How do we book our wedding ceremony & reception at Bedern Hall?

Your Wedding

• Reserve your chosen date with us; we will hold it for you for 14 days. • Contact the City Registry Office on York (01904) 654477 and book with them your preferred date and time.

• Come back to us to confirm the details. • Complete the booking form and pay your deposits (non-refundable) - Hall hire £200 deposit, Catering deposit £10 per person (non-refundable)

We can accommodate the following numbers of guests:

• 80 for a ceremony only• 62 for a ceremony and/or seated reception• 85 for a standing drinks reception

Please feel free to contact us at anytime in the months leading up to your wedding – we are here to help you plan your special day.

What’s included in the prices? • Exclusive use of the Hall and its grounds for the period of your hire. • Floral decoration of the Hall to your colour scheme by our florist. Table flowers can be provided at an extra charge. • Guidance and assistance by myself or my assistant for you and your guests on arrival at the Hall, prior to the ceremony and during the reception.

Experience tells us that flexibility is the key to a successful day; we’ll help you plan so that the day is just as you envisage.

• Waitress service by our friendly team of staff. • White table linen and napkins suitable to your colour theme • All crockery, cutlery and glassware for the meal. • Candles where appropriate • Your chosen menu

Hall Hire charges and prices Ceremonies – plenty of time for photographs and drinks after the ceremony. 3 hour hire period starting 1 hour prior to the ceremony - £695

Ceremony & reception – can be extended at a cost of £100 per hour. 6 hour hire period starting 1 hour prior to the ceremony - £895

Reception only – can be extended at a cost of £100 per hour 5 hour hire period starting at an agreed time - £795

Because of the Hall’s location in a residential area, your hire period must end at 10.30pm and the event be finished completely by 11.00pm.

We also have certain restrictions applying to music at the Hall. Please discuss your ideas with us.

All hire charges go towards the upkeep of the hall.

How many guests can we invite?

The Hall hire and catering charges will need to be paid in full 1 month prior to the event.

Information and prices apply for weddings held up until the end of December 2016. Revised rates apply thereafter.

Welcome to Bedern Hall

We hope you will enjoy your time with us and please do not hesitate to ask our trained staff for anything which will help to make your stay more comfortable. We have teamed up with our local wine and spirits company Liquid Indulgence and together we have selected a range of wines from some of the worlds famous private vineyards. We hope that you have some very pleasurable drinking.

Chile Undurraga Chardonnay Alc Vol 13.5%

This Chardonnay is un-oaked, light and fresh and delivers maximum delight from the first to the last glass. Hints of citrus and tropical fruits on the nose. The palate is very generous with very rich flavours. A beautiful off dry wine.

Chile Undurraga Sauvignon Blanc Alc Vol 12.5%

Fantastic Sauvignon, which has been bottled young in order to maintain its distinctive freshness and green overtones. The nose delivers lush ripe citrus aromas and the palate is dry and crisp with zesty fruit.

This wine was made with quality selected Merlot grapes, It has an excellent depth of colour and is full of vibrant dark berry characters. Very well balanced, medium bodied and very easy drinking. A very popular wine.

Chile Undurraga Cabernet Sauvignon Alc Vol 13.5%

This is a very contemporary and easy drinking style of wine with an intense ruby colour and well defined varietal fruit characters on the nose. The palate shows rich, ripe berry flavours and good balance with a hint of liquorice to arouse your taste buds. Very impressive!

Undurraga Carménère 2013 Alc Vol 13.5%

This wine has been made with selected Carménère grapes. A full bodied old Bordeaux grape with great taste and plenty of character. It has a very deep and intense violet colour with aromas of black cherry, vanilla, chocolate, with a hint of caramel and spice.

Rosé Wines by the bottle Chile Santiago Carménère Rosé Alc Vol 13.5% (med dry)

With a very rich pink colour this wine shows its varietal character with elegance and subtlety. The palate is medium bodied, loaded with ripe juicy black fruit flavours. This easy drinking rosé finishes nicely with an excellent off-dry sensation that is perfectly balanced by mouth-watering acidity.

