In Between Time (IBT) is committed to bravery, to curiosity, and to the care of artists and audiences. We’re dedicated to developing artists at all stages of their career seeking out the innovators and iconoclasts, and those whose voices are less often heard. Based in Bristol, we work in partnership, across its centre and its neighbourhoods, creating incredible artistic experiences in collaboration with the people who live there. Our commitment to Bristol positions it as a global centre of culture and our work develops the careers of world-leading UK and international artists. Our year-round producing work culminates in the inter-disciplinary IBT Bristol International Festival; a biennial festival that takes place across Bristol’s venues and public spaces over 5 days, attracting local, national and international artists and audiences.
The first In Between Time Festival was established by the current and founding Artistic Director/CEO, Helen Cole in 2001 as part of Arnolfini’s Live programme. In 2009, after three IBT Festivals, Paul Hamlyn Foundation awarded Cole a prestigious Breakthrough Award to develop the future of the festival. In 2012, IBT became a National Portfolio Client of Arts Council England, and in 2015 a Bristol City Council Key Arts Provider. In 2016, IBT was awarded additional strategic investment from Arts Council England to deliver the International Showcase of Live Art at the heart of IBT17 Bristol International Festival.
Whether judged by audience responses, attendance figures, critical feedback, financial performance or media coverage, our last festival, IBT17 was our most successful festival yet.
We delivered a high quality programme of 40 events including an international showcase to over 200 professionals. We also doubled our public impact selling over 8000 tickets to works that took place in the city’s streets, theatres, galleries and woodlands.

In our first 8 years as an independent organisation we have grown to be a sustainable and financially resilient organisation with impressive public reach, an international reputation and a strong and unusual curatorial vision. From 2017 we will enter our next important phase of organisational development to realise a new scale to our vision as a producing organisation with a biennial festival and showcase for extraordinary, world class, home grown and international artistic practice. Our next festival will take place in February 2019.

Job Description Job Purpose The Executive Director works with the CEO/Artistic Director to ensure IBT’s financial and organisational success. A critical member of the IBT Executive Team, the Executive Director works closely with the CEO/Artistic Director in developing and delivering the strategic vision of the organization. The Executive Director is expected to lead the financial and organisational management of IBT and share responsibility for fundraising, partnerships, marketing and networking. The role manages the day-to-day running of the organisation leading on the delivery of all statutory legal and administrative obligations and stakeholder reporting. While this role covers the range of duties undertaken by the Executive Director as outlined in the Key Responsibilities (page 5), we thought it would be useful to highlight specific areas of work that are priorities during this maternity cover period: Finance, Governance & Management
• Timeline implementation and management, including coordinating the team in planning and delivery for IBT19
• Supporting the General Manager with the preparation of Year End Accounts 17/18 and Trustees Report
• Quarterly Reporting to Board and Statutory bodies • Management of all IBT19 budgets • Ensuring implementation of company procedures and policies • Line- management of IBT staff and recruitment of contracted festival team
Artistic
• Working with Artistic Director & Senior Producer to develop partnerships for IBT19. Communications
• Working with the Artistic Director & Marketing Manager to develop brand & communications.
• Overseeing the implementation of a new CRM system. Fundraising
• Project specific funding for IBT19 projects. • Leading on IBT fundraising events and management of Catalyst Evolve programme.

Key Responsibilities Leadership and Strategic
• To work with the CEO/Artistic Director to develop the strategic vision for the company, building on current success and driving forward the company.
• To work with the CEO/Artistic Director to create an energized and positive working
culture with clear organizational values conducive to the professional development and well being of staff and freelancers.
• To work with and support the CEO/Artistic Director in ensuring the artistic
programme achieves the ambition of the organisation’s business plan, the expectations of funders , partners and audiences and most effective use of the organisations resources.
Policy and Planning
• To work with the CEO/Artistic Director and IBT’s board to develop, deliver and monitor IBT’s business planning.
• To ensure the implementation of the ambition of the artistic and business strategies
across the staff team and through the management of the business planning process including assessment of risk, setting aims, objectives and targets and monitoring of performance on a quarterly and annual basis.
• To ensure effective statutory compliance and maintain the process for the development implementation and monitoring of all organisational, health and safety and financial policies and procedures.
Governance and Management
• To act as a lead contact for the board, attending all board meetings and providing quarterly board papers and reports as required. Working to manage the board’s on-going and active development, investment and involvement in IBT.
• To be responsible for the office and the IBT team on a day-to-day basis including leading the team in the absence of the CEO/Artistic Director, maintaining and motivating a collaborative and inclusive staff team, developing skills and a culture that encourages everyone to contribute their expertise, experience and ideas.
• To directly line manage the General Manager, Marketing Manager, Development Producer and relationships with accountant and legal firms.
• To work with the staff team to ensure that IBT’s plans and programmes are
delivered to the highest professional standards and in line with its policies and procedures.

