KY-TN District Goals 2016-17

Every club will create a Strategic I-Plan

Every club will conduct at least one signature project

The District will add more than 900 new members with

each club having a positive growth of seven (7) new members

and a net end growth of at least one (1) new member

The KT District will open twelve (12) new clubs

The District will support and open Service Leadership Programs (SLP’s)

KT District Foundation The Kentucky-Tennessee District Kiwanis Foundation, Inc. was founded in March of 1982 as a not-for-

profit, non-political, state recognized corporation. The founders agreed that Kiwanians, Kiwanis Clubs,

and others should have the availability of an organization to which tax-deductible charitable

contributions could be made for the benefit of the purposes in which Kiwanians believe. The

Foundation’s Kentucky Certificate of Incorporation states that: “The purposes for which the

corporation is to be formed are scientific, educational, and charitable purposes within the meaning of

Section 501c3 of the IRS code 1954 and in this connection, promote the welfare of children and youth

in home, school and community, to raise the standards of home life, to instill and inculcate the objects

of Kiwanis International.” The founders then listed the six objectives of Kiwanis International as the

guidelines for the operation of the new Foundation.

The foundation continues on the course set by the founders. The fund, which started with an initial

funding of $700.00 now manages assets of nearly one half million dollars. The Foundation hopes to see

the fund increase to more than one million dollars in the next decade. Please use the

donor/supporter page provided for your donation.

Services Provided:

The Foundation offers up to fifteen $1,000 Scholarships to deserving high school and college students.

Recipients must be either the child or grandchild of a member in good standing of a Kiwanis Club in

the K-T District.

The Foundation also provides scholarships to Key Club and Circle K students as determined by the

District Administrators of these sponsored youth organizations. The Foundation awards one matching

scholarship each to a Key Club member and a Circle K member; matching funds are provided by the

Kiwanis International Foundation. Information concerning these scholarships can be received by

contacting the respective Sponsored Youth Administrators.

Matching funds for club projects dealing with hearing impaired young children are also available from

the District Foundation. This is a new program which began with the inception of Bo’s Buccaneers.

Member Participation:

All members of the K-T Kiwanis District are members of the District Foundation. The only

source of funding for the Foundation is through the generosity of the K-T Kiwanis members, Kiwanis

clubs, and other interested persons/corporations.

Each year the Foundation makes an appeal to all Kiwanis Clubs to consider a club gift to the

foundation. Gifts ranging from $2.00 per member to more than $10.00 per member are common.

With 100% participation by the clubs in the K-T District the Foundation would be able to award up to

five matching scholarships each to Key Club members and Circle K members. This appeal is made in

the spring and summer so as to culminate at the annual district convention in late summer.

The Foundation is the recipient of memorial gifts from clubs and individuals in recognition of the

service to Kiwanis of deceased members. The memorial tributes are welcomed by the Foundation

and acknowledgments will be provided to families when appropriate.

The Ted Osborn Fellowship has been created to honor Past Kiwanis International President Ted Osborn.

Contributions to the Foundation’s endowment in amounts of $1,000 or more entitle the donor to

membership.

KT District Foundation

An attractive wall plaque, a medallion depicting the likeness of the honoree with a brightly colored

neck-ribbon, and a distinctive Kiwanis lapel pin are presented to members of K-T Kiwanis District

Foundation the Osborn Fellowship. All donors’ names will be included in an album which will be

displayed at district meetings.

The Bo Shafer Fellowship - Bo’s Buccaneers has been created to honor Past International

President Bo Shafer. Contributions in amounts of $1,000 or more entitle the donor to membership, a

medallion depicting the likeness of the honoree with a brightly colored neck-ribbon and a very

distinctive lapel pin. All donors’ names will be included in an album which will be displayed at district

meetings.

Kiwanians are encouraged to include the Foundation in their charitable giving each year.

Specific opportunities are offered to members at the K-T Kiwanis District Convention. Contributors of

$100.00 or more receive a distinctive ribbon to be attached to their convention name badge. In

addition, proceeds from the sale of Kiwanis merchandise, arts and crafts, and auction items benefit

the Foundation.

A FOUNDATION FOR THE FUTURE

Announcement of Kentucky-Tennessee Kiwanis District Foundation Scholarships

The KY-TN Kiwanis Foundation can award fifteen $1,000 scholarships throughout the District. The

scholarships will not be awarded by Division.

REQUIREMENTS

1. Each applicant must be a child or grandchild of an active member of a Kiwanis Club in the K- T

District.

2. An applicant must be currently enrolled as an undergraduate in an accredited institution of

higher learning or must be a high school senior with plans to attend such an institution in the fall

immediately following graduation.

3. Each applicant must submit along with the application a letter (not to exceed two typewritten

pages) addressed to the Selection Committee no later than January 31, 2017. The applicant

must tell the committee something about him/herself such as extracurricular activities,

community service, employment history, etc. The letter must be signed.