California Burlesque White Zinfandel Rosé Alc Vol 10% (med sweet)

A classic Californian White Zinfandel Rosé - 100% Zinfandel grapes, lightly crushed to create this pretty pink wine. Luscious strawberry ice cream nose supported by a bright, fruit packed sweet strawberry jam palate. Sweeter than most of our other rosé wines. Serve it chilled and drink with friends, you will be impressed.

100% Sangiovese grapes from Puglia. A very pleasant medium bodied everyday drinking red with rich aromas of red berry and damson fruit. Fresh and lively on the palate with juicy berry fruit and a hint of spiciness. Balanced by tangy acidity and soft ripe tannins.

Italy Casa Lunardi Soave DOC Alc Vol 12%

85% Garganega and 15% Trebbiano makes it soft and fruity wine with a delightful perfume of almond blossom and lush aromas of honeysuckle. Lemony fruit with hints of spice on the palate. Very fresh with lively acidity and very easy to drink.

Italy Montepulciano Frentano D’ Abruzzo DOC Alc Vol 13.5%

100% Montepulciano. This fantastic quintessential red captures all the aromas and the rich characteristics typical of this region. Very fruity and velvety, medium bodied, with spicy overtones. Ruby red in colour, intense, complex and fine with flavours of red berries, cherry, redcurrants, violets and hints of tobacco.

Italy Salice Salentino La Casada DOC Alc Vol 13%

The Salice is a very interesting wine, blended with 82% Negroamaro and 18% Malvasia Nero. Dark ruby in colour with a nose of blackberries, prunes, leather and barnyard notes and harmonious on the palate. Full bodied with a noticeable softness, full-bodied with concentrated fruit and a very smooth texture.

Italy Trebbiano Gianni Masciarelli d’ Abruzzo DOC Alc Vol 12.5%

Top quality Trebbiano grapes from this fantastic vineyard, which is situated in the Chieti province. Straw yellow with greenish reflections and a bouquet that is quite intense with a very refined perfume. The taste level is excellent with apple, apricot and iris hints. This is a must try wine. Italy Castelforte Colli Scaligeri Soave Classico DOC Alc Vol 12.5%

This wine is polished, refined with a delicate perfume of white flowers and exotic fruit. 100% Garganega from the best vines in this Soave region. It is dry, elegant and very intense, with a pleasant acidity and a mineral note on the finish. Simply stunning!

Italy Castelforte Valpolicella DOC Alc Vol 12%

This is one of the better Valpol’s made with Corvina, Veronese and Corvinone grapes. It has a very youthful bouquet of lush ripe cherries and raspberry. Full and dry with soft tannins, sour cherries, violets and its herbal character sets it apart from other products made from International varieties. Excellent!

Toso vineyard is now one of the most modern industrial entities in the Italian oenological field. A quality Sauvignon Blanc from the famous Marlborough region. Bright, very pale with hints of green hues. A very refreshing wine with lifted tropical fruits, melons and pineapples, rolling into cut grass and fresh herbs. Extremely popular.

Italy Anna Maria Abbona Organic Barbera d’ Alba DOC Alc Vol 14%

A beautiful example of quality Barbera. A family run business with a dedicated team, who pride themselves on delivering quality. Crimson red in colour with rich jammy notes and cherry aromas with hints of black pepper. A charming soft palate, violets, perfumed raspberries and cocoa. Excellent to the very last drop. This is a must try wine.

Italy Castelforte Amarone Della Valpolicella DOCG Alc Vol 15%

Attention all Amarone lovers, put your name on this one. Made partially from dried Corvina, Rondinella and Moilinara grapes. 18 months ageing in large oak barrels, give this dry full bodied red wine a deep garnet colour. It has a complex bouquet of cinnamon, cherry jam and walnut. The palate shows ripe black cherry fruit with notes of vanilla and coffee on the finish.

Spain Sabina Blanco Viura/Chardonnay Alc Vol 12%

80% Viura and 20% Chardonnay, just to make it a little more exciting. Bright straw yellow with a very smooth on the palate. It’s a lively, lemony white with delicate grapefruit scents. Eminently quaffable, clean, sprightly and refreshing.

