  • 1 - EngageOne®

    Interactive EngageOne Interactive allows front-office users to create customized communications via EngageOne Compose. Once logged into the system, you can create a new customer communication based on templates selected from a content repository and provide additional information by one of the following options:

    • adding data, by selecting options from various prompts, then previewing what the final document will look like.

    • using the interactive editor

    Note: The interactive editor provides an accurate view of the final printed communication and is based on the rules and controls specified within the template, you can modify certain aspects of the document as needed. The interactive editor is only available when using Internet Explorer and its availability will depend on your organization's EngageOne Interactive configuration.

    When the communication is finalized, it can be delivered through the various delivery channels

    Getting started

    The EngageOne Interactive application runs in your local browser. The available views will dependon the access rights assigned by the EngageOne administrator.

    To launch the application:

    1. Enter the URL provided by your EngageOne administrator into your web browser, the logon screen is displayed.

    2. Enter your usual network user name and password. 3. Click Sign In.

    User accounts and passwords

    Those who work with EngageOne Interactive need their identifying roles and permissions allocatedto their normal network log on details. If you have problems with logging in, contact your EngageOneadministrator.

    Time-out You will be disconnected from your session after a default 20 minute period of inactivity unlesschanged by your EngageOne administrator. If your session has been timed-out you will need to login again to continue working. If you were currently editing a document any changes you made maybe lost, it is therefore important to save your document at regular intervals.

    Supported web browsers

    The following is a list of browsers that may be used to run the EngageOne 4.4 Interactive app:

    • Internet Explorer 11 • Google Chrome • Mozilla Firefox • Microsoft Edge

    Note: For browsers running under pre-Windows 10 operating systems: if the Interactive Editor ActiveX control is to be downloaded and installed directly through the browser, or if you wish to use the Interactive Editor desktop program, then Windows update KB2999226 must be installed.

    The Home page

    The information you see on this page will depend on the permissions assigned to you by your EngageOne administrator. The Home page is divided into several areas that allow you to view details on:

    Favorite Templates

    Templates are used to create your final communication based on the selected template's predefined format. Initially, this area of your Home page will be empty and is populated when you mark a template as a favorite. If your list is empty or the template is not presented, click Browse all templates to search through all available templates. You can view a sample template, and assign favorites in this area of your Home page. Refer to Templates on page 25 for further information.

    Search Archives

    You can use EngageOne Vault to search archived documents from a selected database and view them based on month or communication type. Note that Vault must be installed for the Select Archive pane to be available. Refer to Search Archive on page 67 for further information.

    Communications

    Communications are created from predefined templates and are progressed through a set of predefined states before delivery to your customer. Refer to Communications on page 19 for further information.

    Tasks

    Tasks allow users to participate in processes that manage the life-cycle of a communication from design to delivery. For example, as a front office user you may be adding information to your communication but before it can be delivered it must be reviewed and approved. In this scenario a Task will be created and assigned to one or more reviewers. Refer to Tasks on page 13 for further information.

    Awaiting Delivery

    The Awaiting Delivery pane presents documents that have been submitted for delivery but have not yet been delivered. Refer to Awaiting Delivery on page 62 for further information

    Finding, organizing and selecting

    Interactive provides facilities to help you create documents quickly and efficiently.

    Search options

    You can assign favorite status to specific templates and delivery methods allowing you to find regularly used items. Favorites are presented at the beginning of their selection lists.

    Search options

    Enter all or some part of the name of the item you are searching for. Search results are dynamically matched on the search string entered. If the name is partially entered, it will be treated as if a wildcard were applied at the beginning and end of the entered characters.

    Favorites Displays items that have been assigned as favorites; these are presented in most frequently used order.

    All Allows you to browse through a predefined folder structure containing all your items. Note that the folder structure you see is configured by the EngageOne administrator.

    Favorites

    You can add a template to your favorite list by selecting a template and clicking on Favorite from the Select Templates page.

    Preview

    To help identify the template you wish to work with, a sample is provided when the template is selected on the Select Templates page. Click on the sample image to view a full size sample of the document. You can also choose to open a sample your document in an external PDF reader or download it via your browser.

    Selecting assets from a list view page

    You can select a single, multiple or all assets from a list view page by clicking on one or more selection boxes adjacent to the required item(s). If you want to select all items on the displayed page click on the selection box in the header area of the list view, as highlighted/circled in the image below. It is important to note when clicking all items checkbox, only those items on the page are selected and not all items that match the selection/filter criteria in the database.

    Working with the calendar control

    Certain entry fields in the system require date input. To assist with this type of data entry a calender control is provided. Keyboard shortcuts can be used to access and navigate this control quickly without the aid of a mouse.

    Roles and responsibilities

    This section identifies the roles and responsibilities of users who access EngageOne Interactive.

    Front office users

    As a Front Office user you will be responsible for creating communications based on predefined templates.

    You will typically:

    1. Select Template Choose the template to work with either from the Home page, or click Templates from the menu bar. Use the search option if required. Refer to The Home page on page 5 , Working with templates to create a communication on page 27 and Finding, organizing and selecting on page 6. Click Next.

    Note: If you have selected a template that does not work with Cross-Browser support you will get a warning message here.

    2. Customer Keys In cases where data is pushed through the system, you may need to verify for data accuracy or enter missing data before the communication is edited. Refer to Editing and confirming data on page 29 section. Click Next.

