CHAPTER ONE

1.0 INTRODUCTION

Education is an indispensable system on which the life of everyone is built and as well stimulates the entire application. It could be referred to as a process designed for the acquisition and dissemination of skills and knowledge to the posterity of the nation. The identified system tends to be implanted in diverse dimensions basically in schools.

For the past ten years, it has been discovered that schools are not what they were as attributed to the wide range changes, which have occurred and brought new pressure associated with increased size. On the account of this, an increasing complexity of organization has been instigated so that stresses and anxieties of choice have been added to those of dimension.

The competent educational administration constitute the intensity of education and its impediments mount a disturbing diffusion and obscuring of purpose and all these changes concede with a major recruiting of curriculum and methodology. In most cases, the manual method adopted in monitoring some school activities undermine other roles like enrollment of students, computation of students result, examination supervision and marking of examination scripts, with regards to the discrepancies created by the manual techniques of school administration, the school management board should devise a competitive means of achieving their set objective in a computerized educational administrative information system.

Over the years, Examination supervision system is been done manually and lecturers do supervise their own courses during examination in the school, but the introduction of computer system in the world will solve the problem of supervision by assigning lecturer or supervisor to invigilate a particular course for the lecturer of the subject. The latter is a student’s profile (data), which when coded in, will be saved to data base. The data base is designed with Microsoft access.

1.2. STATEMENT OF THE PROBLEM

This project work will evaluate the perceived process of examination supervision of assigning supervisors to various courses instead of the lecturer of the course supervising his/her course.

In doing so, attempts will be made to answer the following questions;

i. What steps are taken in designing an online examination supervision scheduling system?

ii. How can an online examination scheduling be implemented?iii. How far have the examination supervision scheduling system gone in

achieving the desired goals?

1.3. THE OBEJECTIVES OF THE STUDY

This project will have the following objectives;

i. To shed light on the issue of online examination supervision scheduling system.

ii. To create awareness of such management to other school who may be interested.

iii. To suggest the ways in which online examination supervision scheduling system can enhanced examination.

1.4 SIGNIFICANCE OF THE STUDY

The purpose of this study is to bring to check the anomaly associated with the Examination Supervision Scheduling system and it will create an avenue where supervisors can know the course they are supervising and when coming to the school.

1.5 SCOPE OF STUDY

This project work will access the design and implementation of an online examination supervision scheduling system that will help the school management to assign examination supervisor to various course and the lecturer can check the course they are supervising anywhere they are with the help of an internet facility without coming to the school environment.

CHAPTER TWO

2.0 REVIEW OF RELATED LITERATURE

2.1 BREIF HISTORY OF CASE STUDY

This chapter contains such things as what an automated on-line examination supervision scheduling system is all about. Therefore, it is web –based application. This is the process of carrying out examination supervision scheduling exercises with the aid of a computer system. In the process, it is an electronic medium which store records of organization. The term computerized plainly, state that it is customized software, which is capable of accepting input.

Note that is a collection of web pages wherein a dynamic page serve as the interface were the data of a particular student, lecturer or staff are fed into the computer for onward processing into the database. This goes to say the security of the records in the database is on high side, as data is been input and process online.

2.2 WEB-BASED APPLICATION SOFTWARE

This involves the design that runs on the internet. That is to say, it is the performing of student examination registration, examination supervision scheduling and examination supervisor process known as on-line examination supervision scheduling system. Moreover, the automated software runs on the browser.

The differentiating factor of web based application software is that the pages are HTML oriented.

On a more plain ground, on-line examination supervision scheduling system is seen as a set of dynamic web development technology designed to post information into a data system, using web form that can be accessible using internet.

There are different web technologies used in designing a web based management system but two will be mention. They are as follows;

i. Active Server Page (ASP) applicationii. ASP.NET Web application

ASP.NET is a web programming technology from Microsoft cooperation. It is termed ASP.NET 2.0 which represents major advancement over the earlier ASP.NET and ASO.NET provides libraries control and programs support that allows you to write programs that interact with the user, maintain state, render controls, display data and generate appropriate HTML.

Therefore, when you use a web forms in visual basic.Net (a visual web developer) you are using ASP.NET.

According to this website www.enwikipedia.org/wiki sees ASP.NET as a set of web development technologies marketed by Microsoft programmers, it can use this set of technologies to build dynamic web application and XNL services. ASP.NET is built on common language routines, meaning programmers can write ASP.NET code using any Microsoft Net Language.

