docusnap 6.2 - product information documentation is the key to successfully managing nearly any task...
TRANSCRIPT
IT documentation is the key to successfully managing nearly any task in your IT environment, enabling you to track processes and systems. Establishing detailed documentation is a tedious job—if created manually. But this is not the only way to do it.
Your Docusnap software solution provides major advantages for the creation and maintenance of corporate IT documentation: The application supports IT staff by automatically retrieving system values and configurations, providing pre-designed reports, plans and analyses to deliver valuable evaluations.
The technical inventory features of Docusnap, which had been quite extensive before, are extended in the new version 6.2 by options for collecting and documenting Oracle and Backup Exec. With its automatic assignment of dependencies across systems, etc., the innovative IT relations module massively boosts productivity. The new version excels with its consistent enhancements and extensions to existing features and with its improved usability.

IT documentation is the basis for all important decisionmaking and planning efforts regarding your IT environment. For this reason, IT documentation must be up-to-date.
IT documentation consists of process and system documentation. From a “best practice” perspective, Docusnap has established itself as a powerful software solution for system documentation:
Firstly, Docusnap collects a wealth of different data from your IT environment and stores it in a central database.
Docusnap can then generate a variety of documents (lists, plans, overviews, reports) from this database—just as required.
Secondly, Docusnap allows the user to customize data structures and to extend system documentation by adding manual information. Docusnap is the perfect tool to create IT documentation and build an ITIL CMDB.

Inventory
“ A Docusnap scan yields more than you would expect.”
Any IT documentation is based on an up-to-date, detailed hardware and software inventory. In practice, it is very time-consuming and thus not realistic to inventory all components manually.
Docusnap collects the data without interfering with the existing IT environment. This means that no software agents, drivers, etc. need to be installed.
The inventory process can be performed by means of a user-friendly wizard or as a scheduled task via the
Docusnap Server. Alternatively, scripts can be embedded for this purpose.
From a technical point of view, Docusnap benefits by its additional capability to collect and document software settings and configurations. Docusnap is able to scan data from common software solutions, such as Microsoft Exchange, Hyper-V, SharePoint, VMware, Backup Exec and Oracle.

In real-world scenarios, it is assumed that certain planning tasks and activities are backed by corresponding plans. To create them manually, most IT professionals use Microsoft Visio.
Based on the individual data scanned, Docusnap is able to generate a number of plans directly in Microsoft Visio.
You can customize the visualization (layout, algorithms) of the plans created in Docusnap.
The plans always reflect the specified corporate design. In addition, they can be generated in English or German.
It goes without saying that these visualization features are integrated with Docusnap so that the software has direct access to the plans.
The plans generated by Docusnap can be stored in various formats, such as Microsoft Visio, HTML, or as images.

The IT Assets functionality allows you to inventory systems which cannot be scanned automatically by Docusnap. Conveniently, this can be done, either manually or by data import.
Docusnap comes with many predefined IT asset types. In cases where these are not sufficient, you can extend them easily by creating additional types or classes with minimum effort.
Docusnap generates the required data entry screens automatically.
Of course, you can apply the various IT assets to your IT concepts, IT relations, reports and plans.

In an IT environment, there are relations between systems and software solutions that cannot be identified and documented automatically by an inventory scan.
A particular highlight in Docusnap is the automatic detection of interrelations across systems within a network.Docusnap makes these IT relations transparent: Relations created in Docusnap can be exported to Visio and integrated into IT concepts.

IT Relations
“ Uncover complex interrelations.”Docusnap allows you to assign properties, such as “technical” and “organisational”, to previously created relationships. The existing interrelations, for example between a web server farm and the database servers, the firewall, etc., are shown graphically.
As an ITIL CMDB, Docusnap offers a neat way of managing and visualizing relations between the various configuration items. Drag & drop makes it easy to define any desired relationships between these items.
14
Consultants and IT staff spend much of their time creating concepts that are used as the basis for planning, meetings or decisions.
The content of these concepts is usually based on the actual data retrieved from the IT environment. This information needs to be added manually to the concept—a tedious, time-consuming and error-prone task!
With Docusnap, you can create IT concepts directly in the software, without using a word processor. Predefined concept templates further help you with this task.
The content of IT concepts is based on the values scanned and subsequently stored in the Docusnap ITIL CMDB. Basically, you can add normal text, plans, lists, externals files and reports to the concept.
Docusnap IT concepts can be scheduled for automatic updates based on the latest inventory scan.

