role

Job Description

The Commercial Operations department is at the centre of theLondon Coliseum activities. It is headed by the Director ofCommercial and is responsible for the Non-Opera (e.g.Musical, Dance, Rock & Pop) programming of the LondonColiseum as well as a large range of smaller performances andevents in the Front of House spaces. In addition, theCommercial Operations department is responsible for Front ofHouse Management, Audience Experience, Public Retail,Publishing and Food and Beverage operations* (through theexclusive catering partner Benugo*). The annual turnover ofCommercial Operations is £5milllion plus.

In close collaboration with the Director of Commercial, thispost is responsible for the programming, negotiation,administration, contract activation and delivery of multiplevisiting company and co-promotion productions each yearwithin the Coliseum (but excludes English National OperaProductions), both on the main stage and other venues andspaces within the Theatre and for the provision ofadministrative support to Director of Commercial ensuring thedepartment’s effective operation.

The Commercial Operations department works closely withENO Artistic, Finance, Technical, FOH, Catering, IT,Development and Baylis (ENO’s education and outreachdepartment).

le1) Curating and activating the non-opera theatre programme

• Pro-actively sourcing, programming, negotiating, contractingand activating agreed visiting company productions withdefined parameters as agreed with the Director of Commercial

• Fulfil the role of producer and in conjunction with the Director ofCommercial and Technical Teams activate and oversee thevisiting company production process from initial meetings withProducers through to the end of a production’s run which willrequire a strong presence both back and front of house duringthe visiting company residency

• Take a pro-active role to providing support and consultancy toexternal Producers, Marketing and PR agencies to successfullydeliver the visiting company programme.

• Provide cross-company liaison and communication in relation tothe evolution, development and planning of visiting companyand London Coliseum productions

• Ensure contracts are activated and managed to deliver thefinancial and legal objectives on behalf of ENO and ensure thattechnical constraints are understood, guidelines are given andthe process is closely monitored at all levels

• Work closely with the Director of Commercial to draft budgets,develop new income streams and maximise all revenueopportunities to deliver and ideally exceed agreed budgets

• Work with the Director of Commercial to curate, develop andnegotiate the non-opera theatre programme to contribute tothe ENO/London Coliseum brand and audiencedevelopment/experience strategies and objectives.

• Together with the Director of Commercial fulfil a leading role inresearching, identifying and brokering meetings with potentialcommercial producers and visiting companies.

2) Administration

• Provide accurate and efficient administrative support to the Director ofCommercial on a daily basis including setting up meetings and othergeneral administration as necessary.

• Schedule and minute any meetings as required by the Director ofCommercial.

• Ensure all Commercial Operations expenditure is entered accurately andkept up to date on the departmental commitment records, liaising withthe Finance Department where necessary. Investigate any discrepanciesas and when they arise, and ensure that internal re-charges etc arearranged where necessary.

• To be the first point of contact for the Commercial Operationsdepartment. Dealing with queries and problems as they arise to resolveor escalate as necessary in a timely and efficient manner.

• Provide a high standard of customer service at all times to internal andexternal customers.

• To manage all stationery and equipment orders for the department,ensuring that stocks are maintained.

• Deputise in the absence of the Director of Commercial, attendingmeetings to represent the department, and take notes/feedback whereapplicable

• Ensure a centralised database of industry contacts is maintained andaccessible to all stakeholders

• To ensure that all production information is filed electronically andaccessible to all stakeholders.

• To coordinate all Commercial Operations aspects relating to the planningfor a visiting company, this includes arrangements for programmeinformation, hospitality events, security passes, use of chorus/musicrooms, set up of company office, show notes, running times, cast sheets,merchandise coordination, and any other requirements of the promoter.

• Produce Spring, Summer and Christmas season schedules in the run up tovisiting companies, and circulate this to the relevant ENO staff.

• To coordinate all Commercial Operations elements of the final invoice,ensuring that all staffing and other costs are re-charged to thepromoter/visiting company as appropriate.

• Coordinate and minute the de-brief meeting following a visitingcompany departure.

3) Financial

• Working with the Director of Commercial to budget, forecast income and produce anycommercial reports as required for all Commercial Operations income streams

• Contribute to the management and monitoring of the commercial incomebudget/profit of each visiting company, reconciliation of final accounts, and annualdepartmental budgets.

• Develop and initiate action as necessary to deliver financial targets and highlight anypotential budget issues to the Director of Commercial.

4) Events

• Work closely with the Senior Events Manager, Hospitality Events & MarketingCoordinator and Benugo General Manager to ensure the smooth operation of allevents taking place at the London Coliseum.

• Coordinate meetings and liaise with external companies and clients wanting to bookrooms and bar spaces for meetings, events, conferences, filming and photography.

• Manage the room booking system (condeco), cross referencing with Company Officesystems during Opera season.

5) Management Presence

• Carry out occasional management presence duties. This involves being the senior on-site contact in the event of business interruption or evacuation

Person Specification

Essential Knowledge/Skills and Experience:

• Relevant administrative experience within a high-pressure live commercial business environment, ideally within a performing arts organisation; probably gained with a commercial producer, producing theatre or arts festival.

• Experience of strong project management skills including preparation and management of budgets

• Excellent strategic and organisational skills with experience of long and short-term planning, implementation and delivery

• Demonstrable strategic thinker with a proven ability to problem-solve

• Proven ability to multi-task, perform under pressure, take responsibility and make decisions

• Excellent people and team management skills

with experience of working with commercial

Producers, CEO’s, MD’s and General Managers

• Knowledge of London’s West End and Broadway, dance, opera and ideally experience of working in one or more of these art form environments.

• Highly proficient Microsoft Office user, Word, Excel and PowerPoint skills

Desirable:

• A strong network in West-End, Off West-End and Fringe
