Overview The primary function of 3M™ Digital Data Manager Model 747 software (Data Manager) is to transfer data back and forth between your circulation system and various 3M RFID equipment. The type of data used can vary depending upon the tasks you are performing.
Data Manager software runs on a computer equipped with a memory-card drive. (See the Digital Data Manager Model 747 Installation and Setup Guide for system requirements.)
Data Manager software does not directly interface with your circulation system.
Export operations - Data Manager converts text files (shelf-order lists, pull lists, search lists) generated by your circulation system and exports them to a memory card used by various 3M products. These lists always include a barcode (Item ID) for each item.
Import operations - Data collected by 3M devices (e.g., inventory, pull results) are saved to memory cards and imported by Data Manager. Data Manager converts these data to text files that you can use to update your circulation system. These text files always include a barcode (Item ID) for each item.

Customizing Data Manager for your library
This guide explains how to set up the various import and export parameters that determine which data are exported and how the data are displayed. These settings allow you to customize Data Manager for your particular circulation system and tasks.
Before you can use Data Manager software:
You may want to use the Digital Data Manager Data Format Worksheet to record the information necessary to set up Data Manager software.
Step 1 Determine the barcode validation parameters necessary to extract valid barcode
data from list files generated by your circulation system. (See Step 1 – Define barcode validation parameters on page 2.
Step 2 Determine the file formats for the list files that you will generate from your circulation system. (See Step 2 – Select a list-file format type on page 6.)
Step 3 Specify what fields will be exported from these list files for display on the DLA or other 3M RFID equipment. (See Step 3 – Create export formats on page 11.)
Step 4 Determine the import formats required by Data Manager to convert collected Item IDs imported from a memory card and save them as formatted text files. (See Step 4 - Define import formats on page 40.)

Step 1 – Define barcode validation parametersStep 1 – Define barcode validation parameters Overview When Data Manager uses the text files from your circulation system, it must find a valid barcode for each record.
Data Manager performs barcode validation so that only records with valid barcodes are exported for use with other 3M equipment.
Barcode validation can:
Find errors in your circulation records (such as missing barcodes, incomplete barcodes, etc.).
Help ensure that the barcode extracted from your circulation system will match the barcode on the item’s tag.
Procedure
1 Determine the barcode-validation parameters required for your circulation data. See Barcode validation process on page 3 for details on how Data Manager uses these parameters to validate barcodes.
2 Record your selections on the Data Format Worksheet -or- enter these settings in the List Barcode Validation Parameters dialog box (see the Installation and Setup Guide for details).

Barcode Filters
Barcode filters are necessary only when the item identifier (barcode data) on a library item does not match the corresponding item identifier that Data Manager extracts from your lists. (See Barcode validation process on page 3.)
When this occurs, it is necessary to modify (filter) the barcode data to match the identifier stored on the memory card. This filtering can include adding characters, removing characters, substituting characters, etc.
Data Manager exports the barcode filter to the memory card along with the other data.
Filtering occurs on the 3M equipment that uses the exported data (e.g. the DLA). For example, when the DLA reads a RFID tag, it applies the barcode filter to the item identifier read from the tag so that it matches the item identifier on the memory card.

Barcode validation process During the export process, Data Manager performs the following barcode validation procedure to help ensure that the barcode exported to the memory card matches the one on the RFID tag. (During the tagging process, the barcode (Item ID) read from each item is saved to the memory chip on the RFID tag.)
1 Data Manager locates and extracts each barcode from each record’s barcode field. A user-defined Data Manager export format determines where in the record (in what field) the barcode is located.
2 Data Manager extracts all the valid characters from the barcode field. (Valid characters are user-defined in the List Barcode Validation Parameters dialog box.) This removes any invalid characters such as text strings, spaces, or hyphens that would prevent a match with the Item IDs that you programmed on RFID tags.
3 Data Manager tests the final length (with valid characters only) to ensure that the final length is within the user-defined Valid Length parameters. If the barcode length is valid, a record is created in the exported data (even if other information is missing or incorrectly formatted).
If the barcode length is invalid, the record is not exported and the invalid barcodes appear in the Data Manager Export Log.
Invalid barcodes (export errors)
During initial setup, incorrect barcode validation settings can cause export errors.
Incorrect barcode validation settings - check which characters you defined as valid and make sure that the final barcode length is correct.
Incorrect export format settings – make sure the barcode-field parameters extract the complete barcode from the record. (See Step 3 – Create export formats on page 11 for information on export parameters.)
Once your Data Manager settings (barcode validation, export formats) have been tested and proven stable, most of your export errors will be caused by problems with circulation records.
These problems include errors in your circulation records, such as missing barcodes, incomplete barcodes, incorrect barcodes, etc.

