitors shall not take photos, copies, measurements, casts, or the likeoutside their respective booths.

②When you shoot a photo or video of your booth, please be careful not to causeinconvenience to general visitors. In addition, shooting a photo or video outside assumed working hours is prohibited.

③The members of the press authorized by the organizer and the photo/video-shooting staff ofour secretariat will be obligated to wear a vest and a badge for the press. When a camera operator wearing “the badge and vest for the press” shoots a photo/video, we hope that you will cooperate with him/her if you do not mind.

9. Prohibition of sublease of a boothExhibitors shall not sublease or lend their booths to a third party without permission.

10. Use of the PA system for a personal matterThe use of the PA system for paging someone for a personal matter would hinder business

talks. Accordingly, it is basically prohibited during the exhibition period. However, the PA system can be used for announcing exhibitorsʼ presentations, public lectures, etc. or paging exhibitors during the period for carrying goods in and out of the venue.

11. Cleaning①Please dispose of waste square lumber, plywood, cardboard, plastics, electric wires,packaging materials, etc. yourself after setting up your booth.

②Please prepare cleaning tools and clean the inside of your booth by yourself.③If your exhibited items, decorations, etc. still remain inside the venue even after adesignated period, our secretariat may dispose of them. In this case, you shall bear the cost for the disposal.

12. Bearing of expenses①Exhibitors who require electricity, water supply and drainage, a telephone line, or otherequipment shall apply for them with the Application Form C, and pay the expenses for them, following a bill from the organizer or related staff.

②Each exhibitor shall bear the expenses for exhibition, demonstration, carrying goods in andout of the venue, any act of exhibitor, modifying or repairing decorations for exhibition in accordance with the exhibition manual, etc. and the premiums of general insurance covering exhibited items, and so on.

13. Change of the period or cancellation of the exhibition

The organizer may change the exhibition period or cancel the exhibition at its own discretion,

if it is considered inappropriate to hold the exhibition at the venue because of a problem with facilities caused by social situations, natural disaster, accidents, or other force majeure. The organizer will not be liable or responsible for any risks arising out of said change or cancellation.

14. Revision or addition to regulations, etc.For a compelling reason, the organizer may revise the regulations or manual for the exhibition. If the regulations or manual for the exhibition are revised or extended, we will notify exhibitors of said matter immediately.

1. Exhibitor booth staff Badges

①The Secretariat will provide at least 5 exhibitor booth staff badges per company/groupon site on May 28. If you wish to have more than 5 badges, please apply using Application Form A.Picking up badges as well as application for additional certificates, etc. cannot be done at the reception desk at Kobe International Exhibition Hall No. 2.If you need to have additional badges during exhibition, please contact to Secretariat.

②During exhibition, please always wear the badge in the exhibition hall. Pleasealso wear the badge while working outside of the exhibition hours to distinguish you from general visitors.

③For the representatives who will wear a full registration badge which will be providedfor one person per company/organization (it provides access to all technical sessions, exhibitions, ice breakers, exhibition reception, awards luncheon, and gala dinner), separate online registration is required as instructed. The representatives who will receive the full registration status should pick up the badge at the reception desk at Kobe International Exhibition Hall No. 2 on the exhibition day before entering the venue. During exhibition, please wear the badge all the time inside the hall.

④If you wish to purchase additional full registration badges, please apply online.

2. Permission Notice

The Secretariat will send you one by e-mail. Please print the number of badges as needed.

④ The purpose of these notes is assure that all exhibitors are given equal opportunity toconduct business in a safe, attractive exposition.

⑤ All vehicles are closed to traffic in exhibition hall. Please bring in your booth with hand carts.⑥ The permission notice to move in and out is not a parking licence. After loading or

unloading, remove your vehicle immediately. Please park your vehicle in pay parking lotaround the venue. (P-9)

⑦ There is no storage area to keep empty boxes and packing materials in the hall.If you need storage service(charged), please contact to Kintetsu Cosmos, Inc.

Please make sure to receive the parcel by yourself. The Secretariat will never receive exhibitorsʼ parcels on their behalf. Parcel delivery companies are not required to have the Permission Notice (Move In and Move Out).

③ During the process of moving out, please follow instructions of our staff and do not disturbthe other workers. Also, please dispatch one person in charge from the exhibitor side tosupervise the moving-out work.

④ Move out is in accordance with Move in. Detailed schedule provided at the venue.⑤ During one hour from the beginning of moving out, all working will be busy.

Exhibitors should manage the packing exhibition goods and others to prevent an accident.⑥ Please bring back all the waste such as bulky-waste, packing materials occurred during the

exhibition and move out works. Exhibitors will be invoiced separately for the removal ofany such materials left on the premises.

