GENEral iNFOrmaTiONabOuT ThE ExhibiTiONDear Exhibitors!
The World petroleum exhibition dedicated to the 21st World petroleum congress will be held on June 16-19, 2014. It is planned that the total exhibition area will exceed all previous records and will reach 50 000 sq. m. According to the Organisers’ intention, the World petroleum exhibition will complement and extend the congress and will further develop the themes of the event.
The Exhibition’s structure includes several sections and themes which represent the aspiration of the World Petroleum council to encourage responsible utilization of energy resources for the welfare of humanity, to engage the youth in active international cooperation, to find and showcase the best examples of social responsibility in the energy sector.
This theme is developed in specially dedicated areas of the Exhibition: Global business Opportunities center (GbOc), Social responsibility, youth forum. The rest of the Exhibition is distributed among the stands of ministries of energy, oil and gas producers and service companies of different levels. In other words, the World petroleum exhibition gives a full understanding of the current situation in the petroleum industry and the perspectives of its development.
The Organisers have no doubts that people to whom this manual is addressed are highly experienced professionals. however, this manual contains important information, forms and guidelines to ensure that your participation in the 21st World petroleum congress is a success. Please read it carefully.

ExhibiTiONSChEdulE
1 – The general start date of build-up for all exhibitors is June 11, 2014. Contact the technical operator for infor-mation on conditions to start build-up one day earlier, on June 10, 2014.2 – Please make sure that your stand contractors and developers know this schedule. Information on the pos-sibility and cost of overtime build-up/breakdown may be obtained from the technical operator.3 – Timescales for set-up of heavy and large-dimension equipment and exhibits must be confirmed beforehand with the technical operator.4 – Badges may be obtained at the Registration desk lockated at the Pavilion 3 lobby.5 – On the last day of build-up, on June 15, 2014, all stands must be ready for inspection by 17:00. Therefore, it is mandatory for you to be at your stand early enough to make sure that your stand has been constructed properly, as you need to be able to equip and decorate your stand in time. Gangways must be cleared. All boxes and pack-ages with exhibits are to be unpacked and removed from the stand. Otherwise, the technical operator reserves the right to remove them from the stand at the expense of the exhibitor.

6 – Admission to the pavilion is open only to the exhibitors with badges. Build-up during the Exhibition is forbid-den and contractors’ bages will not be valid.7 – On June 19, 2014, exhibitors must be present at their stands and the stands must be open till 16:00. Exhibi-tion materials and equipment may not be packed and taken out of the Exhibition until this date. Delivery of empty boxes to stands for packing of exhibits may only be started after the official closure of the Exhibition. No small exhibits, personal belongings or valuables may be left at the stand after the Exhibition is closed. Contractors and exhibitors who leave exhibits or stand equipment in the hall unattended after the Exhibition is closed, bear full responsibility for it. All exhibitors with Shell Scheme stands must remove their exhibits (except for large-dimension) and other stuff by 20:00, June 19, in order to allow the start of breakdown. All exhibitors’ materials and constructions must be taken out; otherwise, the exhibitor is responsible for their further safety or a safe utilization of temporary constructions.8 – Breakdown is prohibited till June 20, 2014. All exhibition area must be fully cleared of exhibits, structures, waste and packing tape by the end of the last day. It is not allowed to discard elements of dismantled structures and packages (sawn wood, flake board, hardboard, fiberboard, laminboard, etc.) into waste containers for hard domestic waste located on the territory of the International Exhibition Center Crocus Expo.All building materials, constructions and large-dimension waste and debris must be taken out of the exhibition territory at the exhibitor’s or contractor’s expense. Contractors/exhibitors must order waste utilization before-hand.

Smoking at the venue is strictly prohibited for the exception of specially designated smoking areas.

You can find ATMs in the lobby of Pavilion 3. You can exchange cash at the bank in the lobby of Pavilion 1 or at currency exchange booths at the «Crocus City Mall» and at the «Tvoy Dom» store.
Animals are prohibited at the venue except for guide dogs accompanying handicapped people.
Children under 16 are not allowed to visit the Exhibition.

