Pre-requisites

Before you start, the following criteria should be met:

-  VMWare workstation or server is installed and ready to use.o  At least 512MB of memory is available for the Virtual Machine.

o  At least 2GB of storage is available for the Virtual Machine.

  Up to 50GB of additional storage can be utilized.

o  A network is configured and available to the Virtual Machine.

Image Selection

The latest version of the DocumentHosting.com appliance should always be used

when installing a new virtual server. This can be downloaded from our website

at  http://www.documenthosting.com/ (registration might be required).

There are three types of images available for download:

OVA file

Can be used with VMWare versions supporting OVF version 1.1

OVF file

Can be used with VMWare versions supporting OVF version 1.1

VMX file

Can be used with most VMWare versions, including legacy.

Default Username and Password

The default login credentials for the appliance.

Username: admin 

Password: default  

Note:

-  It is recommended that you change the admin password immediately 

after configuring the appliance for the first time.

Installation

Install Image on VMWare Host

Once the image has been downloaded, it will need to be uploaded to the VMWare

server that it will be run on. Specific instructions on this task vary depending on

the version of VMWare and the chosen image type.

If using an OVF or OVA file, the virtual machine should be imported using the

‘Import Virtual Machine’ function within the VMWare administrative interface.

If using a VMX file, the virtual machine should be copied into a folder within a

datastore of the VMWare server host. The guest should be available to be

imported once it has been copied to the server.

Configure VMWare Guest Profile

The minimum available memory to the virtual machine should not be any lower

than 512MB. Higher values may yield better performance, and will be utilized if 

present and required.

The default configuration does not include storage space for user files. To allow

the appliance to store files, an additional drive should be added to the virtual

server before powering it on. A virtual disk that is 50GB in size is recommended.

Additional CPU and performance/optimization options can be tuned as needed.

Boot VMWare Guest

Once the guest is installed and configured, the appliance is ready to be started for

the first time. The new guest system might need some basic settings assigned,

which is done at the console screen.

The console for the DocumentHosting.com appliance boots to a user-friendly

console including some basic maintenance operations for the appliance.

There is also a web-based administration console that is used for more advanced

configuration and maintenance. The web-based console is usually listening on

TCP, at port 8000. This can be verified within the Information function of the

console.

Note:

-  It is recommended that at each step of the way, a snapshot of the virtual 

machine is created so that changes can easily be reverted. Consult the

VMWare documentation for more details on creating and managing

virtual machine snapshots.

Network Configuration

If the network is to be configured using DHCP, this information is automatically

assigned and should be verified with your network administrator.

If configuring the network settings manually, the following information will be

required:

-  The hostname of the appliance.

o  For example, “dochost ” . 

-  The domain name of the appliance.

o  For example, “ yourdomain.com”. 

-  The IP address of the appliance.

o  For example, “123.45.56.78”. 

-  The netmask of the appliance.

o  For example, “ 255.255.255.0”. 

-  The gateway of the appliance.

o  For example, “123.45.56.1” 

-  A primary DNS server for the appliance to use.

o  For example, “123.45.56.2” 

o  Optionally, a secondary DNS server can be used as well.

The console menu provides an Information screen that can tell you which IP

address the appliance is currently listening for connections on.

System Console

The system console provides interfaces to:

-  Reboot/Shutdown Appliance

Authentication

The current administrator password is required to use some of these functions.

Network Configuration

The appliance network settings can be changed using this function.

System Information

This function provides a reading of the current system load and memory usage.

The current IP address of the system can also be found on this screen.

Restart Device

This function can be used to restart the virtual machine.

Shut Down Device

This function can be used to safely shut down the virtual machine.

Web Console

The web-based console provides most of the administration functions for the

virtual appliance. It is usually listening on port 8000 (TCP) and requires the

current administrator login and password.

To reach the console, if the appliance hostname is dochost.localdomain:

http://dochost.localdomain:8000/ 

The Information function of the console will display the addresses and ports

where the appliance can be reached if network configuration was successful.

Notes:

-   A JavaScript-capable browser is recommended, and may be required for 

some functions within the web console.

-  It is recommended to limit access to this port using external 

router/firewall ACL rules.

License Entry

Before the appliance can be used, a form to update the license will be presented.

Web Console Login

Access to the web console will require the current administrator login and

password.

Note:

-  The administrator password can be changed within the web console.

Network Settings

The network configuration for the appliance can be adjusted using this screen.

Either DHCP or Static mode can be enabled, as well as some additional settings

suitable for the current mode. Assignment of a secondary DNS server is optional.

Note:

-  Changes to network configuration require the device to be restarted.

Email Settings

In order for an appliance to send email, a remote SMTP server must be

configured that will relay mail for the appliance.

Note:

-  It will not be possible for the system to send any emails or notifications if 

this has not been configured. 

Plug-In Settings

To use external services with the appliance, their API keys can be entered on this

screen.

Note:

-  The appliance must have a valid hostname that can be reached over the

internet by these services for this feature to be fully functional.

SSL Settings

Default SSL Certificate

After installation, the appliance will be configured to use a standard self-signed

certificate. This does not provide much (if any) security, and is only intended tobe used as a default. It is recommended that a custom certificate is used instead.

Custom SSL Certificate

A custom SSL certificate can be entered into this screen once custom mode has

been selected. The certificate and private key can be pasted and saved for use by

the appliance.

Note:

-  The appliance will need to be restarted for this change to take effect.

Storage Settings

When a secondary disk has been added to the appliance, it will be available for

initialization on this screen.

It is recommended that this disk be allocated at least 15GB of storage. This canbe configured in the guest settings of the VMWare administration console.

Initialize Device

To prepare a drive for the appliance, use the “Initialize device” function. This

process can take several minutes, depending on the size of the disk and the

speed of the system.

Assign Primary Storage

Once the disk has been initialized, it can be set as the primary storage volume.

This is the device that will be used to store users’ uploads and serve downloadrequests.

Note:

-  The appliance needs to be restarted to activate after changing the

 primary storage device on this screen.

Support Settings

The support configuration is used in the main application pages, to direct users

to an email and phone number for support.

System Tools

The web console also contains core system functions, which are available on this

screen.

-  The appliance can be restarted, or shut down.

-  The administrator password can be changed.

-  The software can be reset to ‘factory’ settings. -  The software can be upgraded if an update is available.

System Logs

When diagnosing system issues, there are several log files available that can help

in determining the cause of a problem.

Appliance Messages

This log file contains information about the appliance start-up process, as well as

the update process.

Mail Messages

This log file contains information about mail sent by the appliance.

Kernel Messages

This log file is useful in determining hardware problems and other issues with

the appliance.