Spain Sabina Tinto Tempranillo Alc Vol 13.5%

The Sabina name is taken from the indigenous Spanish juniper tree which is grown locally in Navarra. A very well balanced and unoaked red blended with Tempranillo, Merlot and Cabernet Sauvignon to add structure It is beautifully rich and dark in colour with a lush black fruit core and a long resonant finish.

South Africa Cape Dreams Shiraz Alc Vol 14/%

An elegant and flavoursome Shiraz with typical smoky aromas. The pleasant oak element adds additional flavour to. A wine and this one is already extremely drinkable, but would benefit even further from a few more years in the bottle. Very well received by our customers.

Chile Sibaris Pinot Noir Reserva Especial Alc Vol 14% This is without doubt one of the best Pinots I have ever tasted. 100% Pinot Noir which has a beautiful classic ruby colour with an intense varietal nose. Generous flavours of wild fruit, supported by ripe tannins which make this wine stylish and very elegant.

Very clean and crisp with apple skin tones along with a biscuity character on the nose. The palate is complex, yet very elegant with fruit ripeness and a touch of honey. This very well structured Chardonnay is exceptional,

France Chapoton Côtes Du Rhône Alc Vol 14%

It is Syrah that dominates these lively, brilliant Cotes du Rhones. It has lush aromas of violets, soft black fruits and silky ripe tannins. When the Marquis d’ Aqueria owned Rochegude Castle this was just one of the wines shipped to the United States from the village, to one Thomas Jefferson no less.

Spain Rioja Reserva 2008 Viña Muriel DOC Alc Vol 13.5% 100%Tempranillo, scoring 95 points and 6th wine of the 2013 Decanter Wine and described as ‘Outstanding’. Fine scents of ageing which are assembled perfectly with vanilla, spices and herbs. Very ripe fruit recollections appear. It is a very finely balanced wine, polished and elegant with a long and pleasant aftertaste. Wow!

Lebanon Domaine Des Tourelles Red Bekaa Valley Alc Vol 14% This red wine is a noble blend of 45% Cabernet-Sauvignon 45% Syrah and Cinsault 10%. Deep ruby colour with a beautiful vividness of sparkling reflections. Warm, rich red wine with hint of Arabian spice. Abundant cassis and ripe morello cherry fruit, this is complex and multi layered with firm yet appealing tannins and spice on the finish. Bronze Medal and a Silver at the IWC, a great honour to the Issa family.

Lebanon Domaine Des Tourelles White Bekaa Valley Alc Vol 13%

An excellent blend of 60% Viognier, 33% Chardonnay 7% Muscat of Alexandria. This is an impressive, aromatic Lebanese white, crying out for Mediterranean food. The wine is spicy, white peach characters with a sublime perfume from the Muscat. The nose reveals a bouquet of pineapple and jasmine aromas. This wine is mouth filling but fresh and beautifully balanced with a very good backbone of elegant minerality.

France Chàteau Mourges Du Gres Galets Rouge Alc Vol 14% Costieres de Nimes – Its reputation has been made with this rich and earthy red. Deep purplish colour which affirms its intensity. A multi blend of Syrah, Grenache, Mourvèdre, Carignan and Marselan. It has an impeccable bouquet of blackberry, blackcurrant and blueberry, enriched with spices and cocoa). The palate is very generous and greedy where rich red fruit, liquorice and violets mingle, which invite you to drink more and more. This wine scores very highly in the worlds tasting level catalogues. The Wine advocate scored it at 92 points.

France Chàteau Mourges Du Gres Galets Blanc Alc Vol 13% This is a magnificent vineyard with countless awards. Pale straw in colour with golden tints. The bouquet is very complex with citrus fruit with honeysuckle and orchid aromas. The palate is crisp and fresh with perfect balance between fruit and smooth texture. A very impressive wine that’s quite unique. It’s an excellent blend of Grenache Blanc, Roussanne and Vermentino,

France Guy Allion Sauvignon De Touraine Alc Vol 12% This is first class Sauvignon which has been highly praised by guide Hachette. Gold Medal winner 2014. Fantastic taste levels, with aromas such as fresh elderflower cordial, Victoria plums and hints of grass on the nose. The palate is filled with ripe gooseberry and hints of summer fruits. If the price of Sancerre is driving you crazy then this organic beauty is for you. It is absolutely ‘delicious’.

