EMPLOYEE - SUPERVISOR HIERARCHY

1. Who is an Employee ?

2. What is a Job ?

A group of homogeneous tasks related by similarity of functions.

3.What is a Position?

A particular way in which someone or something is placed or arranged4.Steps that are required to setup an Employee-Supervisor Hierarchy :1. Create an Employee.

8.Assigning the approval Group to the Job/Position.

9.Create a Purchase Order and send it for approval.

Step 1:

Creating an Employee.

Navigation: HRMS superuser --> People-->Enter and Maintain.

Click Open and select New from the Find person Window.

Enter the details such as Employee Name, Gender, Action( Create Employment),National Identifier number, DOB of the employee etc. and save.

Step 2:

Creating a Job.

Navigation : HRMS SuperUser--> Workstructure-->Job--> Description.

Click Open and New from the find Jobs Window.

Click on Name tab and Update the Job Code and Job Name in the Job flex field and Save.

Flex Field Entry is updated here as shown in the below picture.

Follow the same process to create any number of jobs as required.

Step 3:Creating a Position

Navigation : HRMS SuperUser--> Workstructure-->Position--> Description.

Click on the New button and enter the required data.

Step 4:

Assigning Job to Position. Also Update the Organization , assign the job to the postion and select the status as active.

Enter the FTE(Full time Equivalent) and Head count as stated below.

Repeat the process to create any number of positions as required.

Step 5:

Assigning Job and Position to the employee

Navigation: HRMS superuser --> People-->Enter and Maintain and click Find.

Now click on assignment tab to open Employee to supervisor assignments.

Step 6:

Assigning Employee to the Supervisor.Goto Supervisor tab and enter the supervisor name(A.Banerjee, highlighted in red rectangle) under whom the Assigned employee(Gary Jones in the below picture) works.

Step 6:

Defining approval group and assigning the same to the Job/Position.

Assign the Approval Group to the Job.

Note: For Employee Supervisor Hierarchy the Position field in the above picture shall be greyedout.

This completes the Employee - Supervisor Hierarchy setup.Further Create the Purchase order or requisitons accordingly to test the functionality.

Difference between Job/Position Hierarchy and Employee Supervisor Hierarchy :

1. If the approval hierarchy check box is checked in the PO-->Financial options-->HRMS tab then it is termed as Job/Position hierarchy and if the same is unchecked then it is termed as Employee-Supervisor Hierarchy. 2. For Job/Position Hierarchy the position field is selected during assignment of the approval group and if it is Employee -Supervisor hierarchy then the position field shall grey out.

3. The hierarchy is set in PO Superuser-->Setup-->personnel-->Position hierarchy for Job/position hierarchy and if it is Employee supervisor hierarchy then hierarchy is set in HRMS Superuser --> People-->Enter and Maintain-->Assignments-->Supervisor .
