Job Title: Receptionist/Administrative Assistant
Service: Coram Cambridgeshire Adoption
Reporting to: Business and Administration ManagerSupervisory responsibilities: None
Salary Range: £16,500 - £18,500 per annum
Working Hours 35 per week
Purpose of the Role:
To provide proactive reception, administrative and secretarial support for the Coram Adoption Service as part of the administration team.
Main Duties & Responsibilities:
Provide full secretarial and administrative support for specified social workers. To respond to outside callers, taking messages and giving a prompt response. To co-ordinate room bookings, room set up and order catering. Undertake copy and audio typing. To support the team with recording, filing and monitoring of information,
electronically and in other formats, in line with organisational and service guidelines.
To ensure maintenance and security of confidential case records, electronic and paper, in accordance with organisational policies.
To produce documents such as letters and reports to an agreed format. Photocopying and collating papers and ensuring that deadlines are met. Work as part of the administration team, which includes assisting when
workloads are high and working to tight deadlines. Respond appropriately to enquiries, take messages and ensure that they are
acted on/passed on. Assist with General Office duties: shredding, photocopying, dealing with
enquiries, logging post, arranging refreshments for meetings. Assist with preparation and organisation of workshops, seminars, conferences
and other events as required. Assist with mail outs. Be proactive flexible in approach and undertake any other duties that may fall
within the range as directed by the Office Manager.

Skills & Experience
Experience of reception and general administrative duties – filing, photocopying, telephone enquiries, administering meetings, preparing mailings, typing, maintaining office equipment.
Experience of managing a busy workload and competing deadlines. Effective communication skills with a high standard of written and spoken
English. High standard of numeracy Strong IT skills, including Microsoft Word, PowerPoint, Excel, Outlook and
Access. Good Keyboard skills with a minimum 50 w.p.m. Excellent interpersonal skills with the ability to quickly establish and maintain
good working relationships and to interact with others at all levels within the organisation in a confident and professional manner.
Able to give clear information and deal with queries from individuals over the telephone, face to face and via email.
Excellent organisational skills and the ability to multi-task, prioritise and work to strict deadlines whilst maintaining high standards of accuracy.
Proactive, methodical and accurate and able to use own initiative. Able to maintain confidentiality at all times. Able to work effectively as part of a team.