Exhibitors rent either Equipped Space (see «Shell Scheme» (p. 18)) offered by the Organisers, or Space Only (see «Custom-built Stands» (p. 26)) and hire a contractor for its build-up and fitting.
Pay attention to the fact that the weight of exhibits at your stand may not exceed the maximum safe load of the pavilion floor (see the «Technical characteristics of the exhibition halls») (p. 17).
Participation of subexhibitors is allowed. However, they have to comply with the rules of the Exhibition and cover the fee in the amount of € 600 per each subexhibitor.
Columns, hatches, electric boxes, manholes and/or points of varios technical connections for either yours, or neighboring stands may be located within your exhibition space. In such case, in order to provide free access (not less than 0.8 m) to fire cock cabinets, fire-extinguishing equipment and electrical control units, power wiring harness and pipes not more than 50 mm in diameter may be laid in gangways or within your stand area without an additional approval. Please pay attention to this and plan podiums or floorings at your stand accordingly. For additional information please contact the technical operator.
By signing the contract for participication in the Exhibition, the exhibitor guarantees that the design/elements of the stand and any other objects demonstrated at the Exhibition do not violate any trade, author and other rights of intellectual property of any third party.
No dangerous equipment may be used without a preliminary written approval of the technical operator, the administration of IEC «Crocus Expo», or, if appropriate, local authorities.
a) All moving equipment should be installed and safeguarded at the exhibitor’s expense and must be approved by the technical operator. In extraordinary circumstances or in case of exceeding the allowable level of noise (over 75 dB), such equipment may be requested to be turned off by the technical operator.
b) No engines, generators, motors, furnaces or other power equipment and devices may be demonstrated at the Exhibition without sufficient fire protection and preliminary written approval of the technical operator. Such approval may be temporarily suspended or revoked if the equipment is inconvenient for other exhibitors or visitors.
c) Safety devices can be removed from the equipment only when the equipment is turned off and disconnected from the power source only to demonstrate its design and construction of accessable parts. Safety devices must be restored immediately after the demonstration is finished.

Exhibitors with сustom-built stands should pay close attention to the «Fire Safety Instructions for Exhibit Installation/Dismantling and for Holding Exhibition Events in the Pavilions and Outdoor Exhibition Space of IEC Crocus Expo» (Fire safety instructions) that is available for review on the official web-site of the Congress. These regulations should be followed while designing, building and decorating your stand with different materials (textile, panels, etc.).
All exhibitors are strongly recommended to undergo the procedure of insurance.
During presentations, video/audio demonstrations, etc., the level of noise may not exceed 75 dB. If complaints about the level of noise are received from other exhibitors, the technical operator has the right to turn off the source of noise based on the Record of measurements. The Record is drawn up in two copies and signed by a responsible employee of the technical operator and is given to the exhibitor.
No advertising constructions (flags, banners, etc.) may be placed on the floor, pavilion constructions, walls and other parts of the pavilion without a permission of the technical operator. For all questions regarding the placement of banners and other advertising constructions, please contact the technical operator.
Use of open fire, pyrotechnic and smoke effects is allowed only if you have a written permission from the technical operator.If you have ordered a сustom-built stand (Space Only), please make sure that your contractors know the Fire safety instructions.

The technical operator reserves the right to decrease the description text of the exhibitor at his sole discretion if it exceeds the maximum number of characters.Information about your partners and subexhibitors working at your stand may be added to the catalogue after the appropriate fee has been paid using Form 1.S (see page 15).
Exhibitors who ordered shell scheme stands (Equipped Space) are required to draw-up a scheme of their stand according to their area and based on the dimensions and the configuration indicated on the general pavilion plan. Specify all stand elements (open sides, wall elements, furniture, lighting and equipment which you will need to order using Form 2.1.S) and confirm the planning. Use symbols and three-digit codes indicated in Forms 2.S and 2.1.S.Please notice which equipment is included in the cost of the space you have ordered. If you do not use some elements, their cost of rent will not be refunded. A standard shell scheme stand floor will have grey carpeting.
Please carefully read your application for participation in the Exhibition and examine the stand scheme to find out what is already included in the price of your stand. The cost covers a 15-character long fascia inscription on each open side of the stand.Using Form 2.2.S you can order additional inscription, your company logo and/or other graphic images for the fascia panel or stand panels for extra charge.Stand number will be indicated either on the fascia panel, or on the special nameplate, as well as the WPC brand elements.Using Form 2.2.S you can order covering for wall panels, information desk and other equipment with the Oracal film. Power supply is not included in the shell scheme (Equipped Space) rental cost and must be ordered additionally via Form 3.S. Please note that for stands smaller than 20 m2 the standard power package provides 2.3 kW + 2 sockets (EU standard); for 21-36 m2 stands the standard power package provides 3.5 kW + 3 sockets (EU standard). Additional sockets and lighting could be ordered via Form 2.1.S (24/7 connection to 1 socket is included if a refrigerator is ordered). If you need power supply of 380 V, please contact the technical operator.Make sure that you order sufficient electric supply to accommodate all your needs.
You can order telephone/fax/internet connections, as well as audio/video and office equipment via Forms 4.S, 4.1.S, 4.2.S. Audio/video equipment not listed in the forms can be provided additionally by the exhibitors’ request.Payment for telephone calls and Internet traffic is accepted during the exhibition period at the technical operator’s desk by cash payment or by credit card.

