Department Handbook

INTRODUCTION

The purpose of this handbook is to provide an overview of the departmental structure and function to Fountain of Life.

The roles and responsibilities listed in this handbook are not exhaustive; it is a starting place.

Global RCCG Vision and Mission

The vision/mission of the Redeemed Christian Church of God Worldwide, of which Fountain of Life shares, is:

1. To make Heaven 2. To take as many people as possible with us 3. To have a member of RCCG in every family of all nations

To accomplish No. 1 above, holiness will be our lifestyle. To accomplish No. 2 & 3 above, we will plant churches within ten minutes driving distance in every city and town of developed countries. We will pursue these objectives until every nation in the world is reached for Jesus Christ our Lord. The Body of Christ, like all bodies, is comprised of many parts and plays different functions. Fountain of Life is a parish of the Redeemed Christian Church of God and has its own mission and vision which are in line with the global RCCG church.

Fountain of Life are very passionate about people development and this is reflected in the vision of the Church. We are

also committed to making a positive impact in our local community through various outreach programmes that

express the love of Christ. Therefore, our ministries and departments are designed to cater for specific needs of

members of the church and the community. Some of the ministries are based on gender and age, whist others deal

with a particular purpose.

WORSHIP MINISTRY/CHOIR DEPARTMENT

"It came even to pass, as the trumpeters and singers were as one, to make one sound to be heard in praising and thanking the Lord; and when they lifted

up their voice with the ... instruments of music, ... that then the house was filled with a cloud, even the house of the Lord; so that the priests could not

stand to minister by reason of the cloud: for the glory of the Lord had filled the house of God." …II Chronicles 5:13, 14

Purpose

The purpose of Worship Ministry (Xpression of Praise) is to worship and lead the congregation to do the same. By the

help of the Holy Spirit, worship should be relevant, biblical, Spirit-led and pleasing to God while supporting the overall

direction and vision of the church. The ministry should not be about performance but about worship. Songs should not

be to impress but to inspire. The choir’s audience should be Jesus and not the congregation. John 12:32 And I, if I be

lifted up from the earth, will draw all men unto me. Talent should not be more important than spiritual attitude,

character and faithfulness.

The Worship ministry have duties to the following areas.

I. Vocalists

II. Instrumentalists

Unit Responsibilities 1. Members should demonstrate punctuality and timeliness in leading praise and worship at ALL church activities.

2. Offer worship that targets all ages, demographics and spiritual phases.

3. To usher the congregation into God’s presence and prepare them to receive the Word of God ministered by Pastor/Minister.

4. Create worship experiences that present the entire Word of God, reflect excellence, and are biblically relevant.

5. Minister the Word through anointed songs, special anthems, hymns and psalms.

6. Develop members spiritually and musically by teaching new songs to the church as well as encourage variety.

7. Work closely with the Technical Team regarding all audio and visual needs.

8. Encourage vocal, instrumental and spiritual development of gifts, skills & talents.

9. Meet outside Sunday(s) weekly to rehearse, pray and study the Word of God, also to evaluate impact, review the

department and make futuristic plans.

Duties of Head Worship

Co-ordinator have supervisory duties therefore should assign duties and ensure team members carry out their

necessary duties as stated above.

To ensure compliance with the requirement of the church as laid out in the workers’ manual & XP constitution

especially with absenteeism of unit members.

Modest and presentable dress code among worship unit members should be emphasized. Discourage the use of

exposed clothing, strapless, low cut tops, excessively tight clothing, worn, torn, exposed belly buttons & short

dresses & skirts. Also, pay close attention to seating positioning especially among ladies.

Identify & develop those called to serve as singers and musicians in obedience and submission to His word.

Ensure training and re-valuation of unit members quarterly.

Organize avenues such as annual choir retreat where unit members can re-fuel

Encourage fellowshipping among unit members giving direction and support where necessary.

Create room for improvement for the department from the unit members by promoting suggestions, motivation,

new initiatives, and Godly ideas.

Shall play the role of a mediator in matters of disputes within his or her ministry. Where he or she is unable to

resolve such disputes he or she should promptly enlist the support of the Pastor.

