DPS Career Connect: Programs and Students

DPS CareerConnect CareerConnect programs provide career focused instruction and prepare students for

postsecondary education and job placement. Career pathways offer students a series of

courses based on project-based learning. In addition, work-based learning (e.g. career

exploration, mentoring, and internships) activities are a critical component of each

pathway. Research shows career-focused coursework combined with experiences in the

workplace results in increased graduation rates, motivation in academic study, course

completion and job earnings following graduation. Within Denver Public Schools,

CareerConnect students were 30% more likely to graduate than their peers.

Work-based activities align with the following industries: Engineering, Advanced

Manufacturing, Technology, Biomedicine/Health Care, Business/Finance, Hospitality and

Automotive.

What is the DPS CareerLaunch Program? CareerLaunch is an internship program in which students learn the practical applications of their

coursework, explore potential career paths, and make meaningful contributions to their host

organizations. Through the CareerLaunch Internship Program, high school students will spend

six to ten weeks in the workplace. DPS will provide case management services and logistical

support to students and businesses throughout the program. Students prepare for their

internships through industry coursework and workforce readiness training. CareerLaunch

provides ongoing coaching to ensure student success.

Program Components Skills Training for Young Professional

A 12-hour Skills Training for Young Professionals is required of all CareerLaunch interns. The

training helps students develop the Traits of a Young Professional: Communication,

Professionalism, Perseverance, Self-Direction, and Collaboration and understand their

importance in the workplace. The internship supervisor will evaluate his/her intern’s ability to

demonstrate these traits during the CareerLaunch Internship using the CareerLaunch

Performance Evaluation form.

Project-Based Internships In order to ensure that students engage in work experiences that align with their school-based learning and future career plans, we ask employers to approach this internship experience as a project-based learning opportunity. While we understand that students will be contributing to the company with daily tasks, it is also important for them to own a project from start to finish. The project you assign your intern should be something they can accomplish in the internship timeframe, add real value to the company, and be tailored to the student’s skill level. DPS CareerConnect staff can assist in developing an internship that meets these objectives.

Training Goals

Each intern will have two training goals to achieve during the internship program. Training goals

encourage and support skill attainment through a project-based internship. They also help to

facilitate work-experience training plans tailored specifically to the employer and the intern to

help ensure a meaningful learning experience.

Supervisors should review the training goals with their intern on the first day of the internship.

Supervisors can revise goals developed during the planning phase of the program to reflect the

intern’s skill level and interests. Finalized goals will be due by the end of the first week of the

program and are part of the final performance evaluation.

By the end of the internship, intern will independently field questions related to simple problems

such as password reset, email set up, etc.

Ongoing Support Students receive support from an assigned DPS Internship Coordinator throughout the

internship application and placement process. An Internship Coordinator continues to support

the student during the internship and provides guidance and support to internship supervisors

as well. We suggest building a relationship with your intern’s Internship Coordinator(s) early in

the process. The Coordinator is your point of contact to share any updates about students and

when urgent issues arise. In the unlikely event of performance concerns, they will support

supervisors to address issues and develop a performance plan.

Transportation Assistance RTD bus passes are issued to students to allow them to travel to and from their internship. In

certain cases, DPS will provide special transportation to students for whom public transportation

is not readily accessible.

Students with Disabilities

DPS CareerConnect is committed to equitable access to our work-based learning programs for

all students. Within Denver Public Schools, approximately 10-12% of the general student

population receive Special Education services and about 80% of those students have mild to

moderate disabilities such as learning disabilities, ADHD, etc. To the greatest extent possible,

DPS will provide the supports needed to ensure a student with a disability is able to successfully

participate in the CareerLaunch Internship Program, including providing the support of a job

coach to students with more significant disabilities.

Financial Awards Students are eligible for financial awards from DPS based on performance and project and training goal completion. For the Summer 2017 Internship Program, employers are asked to make a donation of $1100 per intern. These funds are used to cover the cost of transportation and intern financial awards. In some cases, DPS is leveraging funding from the Denver Office of Economic Development and philanthropic sources to provide scholarships on behalf of companies who are not able to contribute to the fund.

Making it Work

The following section contains guidance and tips on how to build a healthy relationship with your intern and ways to be an effective supervisor for a high school student. DPS Staff are committed to providing every necessary support to you as a supervisor and are available for consultation at any time.

The First Week The first days of your intern’s experience are critical to her/her success in the workplace. Below

is a suggested outline for orienting student interns to your company or organization. You may

opt to orient the student all in one day or over several sessions in the first week.

Ongoing coaching and supervision Coaching and supervision of the intern will be necessary for their growth and learning. We ask that all supervisor spend 15-20 minutes a week providing direct coaching. During this time, supervisors can provide constructive feedback and identify areas for improvement. Students will be sending a question a day to their supervisor, which can be addressed during the weekly check-in. Another way supervisors can give feedback to the intern is through the performance evaluations completed by to the supervisor. We strongly encourage supervisors to review the midterm and final evaluations with the intern and discuss how the intern is meeting expectations and areas for improvement.