5. vEhIcLE pAssEs TO ThE cARGO hANdLING zONE Parking space near the entrances to the pavilions of IEC Crocus Expo is restricted. Information on parking possibilities near the pavilion entrances will be presented to Congress participants and exhibitors at a later time. Along the perimeter of the pavilions there is a special 30-meter wide zone for handling of arriving/departing exhibits and equipment. Vehicular entrance into the cargo handling zone is allowed with paid passes, which can be ordered from the technical operator via Form 5.S.

BTG Expo GmbH is the official exhibition freight forwarder of Russian and foreign exhibition freights. BTG Expo GmbH has an exclusive right of handling customs freights on the exhibition territory. Transportation of freights to the venue may be organized by the exhibitor at his own discretion. However, cargo handling on the premises of IEC Crocus Expo is provided exclusively by BTG Expo GmbH.
Prior to shipping the exhibition cargoes, it is necessary to obtain from BTG Expo GmbH the recipient’s address and the instructions on how to fill out forwarding documents. Such instructions must be followed precisely.

7. TEchNIcAL suspENsIONs ON ThE pAvILION cEILING
Exhibitors may use Form 7.S to order lightweight suspensions to be installed above their stands. Flags, banners, etc., may be fixed to metallic frames/trusses.Use Form 7.S to order a metallic frame/truss. Flags, banners and other lightweight suspensions may carry the company’s name, logo and other brand features of the exhibitor. Use Form 2.2.S to request placement of graphic data on the suspension. All suspended constructions must first be approved by the technical operator.
Shipping and customs services for the exhibition freights of non-resident exhibitors are provided by the official freight forwarder BTG Expo GmbH through the official customs broker Crocus Expo. Handling of non-resident exhibitors’ cargoes received through unofficial forwarders and customs brokers will be provided with a 50% surcharge to the price of ordered services.Cargo handling and rigging works will be performed during the build-up and breakdown periods from 08:00 till 20:00 (break from 13:00 till 14:00).Information on the specifics of cargo handling of bulky and/or complicated equipment may be obtained from the official freight forwarder. Removal of exhibits on the last day of the Exhibition (June 19, 2014) is possible, subject to a prior agreement with the technical operator. Removal of large and heavy exhibits on the last day of the Exhibition is prohibited.

8. TEMpORARy sTAFF, sTANd cLEANING, sEcuRITy, INTERpRETERs ANd pROMO sTAFF
Gangways between stands will be cleaned every morning before the exhibition opens. Waste left in front of your stand in plastic bags or boxes will also be taken out. Individual cleaning of your stand during the exhibition period may be ordered via Form 8.1.S. All decoration works at the stand must be finished on the last day of build-up (June 15, 2014) (see «The Exhibition Schedule» (р. 11)). Empty boxes/packaging and waste must be removed from the stand and placed in waste containers located near the cargo gates. Should the exhibitor fail to do so, the area around the exhibitor’s stand will be cleaned at the exhibitor’s expense.During build-up/breakdown periods, pavilions will be closed by the security staff at 20:00. During the exhibition period the pavilions will be sealed by the security at 20:00 and re-opened at 08:00. Please note that your own security will not be able to access the pavilions at night time.Exhibitors are strongly recommended to either have a representative at their stand when the pavilions are open, or order individual security. Exhibitors bear full responsibility for the safety of their exhibits and personal belongings left at their stands when the pavilions are open.Individual security may be ordered via Form 8.1.S.