4. Construction and Arrangement Limitation in case ofExhibitor's Decoration

①Decoration materialsIn accordance with Article 8-3 of the Fire Service Act, fire prevention management and

facilities that meet certain standards are mandatory at the exhibition hall. Please take all possible measures for the following items.• Goods under the flameproof requirement such as plywood for exhibition, carpets andcurtains must have the flameproof capacity and have a “flameproof label” on them. (Flame-retardant plywood is acceptable.)• When decorating flame-retardant plywood with thick fabric or pleated paper or sticking thickfabric or pleated paper, they must have the “flameproof capacity.” It is allowed to use flame-proofed plywood on which thin fabric is placed. • When using flammable materials such as fabric, fabric paper or other decorative materials,please use the immersion processed “materials that have a flameproof sticker.” • It is not allowed to use petrochemical products such as Styrofoam (e.g. urethane, acetate,polyester, nylon, acrylic, and Hong Kong flower). However, it is allowed to use the letters made of Styrofoam etc. in places that cannot be reached by visitors.

②Other notes concerning decorating and setting up• For booth setup, please plan the exhibition/decoration in such a way that it will keep the

outlook of the entire hall and improve the exhibition effect of all exhibitors as much as possible and avoid inconvenience to the other companies. • Basic decorations done by the Secretariat should not be removed.• When setting up your booth, please complete shaping and processing in advance fromcontractorʼs (decoratorʼs) point of view, and, at the venue, please keep to the minimum work such as assembling. • It is not allowed to hang or tilt decoration objects and exhibits from or against existingfacilities such as ceiling, pillars, walls etc. of the venue.• During setting up and transportation of materials, please make sure that you do not damagethe venueʼs equipment and facilities such as electricity, telephone and water supply, booth foundation, and decorations/exhibits of other companies. In the event of damage, you will be asked to bear the responsibility of restoring to the original state regardless of the reason..-

• “It is not allowed to use fabric products that cannot be flame-proofed.” Please be mindfulwhen using banners, flags, curtains, etc. Materials that contain acrylic or polyester in amounts of 20% or more cannot undergo secondary flameproof treatment, because flameproof treatment of fabric products is done by immersion. • When laying a carpet on the booth floor, please secure it all with weak viscosity double-sidedtapes. It is not allowed to use adhesives such as glue. • Be sure to take garbage and waste generated from work with you every day.• When welding by electricity/gas or using fire for other reasons, please receive approval of theApplication Form the Secretariat in advance. Also, during the work, please keep a fire extinguisher at hand and do not leave combustibles in the area where sparks might scatter.• Be sure to work within your own booth at the venue. It is not allowed to leave the materialson the aisle or other booths while working. This rule also applies during the removal process. • Do not cover fire extinguishers, indoor fire hydrants, sprinkler equipment, automatic fire alarm equipment, emergency bells, inductive lamps and smoke discharging switches with decorative objects or the like. Also, please do not display objects or leave workpieces or other goods around them to hinder the use of them. • Do not hang or place objects from the ceiling or on the roof.• The height of a decoration object cannot exceed 2.7 m above the floor.• In principle, it is not allowed to change exhibition facility or redecorate the booth.• Exhibitors are requested to inform the Secretariat in advance if special smells, smoke, etc.are likely to occur from their exhibits.• It is not allowed to drill holes for anchoring, etc. on the floor.

5. Space Type

Exhibitors who applied for “Space Type (self-erection)”, please follow the working instructions mentioned-below. In addition, please assemble your exhibition materials as much as possible beforehand in order to minimize the works in the hall.

①Ceiling structureExhibitors are not allowed to make any ceilings or roofs in the booth nor hang anything fromthe hall ceiling.

②Height and other restrictions on booth decorationExhibiting displays and related items are regulated by the committeeʼs rule and Fire Defense Law. Please pay attention on your booth decoration not to cause any trouble for other exhibitors. Any product exhibits, spotlights, speakers etc. must be set within the exhibitorʼs booth and height restriction.

●In case there exists an abutting booth, the wall height should be less than 2.7m. Eachexhibitor is requested to install the wall one by one basis. If you would like to share the same wall with your abutting exhibitors, we will introduce a person in charge of your abutting booth.●The height limit on product exhibits or decorations is 2.7m.However height limit will become4.5m if there keeps 1.0 m allowance (= set back) inside from the wall.●If you would like to install the exhibits over 4.5 m height, please contact to the Exhibitionoffice.

④Inspections by the local fire departmentInspection by the local fire department will be carried out during the display construction work or after its completion. Please note that any work which breaches the regulation may be removed or required to improve.