Policies and Procedures The following set of policies and procedures will help you navigate the day-to-day functions of

working with an intern.

Physical Boundaries As a rule of thumb, intimate contact should be kept to a minimum. Touch in neutral zones such

as on the shoulder or “fist-bumping” is considered appropriate. It is always best to ask the

student if he/she feels comfortable with physical contact and respecting the student’s response.

Student Safety and Well Being The following is a list of situations supervisors must report to the student’s Internship

Coordinator or CareerConnect staff member immediately.

If the student begins to talk about life not being worthwhile, appears depressed (looks sad, lacks energy, grades have dropped, cries easily), or talks openly about suicide.

If the student threatens to harm or kill someone else.

If the student mentions being either physically, emotionally or sexually abused. If a supervisor needs to reach DPS staff afterhours (before 7 AM, after 5 PM, or on weekends), a list of designated contacts is provided on page 18. When calling afterhours, please leave a voice message and send a text (when possible) if the person you are trying to reach does not answer. If you are unable to reach a staff member, please call DPS Safety and Security Dispatch at 720-423-3911.

Suspicion of Child Abuse

All adults working with children have a critical role in the protection of children. All educational

staff are mandatory reporters, which means by law they must report any suspicion of abuse to

the Child Protective Services Hotline. As a volunteer working with a child, you are not a

mandatory reporter but we ask supervisors report any suspicion of child abuse to DPS staff

immediately. Sharing your concerns with a DPS staff member is your responsibility and is in

the best interest of the student.

While a DPS staff will report any suspected abuse, volunteers may also make a report by calling

the Colorado State Hotline at 1-844-CO-4-KIDS or 1-844-264-5437.

Supervision by Fingerprinted Employees To protect student safety, DPS requires all adults working directly with students to undergo a

criminal background check. Only employees fingerprinted by DPS or those who have submitted

a notarized Criminal Background Affidavit (as outlined in DPS Partnership Agreement) should

supervise students. Screened employees are responsible for ensuring the student is safe during

their internship, keeping close tabs on their intern. Interns should only be left alone with adults

vetted by Denver Public Schools.

Transporting Students

Only employees who have completed a background check or a Criminal Background Affidavit

can transport students. To transport students, drivers must complete an MOU with the school

district and submit proof of insurance, a motor vehicle record, and a copy of driver’s license to

the DPS CareerConnect office. CareerConnect will obtain parent permission to transport

students.

Gifts and Monetary Contributions

We ask employers not give gifts or spend money on students. The exchange of gifts or money

may be well intended but can create inequality and can blur professional boundaries.

Companies can opt to provide gifts to students in the form of company products (swag, t-shirts,

pens etc.) or provide meals during meetings or trainings.

If a student approaches a supervisor for money or makes inappropriate requests, please contact

the Internship Coordinator for assistance in addressing the issue.

Worker’s Compensation When a Denver Public School’s student intern sustains a work related injury, please follow the

instructions provided below.

1. The intern should immediately report the injury to their internship supervisor.

2. Together, the intern and the supervisor shall call DPS’ worker’s compensation company,

CorVel at 877-764-3574 to report the injury. All injuries, no matter how minor, should be

reported to CorVel.

3. The intern will speak to a CorVel registered nurse about the injury.

4. The registered nurse may suggest one of three options:

a. First aid measures

b. Referral to an emergency facility

c. Referral to a DPS designated medical provider (please see list of approved

providers on page 13)

d. The registered nurse will transfer the intern to a CorVel customer service

representative who will obtain additional necessary information.

5. The internship supervisor and/or student should also contact the DPS Internship

Coordinator assigned to the student. If the Coordinator cannot be reached, the

supervisor may contact one of the following:

6. If the intern is told he/she needs medical attention at a designated medical or emergency

facility, the intern should be transported to that location by DPS staff or the student’s

parent. Both the internship supervisor and DPS Internship Coordinator should decide

the best and most efficient way to transport the student.

7. The DPS designated medical provider will treat the intern and determine what, if any,

work restrictions may apply.

8. If work restrictions are given, the supervisor and the Internship Coordinator should

review them and assess if the intern can safely return.

9. The intern is expected to:

a. Return to the DPS designated medical provider as recommended

b. Follow the treatment plan

c. Follow any work restrictions set by the medical provider

NOTE: Medical treatment sought from a private physician or a medical provider not on the DPS

designated medical provider list may result in a shift in fiscal responsibility from the school

district to the student’s family.

If the injury is a life or limb-threatening emergency, call 911 or go to the nearest emergency

facility.