10. EXhIBITORs’ BAdGEsThe exhibitor’s badge serves as a pass to the Exhibition venue for the whole duration of the Exhibition including build-up/breakdown. To request badges, please fill out Form 10.S and submit it to the technical operator. Badges are provided in any number and free of charge till May 15, 2014. Starting May 16, 2014, the cost of one badge will be € 25. Please note that Exhibitor’s badge does not grant access to the World Petroleum Congress.

13. dELIvERy ANd REMOvAL OF EquIpMENT ANd EXhIBITs INTO/OuT OF ThE hALL

To unload the exhibits and the equipment that do not have to undergo customs clearance and to pass it on (if required) to the official exhibition freight forwarder for further handling, you need to prepare 3 copies of a letter on a company letterhead and have it sealed and signed by the authorised representative.To access the cargo gates, you will have to leave the car/truck at the venue parking and have the letter validated at the Service Center located in the lobby of Pavilion 3.You will be able to enter the cargo gates using the validated letter (1st copy of the letter to be left at the Service Center, 2nd copy to be given to the guard at the entrance and the 3rd copy you keep for removal of the exhibits) and a pass to the cargo handling zone, which may be requested either from either the official exhibition freight forwarder (if you have ordered cargo handling works) via Form 6, or from the technical operator (if you handle cargoes yourself) via Form 5.S.The same must be done in order to bring in materials for decoration works: exhibitors and/or contractors must prepare 3 copies of a letter on the company letterhead and validate them as well.In order to have your letters validated by the appropriate departments, you must first send them to the official technical operator. Should additional exhibits and/or advertising equipment be brought in during the Exhibition, they must be added to both copies of the letter (your copy and the one kept at the Service Center) to avoid problems when moving them out.

All materials and exhibits must have certificates of fire safety.All materials and constructions that do not have certificates of fire safety (wooden constructions, carpeting, inflammable decorations, drapery, etc.) must be treated with appropriate fire retardants.All decoration materials, banners, textile, etc., must have certificates of fire safety.Strictly prohibited: attaching your equipment to the stand constructions, self-guided covering of panels, labeling, drilling, attaching advertising and other materials with pins, duct tape etc.The wall elements and other additional elements of the constructions must stay undamaged and be cleaned of sticky tape after the Exhibition finishes. In case of damage to any of the elements of the stand and the equipment, a triple cost of damaged elements will be imposed on the exhibitor as a penalty. Damages to the equipment from the section Advantec stand constructions must be reimbursed in the amount of 7 (seven) times the cost of such equipment as indicated in Form 2.1.S.

MOBILE sTANds ANd shOW-cAsEsWITh ELEcTRIc LIGhTING
To stabilize the stand constructions, additional fasteners not pictured on your stand scheme may be used. Should you need to temporarily take them down (e.g., to install large exhibits), you must obtain the permission from the technical operator and make sure that all necessary precautions are taken.Set-up of exhibition equipment and connection of electrical devices (except for exhibits) on the premises of a shell scheme (equipped space) is considered to be self-guided build-up. Such stands will have to undergo a paid Technical Expertise at the expense of the exhibitor.
Mobile stands and show-cases with electric lighting have to go through a paid technical expertise at the exhibitor’s expense. Connection of mobile stands and show-cases to the power grid is allowed only if you have a permission for such connection. Lighting equipment on mobile stands and show-cases must comply with all electro-technical requirements (see «Regulations for carrying out of electrical and plumbing works in Crocus Expo IEC» on the official web site of 21st WPC). Equipment in metal (conductive) frameworks must be connected using a three-wire system with obligatory grounding of the framework. Easily accessable lighting equipment must be mounted at the height of at least 2 m. Use of domestic power extenders for the connection of lighting equipment is prohibited.
To get the lighting equipment used on mobile stands and show-cases approved, the following documents must be submitted to the official technical operator by April 18, 2014:
• The general layout of the mobile stand – 2 copies;• The stand scheme with marked locations and power of the lighting equipment (factory-made) – 2 copies;• The list of contractors – 2 copies;
• The list of equipment – 5 copies.
Should you use interconnected lamps that have been charged with a power line, you must submit the scheme of the power circuit, a copy of the evaluation report and a copy of the electro-technical license of the contractors who performed the works. You must get the approval of the official technical operator prior to the beginning of the Exhibition.