2.3. THE REGISTRY DEPARTMENT

The registry department comprises of:

i. Establishment, which handles the recruitment, promotion and discipline of staff.

ii. Academics: This is in charge of academic board matters, admission and certificate verification.

iii. Examinations and records are in charge of examination, keeping of students’ records, transcript and statistics.

iv. Legal and Council matters: This is in charge of all legal issues that face the school and other issues relation.

The registry department is the heart of the institution. The registrar together with his assistant head the department.

2.4. THE INTERNET

According to Edna Anuku (2004), the internet is a massive International Network of Computer Networks. It can be defined as one of the fastest growing network connecting millions of people to share ideas, do businesses together, sending information to people or even to distance learning e.t.c.

2.5. THE WORLD WIDE WEB (WWW)

Referring to Brian .J. Thomas (1996), the web is a front end in which log of information is found in the internet. It is the global and seamless environment in which most information that is available on the net can be accessed and a constant and easy way by using a standard set of naming conventions. It provides and entry point into the internet tools such as FTP (File transfer protocol), Telnet, UseNet and Gopher.

The World Wide Web is developed in CERN, the European Laboratory for particle physics whose first primary purpose was to provide a common protocol for requesting human readable information stored at a remote system using networks. The objective was to give scientists ways to exchange any kind of information or data (text, graphics, figures or data base) using a concept known as hypertext as a reason of advancing their research work. From this perspective, the implementation and response from the on-line community has exploded into most promising internet access method ever.

The web can be accessed using these two primary methods via;

i. Through a graphical browser, this takes full advantage of the web’s capabilities.

ii. Through a line browser, where only text is displayed with rudimentary formatting.

2.6. ISP (Internet Service Provider)

An ISP is a company that connects individuals, businesses and various types of organization to the internet. An ISP must process the equipment needed to act as a point of presence on the internet for the geographical area that it serves. Some ISP’s are large national or multinational corporations which own or lease high speed communication lines and offer access to many locations, while others are limited to providing services to a single city or region.

Many small ISP’s provide services through modems and high speed digital, communication network (such as the integrated digital network), while larger ISP’s also may offer additional private booking (such as high speed IT communication line).

Small ISP’s usually hook into regional ISP’s a few well known national ISP’s are America online, AT &T WorldNet, CompuServe and Microsoft network,

and ISP, also some times called IAP (Internet Access Provider), sells computer access to the internet, but will usually provide such services as design, creation and administration of websites, access to news group, training and technical help.

A customer generally establishes an account with ISP, which then provides the user with a software communication package (bundle of application to run on their personal computer), identify username, password and local or toll-free telephone number for access to the internet. Once the software is installed in the user’s computer and the registration process is completed, the user will be able to browse the web, exchange e-mail and establish a website of their own, if they wish to.

CHAPTER THREE

3.0 SYSTEM ANALYSIS AND DESIGN

In the process of obtaining for this project work some data collection type were considered which includes secondary type of data collection and primary type of data collection. They are as follows;

3.1 INVESTIGATION OF OLD SYSTEM

Investigation of the new system took various forms.

Through investigation, analysis and lot of paper work were done to come up with the comprehensive project that covers this robust topic.

The investigation went on by way of meeting with key officers in the administrative department to get the details on the current means of examination supervisor. An overview was scheduled with the principal officers of the department and H.O.D of department to ensure reliable information is gotten from the personnel directly involved in the school management. Observations were also made on the current supervision process by way of supervising examination with the view to see how examination supervision can be scheduled.

However, questionnaire was prepared to get reliable information from students and officers of the registry department.

a. Research DesignWith the attempt to writing this project work, the researcher used lots of

research methods in obtaining relevant data which includes library research, personal interview, etc. the above methods was used because the researcher believes that this will enable him get the needed data as to writing good and a well-structured project work.

b. Library ResearchThe researcher made library research by visiting the Edo State library, Benin

City and lots of computer programming books as well as computer based text book were consulted and periodicals on computer, publication and researchers with particular references to the above project topic. The library research was very helpful that it provided the required data for such purpose as in literature review.

c. Personal InterviewPersonal interview was conducted with programmer in the field of computer

science and useful data were gathered. Their concept about the topic under review were recorded and critically analyzed to compliments the already documented data. It must be noted that personal interview is always more convenient and appropriate because it gives room for personal contact with the personal giving the required information.

It makes the interviewer to know when respondent will be readily available to any interview.

Questions sampling were;

i. What is the requirement for an examination to be supervised by a supervisor?

ii. What do the officers want the new system to do?iii. What were the problems encountered by staff of the manual system?

