EXPECTATIONS FOR EMPLOYEES RETURNING TO CAMPUS
EMPLOYEE TRAINING
Developed by Human Resources with information
obtained from the Centers for Disease Control and
Prevention (CDC)
Fall 2020
Returning to Campus
• Millikin University is committed to supporting the health and safety of the faculty, staff and students.
• This is a challenging and fluid situation which continues to evolve rapidly. All information is subject to change as deemed necessary by University leadership in accordance with guidance and recommendations issued for federal, state, and local public health and government officials.
Expectations of Employees
All Employees should read Millikin’s Return to Work Guidelines (Sent on 7/2/20) and complete the Employee Acknowledgment and Commitment.
This training and education has been developed to establish a basic set of expectations for all MU employees.
Some departments may establish additional expectations specific to their area.
PERSONAL RESPONSIBILITY
• Perform a dally self-assessment wellness check before coming to
campus and do not come to campus if you feel ill.
• Practice social distancing while on campus.
• Wear a face covering at all times when indoors, or when outside and
unable to maintain a minimum 6’ distance (except when you are alone in
your office or walking alone outside).
• Wear additional personal protective equipment if required by your
department.
• Wash your hands when arriving and leaving campus, and upon returning
to your workspace.
• Disinfect your personal workspace and common/high touch work areas
you are accountable for in your department.
Personal Wellness Check
• A personal self-assessment check is a way for each individual to
check for any symptoms that could possibly be related to COVID-19.
• Each employee should conduct a daily assessment prior to coming
to campus.
• If you are sick, notify your supervisor and stay home.
• You may use the Daily Self-Assessment Form as a resource to
conduct your personal wellness check. (No need for you to report
your results unless you have symptoms.)
COVID-19 Symptoms
• Please check yourself for one or more of the following
symptoms:
– Temperature >100.4F or higher
– Cough
– Shortness of breath
– Difficulty breathing
– Chills, repeated shaking with chills
– Muscle pain, headache, sore throat
– New loss of taste or smell
If you have Symptoms
• Stay home.
• Notify your supervisor in accordance with your department
procedures/guidelines.
• Contact Crossing Healthcare Hotline at 217.877.9117 for testing
instructions.
• Employees with confirmed cases of COVID-19 (or have a family
member at home sick with a confirmed case of COVID-19) should
follow the instructions provided and contact Human Resources.
If you have Symptoms
• If you run a fever, do not return to campus until 10 days have passed since the symptoms first appeared, and you are fever free for 3 days (without the use of fever reducing medications) and improving symptoms.
• Contact your health care provider or consider a telehealth appointment, if you deem appropriate.
• Emergency Paid Sick Leave up to 10 days is available for COVID-19 related absences for all employees through December 31, 2020, in addition to Millikin’s regular paid sick leave policy.
What’s the difference? Quarantine vs. Isolation
Isolation (for confirmed or probable cases of COVID-19) –
• Lasts 10 days from onset of symptoms or confirmed case. Improved symptoms and fever free without medicine for a least 3 days.
• Separates those who are infected with the virus from those who are not.
• Restricts movement to home or living quarters with necessities provided to them without contact.
Quarantine –
• Lasts 14 days from last contact
• is used to keep someone who might have been exposed to COVID-19 away from others.
• Restricts movement to help prevent the spread of the disease that can occur before a person knows they are sick or infected without having symptoms.
• Recommends staying at home, separating from others, monitoring your health, following directions from state or local health department.
Social Distancing
• Social distancing, also called “physical distancing,” means keeping
space between yourself and others.
• Individuals can spread the virus before they even know they are
sick, so it is important to maintain distance even if you have no
symptoms.
• Keeping space between you and others is one of the best tools we
have to avoid being exposed to this virus and slowing its spread.
• To practice social or physical distancing:
– Stay at least 6 feet (2 meters) from other people
– Adhere to current guidelines on group gathering sizes
– Stay out of crowded places and avoid mass gatherings
– Refrain from physical contact
Social Distancing on Campus
• Suggestions for successful social distancing in your work area:
– Communicate with your supervisor so they may coordinate with you to
meet both your needs, as well as the department needs.
– Where feasible, meetings should be held using collaboration online tools
like email, Zoom, Skype, teleconferencing, etc. vs. face to face
interactions.
– If face to face interaction can’t be avoided, consider how to arrange
furniture to allow a 6-foot distance between all people at all times while
communicating or remain standing.
Social Distancing on Campus
– Minimize meetings and keep interactions short to avoid prolonged exposure.
– Remain mindful of physical distancing in small spaces including hallways,
stairwells and restrooms. One person at a time in an elevator must be
adhered to for physical distancing.
– Refrain from entering areas where it is normal for people to congregate
such as break rooms, restrooms and common social areas until you may do
so while socially distancing.
– Continue to practice social distancing during activities such as going outside
for a walk or sharing a larger conference or break room during breaks or
lunch.
Personal Protective Equipment
Personal protective equipment (PPE) refers to protective equipment designed
to protect from the spread of illness.
MASKS –
• Face masks/coverings must be worn by all employees in common areas.
• Face coverings are not required to be worn in private offices, when alone.
• Masks should fit snuggly but comfortably over the nose and mouth.
• Employees who forget or misplace their mask may obtain a replacement
mask in designated locations, including Human Resources.
• Face masks should be properly laundered before using again.
• Employees requesting accommodations should contact
Human Resources.
Personal Protective Equipment
Additional personal protective equipment like goggles, face shields, or gloves
may be provided based on job tasks or due to an accommodation.