With today‘s complex, ever-changing IT environments, it is virtually impossible to keep track of network permissions.
Corporate security, however, requires that all permissions are consistently monitored.
The Docusnap Permission Analysis module automatically scans the current status of permissions.
Based on this inventory data, you can easily create interactive analyses. To better understand this data, you can also create a corresponding graphical representation. This overview shows the effective permissions and helps you analyse the origin of your permissions at any time.
Comprehensive and meaningful predefined reports are available. If you wish, you can schedule the reports for time-controlled execution.

Automatic license scan
Due to the disparate, immensely complex licensing schemes used by software providers, it is hard to keep track of the corporate licensing situation.
You need a user-friendly license management system to reliably monitor the correct use of your software licenses.
The License Management module of Docusnap uses search patterns to map the inventoried software products to the licenses purchased.
It is possible to clearly map any licensing model in Docusnap, no matter whether the license is assigned by devices, users, processors or processor cores.
Comprehensive reports transparently map the current situation, immediately identifying any underlicensing or overlicensing conditions.

License analysis
When you look at the sheer mass of scanned data, comprehensive analysis and editing options are a real must.
With its wealth of visualization options and the Permission Analysis, License Management, IT Relations and IT Concepts modules, Docusnap excels in this area.
While the filter functions, reports and visualizations help you obtain an excellent overview of the IT environment,
you can perform more in-depth security analyses using the Permission Analysis module.
The IT Relations module is capable of detecting complex interrelations automatically and you can add any desired relations manually if required. You can conveniently and easily group all analyses and evaluations into a global concept using the IT Concepts module.

There are some types of information and documents that cannot be inventoried automatically when you create your IT documentation. It is rightly expected, however, that comprehensive IT documentation includes all relevant information. Docusnap allows you to store comments and original documents in any format (Word, PDF, Excel, etc.) with each system.
Additionally, Docusnap includes further extensions such as password management, contract and comments
management and a resubmission feature.
Any information stored in Docusnap can be sorted and displayed according to various criteria: by document type (passwords, comments, lists, etc.), by their technical hierarchy, or directly from the Docusnap tree structure.
The open database approach and interfaces to third-party systems (e.g. to the FaciPlan facility management solution) facilitate the integration into existing solutions.

Each company has specific requirements for their IT system documentation. Docusnap can be easily customized to meet these requirements.
There are three different fields of customization: By modifying visual aspects in Docusnap, the corporate design of a company (colour schemes, fonts, logo, etc.) can be enforced.
The second field of customization within Docusnap refers to the data structure. Just like data entry screens, data structure may be edited and extended at will to reflect company-specific information.
The third customizing option is provided by the integrated Docusnap Report Designer. The flexible DocusnapConnect interface makes it very easy to connect Docusnap to third-party systems.

Modules and Licensing ModelA bespoke software solution
A major advantage of Docusnap is that you can customize not only its features, but also the license which will be tailored to the requirements of each company.
The modularity of the technical features is reflected in the Docusnap licensing model. This means, various optional models are offered besides the features covered in the basic license.
The result is a license that perfectly meets the requirements of your company. It can be extended at any time as your company grows, or your IT documentation requirements change.
The following pages describe Docusnap from a technical perspective. We will introduce the features included in the basic license and the extensions available as optional modules. If you intend to use Docusnap in multiple companies, a multi-tenant license is available.

Operating systems are the link between hardware and software solutions.
With the Docusnap basic license, you can scan Windows, Linux and Mac operating systems, as required.
Docusnap is able to collect data on all hardware components, the operating system configuration settings and installed software.
In addition, Docusnap takes an inventory of all objects in the Microsoft Active Directory, the associated permissions and the group policies.
The information gathered in this process can be output to predefined reports and plans.

The inventory of SNMP devices is part of the Docusnap basic license. The SNMP scan covers all SNMP-capable devices that exist in the network (switches, routers, printers, etc.).
To obtain a manufacturer-specific scan, you can integrate any third-party MIBs, so that it is even possible to get information such as printer toner levels.
Docusnap performs topology detection based on the Spanning Tree protocol or, alternatively, based on empirical methods. In addition, Docusnap determines and visualizes the VLAN configurations.
The result of the SNMP inventory can be shown in reports, in an SNMP Explorer and in various plans.