Denver Public Schools Worker’s Compensation Provider List

Employers within the State of Colorado have the right to designate medical providers for their

injured employees. DPS has designated the following medical providers for our injured

employees. If an intern seeks medical treatment for a work related injury from a private

physician or through another clinic or hospital, the intern may be financially responsible for that

care. If the injury is a life or limb-threatening emergency, the internship supervisor should call

911 or transport the intern to the nearest emergency provider.

Lunches and Breaks Good management practices allow for time away from tasks in a prescribed manner that fits the

workplace. CareerConnect expects that students working a five-hour day or longer take a thirty-

minute period for lunch. Please allow students working less than five hours a 15-minute break

during their shift.

A consistent break time is recommended. Some students may request a break during their

workday to honor a religious commitment to daily prayer. It is DPS CareerConnect policy to

accommodate these requests as long as they are short in duration (10-15 minutes once during

a shift), are responsibly used by the intern, and do not conflict with the business needs of the

organization.

If an intern comes to the work site without a lunch on a consistent basis, please contact the

assigned Internship Coordinator.

Absences Interns should be present and on time according to the internship schedule set by the supervisor. Continued absences or tardiness during the internship placement may jeopardize an intern’s participation in the program. All missed hours must be made-up before the end of the semester. To earn full credit for their internship, interns must complete:

120 hours: Summer Internships (June 12-July 21, 2017) Below are guidelines for students requesting time off and/or reporting absences.

Supervisors should address absenteeism and tardiness with the intern and the Internship

Coordinator. DPS CareerConnect reserves the right to remove students from their internship if

absenteeism becomes a chronic issue.

School Closure If Denver Public Schools is closed due to weather, interns are not required to report to their internship. Interns should notify the internship supervisor of the school closure.

Evaluations The intent of the CareerLaunch Program is to help prepare students for successful employment

in a STEM industry. Evaluations will measure the student’s soft skill development as well as

progress toward demonstrating hard or technical skills. It is important for the supervisor to

revise goals by the second week of the internship and review progress weekly with the intern.

Soft skills evaluated in the weekly, midterm and final evaluations may include professionalism,

perseverance, self-direction, communication and collaboration. Because a student’s financial

award is based on these evaluations, it is essential they be conducted thoroughly and in

a timely manner.

Internship Coordinators will email a link to a Google sheet (or send an excel spreadsheet for

non-Google users.) Due dates for midterm and final evaluations are listed below.

Financial Awards The Denver Public Schools (DPS) CareerConnect Program provides students with opportunities

to participate in internships as a capstone to a sequence of hands-on, career-focused classes.

Financial awards are issued to students participating in the program to recognize the

development of work readiness skills and achievement of specified goals throughout the

internship.

DPS CareerConnect grants awards to students who meet or exceed award criteria. Students

are eligible to apply for an award based on completion of:

a) Skills Training for Young Professionals

b) Midterm and final performance evaluations completed by the supervisor

c) Internship project and/or training goals.

If an intern does not successfully complete the internship, the company may opt to apply the

funds to future internship programs or request a refund.

Time Sheets It is important for students to track their internship hours. Credits issued to the student at the

end of the internship are based on hours completed. A sample timesheet is provided on page

22.

Internship supervisors should send timesheets signed by the intern and the supervisor to the

Internship Coordinator at the conclusion of the internship.

as possible. Below is the recommended escalation process for a fair and efficient way to

address performance concerns.

Step 1: Direct conversation with intern. Inform DPS Internship Coordinator.

In many cases, interns who are not meeting expectations will benefit from reinforcement of the

correct behavior or attitude in a given situation. We encourage these interactions to be:

Immediate: As soon after the observed behavior or attitude is noted.

Face to face: Most students respond most positively to this kind of interaction.

Fact based: Identify specific, observed behaviors that need to be changed

Future-focused: Frame the conversation in terms of wanting the best for the intern now

and helping the intern to become a successful part of the workforce.

Step 2: Performance Plan

If the intern does not correct his/her behavior or a more serious concern arises, we ask that you

contact your Internship Coordinator to arrange a meeting with your intern as soon as possible.

The Internship Coordinator will facilitate the meeting and assist the student and supervisor to

complete a performance plan. A copy of the Performance Plan is provided on page 17.

Step 3: Removal

If a situation arises that warrants an intern’s immediate termination or the intern fails to meet the

conditions outlined in the Performance Plan, the Internship Coordinator will take the lead in

working through an intern’s termination. Prior to termination, the following should occur:

• Confirmation over the phone between Internship Coordinator and supervisor that

termination is necessary.

• Discussion between Internship Coordinator and supervisor on the best way to handle

termination. A joint meeting with the intern, supervisor and Internship Coordinator is

preferable. Coordinator will review the reasons for termination with the intern and

facilitate closure of the internship.
