The To Do List is built by the system. You can view all items or filter using the drop down.

You can see all the “To Dos” for a particular student by entering the last name and (if needed) first name in the filter field.

IEP Amendment Procedure• Has an IEP been completed in EXCEED?

• NO• Only Product screens (goals, services) will be filled in when the

Amendment is created• The IEP Chair will complete only the Amendment Form and the

forms/screens to be changed plus Placement Considerations form• Print only those forms, attach them to the original IEP and send to parent

• YES• All forms completed in the IEP or previous Amendment will copy into the

Amendment event • The IEP Chair will make the changes• Print the entire event and send to the parents• The Amendment replaces the IEP as the current Plan.

Create the Amendment/Correction Event

• Must wait until the Initiation Date of the IEP to create Amendment/Correction Event

• View last locked IEP – even if Addendum/Amendment completed since• Note 3 Dates on Front Page: Meeting, Annual Review and Initiation

• Click Schedule New Meeting

Dates entered in this window come from IEP being amended – neither the date the event is created nor the Amendment Date are used here.

1. Enter Due Date – the Projected Date of Annual Review for the IEP being amended/corrected – the Due Date of the next IEP

2. Enter Scheduled Date – the Meeting Date of the IEP being amended/corrected

3. Assign event to yourself by clicking the smile icon

4. Enter “Amendment (Date)” or “Correction (Date)” in Event Title Detail field

5. Click Save

• IEP completed in Encore – all forms are “Blank”

Amendment/Correction Procedure

• The first form is the Amendment/Correction Decision form.

• Choose which event you are completing• Correction is to CORRECT a clerical error in the original IEP

or Amendment.• Amendment is to make a CHANGE the team did not discuss at

the original IEP meeting

• When the Decision Form is completed the appropriate form(s) will be created

Plan Dates

• Plan Dates are based on dates of original IEP – not the Amendment

• Revise Initiation Date and Service/Goal Start Date to match Initiation Date of IEP being amended

• Click IEP Amendment tab• Complete Amendment Form – enter date of Amendment• Be sure to mark Areas Amended• Save

Amendment – Make Changes

• Make changes as agreed to by the parent/18+ student, Component District Representative and SSD Representative

• No need to open any form or screen where no changes are being made• Must say “Have” on Accommodations• Must complete Placement Considerations• If student’s placement is not based on General Education

percent (ECSE, SSD Schools, Homebound) must go to Services Screen, click LRE tab and Manually Override placement

Prior to locking the Amendment

• Click Accommodations section on Event Overview

• Click “Have” to confirm all accommodations have been entered

• Click “Yes” to continue• Save Assessments• Return to Event Overview to check compliance, proofread

and lock

Correcting Service Date Errors

• Error message-means the start or end date of a service is either before the IEP begins or after it ends based on the Plan Dates

• It is usually the End Date that is the problem• Go to the Plan Date screen and note the end date• All of the service end dates must be on or before that date• Return to Services screen and revise dates as needed• LRE will need to be recalculated

Amendment/Correction Reminders • Cannot correct an IEP completed in Encore

• Must enter new IEP

• Amendment process is very different than it was in Encore• Amendment Date is not used when creating the event• Dates must match the original IEP being amended/corrected

• Highly recommended to view the Mini-lessons on EXCEED News for the Amendment Process• Amending IEPs Completed in Encore• Amending IEPs Completed in EXCEED

Progress Report Reminders

• Progress Reports will be completed in Encore until an IEP or Amendment is locked in EXCEED

• Once you have locked an IEP or Amendment in EXCEED, you will enter progress on goals for that student in EXCEED

• More information about completing Progress Reports will be provided
