DocuMan 3.6 – New features

List of new features

1. New project class named as “Legacy”.

Feature 1: “Legacy” project class.

“Legacy” is a new project class in DocuMan. Under this class all the documents can be imported directly from the local disk

with the existing folder structure and those documents will be archived automatically in order to preserve the important

data.

Create a new project by selecting the status “legacy” from the status drop down menu as shown in the above

image.

Now go to the projects tab pick “Legacy” in the project class drop down list, and then select the project and set

it as working and then right click on it and select the import option from the list. As shown below.

Once you have clicked on the “Import” option in list, a browse dialog is opened as shown the below image.

Where you can browse to the location of documents/folders and select any folder with documents and click on

OK.

In the image shown below you can see the list of documents that were present in the selected folder. Now click

on “Upload" to upload all the documents.

After completing these steps, the documents are shown in the issued status, retaining the same folder structure

as earlier as in below shown image.

Feature 2: Standard projects.

“Standard” is a new project class in DocuMan. Under this class all the documents/drawings can be referenced

to other projects under “Active” class.

All standard drawings/documents can be added to this particular project under “Standard” class, for

referencing those documents and drawings across projects under “Active” class.

The new drawings/documents can be added by taking reference from the standard projects and those

documents will be directly marked as “Issued”

Whenever the standard drawings/documents are modified, it can be updated in other projects by updating

reference, so that the changes reflect in those drawings/documents.

Feature 3: Checklist

Checklist is the new feature provided in the right click menu of the “Project” tab.

Under this option the checklist of documents along with their specification and description can be added and

the same specification and description can be referenced to other project's documents.

The image shown below shows the working procedure of checklist.

As in the above shown image, right click on a project and select the “Checklist” option from

the list and a dialog opens as shown below.

Now click on “Add” to add a checklist entry into the project.

As in the above shown image enter the desired values into the fields and click on the “...”(browse) button to

select a document.

Now select the document and click on “OK” to close and again click on “OK” to finish the entry.

This checklist can be viewed by clicking on the “View” button in the Checklist dialog and this will download the

document. As in below shown image.

Feature 4: Contacts “General” and “Projects”.

The “Contacts” option in the project edit dialog can now be added/viewed/edited in the right click menu of the

projects.

The “Contacts – general” option in the right click menu of “Projects” tab will show all the contacts across

projects and can be searched by “Type”, “category” and key words.

The “Contacts – projects” in the right click menu will allow you to add/edit the contacts for that particular

project.

Feature 5: “Remove alias” in document folders

In this option the aliases set to each of the folder in any level of the tree can be removed by just clicking on

“Remove Alias” button.

The image shown below represents an aliased folder.

The image shown below represents a folder which has been removed by using “Remove alias” button.

Feature 6: Image preview.

This is one of the most useful features of DocuMan where all the standard image formats are shown as a

preview in the right bottom of the documents tab.

Feature 7: Download by group.

This option is included in DocuMan basically to download the documents which are in same group and can be

found in right click menu of the documents.

For ex: Documents with different file extensions but with same document number which includes type, sub-

type and a running number i.e, AR-COM-PR-FP-001.dwg and AR-COM-PR-FP-001.jpg.

Feature 8: Promote to issue.

This option in DocuMan is used to promote a document directly to issue from any stage in the workflow, and

will appear in the list when you right click on any document.

For ex: A work in progress document can directly be issued without going through checking or approval

stages.

Feature 9: Add/edit “Metadata” and “Description” in document properties.

This option is included in DocuMan, basically when you add/edit document's “description” or “Metadata” in

any stage of the workflow.

Before this was possible only at the time of upload and you were not able to add/edit when it was issued.

Feature 10: Show downloaded documents.

In this option you can view all the downloaded documents in DocuMan across all projects and this option can

be found in right click menu of the documents.

Feature 11: Search Metadata

In this option you can search documents by using tags of Metadata values and Metadata definitions.

As in the below shown image, click “Search on metadata” button to search the document based on tags.

Now select the Metadata values of the definitions and click on OK and click on search to get the documents as

shown in the image below.

Feature 12: Project class filter in “Compose new message”.

While sending a project wise message the project selection can be by “Project class” like “Active”, “Proposed”

and “Archive”.

As in the image shown above, pick a project class to filter the list of projects shown in the dialog.

Feature 13: “Date filter” and “description” column added in “List of all documents report”.

In “Generate project reports”, the “List of all documents” report now comes with a date filter.

As in the image shown above, the report is generated with selected dates along with the “Description” column.

Feature 14: Project name included along with project number in time sheet entry.

While entering the time sheet, now the project name is also shown along with the project number.

Feature 15: Rename Document

This feature is enabled only for manual document numbering users.

This feature can be found in the “Re-classify” option from the right click menu of the documents.

To rename a document, right click on it, pick “Re-classify” option and edit the “New name” field to rename the

Document.

Feature 16: Project class filter in “Add new schedules”.

While scheduling an activity project wise, the project selection can be filtered by “Project class” like “Active”,

“Proposed” and “Archive”.

As in the above shown image, pick a project class to filter the list of projects shown in the dialog.