An attractive eye-catching pink colour with persistent bubbles, with extremely complex sensations, particularly of fruit like red cherries and floral notes of rose. It is off dry, delicate and fruity with good body. You will be impressed.

‘Gold Medal Winning Cava’, Straw yellow in colour with green tones, fine bubbles, with a nose of citrus, ripe apple and hazelnut. Extremely vivacious in the mouth with a soft and round taste, that will appeal to everyone.

Vignarosa Amorino Brut Rosada Alc Vol 11% Situated in rolling hills of Colle Umberto in the provinces of Treviso. The Scotton family present a superb blend of Raboso, Cabernet and Merlot grapes from 2009 harvest, with delicate aromas of strawberries and floral hints. Very fresh and fruity, pleasant on the palate with a good acidity. A very popular wine that was recently described by one of our customers, “as too good to keep a secret!”

1. All bookings made in respect of Bedern Hall are accepted by Bedern Hall Company Ltd (“BHC”) upon the following conditions which shall form the contract between BHC and the person(s), firm or company booking the Hall (“the Hirer”)2. Upon receipt of a booking BHC will hold the booking for 14 days pending receipt of a deposit and a completed booking form. If such are not received within this time limit BHC reserves the right to release the provisional booking and hire the Hall elsewhere. If booking form and deposit are received as requested BHC will issue confirmation of booking. The balance of the Hall hire charge is due within 14 days of the issue of such confirmation. Should such balance not be received within this time limit BHC again reserves the right to release the booking and hire the Hall elsewhere.3. In the event of cancellation by the Hirer BHC will retain all sums paid by the Hirer in the first instance and will endeavour to re-let the Hall. In the event that BHC is not able to mitigate its loss at all or in full the sums previously paid by the Hirer will be used in full or in part to compensate BHC for its losses. Should such sums be insufficient to compensate BHC for its losses the Hirer will promptly pay any remaining losses to BHC.4. Where for reasons beyond the reasonable control of BHC including but not limited to fore, flood, damage and loss of utilities BHC cannot proceed with the Hirer’s booking all sums previously paid by the hirer will be returned. BHC accepts no further liability to the Hirer for any loss, cost or expense suffered by the Hirer.5. All catering arrangements must be made through resident caterers ‘Time & Place’ owned and operated by Mr. Roger Lee (“T&P”).6. (a) Nothing in this agreement limits or excludes the liability of BHC and/or T&P from death or personal injury resulting from negligence. (b)Subject to clause (a) neither BHC not T&P shall be liable for loss of profits; or any unreasonably foreseeable special, indirect, consequential or pure economic loss, costs, damages, charges or expenses. (c) BHC’s total liability in contract, tort (including negligence or breach of statutory duty), misrepresentation, restitution or otherwise arising in connection with the performance or contemplated performance of the agreement shall be limited to £2,000,000. (d) T&P’s total liability in contract, tort (including negligence or breach of statutory duty), misrepresentation, restitution or otherwise arising in connection with the performance or contemplated performance of the catering arrangements shall be limited to £2,000,000.7. Damage to the Hall. The Hirer is to take good care of and not cause damage to the Hall or its contents. The Hirer will be expected to make good and pay forthwith any damage or any excessive cleaning caused by any act of the Hirer or anyone for whom the Hirer is responsible or has permitted to enter the Hall8. Fire and Safety The Hall is fitted with a manually operated fire alarm system which is activated by a ‘Break Glass’ panel. Public safety is of paramount importance and your assistance, as the hirer responsible for the event, would be appreciated. Should the alarm be activated then the Hall is to be evacuated immediately and guests must leave the Hall by the nearest exit walking calmly and slowly. It is vital that any disabled or elderly people area assisted so that exits do not become obstructed. The emergency exits are clearly marked and are situated as follows: Committee Room Main entrance via the lobby The Hall Main entrance or Side door On your arrival you are asked to spend a few moments to locate exits. In the interests of safety you are asked to arrange for 2 or 3 of your fellow guests to do the same so that they can assist in the unlikely event of an emergency. The assembly point of evacuation is: Outside the courtyard railings on Bartlegarth9. Parking. There are no parking facilities at the Hall whatsoever. Your attention is drawn to details on our website of nearby car parks (www.bedernhall.co.uk). This should be drawn to the attention of all members of your party.10. Time of Events. Evening events must be finished by 10.30pm and the Hall cleared by 11.00pm11. Music is permitted at the Hall by prior consultation with BHC. It is possible to have unamplified music only. There are noise levels which must not be exceeded. If musicians arrive at the Hall with amplification we will not allow them to perform. We will not permit music beyond 10.30pm12. Noise The Hall is in a residential area and we enjoy good relations with our neighbours. You and your guests are asked to make very effort not to disturb the area, particularly when leaving the Hall.13. The Terrace at the rear of the Hall is available to Hirers subject to our permission and control. The Garden at the rear of the Hall is private and access to it is prohibited.14. Confetti or similar substances are not allowed in the Hall or its grounds. Helium balloons and ‘party poppers’ are also not allowed in the Hall.15. Children will only be allowed on the premises if accompanied by a parent or other responsible adult. That adult is expected to supervise the children in question at all times