Other duties required by the pastoral team such as church representation at National meetings, presentation and

CHILDREN’S DEPARTMENT

Train a child in the way he should go, and when he is old he will not turn from it. Proverbs 22:6

Purpose

The purpose of Children’s Department is to raise godly children; progressively establishing His kingdom in all our spheres of influences until the second coming of Jesus Christ. We believe this can be achieved when the members of the unit demonstrate integrity, love and excellence by providing:

A clean, loving and safe environment for worship for the children. An atmosphere for learning and understanding of the word of God. A platform for grooming Christian values & conducts well as personal & skills development

The Children’s Department have duties to the following areas.

Crèche (Eden) -children from 12 months to 5 years

Eden+- children from 6 to 11 year olds

Eden+should expand on the word they learned when they were younger and introducing them to new areas of the word so as they grow they are building on a solid foundation.

Responsibilities

1. Ensure children are taught the scriptures (bible stories, games, songs)

2. Coordinate the children in the adult church during a joint service as well as monitor movement during and after

service(s)

3. Ensure children are kept in a safe environment.

4. Enjoin children in community projects. Encourage godly attitudes, brilliant ideas, actions, and creativity that would

encourage other children outside the church to participate in similar projects.

5. Encourage children to work alongside a musical and trusted person (who has had full Criminal Record Bureau

clearance to work with children) to create special piece of music for church. This enables the child to be mentored

into the use of their music in worship.

6. Encourage children to participate in writing in church publications

7. Encourage the acts of sharing with others, paying of offering, & bible reading plan/clubs

8. Organize special entertaining events such as art & craft, storytelling, worship, drama, games, small groups

participation, presentation among and outside the peers, public speaking, or community events for personal

developments at least four times a year.

9. Instil confidence in our children to discover, embrace and utilize their gifts and talents in God's service

10. Take your ministry to the kids; don't wait for them to come to church through summer school plan, 1-day club or 5-

day club events. 11. Source for high quality teaching materials, action packed fun and loads of mind building materials

12. Meet outside Sunday(s) weekly to pray and study the Word of God, also to evaluate impact, review the department

and make futuristic plans.

Co-ordinator have supervisory duties therefore should assign duties and ensure team members carry out their

Ensure all teachers have a CRB check and compliance with the requirement of the church as laid out in the workers’

manual especially with absenteeism.

Communicate needs and diminishing consumable ahead before they become exhausted to the church

administrator.

Ensure training and re-valuation of unit members quarterly.

Be available to answer questions of the unit members or anyone needing assistance.

Encourage fellowshipping among unit members giving direction and support where necessary.

Create room for improvement for the department from the unit members by promoting suggestions, motivation,

new initiatives, and Godly ideas.

Encourage participation of parents and ministers in children departments.

Shall play the role of a mediator in matters of disputes within his or her ministry. Where he or she is unable to

resolve such disputes he or she should promptly enlist the support of the Pastor.

Other duties required by the pastoral team such as church representation at National meetings, presentation and

events.

SUNDAY SCHOOL DEPARTMENT

That we henceforth be no more children, tossed to and fro, and carried about with every wind of doctrine, by the sleight of men, and cunning

craftiness, whereby they lie in wait to deceive; But speaking the truth in love, may grow up into him in all things, which is the head, even

Christ…Eph. 4:14-15

Purpose The purpose of the Sunday School Department is to teach the word of God in a way that it would have impact in

the life of the members of the congregation. We believe this can be achieved when the members of this unit

demonstrate discipline, excellence and leadership by providing:

An efficient platform for people to have a deeper understanding of the word of God.

Responsibilities

1. Develop a habit of regular bible study & fellowshipping among members

2. Develop individuals through the various stages of reading, studying, memorizing, and meditating on the word of

God.

3. Diligently and rightly teach the word of God according to the outlines of the manual

4. Bring the word of God alive in every situation of life by applying the Sunday school manual to everyday life

situation.

