Click on HMIS Sharing Forum from the left menu bar in HMIS SharePointPublic Portal.
A new login page will open.
Pass valid credentials (User Name and Password) and click on “Log In”button.
After passing valid credentials user will navigate to the correspondingState/UT/PRC/RRC Site.

Notification is a way of delivering a message to a set of defined recipients.
Notification refers to different Orders, Circulars etc. sent by the ministry.
In the HMIS Portal, the notifications will be sent from National level users
to the State/UT/PRC/RRC Users.
The notification will be displayed on the user’s dashboard on the basis of
date of creation i.e. newly created notification will be displayed first.
State/UT/PRC/RRC level user can only read the notifications sent by
National User.

Document Library is an organized collection of documents under
various Document Categories. The HMIS Portal has following libraries:
Shared Library – As the name suggests, this library is a
shared library between all the users. The States/ PRC users
have read rights on this library.
State/PRC Library – This library is State/UT/PRC/RRC
specific library. The content of this library is specific to users
in same State/UT/PRC/RRC. This library by default contains
Documents like- Facility Master of Specific State

Click on the document to be read from the Dashboard in Shared library
section.
System will prompt for the opening / saving of the document.
If you want to download the document, select save.
If you want to read the document, select open.

State/UT/PRC/RRCuser can only read or download the documents which has been uploaded by National users.

State/UT/PRC/RRC users would send request (email etc) to the Administrator
for uploading of a document in their library. Administrator based on the
approval of the required official will then upload the document in the library.
Going ahead the system will also provision for a workflow for approval and uploading
documents i.e. the State/UT/PRC/RRC users will have the right to upload new documents
in this library which will then be routed to the administrator / specified national user for
approval. Once approved the document would be available in the library.

System will prompt for selecting the file to be uploaded.
Click on “choose folder” option and select the State Folder.
Provide the Other properties associated with the document like Title of
the Document, Keyword for searching etc.

to register a new issue.
A new screen will open where the user can fill the information like title,
Issue status, priority, Description, comments.
Click on save to register the issue.
The new issue will be added to your issue list. You can view the status
of any issue from the issues/ complaints section on the dashboard.

on reply button placed at the bottom of the discussion board
Select the Topic / Discussion you want to participate in by checking the checkbox in
front of the topic.
System will display it’s details at the bottom
Click on the reply button at the bottom
A new window will open where the user can type in his reply.
Click on save button to send your reply.
User can view the replies by expanding the “+” button available in front of each topic.

like document, text, image etc. The advanced feature let’s the user define
various parameters to narrow down the search criteria for faster and specific
searching. The search option is available at the top right corner of the
dashboard.
Two types of Search available in HMIS Portal are:
Full Text Search – Content Based
Meta Data based Search – Based on Properties
The search results will be based on user rights.
