Job Title: Engagement, Communication and Events Assistant Job Summary The Engagement, Communications and Events Assistant will provide support to Senior Director and the Engagement, Communication and Events teams within the University of Michigan Athletic Development Office and will assist with both routine and non-routine project work. Ability to problem solve and multi-task in order to create efficiencies for team success. Responsibilities* - Prepare written fundraising, alumni and community content to be incorporated within printed and web based material - Edit written materials produced by the engagement and events teams - Assist in maintaining an effective tracking system for donor engagement - Manage the communication execution calendar - Assist with the tracking of communication and event metrics and return on investment - Act as a liaison for agency work and print vendors - Assist with the gift acknowledgment process through DART research, printing and preparing letters - Manage the content and distribution of internal communications (i.e. weekly communications briefing, gift announcements etc.) - Oversee financial tracking and budget reconciliation for the Engagement, Communication and Events budgets - Produce necessary reports and associated entries in the development database (DART) - Respond to the Senior Director of Engagement, Communication and Events emails as appropriate, tracking correspondence and communicating results in a timely matter - Provide phone coverage and excellent customer service for those contacting the Athletic Department and the Senior Director of Engagement, Communication and Events; responding to inquiries from both internal and external constituents and fielding them appropriately

Job Summary

- Maintain and coordinate the Senior Director's calendar and meeting requests

- Coordinate travel for the Senior Director then prepare and submit expense reports and hosting

documentation for reconciliation

- Provide administrative support for project work within the Engagement, Communication, and Events

teams as needed- Prepare printed items for events; nametags, place cards, directional signage etc.

- Answer and transfer calls received on the events main line and assist with the RSVP process

- Participates on the Administrative Team and contributes to the creation of Athletic Development team

business processes to ensure efficiencies.- Oversee inventory and ordering of specialized team supplies

- Provide on-site staffing for events when necessary

- Assist with the fulfillment of requests via DonationXchange from both the community and university

involving appearances for student athletes, coaches and team members along with autograph and

donation requests.

- Perform other duties as required or assigned

Required Qualifications*

- Bachelor's degree required.

- 1-3 years of previous work experience preferably in marketing, communications, athletic

administration, higher education or a related field.

- Strong written, verbal and interpersonal communication skills and proficiency in spelling, grammar,

punctuation and proofreading.

- Desire to learn and abide by the mission, goals and objectives of the Athletic Department and Athletic

Development team.

- Strong commitment to the student-athlete experience.

- Excellent customer service both on calls and in person.

- Ability to set priorities, handle multiple assignments and deadlines and display good judgment while

operating in a flexible and professional manner.

- Demonstrated ability to work with a diverse array of personalities under pressure and deadlines; ability

to work both independently and as a team member.

- Project management skills, including organizing tasks and materials.

- Ability to use discretion when dealing with highly sensitive information.