    3. Customer Details Verify the data for accuracy and edit if necessary. In cases where not all of the data is pushed through the system, more data may need to be entered or verified before the communication is edited. Refer to Editing and confirming data on page 29. Click Next.

    4. Edit Communication Create the document based on the selected template. Refer to Editing communications on page 32. You have the option to save the communication to work on at a later point or, Submit for Delivery.

    Note: If you have selected a template that does not work with Cross-Browser support you will get a warning message here.

    5. Submit the document for delivery. Refer to Selecting delivery options on page 60.

    Note: The steps presented to you will depend on how the template has been defined. For example, the Customer Keys and Customer Details options may or may not be available.

    Reviewer

    As a Reviewer you will be responsible for the approval or rejection of

    You will typically:

    1. Claim tasks assigned to you or a group you participate in. 2. Approve or reject /communications based on the steps defined in the workflow associated with

    the task you have claimed.

    Working with tasks

    From the Home page you can view all the tasks that have been assigned to you, or tasks that areavailable for selection in the Tasks pane. More detailed information can be viewed by selecting the Tasks icon from the navigation bar on the upper part of your screen. In both the Tasks pane andlist views, status information is presented. Refer to Claiming tasks on page 17 for further information.

    Tasks list view

    Select the Tasks icon from the navigation bar on the upper part of your screen you to view a listof task details. The following table describes the columns presented in the Tasks list view.

    Column heading Description

    Name A unique name is generated for the task. This can, in a template design review scenario be the name designated by the Designer user or generated by the system. Click on the Name to claim the task if it has been assigned to you or a group you belong to.

    Note: If you wish to view the information about the task without claiming it, click Details link

    Submitter The name of the user that submitted the task.

    Subject The name of the template that was used to create the communication.

    Type Document Review or Template Review are possible task types.

    Step The name of the step in the process currently associated with the task. Processes can have many steps.

    Assigned to The name of the user that the task has been assigned to.

    Status The status of the task indicates whether you can claim the task or not. Refer to Claiming tasks on page 17 for further information. Note that completed tasks are removed from the lists.

    Created date The date the task was created. Hovering over the date column presents a tooltip showing the date and time.

    Note:

    • Use the button to search for a specific task by its name. Search results will be dynamically matched on the search string entered.

    • All columns can be sorted by clicking on the column's heading.

    Task reassignment

    To reassign a task, use the check box associated with a task in the list view; this allows you to select one or more tasks for reassignment. Click the button to assign the task to the appropriate user. Matching users are displayed according to the characters entered in the Search field.

    Your ability to reassign tasks will depend on one of the following:

    • if the task is assigned to you • the type of task intended for reassignment and your role, as follows:

    • Document Review tasks can be reassigned if you are a:

    • Document Manager

    • Template review tasks can be reassigned if you are a:

    • Project Manager • Community Administrator

    Filters

    Filters are available on this page allowing you to control which tasks are presented in your list view. The Tasks that are available for you to view will depend on your role assignment. Administrators are allowed to view all tasks that have not yet been completed.

    Available filters are as follows:

    Filter Description

    Submitter Allows you to filter tasks by Submitter.

    Subject Allows you to filter tasks by Subject.

    Created date A range of date options are available with this filter, for example:

    • Today • This Week • Last Week • This Month • Last Month • Before Last Month

    • You can apply multiple filters to further control the tasks presented in the list view. • You can remove filters either by clicking on the X symbol associated with the particular filter in the Applied filters list or, by removing the selection in the Available filters pane.

    • To facilitate the use of the Submitter and Subject filters, use the associated Lookup… link to search for these items. Note that the lookup will match as you enter characters.

    • The filter(s) you apply will be preserved and applied to Tasks list for the duration of your browser session.

    • A list of the five most recently used Submitter and Subject filters is presented. Note that the list will start off empty and will be populated as you apply filters.

    Claiming tasks

    By claiming a task, you are indicating that you will be performing the task. Tasks remain on the task list as long as there are additional users who are eligible to perform it. Tasks that only need one person to approve will be removed from all other users task list, however if all of the users in group must approve a task, then it will remain until all approvals have been made.

    To claim a task: clicking on the task's name instructs the system that you have claimed a task. If you have clicked on the task in error or decide not to go forward with the process, click Cancel Review.

    Tasks statuses

    A task exists in different states during its lifecycle, as follows:

    • The possible actions listed in the table above will be dependent on the permissions assigned to you by your system administrator.

    • For tasks that are assigned a status of To do (others), in addition to its details, you will also be able to view the task's history as shown in the screenshot below:

    • The Asset field within the Details section can either be a template and active content name. When the asset is of type active content, the field Preview Template shows the name of the template used to present active content changes.

  • 3 - Communications A communication is created from a template and delivered to your customer at the end of the communication's lifecycle. The communications presented to you are those that have not been finalized and require action. For example, you may have started working on a document and then decide to save it to resume work on it at some later point. A communication will be created indicating that the document has still to be finalized with the appropriate status assignment. Refer to Communications statuses on page 21. When the communication has been delivered it will move from the communication view to the awaiting delivery view and will be held there until it has been successfully delivered.