Power supply is not included in the custom-built stand rental cost and must be ordered using Form 3 (if necessary, you can order power supply of 5 kW or more). Make sure that you have ordered sufficient power supply to accomodate all your needs.Power supply will be available during the Exhibition period. During build-up and breakdown only tools that run on batteries may be used. Otherwise, to power up your equipment, please use your own professional extenders and plug them into one of the available sockets in the pavilion. Please make sure that the extender wire is protected from mechanical damages.Power supply connection at the stand is to be executed by the exhibitors (or their contractors) by themselves in accordance with the electrical requirements (see «Electro-technical and Plumbing Requirements»). The stand must be equipped with a universal electric switchboard featuring a tripping device. Connection of equipment (exhibits) to the grid will be conducted through a power cable of sufficient cross-section. 5 core cable of at least 30 r.m. long must be provided by the Exhibitor. The tripping device parameters must correspond to the required power level. For 24/7 connection to the grid, please approach the technical operator. Connection of power equipment to the grid is only possible upon the measurement of the insulation resistance of the power circuit.

the number of suspension points and use of hoisting gear must first be approved by the official technical operator.To mount technical suspensions on the ceiling constructions of the pavilions you must submit the following documents to the technical operator:

construction, an estimated number of suspension points, an estimated load on each point, an estimated height of the suspension;
• The full list and total weight of the equipment to be hanged on the construction;• A top view of the stand specifying the location of the suspension;• Information about the exhibitor’s representatives responsible for planning, mounting and safety
measures during the set-up of suspensions.your documentation will be reviewed within 7 business days.Please note that in order to use electric hoists and removable slinging equipment, Russian stand contractors must follow the appropriate Russian rules and regulations and obtain the approval of the technical operator. Non-resident stand contractors must undergo a paid procedure of approval by the technical operator. In order to do so, they must submit the certificates for the hoisting equipment and the ID’s of the electro-technical staff working with such equipment.Please note that hanging of suspensions is not allowed in certain parts of exhibition pavilions.Fire safety certificates for banners and other materials must be provided (flammability class – F1 and F2, combustibility class – C1 and C2, smoke-generating capacity group – S1 and S2, toxicity group – Т1 and Т2, flame spreading group – FS1 and FS2).Suspensions with lighting equipment and/or dynamic elements that require use of electric cables must be mounted in coherence with the electro-technical requirements (see «Electro-technical and Plumbing Requirements»).
Gangways between stands will be cleaned every morning before the exhibition opens. Waste left in front of your stand in plastic bags or boxes will also be taken out. Individual cleaning of your stand during the exhibition period may be ordered via Form 8.1. All decoration works at the stand must be finished on the last day of build-up (June 15, 2014) (see «The Exhibition Schedule» (р. 11)). Empty boxes/packaging and waste must be removed from the stand and placed in waste containers located near the cargo gates. Should the exhibitor fail to do so, the area around the exhibitor’s stand will be cleaned at the exhibitor’s expense.During build-up/breakdown periods, pavilions will be closed by the security staff at 20:00. During the exhibition period the pavilions will be sealed by the security at 20:00 and re-opened at 08:00. Please note that your own security will not be able to access the pavilions at night time.Exhibitors are strongly recommended to either have a representative at their stand when the pavilions are open, or order individual security. Exhibitors bear full responsibility for the safety of their exhibits and personal belongings left at their stands when the pavilions are open.Individual security may be ordered via Form 8.1.