FACE SHIELDS-
• Not recommended for everyday activities or a substitute for face coverings.
• Can be used in addition to mask for improved protection.
• If used, they should wrap around the sides of the face and below the chin.
• Shields should be cleaned and disinfected after each use.
GLOVES-
• The CDC indicates that gloves are not necessary for general use, including
office work, and do not replace good handwashing hygiene.
• Gloves are recommended when you are cleaning or caring for someone
who is sick.
Gloving Procedures
Personal Hygiene on Campus
Washing our hands is one of the easiest and most important things we can
do to stay healthy and stop the spread of bacteria and viruses.
Wash your hands with soap and water for at least 20 seconds as
frequently as feasible.
Employees are expected to properly wash their hands immediately
when entering and exiting the workplace.
Use hand sanitizer when soap and water are not readily available.
Do not touch your face with unwashed hands.
Avoid physical contact (hand shaking, hugging, etc.)
Always remember to cover your mouth and nose when coughing or
sneezing with tissue or by sneezing into the bend of your elbow.
Handwashing Procedures
Follow these five steps every time.
• Wet your hands with clean, running water (warm or cold), turn off the tap, and apply soap.
• Lather your hands by rubbing them together with the soap. Lather the backs of your hands, between your fingers, and under your nails.
• Scrub your hands for at least 20 seconds. Need a timer? Hum the “Happy Birthday” song from beginning to end twice.
• Rinse your hands well under clean, running water.
• Dry your hands using a clean towel or air dry them.
Cleaning and Disinfecting
Facility Services will clean all work and class/lab areas daily with industrial-
strength products. However, additional care should be taken to clean non-
public, shared spaces within private offices.
You are expected to wipe down your immediate work area and any
common/high traffic areas daily, including:
Printers/Copiers
Coffee Stations
Refrigerators/microwaves
Shredders
Light switches
Door knobs
Cleaning supplies will be made available for all office areas and
classrooms. If you needs supplies, contact Facility Services.
Cleaning and Disinfecting
Follow all instructions for cleaning and sanitizing.
Avoid using other employees’ phones, desks, offices, computers or
other work tools and equipment when possible. If necessary, clean and
disinfect before and after use.
Cleaning and Disinfecting
Travel Guidelines
The CDC indicates that travel increases your chances of contracting
and spreading COVID-19, and that staying home is the best way to
protect yourself and others from getting sick.
• All non-essential business travel is suspended until further notice.
• Employees are encouraged to refrain from all non-essential travel.
• If you do travel:
– Testing will be required if you utilize air travel or take a
cruise.
– Testing will be required if you travel to/from an area
identified as high-risk by the CDC.
– Employees should stay home and self-quarantine for 3
days after returning home before being tested.
TESTING
Millikin University will be utilizing a three-pronged approach to mitigate the risk of COVID-19 cases on campus.
1. Initial screening of all community members, prior to the arrival to campus. Testing criteria* will be established to determine the need to engage in testing.
2. Self-monitoring, use of a Self-Assessment form, PPE and community health practices will be implemented.
3. Contact tracing, quarantine and isolation protocols will be followed for any identified symptomatic individual and/or positive test results.
COVID-19 TESTING CRITERIA
Testing will be required for:
Any community member traveling from an area that has been identified
by the CDC as high-risk;
Any community member who is traveling from a state, or has been
living in a region of risk, where cases have been significantly elevated
(i.e. Arizona, Florida, Texas, etc.);
Any community member who has been actively working in or visiting a
health or congregate care facility, jail, homeless shelter or other
residential setting where risk may be elevated;
Any community member who has been working in a high-risk
profession where clusters of infections have been identified;
Any community member who has taken a cruise or utilized air travel in
the last 14 days;
COVID-19 TESTING CRITERIA
Any community member with a symptomatic or positive COVID-19 case
in their household in the last 14 days;
Any community member with known exposure to a person with
COVID-19 symptoms; and
Any community member who is currently experiencing any or all of the
symptoms below should contact the Crossings Healthcare Hotline at
217.877.9117 for instructions for testing:
Cough
Fever
Shortness of breath
Muscle pain
New loss of taste or smell
Vomiting or diarrhea
Sore throat
TESTING PROCESS
Self-quarantine for 3 days at home and then call the Crossing Healthcare Hotline
at 217.877.9117.
Identify yourself as a Millikin employee requesting testing for traveling to/from a
high-risk area as determined by the CDC.
There will be no cost to the employee for testing, but insurance information will
be collected for recording purposes.
You will be directed to make an appointment for the drive-through testing center
at the Crossing Healthcare campus.
You will simply go through the drive-through, take the swab test with
instructions from the medical staff and the results will be shared with you later.
Stay home until results are received (typically taking between 3-5 days)
Due to privacy restrictions/HIPPA, Crossing Healthcare cannot release testing
results to Millikin. It will be the employee’s responsibility to provide the test
result to Human Resources prior to returning to work.
ACCOUNTABILITY
Shared commitment to safety is a critical component to ensure the health
and wellbeing of our entire campus community. Millikin is relying on
members of the community to adhere to and assist with enforcing these
standards of behavior.
Speak up if you encounter someone violating the face covering policy.
For example, using an informal, personal intervention with friends and
colleagues, such as a gentle reminder of “did you forget your mask?” or
letting them know where they can get a mask.
Individuals will be given a reminder and an opportunity to correct their
behavior. If continued non-compliance, contact their supervisor or
Human Resources. Continued non-compliance may result in disciplinary
action, up to and including termination.