⑤Emergency pathExhibits, signboards, lighting equipment, corner posts, garbage, packing materials should not be left outside of your booth in order to secure a passage. Do not block emergency light and evacuate route. In case of the violation of this rule, the Exhibition office reserve the right to remove the impediments and all the incurred expenses are to be borne by the offending exhibitor. If your booth takes more than 4 booth spaces, please design the booth so that you can evacuate to at least two aisles from anywhere in the booth. (Required passage width: 1.2 m or more for 300 m² or less)

⑥Floor workAny taping, bolting down anchor bolt, drilling a nail directly on the floor is not allowed.Please be careful not to damage a floor at the time of work-in and out. In case the floor has not been restored to its original condition at the final inspection, the Exhibition office will complete its restoration work and charge the total amount of expenses to the exhibitor after the exhibition.

③Booth construction and decorationPlease pay attention to the following items regarding Fire Defense Law.●According to the fire-proof affiliated laws and ordinances, all the materials which are usedin the exhibition booth should be fire-proof (incombustible or fire-retarding materials) and no combustible or inflammable materials are to be used. (There requires valid flame-retardant treatment to the flammable materials i.e. wooden board, plywood, curtain, carpet or other flammable materials.)

●“Fire proofed” labels are put on the valid flame-resistance display materials including cloths.This label is issued by the Japan Fire Resistant Association under the authorization by the Commissioner of the Fire and Disaster Management Agency. ●The Exhibition Committee shall bear no responsibility whatsoever about booth constructionand its safety.

⑦ StageIf you set up a stage in your booth, be sure to secure a space to accommodate visitors inthe booth so that visitors do not stay in the aisle.

⑧ It is not allowed to install a door that opens outwardsIf you set up a door against the aisle, please make sure that the door opens inwards (thedoor does not go to the aisle when it is open.)

⑨ Submit drawingThe Exhibition office may request exhibitor to submit your booth drawings.

6. Waste DisposalPlease bring back all the waste such as bulky-waste, packing materials that are generated from themove-in or out works. Exhibitors will be invoiced separately for the removal of any such materials left on the premises.

7. CleaningThe exhibition office will every day clean aisles and public space only. Please clean your own booth by yourselves.

8. Prohibition■Other rules

① Please do not enter the facilities that are not permitted to use.② Please take measures such as crime prevention, fire prevention and accident preventionand take special care to ensure the safety of visitors and preservation of facilities and exhibits etc.③ Compensation for damages, etc.When a user or person concerned has defaced, damaged or lost facility (including equipment, etc.), we will ask the user to restore it to the original state at his/her responsibility or compensate for the damage.

4. Remarks: For the exhibitors who will carry out electric work by themselves.※ The exhibitors who do not rent any electric equipment from us are strictly required to read

and understand the following remarks.

①All the workers who engage electric works are required to bear the electrician licenses inaccordance with the Laws for Electrical Works all the time.②Power distribution board in booth・Please install the main switch and branching switch (contained in the iron or iron covered wooden box) for more than 2 circuits. Cut-out switch for make and break circuit is not allowed to use. There needs grounding work for more than 200V switchboard.

・Please clearly show the name and contact address of the electrician on the switchboard in the booth.・Please install the switchboard at the place where its maintenance and check can be made easily, the decision on its location are to be made in the meeting among exhibitor, decoration worker and electrician.③Materials・Materials for electric work must conform to the standard.・Regarding to the electrical equipment which will be applicable to the Electrical Appliance and Material Control Law, Please use the equipment that have the mark showing the type approval of the Minister of Economy, Trade and Industry.・Materials, electric wire and machineries for electric work must conform to the Electrical Appliance and Material Control Law.④Please use the breakers or cover switches that are correspond to the machine capacity as aswitch. In addition please use appropriate fuses to cover switches.⑤Please use branching switches (Electric panel) for the wiring of lighting, please allocate 1circuit for the device that needs more than 15A. If one device needs less than 15A, allocate 1 circuit for the devices whose total is less than 15A.⑥Grounding work must be done for the equipment whose voltage to ground is over 150V.⑦During construction, please make every possible effort to prevent injury, property damagingaccident, fire and other accidents. The exhibition office will not take any responsibilities for any damages to exhibits or equipment caused by the power failure or voltage drop.⑧Inspections will be carried out according to the Kobe City Fire Regulations, Technicalstandard for electric equipment, Electric Power Co, Fire Prevention Acts. Any work not passed to inspections must be improved and re-inspected after reporting to the exhibition office.

1. Exhibition modification or cancellationAs mentioned in the entrance requirements list, please inform us of your exhibition modification or cancellation by e-mail or fax. Any cancellation shall be subject to cancellation fee corresponded to the total amount of all exhibition expenses.

2. Communication LineThere is a free spot (Wireless LAN that is not shared with other third parties) in the hall.Exhibitor can use it free of charge in session. Password, etc. will be distributed at the exhibition hall on the day. (However please note that Network interface card 11a type cannot be used.)

If exhibitor need cable communications, apply to Application Form A . The exhibition office will make a contact later.The following PCs are not allowed to use.