    Working with communications

    From your Home page you will see all the communications you are responsible for in theCommunications pane. You can view more detailed information by selecting the Communications

    icon from the navigation bar on the upper part of your screen. Unless you have been assignedthe appropriate role, you will only see the communications that are assigned to you. In both theCommunications pane and list views, status information indicates where the communication iswithin its lifecycle. Refer to Communications statuses on page 21 and Communications list view on page 22 for further information.

    Communications statuses are presented in both the Communication pane on the Home page and the list view. The following table describes each of the possible statuses assigned to the communication over its lifecycle. Note that the actions you will be allowed to carry out will depend on the permissions assigned to you by your system administrator. Possible actions are determined by your permissions. The actions listed are invoked when clicking on the Name link from the communications pane and list views.

    Communications list view

    The communications list can be viewed by selecting the Communications icon from the navigationbar on the upper part of your screen. You will be presented with a list view showing details for thecommunications assigned to you or a group you belong to.

    List view columns

    Column heading Description

    Name The name of a communication is generated at run time based on configuration settings.

    Template The name of the template used to create the communication.

    Assigned to The name of the user that currently owns the communication and is able to take the next action on it. When the communication is initially created from the template, this will show the name of the user that created it. Administrators can reassign responsibility for a communication to another user.

    Column heading Description

    Status The current status of the communication. Refer to Communications statuses on page 21. A communication exists in a number of statuses over its lifecycle in a specific chronological order. When using the sort option, the results will be presented in the order statuses are applied to a communication over its lifecycle, i.e. from New to Delivered.

    Created date The date that the communication was created. Hovering over the date column will produce a tooltip that will also show the time.

    Updated date The date that the communication was last updated/modified. Hovering over the date column will produce a tooltip that will also show the time.

    • Non-administrative users will only be allowed to view all communications assigned to them • Administrators can view all communication that have not yet been delivered

    • Administrators can delete communications, select the required communication(s) and click .

    • Click on to reassign the one or more communications to a user who can work on all communications.

    • Click on to search for a specific communication by Name. Search results will match on the search string as characters are entered.

    • All columns can be sorted by clicking on the column's heading.

    Filters

    Filters are available on this page that allow you to control which Communications are presented in your list view.

    Filter Description

    Assigned to The possible filter values are any registered user of EngageOne® Compose.

    Template The possible values are the names of the templates (not including the path) that have been imported into EngageOne Server using EngageOne Admin.

    Created date A range of date options are available with this filter, for example: Today, This Week, Last Week etc.

    Modified date A range of date options are available with this filter, for example: Today, This Week, Last Week etc.

    • You can apply multiple filters to further control the communications presented in the list view.

    • To facilitate the use of the Assigned To and Template filters use the associated Lookup… link to search for these items. Note that the lookup will match as you enter characters.

    • You can remove filters either by clicking on the X symbol associated with the particular filter in the Applied filters list or, by removing the selection in the Available filters pane.

    • The filter(s) you apply will be preserved and applied to both the Communications and Tasks list views for the duration of your browser session.

    • Filters may appear multiple times with the same name. For example This Week is presented twice in the Applied filters list, once for the Created date and also for the Modified date. A tooltip is displayed for each filter to help you identify each filter.

    • Filters are controlled by radio buttons such as Created Date and Modified Date, once applied they can only be removed by from the Applied filters list.

    Working with communications created from external data

    In certain circumstances, external data can be pushed into Interactive to create a communication. A Start Communication tooltip is displayed when hovering over the communication's Name on the Communications list view. This tooltip is displayed when the communication is assigned to you and is in a New or Active New state.

    To start working on the communication:

    Click on the Name field in the list view to display details for the selected communication.

    Click Start Communication to start working on the communication.

    Note: If the communication is not assigned to a user, the community administrator will have to make the appropriate assignment.

  • 4 - Templates As a front office user you will use a template as a base document to create your final customer communication. The template will typically contain static content together with predefined sections that allow you to enter customer data using interactive prompts.

    Select Template page

    You can navigate to the Select Template page by clicking the Templates icon at the top of any Interactive page, or by clicking Browse all templates... from the home page.

    From the Select Template page you can:

    • View all the templates in the system by selecting All. • View templates you have marked as your favorites by selecting Favorites. • Search for a specific template by selecting the magnifying glass icon. For more information on searching for templates, refer to Search options on page 6 for more information.

    Once you select a template from the list, further information about that template will be displayed in the right-hand pane. From here you can click on the thumbnail of the document to view a sample of the document, or select the slider under Favorite to add this template to your favorites list.

    Working with templates to create a communication

    From your Home page you can either select a template to work with from a list of favorite templates, or browse for a particular template using the Browse all templates... link. The Templates page presents a list of templates you can choose from to create your communication. Use the standard search options if the required template is not visible, refer to Finding, organizing and selecting on page 6.

    Sometimes there are different versions of the same template that are valid for specified date ranges. These are set by the EngageOne® administrator. If you select a template with this type of versioning you will be asked to provide an effective date, which is the date from which that template is valid. You can either enter the date manually, or use the calendar control. The acceptable date formats will depend on the locale of your browser.

    To select and work with a template:

    1. Click the required template from the template list or select a favorite template. 2. Optionally sample the template by clicking the thumbnail image, refer to Viewing template

    samples on page 27 . 3. You may be required to enter Customer key/details. Note that this will depend on the how the

    template is designed. Refer to Editing and confirming data on page 29 for further information. 4. Click Next to open the template in the interactive editor. Refer to Working with the editor on

    page 36, and Creating editable paragraphs on page 49 for further information. At this point your communication has been created and will appear in the Communications pane of the Home page and in the communications list view. Refer to Communications on page 19 for further information.