Contractors obtain staff badges upon the completion of the tecnical expertise. To request badges for Exhibitors’ staff working at the stand during build-up/breakdown, please prepare a letter specifying the name of your company, names and residential address of staff members and submit it to the technical operator. Staff badges for build-up/breakdown will not be valid on the exhibition days. Please make sure to order badges for all the staff members required to be present at the stand during the Exhibition (see section 10). Sample letter may be found in Form 11.
You can order floral services and flower compositions via Form 12.
You can order waste disposal via Form 14.
To unload the exhibits and the equipment that do not have to undergo customs clearance and to pass it on (if required) to the official exhibition freight forwarder for further handling, you need to prepare 3 copies of a letter on a company letterhead and have it sealed and signed by the authorised representative.To access the cargo gates, you will have to leave the car/truck at the venue parking and have the letter validated at the Service Center located in the lobby of Pavilion 3.You will be able to enter the cargo gates using the validated letter (1st copy of the letter to be left at the Service Center, 2nd copy to be given to the guard at the entrance and the 3rd copy you keep for removal of the exhibits) and a pass to the cargo handling zone, which may be requested either from either the official exhibition freight forwarder (if you have ordered cargo handling works) via Form 6, or from the technical operator (if you handle cargoes yourself) via Form 5.The same must be done in order to bring in materials for decoration works: exhibitors and/or contractors must prepare 3 copies of a letter on the company letterhead and validate them as well.In order to have your letters validated by the appropriate departments, you must first send them to the official technical operator. Should additional exhibits and/or advertising equipment be brought in during the Exhibition, they must be added to both copies of the letter (your copy and the one kept at the Service Center) to avoid problems when moving them out.All materials and exhibits must have certificates of fire safety.
Overtime use of the exhibition area during build-up/break-down may be ordered via Form 13. The minimal order period is 2 hours.
13. OvERTIME BuILd-up/BREAk-dOWN
General requirements for custom-built stands• Not a single part of your stand may outstep the borders of your exhibition space.• The whole floor area of your exhibition space must be carpeted, the stand must have rear and side
walls according to the type of your space.• The maximum allowed height of both one-storey and double decker stands is 6 m.

• The maximum allowed height of the suspension is 8 m.• Each stand with a podium height of more than 32 mm must be equipped with a ramp for the handicapped
people.• Exterior surfaces of the stand visible from gangways between stands and from neighboring stands
must be decorated in an appropriate way (only white color is permitted, no logos). Placement of logos and advertisement materials is allowed only on the interior surfaces of the stand.
• The sides of your stand that are open according to the general exhibition plan cannot be built-up with blind walls without an approval from the technical operator.
• Constructions of all stand features on the sides of the stand that face gangways is allowed at the distance of not less than 1.0 m inward from the stand border.
• The area of all enclosed space of the stand may not exceed 50% of the total area of the stand.• Glass panels and other glass elements of the stand must be laminated or tempered. If glass can be
mistaken for an open passage, please make sure to have it marked at the eye level.• Each stand must be equipped with a universal power switchboard featuring a tripping device. An
electric wire of sufficient cross-section (the length of the wire may not be less than 30 m) is needed in order to connect the stand to the power grid. The tripping device parameters must correspond to the required power level.
Approval for build-up and decoration works is granted upon the results of the paid evaluation of technical documentation of the stand and after the official technical operator receives a refundable deposit of € 10 per 1 sq. m. of exhibition space.For your convenience, have your contractor submit all of the information to the technical operator.In order to pass the technical expertise, the following steps must be completed by your stand contractor:
• Form 2 filled out by the exhibitor must be submitted to the technical operator. After that you will receive the list of documents required for the technical expertise.
• All documents must be signed and sealed by the stand contractor and then submitted to the technical operator.
• Your documentation will be reviewed by the appropriate departments. Within 7 business days you will receive either an official written approval, or a motivated rejection.
• Submit the payment for the technical expertise and a refundable deposit to the technical operator within 3 business days upon the reception of the invoice. Please note that the cost of the technical expertise will vary depending on the date of submission of the documents to the technical operator. Your stand contractor will receive the approved documentation only after the payment gets processed.