4. Recipients of scholarships will not be eligible a second year.

All applicants will be notified of the results of the selection process by letter.

The successful applicants selected will be required to submit the following postmarked no later

than July 1, 2017:

A letter from the higher education institution indicating that the applicant is currently in good

standing or has been accepted for the fall term immediately following high school graduation,

the student identification number being used at the institution, and name and address of the

Financial Aid Office of the institution.

Service Leadership Programs

Circle K International (CKI) is the premier collegiate and

university community service, leadership development, and

friendship organization in the world.

Circle K clubs are organized and sponsored by a Kiwanis

club on a college or university campus. CKI is a self-

governing organization and elects its own officers, conducts

its own meetings, and determines its own service activities.

CKI blends community service and leadership training with

the opportunity to meet other college students around the

world.

Key Club International is the oldest and largest service

program for high school students. It is a student-led organization

that teaches leadership through service to others. Members of

2016-2017 Inter-Club Awards and Guidelines

Period Covered: October 1, 2016 through September 30, 2017. (For additional information go to the K/T website and click on Interclub)

The purpose of the interclub is to promote members of one club to interact with another club in fellowship and service. To encourage Interclubbing and to recognize the Kiwanis clubs that actively participate, the following awards will be presented at the 2018 Mid-year conference. Note: All forms submitted require the club president and interclub chair to sign and furnish best contact info. WILD HORSE INTERCLUB AWARD- This award will be presented to a Kiwanis Club in recognition of unusual accomplishment in inter-clubbing. One (1) KY-TN District Kiwanis Club will be selected for the award. See form on page 42. HARPER GATTON AWARD – Awarded to the club with the highest number of inter-club visits

in each membership category (61 or more, 60-41, 40-21, and 20 or less). Awards will be

presented to the first, second, and third place winners. No form required as winners will be

determined by the timely reporting of the monthly report by the club secretary.

DON MILLS INTERCLUB SERVICE AWARD See form on page 43. Awarded to the top three clubs in the K/T District based on documented hours of service and contribution to the success of another club’s SERVICE PROJECT. Criteria to be considered but not limited to: Letter from Host club, pictures, completion of the Don Mills form and testimonies from those participating and /or service recipient(s). K-T DISTRICT GOVERNOR’S INTER-CLUB EXCELLENCE AWARD – Awarded to all clubs

meeting the stringent requirements established by the K/T District for Interclubbing. See form

on page 44.

Awarded to all clubs meeting the following criteria: Complete 18 inter-clubs including extra credit as noted below. Inter-club with every club in the home Division. Inter-club with at least one sponsored youth organization (Circle K, Key, Builders, or K-Kids Clubs). Participation by at least 25% of active club members (as of October 10th) in at least one inter-club. Present at least one program to the host club as part of an inter-club. Make at least one inter-club outside of your division (may include interclub at KT Mid-Year Conference or the Kiwanis International Convention). To receive the K-T District Governor’s Inter-club Excellence Award, the club president and inter-club chairman must complete the Certification Form documenting the above criteria, and mail to: KY-TN District Office, 1035 Strader Drive, Suite 150-1, Lexington, KY 40505. The Certification Form must be postmarked by October 31, 2017.

Inter-Club Guidelines

An official inter-club occurs when a minimum of two (2) members from clubs with membership of 20 or less, a minimum of three (3) members from clubs with membership between 21 and 40, or a minimum of four (4) members from clubs with 41 or more visit another club for a scheduled meeting or other event. If less than the minimum number of club members is present for an inter-club, one of the following current officers, if present at the event, can be used to complete the inter-club: International Officer or Trustee, K-T District Governor, K-T District Secretary, K-T District Lt. Governor and K-T District Committee Chair. Only one substitute for a club member may be used at any event. The period covered for the awards is October 1, 2016, through September 30, 2017. Please note that the number of members required is based on membership totals as of October 10, 2016 per Kiwanis International. Every K-T Kiwanis club is eligible for these awards and is entered with the timely submittal of online monthly club reports. Reports are due by the 10th of the following month. The interclub’s are to be noted in the Inter-club section of the monthly reports.

Extra Inter-club credit will be provided for: (only one extra credit can used per interclub for a maximum of two credits)

An inter-club over 50 miles one way from the home club counts as a maximum of two; An inter-club of double the required minimum members or more counts a maximum of two; Special designated district occasions: Interclub at Division Governor’s Visit, Mid-Year Conference , District Convention and International Convention count as a maximum of two.

2016-2017 Club Administrative Excellence Award

(October 1, 2016 thru June 30, 2017)

This award is for all clubs in good standing and is announced each year by the District

Secretary/Treasurer at the District Convention.

A special banner and date patch is awarded for the first year and updated annually

with date patch for the winning year.

