Manage your Endnote Library I

Note: To search remote databases via Endnote, you must:

(A) Download the HKU Connection files

1. Point to the EndNote@HKU page at http://lib.hku.hk/endnote

2. Click on Download Endnote

3. Click on HKU Connection Files

4. Download and unzip the file

5. Add the files to C:\ Program Files \ Endnote X5\ Connections Folder

(B) For remote access

1. Establish a HKU VPN connection before you search.

2. Find out more about HKU VPN

(1) Build your library

Method: Online Search

Database: ISI Web of Science What is Online Search?

Scenario: Sometimes, imported references may have incorrect or missing information. So, always

check whether the imported references are in good order, and amend the references as needed.

Select the database from the list. Then, click on the Choose button.

Enter Web of Science into the search box and then press Enter. (Note: All connection filenames customized for HKU users precede with hkul.)

Complete the Search template.

Click on Online Search icon.

Once the search is completed, it will show the number of records retrieved.

Under Library Links: 1. Enter University of Hong Kong Libraries. Click on Find Library 2. Select University of Hong Kong Libraries - HKU Webbridge.

Under Bibliographic Manager: 1. Select Show links to import citations into 2. Choose Endnote from the pull-down menu.

Once done, click on Save Preferences

Select File > Save a Copy

Before you proceed further, what should you do?

Back up your Endnote Library! (a) Save a Copy Produce a copy of both the enl and the Data folder.

(b) Compressed Library Save as a single file, making it convenient to send it by email.

Select File > Compressed Library 1

Select your options

(a) Create/ Create and Email? (b) All references or selected references from a group? (c) With or without the file attachments?

Note: If recipient of the compressed library does not have access rights to the pdf full text, choose “Without file attachments”.

Scenario: You might spot an error in a reference after you’ve inserted it in your Word document.

Update the reference in the library and the change will be reflected in your document.

Exercise 3

In your Word document, place the cursor where you would like to insert your in-text citation.

Select Insert Citation > Insert Selected Citation(s)

In Endnote, highlight the book “Giant pandas : biology, veterinary medicine and management”.

The in-text citation and the reference will be inserted into your document.

Step 2 Spot the error and make amendments

2 In your Endnote library, update the editor’s name

3 In your Word document, click on Update Citations and Bibliography. The in-text citation

and the reference will then be updated.

Go to your Endnote library. Double-click on the citation for this book.

Click on the Attach Figure icon from the Endnote top icon bar.

(Or, select from the top bar menu, References > Figure > Attach Figure)

Exercise 4 Insert a figure

Step 1: Save the image

1. Go to http://library.hku.hk/record=b3945740 2. Right click on the book cover image

3. Select Save Picture As, and save it to the S:drive

Scenario: You found a graphic from a book that can help you illustrate a concept in your essay. You

can attach the graphic in the EndNote library and then link it to your paper later on.

Choose the image file that you have saved previously.

The image will be inserted into the Figure field. 4

Enter a caption for this figure. 5

More Hints

● You may attach only one image file per reference in your Endnote library.

● Besides image files, you can also attach tables or charts as Figures.

● If you insert an EndNote figure into a Word document with Cite While You Write (CWYW),

the corresponding caption will appear along with the figure in your paper.

Search for the figure (enter words in the caption or the reference).

Step 3: Insert the image in your Word document

From the Citations tab section,

click on Find Figure.

Place your cursor where you

would like to insert the image.

The figure along with the caption will be inserted into the document.

Deleting a Figure from your Word Document

Highlight the entire citation for the figure,

including the surrounding parentheses. 1

Press Backspace or Delete. 2

3 Click on the Update Citations and Bibliography.