5. Follow the lesson plans systematically and accordingly

6. Prepare ahead of the class (at all times; whether in the roaster to teach or not)

7. Reach and meet the congregation’s learning needs in their smallest groups.

8. Conduct quarterly review as specified in the manual.

9. Attend weekly review meetings in preparation of the lessons to pray and study the Word of God, also to evaluate

impact, review the department and make futuristic plans

10. Coordinate Sunday school classes, as designated.

11. Collate assignments, worksheet, and attendance into the joint Sunday school log book for end of year grading.

12. Assess trainees and unit members.

13. Encourage student to have Sunday school manuals and work manuals

14. Keeps a log of all trainings including dates, members and assessments

Head Sunday School

Co-ordinator have supervisory duties therefore should assign duties and ensure team members carry out their

necessary duties as stated above. Ensure all members of the team are trained.

To ensure compliance with the requirement of the church as laid out in the workers’ manual especially with

absenteeism.

Be available to answer questions of the unit members or anyone needing assistance.

EVANGELISM DEPARTMENT

He said to them, "Go into the entire world and preach the good news to all creation. …Matt 16:16

Purpose

The purpose of Evangelism department is to preach the gospel and make disciples. We believe this can be achieved when the members of the unit demonstrate ferventness, compassion, discipline and excellence by providing:

A platform for spreading the gospel and raising fishers of men.

Evangelism Responsibilities

1. This team should put up ways for a comprehensive evangelism training programme to develop members of the

church to be soul winners.

2. Enable practical evangelism to be undertaken within the immediate vicinity of the church. The ministry should

undertake projects in street evangelism and also plans to hold major open air outreach programmes

3. Way by which every door in the borough in one calendar year can learn about the gospel of Jesus such as tract

distribution in one year. Work hand in hand with the publicity department to get tracts and other publicity

materials.

4. Meet outside Sunday(s) weekly to pray and study the Word of God, also to evaluate impact, review the department

and make futuristic plans.

5. Make various missions publications available

6. Spotlight various missions projects in the church newsletter, bulletin, and on bulletin boards

7. Maintain a bulletin board or interest centre in the church emphasizing missions

8. Make the church aware of missions prayer needs.

9. Plan a missions Sunday to emphasize promotion of mission involvement including involvement of missionaries,

and opportunity for response

10. Make a periodic report of mission’s activity within the church. Share mission’s experiences and missions trips

opportunities with the church and encourage involvement; provide opportunities for feedback when an experience

is completed.

11. Strategize to determine a plan for involvement of all age group in the missions program

12. Create a calendar on which will be placed missions emphases for the entire year

13. Work hand in hand with the follow up department in following up visitors, absentees, prospects and recently saved.

Duties of Head Evangelism Co-ordinator have supervisory duties therefore should assign duties and ensure team members carry out their

necessary duties as stated above.

To ensure compliance with the requirement of the church as laid out in the workers’ manual especially with

absenteeism.

Encourage fellowshipping among unit members giving direction and support where necessary.

Shall play the role of a mediator in matters of disputes within his or her ministry. Where he or she is unable to

resolve such disputes he or she should promptly enlist the support of the Pastor.

Coordinate with age group leaders regarding specific mission projects and program.

Create room for improvement for the department from the unit members by promoting suggestions, motivation,

new initiatives, and Godly ideas.

events.

HOSPITALITY, FOLLOW-UP & PROTOCOL DEPARTMENT

Do not forget to entertain strangers, for by so doing some people has entertained angels without knowing it... Hebrews 13:2

Purpose

The purpose of Hospitality, Follow-up & Protocol Department is to integrate members into the body of Christ. We

believe this can be achieved when the members of the unit demonstrate compassion, love and determination by

providing:

1. A platform for friendship and relationship development within the church. 2. An avenue to interact and follow-up new members in faith and/or in church

The Hospitality, Follow-up & Protocol Department have duties to the following areas.

New Converts

1. Start them off with a Bible reading plan and share regular encouraging scriptures with them by text, e-mail or

phone call.

2. Assign them for follow-up to re-confirm their commitments

3. Call and schedule regular visits with them

4. Organize a quarterly avenue of the new converts to fellowship with other believers.

New Members

1. New people should be welcome immediately after service with options for light refreshments (coffee, tea, biscuits

or other acceptable drinks and snacks).

2. Give church’s information pack to new members including welcome cards which should be checked properly to

allow for follow-up calls/visit.