T E R M S O F B U S I N E S S

1. PricesAll menu prices are per person, exclusive of Vat and have been calculated on a minimum of 30 guests attending your wedding. Parties of less than 30 may attract a supplementary charge, which will be quoted upon request. We reserve the right to amend food and beverage prices. Wine prices may be amended to allow for any Government Taxes and currency fluctuations.

2. MenusWhilst every effort is made to keep within the menu description we reserve the right to suggest alternatives should there be any major fluctuation in market prices or shortages in certain commodities

3. Confirmation/ DepositsA booking is subject to availability at the time of confirmation and will only become confirmed upon receipt of a completed and signed booking form and a non returnable deposit. A further non refundable interim deposit which will be quoted according to the size of the event is required 12 weeks before the event. Deposits may be paid by cheque (cheques payable to ‘Time and Place’) or Bank Transfer; we do not accept credit or debit cards.

4. Final Details and Number4 Weeks prior to your wedding, we ask that you provide us with your final numbers (to the nearest 10) and any details not confirmed on your event planner. 10 days before your wedding, we will send you a Final Event Planner and ask that you confirm that all details are correct, and any changes, however small need to be notified to us in writing as soon as possible, A final number must be given no later than 3 working days before the event. This number, or the actual number served on the day, (whichever is greater) will be charged to your invoice.

5. Circumstances Beyond our controlWe accept no liability for a breech of these terms and conditions caused by circumstances beyond our control, which will include (but not be limited to) industrial action, fire, flooding, adverse weather conditions, accidents, riots, civil unrest of war. In the case of such events we will endeavour to work with you to find suitable alternative but if this does not prove possible we will terminate this contract and refund any monies paid to us by you.

6. CancellationIf your booking is cancelled with us, your deposits are non-refundable.Under normal circumstances, the following scale of charges will be made. These charges take into account potential losses incurred in declining other bookings due to our commitment to your event. These circumstances would also include any goods, services or equipment that we may have ordered from sub-contractors whose additional terms may also apply.

i. 4-8 weeks prior to the event 30% of gross event minus depositii. 2-4 weeks prior to the event 50% of gross event minus depositiii. Less than 2 weeks prior to the event- 75% of gross event value minus depositiv. The cancellation free will be based on the minimum chargeable numbers of the Event booking form/planner

7. Settlement of accountAll invoices will be dispatched within 7 days of the event. Payment of our final account is due 21 days from the date of the invoice. Cheques should be made payable to ‘time and place’. Unfortunately we are unable to take payment by credit or debit cards, should you wish to arrange a bank transfer please contact our office we will be happy to provide our bank details. Any accounts unpaid after this time will be placed in the hands of our solicitors and therefore attract supplementary costs.

8. Customer propertyTime and Place and its staff cannot be responsible for property belonging to guests. Whilst every effort is made to safeguarding guests’ property, we cannot accept liability for any loss or damage arising , however caused.

9. Left over FoodIt is our company policy not to let guests take any leftover food with them from the venue. Please discourage guests asking for ‘’doggy bags’’.

10. Table plansOur experience shows that a table plan helps create a stress-free event. We will supply you with a template to make your plan and we are happy to advise and help, please let us have your table plan one week in advance of your event.