    Viewing template samples

    To help identify the selected template, descriptive information about the template and sample preview options are presented from the Select Templates page. Template samples are static representations of a completed template, they remain the same regardless of the information that has been entered into the communication.

  • 5 - Editing and confirming data When you select a template or edit a commutation you will be guided through a series of data entry pages. The first two pages, Customer Keys and Customer Details are optional. Any integrated data existing on these pages only displays if the template designer defines form prompts in the associated template.

    Pre-populated data may need to be verified for accuracy or new information may need to be entered in the event that not all of the information has been provided for you.

    Note: The Customer Keys and Customer Details pages will depend on how the template was defined.

  • Editing communications

    The editing experience

    There are a number of ways in which a communication can be edited through the Edit Communications page:

    • Using the Cross-Browser editing functionality that supports most mainstream browsers, such as Chrome, Firefox and Edge. In this mode editing is done by selecting options from available prompts, then previewing what the final document will look like. Refer to Cross-browser interactive data field editing on page 58 for detailed information on using this form of editing.

    • Using an embedded, EngageOne® Compose ActiveX editor, a fully featured interactive editor which provides an accurate view of the final printed document. You can make changes to your communication in real-time without the need to open a separate preview of your document. This mode requires the installation of an ActiveX component, which can be installed on demand, but is limited to the use of Internet Explorer. Refer to Using the Editor on page 34 for detailed information on using this form of editing.

    • Using the EngageOne® Compose Interactive Editor, a desktop program that is installed on your computer. This provides all of the features of the embedded editor above but with the flexibility of browser choice provided by the Cross-Browser option. Refer to Using the Editor on page 34 for detailed information on using this form of editing.

    The type of editing experience you see will depend on your organization's specific policies and is configured by your system administrator.

    Using the Editor

    The EngageOne Compose Interactive and EngageOne® Compose ActiveX editors have identical editing functionality. This section provides details on how to use the features for both editors.

    When using either of the editor types, the Edit Communication page allows interactive editing of communications, such as the following:

    • Create/edit your document based on the selected template using the interactive editor. Your document will contain interactive data which can be added/selected based on the communication with your customer. Refer to Working with the editor on page 36.

    • Add/select interactive data, refer to Interactive data entry on page 45. • Add/edit free format text, refer to Creating editable paragraphs on page 49. • Save the document. You may also have the option to save the current document as a template (Save as template). This option is only visible if your community administrator has given you the Editor with saving new templates role permissions.

    Save as template When you save a communication as a template, any attachments that were added to it will not be saved with this new template. If you need to add attachments to this new template, create a new document and add attachments there.

    Save for Later Use the Save for Later option to save the document for later use, your document will then appear in the task pane on the Interactive home page.

    Note: When the Save for Later option is selected, a communication will be assigned a status of Active Complete rather than Active Incomplete when:

    • all required fields have been completed • the communication contains incomplete fields with default values. When the communication is saved, these fields will be assigned their default value.

    • Manage Attachments: View previously attached files to this communication, add, delete, and link to existing attachments.

    • View attachments: If attachments have been added to the communication, you will see the list of those attachments for that communication. Click any of these attachments to have them downloaded to your browser.

    • Add attachments: Click Attach file to search and one or multiple files from your local machine and click Open. The file(s) you select will appear in the Attachments pane.

    Note: The order of the attachments is controlled by the order in which they are uploaded. To reorder the attachments, select the file and use the Up or Down arrows in the Attachments panel to change the order.

    • Delete Attachments: You can select one, several, or all files for deletion. To delete attachments, select its check box and click the trash icon.

    • Associate a free format note to the document. • Retrieve documents from a particular database using the Search Archive option. Note that you will only see this option if you are a Vault user and your community administrator has granted you the appropriate rights. See the Search Archive section for more information on using the Archive.

    Note: If you select a communication that has not been assigned to you, you will be directed to the Communication Details page related to that communication.

    • Work with communications containing video links

    Video links are presented in the interactive editor as either a QR Code, an image link or a text link (depending on how the template has been designed). It is important to note that any video link in your communication cannot be used to browse to the personalized video until after the communication has been submitted.

    Note: In a situation where a communication has been rejected after submission for review, inconsistent results may occur if you use any video link in the communication to browse to a personalized video prior to submission.

    Using Save as template option preserves any video configuration that may have been performed on the original template in the newly created template.

    Working with the editor

    You can search and make changes to free-form text in your document by using the find and replacefeature. You can replace specific instances or change every occurrence within the editable text area.

    Be aware that if any font is used that is not installed on your machine, a warning message is issued when loading the template: The following fonts are not installed on your system, substitutes will be used. You can suppress this message by activating the Do not show this again check box and the nearest font substitute will be used. You can reactivate suppressed messages by selecting Tools/Enable suppressed messages from the editor toolbar.

    Editing features

    The editor provides standard editing features that enable you to create, view and edit free-form text in your documents. The menus and toolbars give you access to all the editing options. The layout of these can be customized to some extent.