List barcode validation parameters
Specify the parameters that you want Data Manager to use for validating barcodes. Data Manager uses these parameters to validate barcodes from all the list files that it exports.
Refer to the Installation and Setup Guide for instructions on how to enter these parameters.

This parameter is mandatory.
Testing barcode-validation parameters After you install and set up Data Manager software, you can start testing your export formats and barcode-validation settings. Some export-format settings (barcode start positions and field length) can interact with the barcode-validation settings. After some initial trial and error, daily Data Manager operation becomes routine. See the Installation and Setup Guide for testing procedures.

Barcode validation processing example To process a barcode, Data Manager first removes any invalid characters from the barcode field and then checks it to make sure that the final length is within the valid length settings.
Parameter Settings
In this example, you would specify the following barcode validation parameters:
Minimum Barcode Length: 14
Maximum Barcode Length: 14
Valid Characters: Digits only (0-9)
In this example, assume that the library uses 14-digit barcodes (all numeric).
Export results

ERROR
Records that contain invalid barcodes (errors) are not exported. Barcode errors are reported in the Summary and Export Logs. Data Manager exports all records that have valid barcodes (even if they
are missing Primary, Secondary, or Location information).

Step 2 – Select a list-file format type Introduction A list file is a list of item records created by generating reports from your circulation system. The list files that you generate from your circulation system must be text files that match one of the three basic formats described in this section.
Data Manager uses list files (shelf-order lists and search lists) to support the functions of the DLA and other 3M RFID products.
The list files generated from your circulation system must match one of the three basic format types supported by Data Manager.
Procedure
1 Select a list-file format that you can easily generate from your circulation system. The list-file format must match one of the three basic format types supported by Data Manager.
2 If desired, record your selection on the Data Format Worksheet.
3 Generate test files from your circulation system.
4 Use Data Manager software to set up list folders for your list files. See the Installation and Setup Guide for instructions.
File encoding Data Manager will only accept list files that use the following character-set encoding:

Selecting a format type
Format 1 - Delimited fields/records format type This format uses designated characters to separate fields within a record and to separate records from each other. This format also allows variable-length fields and can include line-delimited records.

Format 2 - Multi-line records This format type allows several lines for each record, often with a different field corresponding to each line. This format is useful for removing label text or handling lines that contain more than one field.

Format 3 - Fixed-length fields format This format uses fixed-length fields. The export format(s) that you create allows you to define which fields are exported by specifying field position and length. Item records of this type can be delimited by either total character count or by the end of a line.
To simplify formatting, set up your list files with the item identifier (barcode) as the first field in a record.
Any long or variable-length field (such as the item title) should occur at
the end of each record. Records are delimited by a total character count (fixed-length records)
or an end-of-line character. Data Manager export formats define the field lengths and offset
positions for the barcode, Primary info field, and Secondary info field.

In this example, the dot (·) represents the space character and is used to illustrate the fixed length.

List-file data requirements List-file data requirements Data Manager creates usable data files by exporting user-defined information from the list files (shelf-order and search lists) generated by the circulation system.
Shelf-order Lists and Search lists are text files. Data Manager exports data files to a memory card
that can be used by another 3M application (e.g., DLA, Conversion Station, etc.).
User-defined export formats specify what information is displayed in various 3M applications.
Each list file must conform to one of the format types supported by Data Manager.
Data Manager software does not extract data directly from a library’s automated circulation system.