3. Organize quarterly welcome meeting for interactions between new members, pastors and leaders. Also room to

share the vision of the church, interact with old members & various departments in the church while encouraging

them to enrol in workers induction course or other volunteering arm of the church. It is also a time to get to know

more about them, their interests in the church and likely limitations. The main aim is to introduce the church,

integrate them into the church and high emphasises on how they are settling in.

4. Two or more team member should be assigned to a new comer to help and enable settling in church and

environment.

5. A record of new comers should be kept with the administrator and within the unit including records of discussion,

details following visits or calls to allow other team members to follow up from any point. Maintain accurate and up

to date membership and contact list in coordination with the church office administration.

6. Organize and partner with the student fellowship for group visiting of the student arm.

7. Unit is also responsible for angel network (get more information on angel network), creating awareness among

members to note members who have been absent for a while.

8. Meet outside Sunday(s) weekly to pray and study the Word of God, also to evaluate impact, review the department

and make futuristic plans.

9. Find ways to increase or review the welcome pack to suit increasing or changing need s of people such as welcome

pack for students, new believer’s etc.

10. Encourage fellowshipping between old and new members by conscious introduction of new members to old

members.

11. All unit members require signing a confidentiality agreement due to the access to people’s details.

12. Call and schedule a ‘thank you for coming to our church’ visit.

13. Request if they would prefer a few house to house visit

14. Each new member should be followed up for a minimum of 8 weeks.

Guest Speakers

1. Welcome and entertain pastors, guest speakers before, during and after ministration 2. Ensure guest ministers are served with water on stage 3. Prepare and package a form of honorarium from the administration department

LIBRARY & PUBLICATIONS DEPARTMENT

Purpose The purpose of the Library & Publications Department is to encourage an atmosphere where God’s people can breathe in

God’s Word. We believe this can be achieved when the members of this unit demonstrate discipline, excellence and

leadership by providing:

An efficient platform for people to be thoroughly equipped for growth and service.

A platform to promote church events, & activities as well as volunteering and personal development

Responsibilities

1. All unit members are responsible for producing all church publications including flyers, publicity materials, monthly

bulletins, annual church magazine.

2. Collate church activities, events and activities from church administrator and church calendar for publicity and relations

3. Disseminate information to all members of the church and outside the church through newsletter, magazine, events

boards, website, online medium such as Facebook, Twitter.

4. Buy, rent & sell Books, audio/visual gospel materials on behalf of the Church to the members of the church and public.

5. By providing materials (books, sermons, messages & study guides) to the library in most preferred available formats

(paperback, softback, e-books, audio-CD, DVD).

6. Source relevant materials that can be used for evangelism purposes

7. Subscribe for regular and beneficial godly materials such as UCB, RBC, and children materials.

8. Establish, manage and promote Source library

9. Facilitate the formation of reading club/groups to encourage members to read gospel materials.

10. Create incentives that would encourage regular members to participate in the department.

11. Work alongside Fast desk to promote sales and market produced church programme/service/events DVD, CD and

publications

12. Meet outside Sunday(s) weekly to pray and study the Word of God, also to evaluate impact, review the department and

make futuristic plans.

13. Ensure that leadership materials, and other resourceful materials are updated on the website for use.

14. Promote members to visit the RCCG FOL website, and social web pages and have the relevant information that will be of

help to the public.

15. Provide news and events to the technical department for promotion on the slide and church website.

16. Communicate needs and diminishing consumable ahead before they become exhausted to the church administrator.

17. Keep a log of all church resource materials and ensure they are all properly labelled according to an approp. log system.

Head Library & Publications Duties

SANCTUARY KEEPERS DEPARTMENT

I gave orders to purify the rooms, and then I put back into them the equipment of the house of God, with the grain offerings and the

incense. Nehemiah 13:9

Purpose

The purpose of Sanctuary Keepers is to maintain the splendour of the house of the Lord. We believe this can be achieved when the members of the unit demonstrate integrity, cleanliness and excellence by providing:

3. A clean and safe environment for worship 4. Provide a platform for personal & skills development in beautification of the church.