After this thorough examination on the existing system, the information gathered will be used to produce better means of examination supervision and scheduling system which is entitled as on-line.

Note that the new system should have the following features.

i. It should be effectiveii. It should be able to work in other to meet the user’s requirement such as:

speed, reliable and accuracy at keeping records.

3.2 PROBLEM OF EXISTING SYSTEM

It is all knowing that the existing system has some irregularities and draw back which includes;

i. Burdens on knowing the course and time a lecturer is supervising.ii. A problem whereby the lecturer is on break and he or she is out of town and

examination is around the corner how would he/she know the course he/she is supervising.

3.3 SYSTEM DESIGN

System design is concern mainly with the co-ordination of activities, admission procedures and equipment utilization in order to achieve institutional objectives. It addresses data input, output, processing and interface. This stage

involves the design of the new computerized system if management accepts it after the necessary preliminary survey and initial study is justified. The name of the phase is epicurean to satisfying the user’s requirement.

The design of the system is referred to the construction of a technically computer based solution from the institutions requirement identified in a system analysis. Designing of this system was built on the knowledge gotten from analysis.

a. Objectives Of The New DesignThe aim/ objectives of the new design (online examination supervising

scheduling system) are to provide a technical based system that meets the user’s requirement. This includes the following;

i. To allow supervisor check when they are supervising any course at where even if they are not around with the help with internet access.

ii. To get fast access to examination time table and to secure the time table.iii. Speed, reliability, efficiency and accuracy in process of examination

scheduling.iv. To enable lecturers to check their time of supervision any where in the

world at any time.

b. Database SpecificationA data base is a single file which consists of structured data and records

which are stored in minimum or no duplication of data. It is therefore a constructed consistent and controlled pool of data. A good data base must be common to all users and independent of the programs which use it to generate output.

However, I suppose to have used MYSQL application as tool for the designing the database management system. The data base management system is limited only to data base administrator (DBA) in the registry department of the institution.

With the system designer, developer and programmer is responsible for maintaining and upgrading of the data base and the whole software.

c. Module SpecificationThe new proposed web application software (online examination supervision

scheduling system).

The system is divided into various segments called modules and they are stated below;

i. Home page: This is the first interface that appears on the screen when the application is being loaded. This interface displays the name, of the application and other information about the software.the home page also houses hyperlinks and buttons which navigate the user to other pages of the web program.

ii. Registration Page: This is the interface that appears on the screen when the student wants to register for their examination courses in other for their examination paper to be printed. This interface displays the name, level, department, matriculation number and the sex of the student for examination preparation. The home page also houses hyperlinks and buttons which navigate the user to other pages of the web program.

iii. Student Login page: This is the third interface that appears on the screen when the student wants to check on his or her examination registration status. This interface displays the student’s username and password in order for them to login into their own examination registration page for examination verification. The student login page also houses hyperlinks and buttons which navigate the user to other pages of the web program.

iv. Admin Login page: This is the fourth interface that appears on the screen for staffs and exam administrator to check on his or her examination supervision status. This interface displays the staffs and exam administrator username and password in order for them to login into their own examination supervision page for examination supervision. This admin login page also houses hyperlinks and buttons which navigate the user to other pages of the web program.

v. Time Table page: This is the fifth interface of the web program where the examination time table is been uploaded for student to know their examination schedule. This interface also displays the examination date, course code, time, hall, and the supervisor’s name. This page also has hyperlinks and buttons which navigate the user to other pages of the same web program.

vi. Contact page: This is the last page which gives the description of the institution contact address like campus address, mail box, e-mail address and phone number(s) and it also has hyperlinks to order web page of the same web program.

d. Design ConsiderationIn order for the application to be designed and the goal for which it is

designed for the researcher used macromedia dream weaver. Although, the following tools can also be used in designing the software tools such as;

i. ASP.NET (active server page)ii. ADO.NET (active X Data Object) and few

iii. HTML (Hyper Text Markup Language)

3.4 HEIRACHY OF INPUT, PROCESS AND OUTPUT

a. Input DesignIn respect of making the input design implementation, information had to be

taken from the form used by the administrative department of Shaka Polytechnic, Benin City, Edo State. Then input form is not different from validation form.

The input design accepts input from admin and processes the input giving output to the database and back to the lecturer.

b. Output DesignIn a real life situation of examination scheduling, the lecturer goes to the

school management to submit his examination question and wait for the school to release the date of exams and time of the exams.