Shelf-order lists The DLA uses shelf-order lists to check shelf order and perform shelving functions. The 3M Conversion Station uses shelf-order lists to assist with programming tags.
These lists must contain item records in shelf order (the order in which the items are physically shelved).
Location lists If your library uses a location-based shelving system, your circulation system must also generate Location Lists that identify each designated location in the library with a location record consisting of a location ID (which can be a barcode) and a location description. Note that location list files must be included with shelf-order lists for export from Data Manager to the DLA or other 3M equipment.
Search lists Certain 3M equipment (such as the DLA and Conversion Station) use search lists to help find items. Each list identifies a group of items that a device can search for as it reads RFID tags.
Purposes for search lists include: items on hold, lost or missing items, claimed returned items and items to be weeded.
You can include the same item record on more than one Search list.
The item records in a search-list file can be listed in any order.
Search lists are given user-defined names (e.g., hold, lost) that are exported along with the data. This allows 3M equipment that use search lists to display the search-list name when an item on the list is found.
Pull Lists The DLA uses pull lists. A pull list is similar to a search list (items you want to find). The DLA tracks which items were removed (pulled) from each pull list and which items remain (not pulled) on each pull list.
The DLA saves “pull-list results” on the memory card.
The item records in a pull-list file should be listed in the order that you wish to display and pull them using the DLA.
After you have pulled all the items that you could locate, use Data Manager to import the pull-list results as text files.

Item records A list file (shelf-order, pull, or search list) contains a number of item records. An item record includes information for a single item in the library, such as a book, video, CD, DVD, etc.
The item’s barcode uniquely identifies an item record. Data Manager export formats allow you to specify what item-record
information appears on various 3M equipment (such as the DLA).
Each item record contains a number of data fields that may include:
Barcode Title Call number Publication date
Circulation activity Other data that you want to display
on the DLA or other equipment. Location ID

Some information (e.g., call number and publication date) may be included in the same data field.
Item record requirements
Each record must contain the complete barcode as a separate field. All information that is associated with a particular item must be included
in a single item record. Unused data fields may be included in the item record. An item record should only occur once in a list file. If Data Manager
exports a list file where the same record occurs more than once, only the first occurrence of the record is exported.
For libraries using sets, only a single record is expected regardless of how many RFID tags are used in the set. Example: If sets are used for videos by placing an RFID tag on both a video and the video case, only one record should appear in the list file for that video.

Location records Location tags are used by many libraries, especially larger facilities, to clearly identify specific areas in a building such as individual shelving units, groups of units, and areas located on different floors or wings throughout the facility.
If location tags are used with 3M Digital Data Manager software and the DLA, Data Manager export-format parameters are used to prepare location records (IDs and descriptions) for display on the DLA.
Formatted similar to the item records described on the previous page, a location file contains a number of location records. Each location record identifies a single designated location in the library with two data fields:
Location ID (which can be a barcode) Location description
Important: Location IDs must be unique, and must not duplicate any item IDs used by the system.
The DLA displays item location information near the top of the screen (Shelf 6, first and second examples) and/or directly below an item’s primary and secondary information as shown in the third example:

Each item record may contain a location ID, which corresponds to a record in the location list. If an item’s location record is not found or no location description is found in the location record, the location ID is displayed in parentheses as shown in the second example.
Location list format includes the following elements:
Barcode: may be text or barcode location ID Primary information: description (could be the
location ID in a second language)
There are no Secondary or Location fields in a location list.
Three DLA function screens designed specifically for location-based processing are:

Important: If location records are used by your library, staff must scan a location tag first, before scanning items on the shelves.