Responsibilities 1. Ensure that the main sanctuary, church offices, pastor’s office and the general surrounding of the place of worship

are kept clean and orderly at all times.

2. Helping in an orderly arrangement of chairs (at least twice in a week) to meet the needs of our various types of

services

3. Emptying of waste bins within the church premises

4. Ensuring adequate provision for disables emergency evacuation, adequate heating is maintained

5. Come up with sanctuary improvement ideas for a better overall look including; space management, decorations,

sitting arrangement, and background design.

6. Liaise with maintenance to ensure all planned maintenance works are carried out.

7. Safe keeping of lost or forgotten items in the church

8. Draw a schedule for cleaning of the church and rota for unit members 9. They ensure that the building is kept tidy for the health and safety of the congregation

10. To decorate and beautify the sanctuary.

11. We also ensure that our ladies & gents are clean presentable and necessary facilities are available at all times.

12. Arrangement of sanctuary storage & equipment areas.

13. Meet outside Sunday(s) weekly to pray and study the Word of God, also to evaluate impact, review the department

and make futuristic plans.

14. Encourage participation of non-workers and workers and assist with the assimilation of team in the various

ministries of the church

Duties of Head Sanctuary Keeper Co-ordinator have supervisory duties therefore should assign duties and ensure team members carry out their

necessary duties as stated above.

To ensure compliance with the requirement of the church as laid out in the workers’ manual especially with

absenteeism.

Communicate needs and diminishing consumable ahead before they become exhausted to the church

administrator.

Ensure health and safety while cleaning, training and re-valuation of unit members quarterly.

Be available to answer questions of the unit members or anyone needing assistance.

Encourage fellowshipping among unit members giving direction and support where necessary.

Shall play the role of a mediator in matters of disputes within his or her ministry. Where he or she is unable to

resolve such disputes he or she should promptly enlist the support of the Pastor.

Create room for improvement for the department from the unit members by promoting suggestions, motivation,

new initiatives, and Godly ideas. Other duties required by the pastoral team such as church representation at

TECHNICAL DEPARTMENT

Purpose

The purpose of the Technical Department is to reinforce an atmosphere of worship in a manner that is pleasing to God. We believe this can be achieved when the members of technical unit demonstrate technical excellence and leadership by providing:

A safe, efficient, professional and reliable lighting, audio, video, graphics, or any other form of technical or stage support and platform for training and development of potential gifts and talents.

A platform for members to better receive the Word, participate in worship and develop spiritually.

Unit Responsibilities

1. All unit members are expected to arrive early before the service.

2. Communicate needs and diminishing consumables ahead before they become exhausted to the church administrator.

3. Keep a log of all church equipment’s and ensure they are all properly labelled according to an appropriate log system.

4. Project songs, hymns and bible passages to the congregation during church services and meetings

5. To maintain and set musical instruments, microphones, presentation (audio and visual) equipment’s at least 30min. before the start of any service and out-reach programs.

6. To record messages of every service on CD or in a manner fit for sale 7. To up-date web-page of RCCG Fountain of Life 8. To up-date and publish media information of RCCG Fountain of Life. 9. Ensure the aisle and set up area are clear of unsafe wires or obstruction. 10. Ensure all equipment’s are tested and in good working conditions latest 24 hours before every service and other church

events. 11. Ensure all technical equipment’s are turned off and covered or left in safe conditions especially from children.

12. Meet outside Sunday(s) weekly to pray and study the Word of God, also to evaluate impact, review the department and

make futuristic plans.

13. Maintaining eye contact (and communicating if necessary) with the pastoral team and other team leaders during church

service and other meetings.

14. Ensure a balanced audio and sound system.

15. Ensure a representative of the team is present at ALL church services & events including weekly activities.

Head Technical Duties

Co-ordinator have supervisory duties therefore should assign duties and ensure team members carry out their necessary

duties as stated above.

Perform a regular maintenance schedule for all equipment.

To ensure compliance with the requirement of the church as laid out in the workers’ manual especially with absenteeism.

Ensure all members of the team are trained to handle all technical equipment’s.

Be available to answer questions of the unit members or anyone needing assistance.

Maintaining eye contact (and communicating if necessary) with the pastoral team and other team leaders during church

service and other meetings.

