Version 12 Only – Import a Journal Terms List:Before you begin entering references into your EndNote library, you may want to import a journals terms list. These lists contain both the full title and the abbreviated title to thousands of journals. Having this terms list in your library allows you to use output styles that require either the journal’s full title or its abbreviation, regardless of how it was entered into the library.

1. Click on “Tools” menu and select “Define Terms List.”

2. Choose “Journals” and click on “Import List.”

3. Locate the EndNote folder by scrolling down the dropdown menu from “My Documents” to the C: drive > Program Files > EndNote X4 (this folder may automatically open for you).

4. Open the “Terms Lists” folder.

5. Select and open a Term List (Medical.txt) as this selection will import the list into your library. You may add more terms lists if you need them by repeating the steps above.

Name your library and click on “Save.”Although you can create as many libraries as you want, it is recommended that you maintain only one. This choice will prevent confusion when adding references to documents. There is no limit to the number of references you can keep in a library. You can create “Groups” within the library for different projects (recommended).

• Importing References from EBSCO Databases:• Go to any EBSCO Database.• Search for a topic.• Select the citations by clicking on “Add to Folder.”• When done, go to the “Folder” on top right corner.• Select the citations and click on “Export.”• Click on “Save.”• Your computer will open the EndNote program. Since it has to force

open the EndNote program, it is smoother and faster to have both EBSCO and EndNote open on your computer before you export the citations.

• If you forget to open EndNote first, its OK - it is just a little slower. EndNote will import your EBSCO citations from your EBSCO folder to your EndNote Library.

Importing References from PubMed: This does not work as smoothly as exporting from. There are two ways to access PubMed and import citations to EndNote.

Access PubMed Directly1. Go to PubMed through the HPD library

homepage & click [Quick Search].2. Type “Measles” in the search box.3. Select a couple of citations you want to

export to EndNote.4. Under “Display Setting” select

“MEDLINE” BUT DON’T CLICK APPLY

5. Under [Choose Destination] select “File”

6. Under [Format] select “MEDLINE”7. Then click on [Create File]

Page 21: EndNote X5 - PC - downloading & basic user guide

Option 2 (performing a PubMed search in Endnote – Note Recommended)

Accessing PubMed through EndNote:• Under “Online Search” select PubMed.• Choose “MeSH Major Topic” in the first field and type “measles” in the search box.• In the second search field, select “Year” and type “2009” in the search box.• Click on “Search.”• In the Confirm Remote Search screen, select the first 5 citations by entering, “1 through 5,” and click “OK.”• First 5 references will be imported to EndNote from PubMed.

8. Click on [Save] > Choose where to save > Save it as a .txt file > **It is recommended that you change the default file’s name or all the files you save

will be labeled as PubMed files and each one you add will override what you already added.

**If you have a popup blocker, you may have to click on the popup blocker bar and continue the download.

9. Go to EndNote > Click on File > Import > File > Choose and select the right file > Click on “Open” > click on “Import.”

10. Citation will be downloaded to EndNote.

Select a Citation Style• Before you begin writing a paper or assembling a

reference list you may select a style from the dropdown menu. – You can choose the style by citation name• American Medical Association(AMA) which is listed as JAMA• American Psychological Association - APA

– You can choose the style by journal name• (Annals of Pharmacotherapy, etc.).

• You can also select this option by going to Edit > Output Styles > Open Style Manager > and then select the styles you need.

You can quickly create a bibliographyby Copy & Pasting Citations from EndNote into Word

• Select the citations you want to copy• Click on the Edit menu (on the top menu bar)• Choose [Copy formatted]• Then open a blank document in WORD and

paste.

Page 24: EndNote X5 - PC - downloading & basic user guide

Finding Full-Text PDF of References:• Highlight the citations you would like to find the PDF for.• Click on the “Find Full Text…” icon• Select Yes.• Now the EndNote will try to look online and all the open sources where

the full-text of these references might be available and attach the PDF to the list of reference.

• You can also increase the chances of you retrieval of PDF by going to Edit>Preferences>Find Full Text>by typing Open URL Path and/or Authenticate with URL. This way EndNote will also try to look for PDF within the NSU Databases.

• Use authentication URL https://novacat.nova.edu/patroninfo• Use proxy setting http://ezproxylocal.library.nova.edu/login?url=%@

**This method sometimes misses a document or two and is therefore not a completely foolproof method of retrieving PDFs

Update References:

• This option is only available in X5 and not in previous versions.

• To update any citation, select the citation>References>Find Reference Updates…>now select the option to update all the fields or only the empty fields.

Cite While You Write: Generating a Bibliography:

After EndNote program is downloaded to your computer your Word program will automatically add an EndNote tab at the top of your document. While you write your paper you can insert citations using this tab or follow the instructions in the next paragraph.

Preferred Method - As you are typing your paper in Word and want to insert a reference –

1. Place your cursor in Word where the in-text citation should go.2. Select the Insert citation icon from the EndNote Toolbar.3. Look for the citation you need to insert.4. Press Insert.

Page 27: EndNote X5 - PC - downloading & basic user guide

Another way to insert citations Go to your EndNote Library and choose the citation you

want >go to EndNote Tools menu > Cite While You Write > Insert Selected Citation

You will be switched back to your Word document. This will generate in-text referencing and bibliography list based on the output style you have selected earlier in EndNote.

To select more than one reference from your EndNote Library, hold down the Ctrl key as you choose the References.

To switch back and forth between Word and EndNote you can use the shortcut keys [alt] + [tab].
