New Features
New User Account Management Screens & Easy Password Recovery
You now have access to a new User form with mass processing / update options. If you are an
administrator and do not see any users you may need to update your view permissions to do this
open your user account using the zoom icon (your user account would only be shown by default)
go to Account View Permissions > Select module = System and Select Form = Users and ensure
your account has View All records enabled for the System Users form.
You can use the search option to filter for employees (and it will return those with and
without a user account) for departments and other criteria. To specific search for
employees without a user account you can add a filter for Username = Missing (see
screen above). This will return current employees without a user login.

To utilize the mass processing function check the records then use the Perform an
Action button to initiate actions e.g. New Users etc.
If you want to use the old new user wizard you can click on the + button at the bottom
left of the table to open the traditional new user wizard.
You can now enable a Secret Question and password to make password recovery easy
for your employees to enable this go to System > Password Settings and enable Secret
Question. On the next login your employees will be prompted to input a Secret Question
and Answer to use when recovering their password using the Forgot your password
option. If answered correctly it will email their username and password to the email
address on file.
Improved Admin Interfaces
Most admin areas use our new Save as you go or in place editing. Use the standard Add, Delete
and Archive buttons there is no need for the traditional Save button.
ActionHRM API (Application Programming Interface)
New API’s added
• Get employee custom fields – returns employees and their custom fields
• Get position identifiers e.g. Listing Identifier, Get Identifier

Quick Copy Recruitment Processes
When creating a new recruitment process, you have the option of copying from pervious
recruitment processes. Click on + to expand the copy option, select the process then click on
Copy Setting to copy most details of the previous process
Quick Copy Recruitment Notifications
You can now copy from existing notifications letters and also link your notifications to custom
applicant status values you have created.

To create a new notification template, use the plus button provided on screen.
You can use the Copy tool by expanding, selecting the existing notification and click on copy
settings.
New Applicant View Screens
Our applicant view screens have been improved including quick access to applicant history,
improved banding, action and document management.

New custom applicant status values and introduction of applicant pipeline
You can now define an unlimited number of Applicant Status values
To create new applicant status values go to Recruitment > Admin and select Applicant Status
This allows you to create as many custom status values as you need e.g. Unsuccessful after
Review, Unsuccessful after 2nd Interview, etc.

In order to use these new status values you will need to add them to your common pipeline at
minimum. After the upgrade no change to existing behavior will be automatically made but it is
suggested you
1) Review and add any custom status values you want
2) Add these to the common pipeline (these then become available for all roles)
3) Add / assign the new status values to any existing notifications you create / have created.
It allows for much easier tailored email and PDF notifications as these can then be
assigned to these custom stages.
An applicant pipeline will be assigned to all existing processes and you can create a new series
of limited status values for future roles. Over the next few releases we will look to extend a
decision hierarchy to these status values to ensure a workflow / decision tree process is provided
to your recruiters and more easily allows specific processes for certain hires to be completed.

Quick Copy Generic (Custom) Workflows
When creating new custom workflows a quick copy tool has been added to speed setup when
creating similar workflows. You can use the Copy tool by expanding, selecting the existing
workflow and click on copy settings.
New Performance Review Management Screen
We have introduced a new review management that allows you to track, initiate, and follow-up on
outstanding reviews.
The traditional employee dropdown had been removed and replaced by our new table and search
views. These will be progressively rolled out to more areas and provide access to view many
employees at once while returning quick results.
The same table view has been applied to the current and historical review areas easily allowing
managers and admins to see performance across the teams.
You can still initiate reviews from the Launcher menu (New Review) but you can also search /
check employees and then use the Perform and Action dropdown to create batch reviews.

You can click on the Details button to display the details of where the specific review is at. (see
the expanded information that is shown below)
Email reminders can be sent with custom messages. This will email any selected employees
(raters and reviewers)
The Current Review and historical Reviews have also been updated allowing you to see many
staff at one time.

New OHS View Screens & Support Modification of Completed Issue Modification
We have introduced issue management screens in the OHS module. This allows for easy
searching sorting and filtering and you can view high level issue data en masse. This is the first
stage of our major OHS/WHS update.
To enable the ability to edit issues after completion you will need to adjust the System > Access
settings for the OHS > Issues form – ensuring Read, Create, Update, Delete is added to any
profile that you wish to be able to modify completed issues. Normally this will be your
administrator profiles.
If you enable the security change you can open and adjust completed issues. All history is still
tracked and this is useful is you have completed an incident but need to make subsequent
changes.

Just click on the field where appropriate and make any changes required. The dotted underline
indicates fields that can be updated.
The OHS Action page has also been updated with a new table view and sort for easier
management and followup.
New Expense Screen and Sub Types
You can now make expense codes optional and define new allocation types if required.
The Expense workflow also now has inline editing with a save as you go format. This is the first
stage of a series of expense claim improvements. More will follow in the next releases including
advanced approval routing rules.

Asset and Health forms have updated user interfaces
The health and asset forms now have save as you go functionality.
Roster and Events beta
We have been busy building a new roster and event management capability. Below are some
quick sneak peaks.
Key features
• Specific or Repetitive Events
• All event view for high level planning including quick identification or gaps and filled
events.
• Detailed Event Views including Intra Day views showing resourcing at different times of
the day
• Search, Additional and Invitation of both Employees and Non Employees (e.g.
volunteers) to shift events.
• Automatic acceptance / time selection for employees and volunteers without the need to
login to the HRMS

Document Store for Development module and Skill Log Improvements
We have now added a separate document store for upload qualifications / scans and other
training related documents. To use this new document store you will need to add some document
types under Development > Admin > Document types. Also the separate Skill Log form showing
skill history has been incorporated into the All Skills page and has an improved table format.
New Lightweight Employee Record (No Employment)
You can now add new employee record types that do not allow or require traditional position
tracking. This was a key step and improvement to allow visitors / occasional contractors or
volunteers to be loaded in the database but exclude traditional employment tracking. To enable
this you will need to create a new Company with the no employment
