Overview• 1 year program (July 2018 – June 2019)
• One 1-hour meeting / month (or as agreed upon by Mentor & Mentee)

Mentee Roles & Responsibilities• To not use the Mentoring Program as a means to securing employment with
my mentor’s employer;
• To be respectful of my Mentor’s time and confidentiality;
• To take responsibility for my plan of learning and growth;
• To be proactive and initiate interactions with my Mentor;
• To be open to new ideas, perspectives and experiences;
• To ask for, and openly accept, honest feedback from my Mentor;
• To be prepared for all meetings with my Mentor;
• To provide honest feedback on the results of the Mentoring Program to the
designated Chapter Contact
Mentor Roles & Responsibilities• To not use the Mentoring Program to recruit staff for my employer;
• To commit to spending an appropriate amount of time to establish an open
and trusting relationship with the Mentee;
• To support and guide personal and professional growth for the Mentee within
their current employer and within the Metropolitan Philadelphia Chapter of
HFMA;
• To share specialized knowledge and experiences with the Mentee;
• To share my experiences within HFMA and to provide the Mentee with
information to pursue leadership roles within HFMA;
• To encourage the Mentee to accept new challenges and overcome obstacles;
• To encourage the Mentee to seek HFMA Certification (CHFP/FHFMA/CRCR);
• To provide the Mentee with honest and open feedback;
• To work with the Mentee to seek mutual agreement on goals and expectations
Covenant
• Formal agreement between mentor and mentee covering:
– Confidentiality
– Meeting Frequency
– Expectations via Partnership Agreement
– Oversight & Support
• Sign & return to Committee
• Mentees Responsibility to bring two copies to first meeting
Partnership Record
• Conversation Guide for First Meeting
• Includes the following:
– Contact Information
– Availability and preferred method of communication (phone, email (work / personal), face-to-face meetings, administrative assistant to assist with coordinating meeting, etc.
– Communication Schedule (i.e. monthly re-occurring meeting)
– Review Roles & Responsibilities of mentor & mentee
– Discuss General goals for program year
Preparing for a Meeting• Meetings should be initiated and coordinated by the mentee
• Schedule the meeting (calendar invitation with call in information and agenda)
• Prepare the agenda
• Prepare for the meeting
– Send a reminder and/or materials a week before the meeting
• Meeting Follow-up
– Minutes / Action Items
– Send Follow-up Email summarizing minutes / action items
– Topic for next time / scheduled date meeting

Goal Setting
• Identify where they would like to be and what
they would have liked to accomplished.
• Goals should Specific, Measurable, Actionable,
Relevant, and Time-focused (SMART).
• Goals should be re-visited each session to
address your progress toward them and look for
pathways to achieve them.

• Learning goals start with identifying the gaps in
your current knowledge or experience
• Connecting Goals start with identifying who
should you be connecting with that will have
influence over your professional future
• Creating goals start with gaps in your skillset as
a professional