    Text can be copied and moved by selecting it and using the clipboard as a temporary store for it. If you make a mistake when editing, you can retrace your steps using the undo and redo options.

    Menus and toolbars

    The menus give you access to most of the editor functions and commands. You will also be able to access many of these using the toolbar buttons or keyboard access keys, both of which will be shown on the menu. Note that you may have to press the Alt key in order to see the access keys.

    Buttons are grouped together into a range of separate toolbars that cater for a particular group of editor functions. You can hide toolbars that you don’t need to work with to simplify the layout, or to make more space for the editor window. For instance, if your design does not include any editable text you may want to hide the text formatting toolbar. You can also move the toolbars in relation to one another to suit your own style of working.

    To hide or display the menus: right-click in the toolbar and clear or select Menu.

    To hide or display a toolbar: on the View menu click Toolbars and then clear or select the relevant toolbar check box.

    To move a toolbar: drag its docking bar to a new position.

    The interactive toolbar

    The interactive toolbar allows you to select the required prompt for entering the responses from your interaction with the customer. The pushpin button indicates the interactive dialogs and they can be toggled on and off by clicking on the pushpin button, or on the View menu click Show Push Pins. You can select an interactive location from the drop-down list to display it directly for editing. The Show Prompt button will take you to the last interactive location selected.

    Selecting text

    When you want to move, delete, or overwrite text you must first select what you want to work with. You can do this either by using the mouse or via the keyboard, see Keyboard Shortcuts on page 40 for more information.

    To select text using the mouse: use one of the following shortcuts:

    Anything: drag across it from beginning to end.

    A word: double-click in it.

    A paragraph: triple-click in it.

    Start a selection: click at start of selection.

    End a selection: hold down SHIFT and click at end of selection.

    To cancel a selection: click anywhere else on the page or press any arrow key.

    To delete selected text: use the Delete key on the keyboard or click Clear from the Edit menu.

    Using the clipboard

    You can copy, cut and paste text into an editable text area using the system clipboard. This is an easy way of transferring content both within the editor and to and from other applications.

    Undo and redo

    If you create, edit or format a design element by mistake, you can reverse the action by using the Undo command. Similarly, if you undo an action by mistake, you can use the Redo command to switch back again. You can undo actions progressively, each time restoring to the state before the previous change was made, up to a limit of 10 previous actions.

    To undo an action: click the Undo button or on the Edit menu click Undo. Note that the action that will be canceled is shown in the Undo command.

    To reverse an undo action: click the Redo button on the Edit menu click Redo. Note that the action that will be reversed is shown in the Undo command.

    Find and replace You can search and make changes to free-form text in your document by using the find and replacefeature. You can replace specific instances or change every occurrence within the editable text area.

    To find and replace: from the Edit menu select Find and Replace.

    Boundary indicators You can optionally choose to show the outline of layout areas such as text boxes, address blocks,charts and so on. Boundaries are indicated by a gray outline around the layout area.

    To switch boundaries on and off: click the toolbar button -or- from the View menu choose Show Boundaries. Note that by default boundaries are switched on.

    Localized paragraphs

    If your document contains localized paragraph variations you can select a particular language option to present the localized content. Use the Select Document Language drop-down list to control the way in which localized paragraphs are presented as follows:

    Customer Language – this is the default setting and indicates that localized paragraph variations will be presented according to the locale set by the data processed by the document template.

    Current interactive editor language – you can select the language of your installed interactive editor interface but it is important to note that this option is only available if the document contains paragraphs configured in interactive editor language.

    Keyboard Shortcuts

    You can use keyboard shortcuts to move the focus to a frequently used toolbar and menu options without using the mouse.

    To activate the menu bar via the keyboard: Press the Alt key once, each menu option is identified by a single underlined letter which indicates its shortcut key. Pressing on the Alt key again will return focus to the editor.

    To navigate the menu bar via the keyboard:

    1. The required menu is presented by pressing the appropriate shortcut key. You can navigate between menu options using the Left and Right keys.

    2. You can navigate through the menu using the following cursor keys:

    • Use the up and down arrows to move up and down the list of menu items • Use the Esc key to cancel the menu

    • Use the Right or Enter keys to open a sub-menu • Use Left or Esc keys to close a sub-menu and return to the parent menu.

    Interactive data entry

    There are four types of interactive data entry that you could be presented with when working with your document:

    • Integrated data - Integrated data on page 45 • Prompted data - Prompted data on page 47 • Optional text - Optional text on page 48 • Free-form text - Free-form text on page 49

    Working with interactive data

    Any interactive (editable) data is identified on the document using pushpins. Green pushpins indicate data that has already been entered. White pushpins show positions where data input is still required. A larger version of the pushpin indicates the current active prompt. This can be green or white depending on whether data has already been entered or not. You can toggle pushpins on and off as required using the pushpin icon on the editor toolbar. The following diagram illustrates the use of pushpins.

    The acceptable data format for interactive data depends on the Windows operating system locale. Formatted data displays based on the document locale. For example. if your operating system locale is German and your document locale is English, you can enter "10,2" as a valid decimal number and EngageOne Interactive displays the value as "10.2". If the same document is opened on a system where the operating system locale is English, you can enter "10.2" as a valid decimal number and EngageOne Interactive displays the value as "10.2".

    Integrated data

    If data needs to be gathered from an external source, like a customer’s name and address file, you will first have to provide information to open the document in the interactive editor.