• To work with the CEO/Artistic Director to ensure commitment to diversity, sustainability, access and equal opportunities across the organisation.
• To ensure the organisation complies with statutory obligations including HMRC (FEU, VAT and Theatre Tax Relief), Charity Commission, Companies House and Home Office.
Finances
• To oversee company financial management, budgeting and accounting procedures ensuring both statutory and legal compliance and a culture of sound financial decision-making at the heart of the organisation.
• To line manage the General Manager and ensure effective book-keeping for the organisation is undertaken in an accurate and timely manner.
• To generate quarterly management accounts and financial reporting for the
organisation and the board.
• To work with the accountants in the preparation and delivery of the annual accounts, Trustees Report, and financial statements ensuring accurate and timely reporting to the board.
• To report the organisation’s finances to the Arts Council and other key stakeholders
on a quarterly and annual basis as required.
• To support the CEO/Artistic Director to ensure that IBT’s resources are maximized at all times and agreed income targets are met.
Fundraising and Resourcing
• To seek out new sources, diversify and maximize income generation for the organisation including strategically developing ticket income and other sales revenue.
• To work with the CEO/Artistic Director to develop and manage the fundraising plan
ensuring that the organisation meets its fundraising targets and develops a diverse portfolio of stakeholders.
• To support the organisation’s fundraising by taking the lead on selected fundraising
opportunities to ensure the on-going sustainability and development of the organisation.

• To be responsible for the following relationships and resource areas:
- Arts Council, England - Local and city investment including Annual Key Arts Provider investment - Trusts & Foundations - Other public investment - Commercial partnerships and sponsorship - Individual giving and donations - Loan financing and social investment
• To work closely with the CEO/Artistic Director to ensure IBT receives best value and financial investment from all major partnerships.
Communications
• To represent and advocate for IBT at a senior level including deputising for the CEO/Artistic Director where appropriate to ensure that IBT develops and maintains critical and positive partnerships at all times
• To work with the CEO/Artistic Director to ensure that IBT’s work achieves considerable impact across as wide and diverse an audience as possible through developing coherent effective and interesting distribution, communication and audience development strategies.
• To lead IBT’s marketing and communications development including working with
the CEO/Artistic Director and Marketing Manager to create coherent, effective strategies that ensure IBT and its programmes are communicated, monitored and evaluated to the highest standard.
• To work closely with the CEO/Artistic Director on the vision, tone, values and
identity of the organisation and support the work of the Marketing Manager in the continued development of the IBT brand.
• To lead the development of the press, media and PR strategies managing the Marketing Manager to deliver these strategies and acting as lead on all media stakeholder relationships including Destination Bristol.
• To ensure that throughout its communications IBT is a sector leader in promoting, lobbying and acting as an advocate for artists and the wider live art sector.
Human Resources
• To work with the CEO/Artistic Director to identify the organizational structure and capacity necessary to achieve the company’s artistic and operational objectives.
• To lead the management of human resources, supporting the General Manager
ensuring best practice and legal compliance.
• To develop In Between Time’s systems of appraisal and training.

Other
• To participate in sector-wide projects and local city networks. • To act always in the best interests of In Between Time.
• To travel regularly and to see In Between Time’s work.
• Any other responsibilities that may reasonably be required by the Artistic Director
and the Board of Directors.

Person Specification Essential Skills, Experience and Attributes: .
• Proven ability to succeed in senior management roles. • Proven ability to develop and implement organisational strategies. • Proven track record in fundraising and in developing and managing stakeholders. • Proven strengths in financial management and budgeting relevant to the scale of
IBT and its mix of grant income, box office and raised revenue streams. • Knowledge of the development and implementation of Marketing and
Communications Strategies. • A record of collaborative working, line management and leadership of small teams. • Flexibility, commitment and the ability to multi-task. • Excellent written and oral communication skills. • Attention to detail and ability to work under pressure. • Strong IT skills in office based software, hardware and presentation. • A passion for the arts.
Desirable Skills, Experience and Attributes:
• Knowledge of arts or events management and operational delivery. • Knowledge of brand strategy, campaign delivery and media relations. • Knowledge of accountancy software. • Previous track record of managing a charity.