Encourage fellowshipping among unit members giving direction and support where necessary.

Shall play the role of a mediator in matters of disputes within his or her ministry. Where he or she is unable to resolve

such disputes he or she should promptly enlist the support of the Pastor.

Other duties required by the pastoral team such as church representation at National meetings, presentation and events.

TRANSPORTATION DEPARTMENT

Purpose

The purpose of the Transportation Department is move people closer to Christ. We believe this can be achieved when the unit members demonstrate integrity, excellence and Christ’s love by providing:

A reliable, timely and efficient bus service that could relieve individuals from transportation stress especially in cases when there are primarily no alternatives to getting to church, for example, student bus service, vigil bus service, Sunday bus service, immobility cases and public holiday’s bus service.

A clean, safe and friendly environment while transporting individuals

UNIT RESPONSIBILITIES

1. Ensure the church vehicle(s) is/are in good working condition at all times and parked appropriately. 2. Move instruments and equipment to and from church, storage venues, events and ministrations. 3. Move brethren to and from church. 4. Be sensitive to older individuals some of whom are more dependent upon help than others 5. Be willing to help and support bus user where necessary. 6. Be considerate and polite especially in cases of breakdown, or has limited sitting spaces. In such cases, efficient

communication and politeness would be appropriate. If other bus services are available, member could be encouraged to take an alternative arrangement. In cases of limitations, information should be relayed rapidly to the church administration.

7. Encourage drivers with good driving records to volunteer in transportation department. 8. Identify members who are undergoing stress coming to church due to transportation. 9. Encourage bus users to support the bus use system, through volunteering, cleaning & wilful donations to church transportation

department. 10. Draw and maintain a schedule for cleaning of the bus, pick up, drop-off, bus routes & bus times 11. Maintain a good record of drivers including contact details of volunteer drivers, church bus whereabouts, unavailability dates. 12. Support the foodbank system in cases of emergency food delivery and food collection from supermarket, churches or

organization. 13. Help new bus users to locate their nearest bus stop for pick up.

14. Meet outside Sunday(s) weekly to pray and study the Word of God, also to evaluate impact, review the department and make futuristic plans HEAD TRANSPORTATION DUTIES

Co-ordinator have supervisory duties therefore should assign duties and ensure team members carry out their necessary duties

as stated above.

To ensure compliance with the requirement of the church as laid out in the workers’ manual especially with absenteeism.

Ensure drivers are safe to drive, ensure training and re-valuation of unit members quarterly.

Ensure a log of bus use and maintenance are kept including dates & driver’s name.

Be available to answer questions of the unit members or anyone needing assistance.

Monitoring of bus times and ensuring a timely efficient service.

Encourage fellowshipping among unit members giving direction and support where necessary.

Gather information from drivers with availability hours outside church time’s in cases of events. One idea is to create “Driver’s Cards” on index cards containing the following information: name, address, phone number, copy of driver’s license and car insurance verification, zone restrictions (areas of town the driver cannot go), physical restrictions (lifting, etc.) and vehicle information?

Shall play the role of a mediator in matters of disputes within his or her ministry. Where he or she is unable to resolve such

disputes he or she should promptly enlist the support of the Pastor.

Create room for improvement for the department from the unit members by promoting suggestions, motivation, new

initiatives, and Godly ideas.

To assist with the assimilation of bus riders in the various ministries of the church

WELFARE DEPARTMENT

44All the believers were together and had everything in common. 45 They sold property and possessions to give to anyone who had need. 46 Every day they

continued to meet together in the temple courts. They broke bread in their homes and ate together with glad and sincere hearts, 47 praising God and

enjoying the favour of all the people. And the Lord added to their number daily those who were being saved…Act 2:44-47

Purpose

The purpose of Welfare Department is to support individuals in need. "There will always be poor people in the land therefore, I command you to be open-handed toward your brothers and toward the poor and needy in your land."…Deuteronomy 15:11. We believe this can be achieved when the members of the unit demonstrate compassion and love by providing:

A platform for support to individuals in need and to develop compassionate people.

Responsibilities

1. Team should work hand in hand and put up comprehensive ways to help the student fellowship team, evangelism

team and follow-up department.