    Integrated data is optional and only displays if the template designer defines form prompts in the associated template. Any document based on a template that includes form prompts will display the integrated data before the editor starts.

    Prompted data

    Data prompts allow you to provide information relevant to the current exchange, which is not available in your administrative system. If a prompt is defined as Lock value in the template, after a value is entered in the field, the value cannot be edited.

    The various types of prompts you might see are:

    • lists with radio buttons, with check boxes, from a drop-down • a prompt group, where you can collect multiple values in a single prompt dialog • a date selector and/or time selector • text or numeric prompts.

    The illustrations below show each type of prompt.

    Optional text

    Optional choice lists are used to drive interaction with the document you are building. For example, if you select a particular item from the list, the paragraph content is automatically visible in the document. Paragraphs can be included or excluded based upon your selection. There can be conditions associated with optional content, such as new lists that appear based upon a selection, options that appear later in the document, or even disappear after you make a selection.

    In the following example you are presented with a list of six different items representing paragraphs that could be included in the document. Only those items selected using the check boxes are included in the document when the Forward navigation arrow is clicked, or the Tab key is used.

    When you have a long list of options and the template design allows it, you can control the option list by typing your search criteria in the filter control box. Only options that contain the letter(s) you typed into the box will be displayed. For example, type in ‘for’ if you want to display only those options that have words containing the letters ‘for’. Note that the filter is not case sensitive.

    Free-form text

    Free-form text can be entered within the body of a paragraph or as a new paragraph on its own if it has been perdefined in the original template design as unprotected (identified by a yellow background). This means you can type content into a free-form text area, or copy and paste it in from an outside source such as a Word document or a web page.

    A spell check is available within the editor to check all your entries. You may also need to apply formatting after inserting text from another source, for example, if the font and text formatting is not already included in the template. See Working with the editor on page 36 for more details.

    Creating editable paragraphs

    Paragraphs of editable text are created by typing with the insertion point positioned in the free-form text area. A new paragraph is automatically created when you press the return key.

    Text will automatically wrap onto new lines when the available width is exceeded, although you can force particular text strings to be kept together on the same line if required. Pressing the Shift and Return keys together forces a new line without creating a new paragraph.

    When you start typing, the text is created using the active format – the font being used, its style, color and so on. You can change the format at any time or amend the format of existing text as required. Note that when you move the insertion point into existing text, the current format will be picked up from the text to the right of the insertion point. You can, of course, change the format before typing. Text attributes are normally specified using the text formatting toolbar.

    Entering and formatting text

    Changes to the formatting of text will be applied to any highlighted text, or, if none is highlighted then to any new text that is entered at the insertion point.

    To show the text formatting toolbar:

    select View/Toolbars/Text Formatting from the menu.

    To adjust the formatting of text:

    highlight the text to be changed and use the text formatting toolbar options.

    To stop a line breaking at a space:

    use Shift+Ctrl+Space to insert a non-breaking space character.

    Note: If you apply Keep together to a data field it will be applied to all the text inserted by the data field.

    To keep text together:

    highlight the relevant text and on the Edit menu select Keep together or use the Keep together button on the text formatting toolbar. This replaces all spaces with non-breaking spaces to keep as much of the text as possible on a single line. Hyphenation will not be applied. Note that the keep together attribute will remain in force and be applied to all new text until specifically cleared.

    Color

    The Colors dialog box enables you to select from existing default colors or you can create your own custom colors. Colors can be specified in either CMYK or RGB color models.

    • Custom colors can be created by entering the specific CMYK/RGB values or by selecting the color from the spectrum.

    • The Standard Colors cannot be edited or deleted. Custom Colors are listed with their CMYK or RGB values and can be deleted.

    Formatting marks

    Formatting marks are non-printing characters that indicate controls within paragraphs such as end markers, spaces, tab characters and so on. Displaying them shows you exactly what you have typed and can help to highlight layout problems, for example, where you have typed several spaces rather than a tab character. Hiding them shows you more how the finished document might look. Even if formatting marks are showing, they will not be in the final output.

    To show/hide formatting marks:

    click Formatting Marks or select View/Show all Paragraphs to switch them on or off.

    Spell checking

    Spell checking is performed using the language dictionary associated with the template.

    If text is selected, then only this will be checked, otherwise, all text will be checked.

    To run the spell checker:

    on the Tools menu select Spell check or click the Spelling icon.

    • You can type in the word you want here and click Replace, or select one from the list below and click Replace.

    • You can toggle from Upper case to Lower case and accept as required by clicking Replace.

    Positioning text

    Paragraphs of free-form text are positioned in relation to one another and the edges of the document. You can customize how they are aligned (or justified) between the left and right edges and any indentation to be used from those edges.

    Tab stops can also be used to align text within a paragraph.

    Be aware that you can only format the paragraph (e.g. align, indent etc.) if the entire paragraph is editable.

    Paragraph alignment

    Paragraphs are aligned between their left and right indentations – shown as on the ruler. Alignment is applied to the whole paragraph, so if you want a different layout for certain lines, you must create a separate paragraph for them.

    To align a paragraph:

    use one of the following buttons on the Text Formatting toolbar:

    – or – on the Format menu click Paragraph. In the Presentation section of the Paragraph dialog box set the required Alignment option.