EVERY report listed below MUST be filed on Kiwanis One in order for the club to receive

credit for that particular part of the requirement. The 2016-2017 ANNUAL CLUB REPORT is

automatically completed if your club files all twelve months of reports on Kiwanis One.

For 2016-2017 the following requirements MUST BE MET BY THE FOLLOWING DEADLINES:

1. Every OFFICIAL MONTHLY REPORT from October 2016 through June 2017 must be

submitted on line NO LATER THAN the 10th OF FOLLOWING MONTH. Example:

October Monthly Report must be submitted by November 10th.

2. 2017-2018 CLUB ELECTION REPORT must be submitted on line NO LATER THAN JUNE

1, 2017. Such report of club election MUST contain at least the correct name,

mailing address, phone number and e-mail address of the 2017-2018 club

president and 2017-2018 club secretary.

3. NEW CLUB BYLAWS must have been submitted and adopted by Kiwanis

International by June 30, 2017.

4. ALL DISTRICT DUES PAID ON TIME within sixty (60) days after receiving invoice.

5. SECRETARY OF STATE annual report must be filed with the Secretary of State

(Kentucky or Tennessee)

Prompt filing of the online report and following the instructions are required to earn this

award.

These reports are recorded on official and permanent records in the District Office.

The 2016-2017 Club Administrative Excellence Awards will be made at the 2017 District

Convention.

All of the above requirements are very important for our District!!!!

MEMORY BOOK CONTEST 2016 – 2017 (Date of Contest: October 1, 2016 through August, 2017)

Rules governing the (both digital and hard bound formats) 2016-2017 K-T District Memory Book Contest:

Digital memory books will be accepted (CD’S) using power point format. Follow the same criteria as the hard bound memory books in tabbing each category.

The purpose of this contest seeks to encourage all Kiwanis Clubs to keep a Memory Book to preserve a permanent record of club activities. First and Second Place patch will be awarded in each of the following groups of clubs for both formats. (Clubs 45 or less / Clubs 46 or more) Membership will be based on Kiwanis international figures as of Oct 10, 2016 for both formats.

The following criteria must be included:

A. Official Club Name, City and State, Kiwanis District and Division, List of Officers and Directors B. Summary of your clubs activities in pictures with captions. C. Pictures of Kiwanians working in club service projects along with a narrative about each project. D. Pictures of Kiwanians working in club fund raising projects along with a narrative about the project. E. Newspaper clippings, newspaper pictures and other publicity of club activities

F. Pictures and narratives of Kiwanis involvement with K-Kids, Builders, Key and Circle K Clubs G. Pictures and narratives of assisting new club building this includes SLP programs H. Pictures and narratives of club rebuilding efforts this includes SLP programs I. Pictures and narrative of all convention and conferences attended (International if possible, District Convention Mid-Year Conference and Division Council Meetings) Please tab Memory book in alphabetical manor as listed above for easier judging.

NO MATERIAL SHALL BE USED PRIOR TO THE PREVIOUS DISTRICT CONVENTION Judging of the best overall memory book must have all the above criteria. Judging will be based on the following point system: Maximum Points

monthly or at least quarterly by mail or email (pdf file only) to the District chairman and to both of the

The purpose of the contest is "To stimulate interest in upgrading club bulletins; to build morale among bulletin editors; and as a result improve this source of Kiwanis communication."

Judging will be done according to the size of the club on October 10th (61 or more, 60-41, 40-21, and 20 or less).

The winner in each category will receive an award.

The criteria for judging are as follows:

Is the bulletin regularly issued? How is the space used? Is it attractive? Is it readable? Is it interesting? Does it contain items of Local, Division, District and International interest? Does it hold readers interest? Does it promote pride in Kiwanis? Does it have a good format? Does it recognize club achievement?

Is it so designed that it can carry out its three most important functions?

• Maintain member morale and enthusiasm

• Encourage meeting attendance

• Inform the membership fully on club activities and projects.

BROCHURE CONTEST

Brochure must be mailed by June 30, 2017

Each Kiwanis Club in the Kentucky-Tennessee District is encouraged to produce a club brochure. A high-

quality club brochure is invaluable member recruitment and public relations tool and every club should have

one.

The K-T District will sponsor a club brochure contest for the 2016-2017 Kiwanis year. First, Second and

Third Place Winners will get awards.

It is suggested that this brochure:

• Tell the story of your club.

• Briefly explain Kiwanis International and serving the children of the world.

• Explain your club, giving its name, the time and place of the meetings, and a brief history.

• Stress that your club is international in scope and meets the needs of children in your community as its first

priority.

• List your projects and describe how your community benefits from Kiwanis.

• Describe how Kiwanis benefits members and list expectations of members.

• Provide the name of a contact person with phone number and mailing address.

For contest purposes, mail a copy of your club brochure by June 30, 2017 no later to be eligible to win.