2. Look out for people who may have needs within the Church. The Bible teaches us about caring for widows, the

elderly and our brothers and sisters in general. It is the responsibility of all of God’s children to care for those who

are in need, therefore the unit should identify needs and raise awareness to help. The bulk activity is to find areas of

need and raise means to support such as assist unemployed members with information on job placements, assist

needy widows and orphans in financial areas.

3. Schedule rota and conduct regular visits to every church members including workers and ministers.

4. Meet outside Sunday(s) weekly to pray and study the Word of God, also to evaluate impact, review the department

and make futuristic plans.

5. Carry out fund raising events at least four times a year to support welfare needs within the church (for example a

welfare package to all single mothers, students under financial stress, widows etc.

6. Participate, support and raise awareness about the foodbank in a number of ways possible.

7. Willing to provide moral, emotional, psychological, and spiritual counselling to members facing diverse challenges

as well as foodbank clients.

USHERS DEPARTMENT

I had rather be a doorkeeper in the house of my God, than to dwell in the tents of wickedness. Psalm 84:10

Purpose

The purpose of the Usher’s department is to prepare God’s people for worship. We believe this can be achieved when the members of usher’s unit demonstrate excellence, sensitivity and Christ extended arm of love by providing the following:

An orderly, clean, safe, friendly and comfortable environment for worship

An alert, sensitive/discerning service as God’s doorkeepers for the pastorate.

A platform for members to be placed in the right frame of mind to receive the Word and comfort to members undergoing distress.

Responsibilities

All ushers are expected to arrive early before the service.

Offering envelopes, bulletins, supplies, cards and necessary forms should be replaced prior to the start of service.

Make arrangement prior to the start of the service for overflow seating, latecomers, mothers with infant, disabled

person or other emergency cases.

Ensure all exits including the emergency exit are free of obstructions and accessible.

Assist with the seating of members and counting of attendance. The count should include the pastors, musicians,

nursery personnel, infants, and ushers.

Ensure noise occurring within and outside the church that could interfere with the service and solemn atmosphere

are reduced minimally.

Maintain eye contact (and communicating if necessary) with the pastoral team and other team leaders during

church service and other meetings.

Ushers should be stationed at strategic locations within the church or meeting premises in order to be able to

respond fast to potential disruption during service including doors to worship centre, rotation among ushers might

be necessary to allow all ushers to partake in the service.

Discourage members from littering facility or leaving behind their items.

Putting up all necessary signs at designated locations in order to appropriately direct visitors to the church.

Coordinate offering collection*. *Not to be in a hurry, if a person is yet to get his/her offering ready, be nice and say

with a smile “I will come back to you.

Count and faithfully record contributions without alterations and hand them over to the church administrator. Also,

keep a record of all contributions handed to the administrator.

Ushers’ books (attendance register, account sheet, summary sheet) must be appropriately filled and kept within

the department.

Ushers should ensure a strict confidentiality and not discuss church’s finances with unauthorised persons including

spouses.

Two or three ushers must be present during counting and recording of offering.

DUTIES: HEAD USHER Co-ordinator have supervisory duties therefore should assign duties and ensure team members carry out their

necessary duties as stated above.

To ensure compliance with the requirement of the church as laid out in the workers’& Usher’s manual especially

with absenteeism.

Ensure training and re-viewing of unit members quarterly.

Ensure unit member’s use ushers name tag always.

Check to see that the facility doors are unlocked before service and locked after service including emergency exits.

Encourage maximizing the gifts and potentials of team members through counselling and advice

Be available to answer questions of the ushers or anyone needing assistance.

Monitoring of time allocated for sermon and signifying with appropriate time signs.

Maintaining eye contact (and communicating if necessary) with the pastoral team and other team leaders during

church service and other meetings.

Encourage fellowshipping among unit members giving direction and support where necessary.

Create room for improvement for the department from the unit members by promoting suggestions, motivation,

new initiatives, and Godly ideas.

Shall play the role of a mediator in matters of disputes within his or her ministry. Where he or she is unable to

resolve such disputes he or she should promptly enlist the support of the Pastor.