    Spacing

    You can specify both space before and after a paragraph, and space between lines within a paragraph.

    For paragraphs you can specify both the amount of space to be inserted after the preceding paragraph, and the amount of space before the following paragraph. If consecutive paragraphs have conflicting 'before' and 'after' values then the greater value will be used – for example if two paragraphs have the space above set to 0.1" and the space after set to 0.2", then the paragraph spacing will be 0.2".

    Line spacing determines the space between the lines within a paragraph.

    Single: represents the standard amount of line spacing for the largest font in the paragraph. 1.5 lines and Double are increments of this default.

    Multiple: as for Single, but uses the value specified as a multiple of the line, e.g. 1.2 will increase the line spacing by 20%; 0.8 will decrease it by 20%.

    At least: lines will be spaced by at least the specified amount, but will be more as required by the content of each line.

    Exactly: lines are spaced using the specified value, regardless of the size of the content of a line.

    Note that only Exactly will space all the lines in the paragraph the same. All other settings can produce different line spacings within a paragraph depending on the content of each individual line, for example if there is an inline graphic.

    Line spacing is measured from the bottom of the line upwards, so if you specify a value in At that is much larger than the font, the additional space is above the line. This can affect the gap between paragraphs as the paragraph spacing is applied in addition to line spacing.

    Paragraph and line spacing should be used in preference to inserting blank paragraphs between text, as it gives more control over the overall layout on the page. For instance, if a paragraph doesn't quite fit you may be able to reduce the paragraph spacing and the line spacing so that it does – say by using Multiple to reduce the line spacing by a small amount, e.g. 0.7 of a line.

    To adjust paragraph or line spacing: on the Format menu click Paragraph. In the Paragraph section of the Paragraph dialog box set the required Spacing options.

    Indentation

    Paragraphs of editable text are, by default, positioned at the left and right edges of the template’s page margins. However, you can specify a gap between these edges and the editable paragraph by applying indentation.

    To indent an editable paragraph: move the left and right indent markers on the ruler to the required positions – or – on the Format menu click Paragraph. In the Indentation section of the Paragraph dialog box set the Beforetext and After text indentation.

    Indenting the first line

    You can indent the first line of an editable paragraph in relation to other lines it contains.

    To indent the first line: move the first line indent marker on the ruler to the required position – or – on the Format menu click Paragraph and select First Line from the Special indentation drop-down list. Enter the amount to indent in the By field.

    Hanging indent

    A hanging indent is where all lines except the first one are indented. The hanging indent is measured from the left, or first line indent.

    To create a hanging indent:move the hanging indent marker on the ruler to the required position – or – on the Format menu click Paragraph. Select Hanging from the Special indentation drop-down list. Enter the amount to indent in the By field.

    Tab stops

    Any number of left tab stops can be specified in a paragraph.

    Be aware that when using tabs in editable text you must use Ctrl+Tab, otherwise you will move forward to the next interactive prompt.

    If there are no tab stops specifically set in a paragraph, then, by default, tab stops will be set at regular intervals on the ruler.

    To insert a tab stop: click the tab selector on the ruler until the required tab stop is shown. Then click on the ruler at the position where you want to place the tab stop. The tab stop will be inserted on the ruler.

    To move a tab stop: select the tab stop on the ruler and drag it to its new position.

    To remove a tab stop: select the tab stop on the ruler and drag it off the ruler.

    Bullets and numbering Bullets or numbering can be applied to editable text paragraphs if you want to emphasize them or to create lists.

    When they are applied the paragraph indentation will automatically be changed to suit. Numbering can be reset at any time back to '1' and you can add a character to follow the number, for example, a dot.

    To set bullets or numbering: use the Bullet or Numbering toolbar buttons – or – on the Format menu click Paragraph and on the Numbering/Bullets page select the style that you want.

    A hanging indent is automatically applied with a tab between the bullet/number and the text.

    To format bullets and numbering: on the Format menu click Paragraph and on the Numbering/Bullets page select formatting as required.

    To turn off bullets or numbering: de-select the appropriate toolbar button. – or – on the Format menu click Paragraph and on the Numbering/Bullets page select None.

    Pagination

    There are various options you can use that affect how a paragraph is positioned and the text flow. You can force the paragraph to start at the top of a page, keep a minimum number of lines together if a page break splits a paragraph (widows and orphans), or never allow a page break to split a paragraph so that the entire paragraph is kept together.

    You can also specify that a paragraph is always kept with the following paragraph.

    To control pagination: on the Format menu click Paragraph and on the Controls tab select the options required.

    Widows and orphans

    Widows and orphans occur when a paragraph is split across a page break, with the bulk of the paragraph on one page and the remainder on the other.

    A widow is a few lines at the beginning of a paragraph that are separated from the rest of the paragraph by a page break. An orphan is a few lines at the end of a paragraph that are separated from the rest of the paragraph by a page break.

    Specify the number of lines that you want kept together at the bottom or top of a page.

    To specify widows and orphans: on the Format menu option click Paragraph and on the Controls tab enter the number of Widow Lines or Orphan Lines required.

    Cross-browser interactive data field editing

    Note: AFP, PCL, PDF, PS, and eHTML devices will be supported for cross-browser preview. Other devices can be used but Preview may not be available.

    The corresponding viewer must be installed and used to preview any of the devices listed above.