But in this application, after the question has been typed, and the time table has been prepared they will paste it on the internet for lecturers to go in and check when they have their exams and supervise a course.

c. Overall Data Flow Diagram (ODFD)This phase is used to describe the flow of data and information of the new

system in a graphical form. A data flow diagram is designed using its data element. These elements are as follows;

i. Data flow: These refer to the movement of data / information to or from a process. The data flow element is identified with an arrow.

ii. Process: This describes the transformation of an input data into an output data flow and this element is identified with a circle.

iii. Data Store: This is storage medium for data / information. The figures below shows the data elements for a data flow diagram.

3.5 HARDWARE AND SOFTWARE SPECIFICATIONi. Hardware Requirement

The system can work on any computer system. The application has also been tested successfully on a testing computer system. To successfully deploy the system, requirements listed below must be adhered to. The prerequisites for running the application cut across both hardware and software related issues. The minimum hardware requirements for the computer system include:

a. A Pentium II and above microprocessor with at least 400MHz of processing speed for better and faster performance.

b. 64MB or higher Random Access Memory (RAM).c. A minimum of 10GB (Gigabyte) of hard disk storage space.d. A Super Video Graphic Array (SVGA) 17’’ LCD Monitor / VDU.e. Gigahertz = 3ghz.f. 52x Cd Rom.g. Flash Disk Drive.h. 104 Keys Keyboard and a mouse.i. 3.5 Floppy disk drive and a higher speed CD ROM drive.j. A Laser or Desk Jet Printer.k. An Uninterrupted Power Supply (UPS)

ii. Software RequirementThe software requirements for the program include:

CHAPTER FOUR

4.0 SYSTEM IMPLEMENTATION AND MAINTENANCE

4.1 SYSTEM IMPLEMENTATION

The computer needs to understand the design of the new system for its effective operations and use. The design has to be coded in computer understandable format. The structures are designed under this chapter.

4.2 CHOICE OF PROGRAMMING LANGUAGE USED AND WHY

In the design and implementation of this project work, I used: Hypertext mark-up language (html), it is the tool used in designing the main application software, which is the user interface. Remember that this enables the user in performing examination supervision processes and other likely activity with the software.

MYSQL database is the tool used in developing the back end of this application program. It is worth nothing without the PHP Myadmin. Now PHP is the platform which connect html to MYSQL database. PHP is purely a scripting language and it is therefore means that to develop an application with PHP, you must have the knowledge of PHP scripting as well as MYSQL scripting.

4.3 TESTING OF THE PROGRAM

During the computer based loan scheme management system design, a modular designing approach was used to test the program for the system. The design of the new system was carefully developed into paper/manual testing and considering the old system.

4.4 DOCUMENTATION

i. An end user of a computer system or software is someone who uses it.ii. Computer software, or just software, is any set of machine-readable

instructions that directs a computer’s processor to perform specific operations. The term is used to contrast with computer hardware, the physical objects (processor and related devices) that carry out the instructions. Computer hardware and software require each other and neither can be realistically used without the other.

iii. Debugging is a methodical process of finding and reducing the number of bugs, or defects, in a computer program or a piece of electronic hardware, thus making it behave as expected. Debugging tends to be harder when various subsystems are tightly coupled, as changes in one may cause bugs to emerge in another.

iv. Feedback is a process in which information about the past or the present influences the same phenomenon in the present or future. It is part of a chain of Cause and Effect.

v. That forms a circuit or loop, the event is said to “feedback” into itself. A cause is WHY something happens. An effect is WHAT happens.

vi. A user guide or user’s guide, also commonly known as a manual, is a technical communication document intended to give assistance to people using a particular system. It is usually written by a technical writer, although user guides are written by programmers, product or project managers, or other technical staff, particularly in smaller companies.

4.5 INSTALLATION PROCEDURES

System Changeover Plan or Schedule

There are three various forms or types of changeover which are as follows;

Direct Changeover: Under this method of changeover, the old system is permanently disconnected and the new system is fully implemented or installed for use.

Parallel Changeover: In this method of changeover from a new system to an old system, both the old and new system is allowed to run concurrently over a period before the old system is discontinued.

Phased Changeover: In this method of changeover, the changeover may involve several installations. This method therefore emphasizes the complete and successful installation of one location to commence installation.

This kind of changeover is that to be implemented in this kind of system is that of the parallel changeover which allows the old system to work concurrently with the new system before the existing system is dropped and the new system being implemented.

4.6 USER GUIDE

Records: this is the collection of files brought together. Every row in a database file (DBF) is a record.