The list of documents required for the technical expertise:• the ISO 9001 certificate;• a power of attorney on the company letterhead with a seal and a signature of the authorised
representative from the exhibitor;• a letter with the list of equipment and materials to be handled onsite, signed by the head stand
contractor – 5 copies;• an isometric projection of the general stand scheme signed by the head stand contractor – 2 copies;• a detailed exhibition scheme of the stand specifying the stand number and the total area of the stand,
signed by the head stand contractor – 2 copies;• a detailed wiring scheme of the stand in accordance with the All-Union State Standard 21.614-88
(GOST 3217-81) specifying the power supply voltage, maximum load power for each piece of equipment, points of connection of electric devices with a full explanation of all conventional symbols, a scheme of power leads and power switchboard, signed by the head stand contractor;
• an engineering scheme of the stand with indicated water and compressed air connection, etc., with a full explanation of all conventional symbols, signed by the head stand contractor;
• conformance certificates for all materials and equipment in use;• certificates for load-bearing structures for double decker stands; a static calculation for load-bearing
structures of double decker stands with an attached plan of construction elements; a scheme and a sectional drawing of double decker stands (scale 1:100) specifying all dimensions, signed by the constructor and with a seal of the organization behind the stand design;
• a static calculation is also needed for podiums taller than 1 m and for complicated suspension constructions;
• wind load for outdoor stands;• fire safety certificates (evaluation of a test fire laboratory, declaration of conformity) for all building and
decoration materials used for the stand (floors, ceilings, walls), etc.• fireproofing certificates for all combustible materials, decoration materials, podiums, etc. A copy of
the license of the company that conducted fireproofing and fire safety certificate for retardants in use;• a copy of the appointment order of people responsible for fire safety during build-up, as well as
documents proving their knowledge of fire safety regulations;• a list of electricians who participate in the electric installation works at the stand, signed by the head
stand contractor;• a copy of the appointment order of a person from the contractor’s staff responsible for build-up/
breakdown of electrical equipment at the stand and for safety during all works, signed by the head stand contractor;
• copies of the listed electricians’ IDs, signed by the head stand contractor;• a copy of the validation report for all electricians, signed by the head stand contractor;• a list of contractors who participate in build-up/breakdown works at the stand, signed by the head
stand contractor – 2 copies;• an insurance policy for all listed contractors;• a letter of guarantee for the disposal of construction waste.
The official representative of a stand contractor must either possess a power of attorney (or a seal) in order to sign the contract and the certificate of compliance of the documentation submitted by the contractor to the general conditions of participation, or have them signed, numbered and sealed by a duly authorised representative.

Note: there is a 50% surcharge on space only rate for double decker stands. Start of build-up is allowed only after the surcharge will have been received by appropriate sales agents (IES or ITE).The structure of a double decker stand must have appropriate safety characteristics, strengh properties and necessary certificates.Safety requirements for double decker stands:
• Maximum allowed height is 6 m;• Load-bearing structure, floor carpeting:
- The load-bearing structures of double decker stands must have a static calculation of the bearing capacity;
- The stand podium should bear load of not less than 500 kg/m2;- Parts of the podium under the bearing construction of a double decker stand must bear not less than
2,500 kg/m2;- The floor board of the second floor must bear load of not less than 350 kg/m2;
• Stand enclosing structures:
- The enclosing structures of the second floor must be at least 1,100 mm high of the second floor level and be protective of falling objects;
- The enclosing structures of the second floor must bear a side load of at least 100 kg/m2;- Structures of the second floor that have light fillings should have a firm security enclosure at the
height of 1,100 mm of the second floor level. The enclosure should bear load of not less than 100 kg/m2;• Staircases:
- Only flight stairs may be used as the main staircase of the stand, spiral stairs may only be used in addition;
- The width of the flight stairs must be at least 900 mm;- The stairs must bear load of at least 500 kg/m2;- The width of steps must be at least 250 mm;- The maximum rack angle of the stairs may not exceed 36° from the horizontal axis;- If the stairs lifting height is more than 450 mm there should be an enclosure with a railing;- The stairs railing should be 1,100 mm high and bear a side load of at least 100 kg/m2;
• A double decker stand must be equipped with a fire extinguisher and a fire alarm (see «Fire Safety Regulations»).
In case of violation of these requirements, the technical operator reserves the right to suspend the construction of your stand.

Prior to the start of build-up please make sure that your stand is located in a correct place according to the scheme. Should your stand structures be positioned in wrong places, you will have to dismantle your stand and assemble it again at your expense.During build-up (before the Exhibition opens) the exhibitor and the developer must:
• not block up the gangways between stands and ways of evacuation with the equipment, packaging and building materials;
• take all package and the rests of the building materials out of the exhibition territory;• dispose of small debris and trash into outside waste containers by 16:00 of the last day of build-up,
June 15, 2014.
Build-up and decoration works, as well as access of contractors to the pavilions, will be prohibited on any day of the Exhibition, including the opening day.
IT Is FORBIddEN TO: • conduct any build-up and constructions works near stationary electric boards, hatches, fire cabinets
and other engineering equipment• perform any saw cutting, planning and other joinery works related to the construction of stand
elements• conduct gun-spray painting and varnish works• make holes in the floors, walls and columns of the pavilion
Upon completion of breakdown works and after removing the carpeting, pavilion floors must be cleaned of adhesive tape, trash and debris must be disposed into waste containers.
ATTENTION!!! To dispose of large trash and debris, a waste container must be ordered at the Exhibitor’s expense.All losses related to damages of the pavilion constructions, additional cleaning and the disposal of waste incurred due to the Exhibitor’s/contractor’s actions, will be covered at the Exhibitor’s expense.