    For example, if a PCL device is selected, and a PCL viewer is not installed, the preview will fail.

    For cross-browser interactive data field editing, the Edit Communication page displays various prompts that require input to use for building the communication. The image below shows the types of prompts that you may encounter based on your template configuration:

    From the Edit Communication page you can perform the following:

    • Enter data or edit the default data in the various prompts. • Select Preview to see what the communication will look like based on your edits.

    Note: The preview button will be disabled if any mandatory prompts are incomplete. You can preview if non-mandatory prompts are left blank.

  • Editing communications

    Attention: If you encounter an HTTP 500: Server Error while trying to preview a template, you will need to search for "Doc1gen" in the logfile on the Composition server for clues as to why the error is displaying.

    • Select Save for Later to come back at a later time to finish the communication. • Select Next when finished editing to send the communication to the Select Delivery Option page. Refer to Selecting delivery options on page 60 for more information.

    • You can attach files to the document by clicking on the Attach File icon. • You can view a sample of the document by clicking on the thumbnail of the document. • Select Cancel to close the communication and discard any changes.

  • 7 - Selecting delivery options Delivery options can be made up of one or more delivery channels and are configured by your EngageOne administrator. This means that you do not have to remember all the copies required when a document is submitted for delivery. Delivery channels include locally printing a document, sending a document by e-mail or fax, or sending the document for archiving.

    Note: For EngageOne® Deliver and email the attachments are delivered as a separate file (not appended to the original document).

    Delivery options

    E-mail

    When a document is selected for delivery through the e-mail channel, both the Mail To and Mail From e-mail addresses may already be specified as well as the body of the e-mail itself. Or, you might be prompted for this information. The document format generated depends on the composition device set for the delivery channel. This is configured by the EngageOne administrator.

    Print

    If a document is routed for print, it is sent to the specified printer or if intended for batch printing, to a location where all documents can be accumulated and handled by the normal production process.

    Fax

    The target fax number may already be specified, or you may be prompted for it.

    Awaiting delivery items

    Review the delivery item you have selected. Delivery failure information is also presented. Note that a delivery item is made up of one or more delivery channels as configured by the EngageOne administrator.

    From this page you can:

    • Delete a delivery item in its entirety. • Delete a particular delivery channel. • Manually initiate printing to a predefined print channel. • Place a hold on a particular delivery channel.

    Note: You can use video links to browse to videos when viewing a communication that is awaiting delivery. An indication that there has been a failure to generate the personalized URL would be:

    • if your video link contains a blank • if any video link object defined in the edit communication phase is no longer present

    Such issues are most likely to be caused by invalid or missing video configuration for the template. You should contact your template manager to rectify the video configuration.

    Where the video project has been incorrectly configured you are likely to receive a Video unavailable message when browsing to a video. This type of issue would indicate an EngageOne Video configuration issue, you should contact your the department responsible for maintaining the EngageOne Video Director application in your organization.

  • Awaiting Delivery

    Delivery statuses

    After a document is submitted for delivery it will be delivered to its intended recipient without any further intervention. There may, however, be situations in which documents are not delivered as expected or are awaiting delivery. In this scenario the system will assign a status to the delivery item and it will be presented on the Awaiting Delivery page. Possible delivery statuses are as follows:

    • Delivery failed – the document has been routed to a non-existent e-mail address or incorrect e-mail address.

    • On hold – a request for delivery has been suspended and will not be processed by the system until set to Resume.

    • New – a request for delivery has been created and queued to the system. • Pending Delivery – shows in your active work queue if you requested local print, or if you queued something for batch.

    • Processing – a request for delivery is currently being processed by the system. • Composed – shows for local print delivery items only when the document has been successfully composed and is ready for printing.

    Previewing communications on Awaiting Delivery

    If a communication has an immediate print delivery option, you can preview the communication before delivering it.

    To preview a communication:

    Click on the View Communications link in the Details panel.

    To preview and deliver a communication:

    1. Select the communication you wish to preview. The Task window will open and display the information about the communication.

    2. Click View and confirm manual delivery. A window displaying a preview of the document will open.

    3. If you are happy with the communications preview you can select Confirm Delivery to deliver the document to the printer.

    4. To view the document externally, click Open in external reader.

    Viewing attachments

    If attachments have been added to the communication, you will see the list of those attachments. Individual attachments are denoted by a “file” icon. Click any of these links to have it downloaded to your browser.

    Searching for documents

    Customer documents can be retrieved from the Search Archive pane by searching in the databases provided. To search for documents:

    1. Select a database from a list of applicable databases. 2. Choose a key field (unique identifier such as “address” or “account number” and etc.). 3. Enter the search criteria in the Search for field from the selected databases by entering some

    or all of the search string and click Search. A list of results matching your search will appear. 4. Click the item (based on key field) from the results. A list of folders or communication types will

    be available. Documents are sorted by Month or Communication Type (if the selected database is defined with a communication type).

    5. Click the folder needed (month or communication type):

    • Month: displays the documents arranged in folders with the month and year in descending order. The documents listed in the month folder are listed alphabetically by Communication Type (if configured for communication type) in ascending order.

    • Communication Type: displays the communication type folders in ascending order (alphabetically) and they list the documents arranged by date in descending order.

    If a document has not been set as a particular communication type, it will appear in an Other folder at the end of the list