In recent years, Microsoft Internet Information Services has become the industry standard for .NET-based web applications.
Internet Information Services are extremely important for every company as they provide, among other things, the foundation of the Microsoft Exchange Server and Microsoft SharePoint Services functionalities.
Docusnap retrieves all major values and settings from Microsoft Internet Information Services. The data collected by Docusnap is presented in a report.

In many companies, either Microsoft SQL Server or Oracle is the default database.
Many other applications and software solutions are based on these two database systems.
Docusnap scans Microsoft SQL Server and Oracle databases, retrieving information on database schemas, tables, columns, views, users and groups.
Based on the values collected from the inventory scan, Docusnap prepares E/R diagrams. Of course, the data resulting from these Docusnap scans can be output to predefined reports.

Microsoft DHCP and DNS server services provide important basic technologies for operating a network. For example, without a working DNS environment, it would be impossible to use Microsoft Active Directory.
Docusnap retrieves all configuration options defined for the Microsoft DHCP and DNS server services. Reports can be generated for the values obtained in this manner.
In addition, Docusnap creates a plan to visualize how the Microsoft DHCP server services are integrated into the network. This plan provides users with a quick and concise overview of the Microsoft DHCP server services.
Backup Exec is used in many companies for data backup and restore. Docusnap inventories all information on the configured jobs and thereby provides a global overview of which systems are being been backed up and which not.

For many, Microsoft SharePoint is the optimum web-based portal solution to manage documents, lists, and workflows on their company Intranet.
The Docusnap SharePoint module scans Microsoft SharePoint for the settings and configurations of the various SharePoint installations. To output these values, Docusnap uses predefined reports that still can be customized at any time.
What is more, the Docusnap SharePoint module retrieves the permissions granted within the SharePoint installation. Using the functionality of the optional Docusnap Permission Analysis module, the SharePoint permissions obtained by the inventory scan are presented graphically and as reports, just like normal directory permissions. Users can thus evaluate the permissions at any time.

For a while now, virtual technologies have become an industry standard adopted by many companies.
For the inventory process, Docusnap supports the Microsoft Hyper-V, VMware and XenServer virtualization technologies. Firstly, Docusnap scans the relevant properties and configurations of these technologies.
Docusnap then generates various plans from the data retrieved which present the technical facts in an easily understandable way to the user. Subsequently, all data collected is available in the software and can be output in the form of reports.
In the context of SNMP topology detection, Docusnap also supports virtual VMware and Microsoft Hyper-V switches.

The Permission Analysis module extends Docusnap‘s functionality to include the analysis of Microsoft Windows directory, Exchange, and SharePoint permissions. SharePoint permissions can only be analysed with Docusnap if the Microsoft SharePoint module is licensed as well. Similarly, the Exchange module is required for the analysis of Exchange permissions.
As required, Docusnap performs permission analyses by users or by resources (such as directories). Docusnap visualizes the origin of the effective permissions by displaying the various group and user structures as well as the resource inheritance. A further advantage of using this feature in practice is that meaningful reports can be scheduled for time-controlled execution.

Using the License Management module, the installed software found by the inventory scan can be assigned to the actual purchased licenses. For this purpose, Docusnap provides an easy-to-use keyword search functionality that even allows you to group sub-versions of a software.
Docusnap is, of course, able to map all common licensing models. License Management not only includes the automatic calculation of upgrade and downgrade paths, but is also able to monitor expiration dates of time-limited licenses.
Monitoring scripts that record terminal server access enable you to determine the software used on each terminal server so that these licenses, too, can be managed correctly. Comprehensive reports provide you with an overview of the current licensing situation. Thus, it is possible to easily analyse and evaluate the respective state of licenses.
The resubmission feature provided by the License Management module allows you to easily track license agreements that are about to expire.

The Customizing module is vital in cases where your company requires additio-nal data structures, object classes, or data entry forms in Docusnap.
With this module, virtually any data management requirement can be met: you can extend existing elements or even create entirely new structures.
Desired customizations can be made conveniently and directly in Docusnap and require no specific software development expertise.
It goes without saying that you can easily export all changes made to the object model and to the database and import them into other databases. They can even be provided to other companies.