Step 3 – Create export formats Define the Export-format parameters for the format type that you selected in Step 2.
1 Determine the information that you want to include in the user-defined Primary and Secondary information fields exported from the list files. (This is the information displayed on the DLA and other equipment.) See Display planning on page 13.
See Exported data fields on page 12 for descriptions of these user-defined fields.
2 Define an export format that specifies the information that you want to export and how that information will appear on the DLA or other equipment.
Export-format parameters are described in the following sections:

3 If desired, record your export-format parameters on the Data Format Worksheet (included in this binder).
4 Once you have defined export-format parameters, you can use Data Manager software to create and test your export formats. See the Installation and Setup Guide.
Export-format parameters
Each of the three list-file formats has a unique set of export-format parameters that allow you to specify:
The format type list files created by your circulation system.
The barcode field (the field in the item record that contains the barcode information).
The portions of the item record that will be displayed (on the DLA or other equipment) as Primary and Secondary information fields.
Any labels that you want to include in the Primary and Secondary Information fields. (These labels appear on the DLA and other equipment to help you interpret the displayed data.)
Assigning export formats to List Files
You must assign an export format to each list file that you export. See the Staff Guide for instructions.
Each export format that you create has a unique format name.
You can specify default export formats.

Exported data fields Exported data fields Data Manager can export the following user-defined fields from each item record. The export format that you assign to the list file defines what portions of each item record appear as Primary and Secondary information fields.
Primary information field This is a user-defined text field that is displayed on the DLA (or other equipment) to help you identify an item.
You can set up an export format to extract information from one or more record fields (or portions of these fields) to be exported and displayed as the Primary information field.
The Primary information field can contain up to 40 characters, although the DLA displays approximately 25. (See DLA display widths on page 14.)
Export formats allow you to add user-defined labels to portions of the Primary information field.
You can use import formats to add Primary information to each record in an imported text file (e.g., data collection or pull results). See Adding Primary/Secondary/Location info on page 42.

Secondary information field This is a user-defined text field that is displayed on the DLA (or other equipment) to help you identify an item.
You can set up an export format to extract information from one or more record fields (or portions of these fields) to be exported and displayed as the Secondary information field.
The Secondary information field can contain up to 40 characters, although the DLA displays approximately 29. (See DLA display widths on page 14.)
Export formats allow you to add user-defined labels to portions of the Secondary information field.
You can use import formats to add secondary information to each record in an imported text file (e.g., data collection or pull results). See Adding Primary/Secondary/Location info on page 42.

Location information field If your library uses location tags, set up your Location information field as described above for the Secondary information field. See page 10 for more information.

This field is mandatory. The barcode field is not displayed on the DLA, but it
appears in the Convert from List dialog box on the Conversion Station.

Display planning
Determining what information to display The type of information that you display in the Primary and Secondary information fields may vary depending on the task. You can create different export formats for different tasks.
If the DLA (or other equipment) is using a shelf-order and search list that both contain the same item:
The display will show the Primary and Secondary fields that you defined in the export format that you assigned to the shelf-order list.
Shelf-order lists
The export format that you create for shelf-order lists should display information that helps you to quickly identify the item and its correct shelf location.
The title is typically used as the Primary information field.
The call number is typically used as the Secondary information field.
In libraries using location tags, the location ID is provided to enable display of the location description on the DLA.
You can use field labels to identify information in the Primary information field. See Adding field labels to Primary and/or Secondary Info fields on page 15 for more information.
Lists used for the Convert from List function on the Conversion Station display the item identifier (barcode) and the Primary and Secondary information fields.
Search lists (hold items, etc.)
For special tasks (such as finding hold or missing items), you may want to create an export format that combines various fields from the item record (usually displayed in the Secondary info field).
Libraries often create a separate export format for weeding applications.
User-defined field labels are often used to identify information in the Secondary info field. See Adding field labels to Primary and/or Secondary Info fields on page 15 for more information.
The search-list name appears when the DLA or other equipment reads the RFID tag for a search item.

Combining information You can set up an export format to combine information from various fields in a record.
When Primary or Secondary Info fields include information from more than one data field, the fields are concatenated (combined) and displayed on a single line of the DLA display or other equipment.
Data Manager allows you to specify up to 15 fields (or portions of 15 fields) to be combined into Primary or Secondary information fields.
Combining information and the use of labels are particularly useful for export formats used for weed lists.