It is strictly prohibited for the Exhibitors to apply any self-guided changes to their “Equipped Space” during the build-up/breakdown periods and the Exhibition hours (full or partial break down, self-guided changes of the electrical equipment, unauthorized connection to the mains, dismantling of audio/video equipment, self-guided covering of panels, fitting and decoration of panels using duct tape and other adhesive materials (if it may lead to damage of the elements of stand con-structions), use of staplers to fix materials to the panels, drilling holes in the stand constructions, placing and mounting of any exhibition equipment and other constructions on the stand that are not official exhibits).
The Exhibitor is obligated to return the stand, the equipment, furniture and other materials to the technical operator in their original states. Any damages to the equipment must be reimbursed in the amount of 3 (three) times the cost of such equipment as indicated in Form 2.1.S. Damages to the equipment from the section “Advantec stand constructions” must be reimbursed in the amount of 7 (seven) times the cost of such equipment as indicated in Form 2.1.S.
Fees for orders submitted after the deadline: after April 08, 2014 – 50% surcharge, after may 20, 2014 – 100% surcharge.

Approval for build-up and decoration works is granted upon the results of the paid evaluation of technical documentation of the stand and after the official technical operator receives a refundable deposit of € 10 per 1 sq. m. of exhibition space.For your convenience, have your contractor submit all of the information to the technical operator.In order to pass the technical expertise, the following steps must be completed by your stand contractor:
• Form 2 filled out by the exhibitor must be submitted to the technical operator. After that you will receive the list of documents required for the technical expertise.
• All documents must be signed and sealed by the stand contractor and then submitted to the technical operator. Your documentation will be reviewed by the appropriate departments. Within 7 business days you will receive either an official written approval, or a motivated rejection.
• Submit the payment for the technical expertise and a refundable deposit to the technical operator within 3 business days upon the reception of the invoice. Please note that the cost of the technical expertise will vary depending on the date of submission of the documents to the technical operator. Your stand contractor will receive the approved documentation only after the payment gets processed.

For equipment of more than 60 kW the Exhibitor must order the number of connections proportionate to the power level indicated above. For equipment of more than 60 kW (per 1 connection) connection is conducted through a busbar. In such case, the Exhibitor must have TML type (DIN version) cable lugs of appropriate cross-section for the pressure check.
The stand must be equipped with a universal electric switchboard featuring a tripping device. To connect the equipment (exhibits) through the floor hatches, the Exhibitor must possess 63A, 380V ABB plugs. Connection of the stand power switchboard to the grid is conducted through a power cable of sufficient cross-section. 5-core cable of at least 30 r.m. long must be provided by the Exhibitor/contractor. All power cables connected through busbars must have lugs.
The price of power supply for outdoor stands depends on the stand location. Please contact the technical operator for prices of connection to the grid.

Compressed air supply (air pressure 6-8 kg/cm2) is conducted with the armored hose with inner diameter of ½“. Hoses for connections of up to 10.0 r.m are complimentary. If the length of connection is more than 10.0 r.m, hoses and pipes of necessary length are provided for extra charge. Compressed air supply to the main must be executed by the Exhibitor or his contractor using own materials. All connection works are subject to the Statement of delimitation of operational responsibilities. Equipment with malfunctions of valves may not be connected. Use of branching devices (manifolds, etc.) at the stand is prohibited. Stands incorporating such equipment will not be connected to the mains.

ReQUIReMeNTS FOR hOISTINg eQUIpMeNT FOR NON-ReSIDeNT CONTRACTORS.Foreign stand constructors must provide certificates on the equipment and certificates of the personnel operating the equipment in order to get permission for hoisting equipment usage. The permission issue is a paid service and it costs 50 euro per each hoisting equipment unit.All operators of hoisting equipment are obliged to have the certificate for the works in the Russian Federation. Some of foreign constructors may not have such certificates. Technical operator renders services on chief installation for foreign stand constructors. The service costs 40 euro per each hoisting equipment unit.