Fields: this is the smallest part of a record that identifies a particular property. Examples are Name, Sex, Age, and Department. Field declaration are in Dbase obeys certain rules. It must be an alphanumeric character, it must have a type, and it must have a width.

Field Name: Fields are reference with this alphanumeric character. In Dbase field name is limited to only 10 characters. Meaning, any name that exceeds 10 characters becomes invalid.

Information: Information is the proceed form of data.Data Base: A database is a collection of related fields of files which are logically

organized and access by a data base management system (DBMS). DBMS: DBMS is the complete software that can be used for the creation of a data

base and can maintain the data base. Computer Network: Computer network is a system that connects two or more

computers together using a communication link.World Wide Web: World Wide Web simply called “www” is the most important

tool of the internet, it was created in the late 1980’s in Europe and was limitedly use in academics cycle.

Clearances: official certification of blamelessness trustworthiness or suitability for graduation and issue of certificate in degree course.

File Transfer: Any kind of computer file can be sent via the internet from one internet user to another. Table of account in a spreadsheet, design by a graphic artist, music and sound files etc. can all be exchanged in this way.

Web Browser: this is special kind of software that processes hypertext mark-up language (HTML) document. In other words, a web browser is a computer program that interprets HTML command to collect, arranged and display the parts of a web page.

Web Site: A web site is a collection of many interconnected web page organized by a specific college, organization company etc., containing web page (goods and commodities) on the internet. Web site is stored on web servers. There are many web sites and thousands of HTML pages on each web site. A web is a treasure of information and entertainment.

Hyperlinks: Hyperlinks are highlighted words and phrase you find on a web document that you can click on as to jump to some other document or internet services.

Online: connected via a computer attached to or available via a central computer network.

Offline: Disconnected from computer network, describe a computer terminal or peripheral devices disconnected from a computer network.

System: Set of computer components that is, an assembling of hardware, software and peripheral functioning together.

CHAPTER FIVE

5.0. SUMMARY, CONCLUSION AND RECOMMENDATION

5.1. SUMMARYThe advantages of an online examination supervision scheduling system

over the manual system can never be over-emphasized.Online examination supervision scheduling system eliminates cost, time

wastage, inaccuracy, inefficiency, fatigue, over-employment and fraud. It promotes accuracy, efficiency and reliability.

5.2. CONCLUSIONIt is glaring that an efficient and effective online examination supervision

scheduling system and report system for Shaka Polytechnic, Benin City in particular is possible despite the fact that the manual exercise or computation is still actively been used. This project work has been able to develop a computer based report generation system that can serve as a starting point for the school. Efficiency, reliability, incredibly fast in operation, high quality services around the clock and absolute lack of human interference to the system, and reduction in the cost of running the system were few of the benefits that may be notice in the usage of this application.

On the potential of these benefits and some not mentioned here, I strongly wish to make the following recommendations.

5.3. RECOMMENDATIONI recommend that this project work should be properly looked in to so as to

be embraces by all institution in the world and Nigeria to enable them to have a better and fast means of assigning examination supervisor to various course that are to be written in the school.

5.4. LIMITATIONS OF THE STUDY

Designing a Cumulative Grade Point Average computation system application to manage grade was not an easy task. The following are the limitations faced at the time of the project design:

i. Time of learning: I was saddle with the responsibility to undergo training in using HTML and MYSQL database application couple with academic work for the semester

ii. Financial Problem: I was faced with financial constraint to have access to the internet and preparation of other printed materials.

iii. Inadequate Information: The problem of inadequate Data collection from the personnel in charge of exam and record office.

1.6 DEFINITION OF TERMS

FIELDS; this is the smallest part of a record that identify a particular property. Examples are Name, Sex, Age, and Department. Field declaration in Dbase obeys certain rules. It must be an alphanumeric character, it must have a type, and it must have a width.

FIELD NAME; Fields are reference with this alphanumeric character. In Dbase field name is limited to only 10 characters. Meaning any name that exceeds 10 characters become invalid.

RECORD; this is the collection of fields brought together.

RECORDS; this is the collection of related fields. Every row in a database file (DBF) is a record.

FILE; this is the collection of records brought together.

INFORMATION; Information is the processed form of data.

DATABASE; A database is a collection of related fields of files which are logically organized and access by a data base management system (DBMS).

DBMS; DBMS is the complete software that can be used for the creation of a data base, used to generate query, used to get report and can also be used to maintain the data base.

3.16. DATA DICTIONARYData dictionary describes the storing, arrangement and the inter-relationship among the data within a data base management system.