Adding field labels to Primary and/or Secondary Info fields Export formats include parameters that allow you to add labels to portions of the Primary and Secondary information fields. (See Figure 17.)
Field labels that include circulation statistics are useful for weeding applications.
Library branch labels may be helpful for “lost” or “hold” search lists.
To save display space, abbreviate the words in your field labels. (P: for publication date, C: for times circulated, LC: for date last circulated.)
The example shown in Figure 18 uses the following Secondary Info Field Labels:
Pub: = the item’s publication date
C: = the number of times the item has been checked out.

Testing export formats As you create export formats, Data Manager allows you to preview the exported data to help you fine-tune the formatting. The final test requires viewing the exported data on the DLA or other equipment.

Export format parameters and examples
Format 1 - Delimited fields/records This format uses designated characters to separate fields within a record and to separate records from each other. This format also allows variable-length fields and can include line-delimited records.
To simplify formatting, set up your list files with the item identifier (barcode) as the first field in a record.

Format 2 - Multi-line records This format type allows several lines for each record, often with a different field corresponding to each line. This format is useful for removing label text or handling lines that contain more than one field.

Each field appears on a separate line. Records are separated by blank lines so each record may have a

Step 4 - Define import formats Each time you import a collection category, Data Manager saves the collected Item IDs from that category in a separate, formatted text file. An Import Format defines how these text files are formatted.
Data Manager saves these files in the Import File Destination folder.
Each file name includes the import date. The import format must match a format supported
by your circulation system. This format may have to emulate an import file as collected by a barcode scanner.

Input format parameters Use the import format parameters to add any header strings, command codes, and date/time stamps required by your circulation system. In addition, you can add Primary, Secondary, and/or Location information to each record in an imported text file. NOTE: Location information is used only for libraries that use Location tags. See page 10 for more information.

Data Manager automatically adds carriage-return and line-feed characters to the end of each barcode in the text file.
Input Format Parameter
Description
Import Format Name The import-format name that will appear in the Import Formats dialog box. This name will appear on the drop-down list in the main window’s Format column.
Header String Any header text, command codes, or date/timestamp characters that must appear in the first line of each text file. Header information may include: Time Date Staff ID Organization ID
You can add delimiter characters between the various codes and date/time stamps.
Barcode Prefix Any text string, command codes, or date/timestamp characters that must be added to the front of every Item ID. Some circulation systems may require a “transaction type” command code. You can add delimiter characters between the various codes and date/time stamps.
Barcode Suffix Any necessary text or date/timestamp characters that must be added to the end of every Item ID. Data Manager automatically adds carriage-return and line-feed barcode suffixes to each Item
ID. If required, you can change these.
Footer String Any footer text or date/timestamp characters that will appear in the last line of each text file.
Special Cases These characters can be added anywhere: To add a carriage return, type <CR>. To add a line feed, type <LF>. If you do not want a line feed or carriage return, type <NONE>. <TAB> (must be uppercase)

Adding Primary/Secondary/Location info to imported data Adding Primary/Secondary/Location info to imported data The following import format parameters allow you to add Primary, Secondary, and/or Location information to each record in an imported text file.
The type of primary, secondary, and location information that you can add depends on the file that was used to create the import data.
Pull-list results files – the Primary and Secondary information that can be added to the resulting text file depends upon what Primary and Secondary information was exported with the original pull list.
Collected data text files - the Primary, Secondary, and Location information that can be added to the resulting text file depends upon which Primary, Secondary, and Location information was exported with the shelf-order list that contains each collected Item ID.
Items that do not appear on a shelf-order list but appear on a search list will use the Primary, Secondary, and Location information exported with the search list.
Items that do not appear on a shelf-order list or a search list (not-in-database items) will have no Primary, Secondary, or Location information and will only be listed with an Item ID.
Format for tabs
<TAB> This will insert a tab into the line. You must type TAB in all uppercase letters.
Format for Primary Information
<P> This will insert all the Primary information.
<P,X> This will insert the Primary information starting at character position X .
<P,X,Y> This will insert the Primary information starting at character position X with length of Y characters. NOTE: P must be in upper case.
Format for Secondary Information
<S> This will insert all the Secondary information.
<S,X> This will insert the Secondary information starting at character position X .
<S,X,Y> This will insert the Secondary information starting at character position X with length of Y characters. NOTE: S must be in upper case.
