Executive summary

inGenious is the platform of the European Coordinating Body in Maths, Science and Technology

Education.

The ECB / inGenious portal (http://ingenious-science.eu) will act as the main public

communication hub for the entire project. It will be updated on a regular basis and will provide

targeted information about science.

The website will be delivered in two steps:

The first part in September/October 2011 (M8) for the Back to School campaign, a unique

opportunity to build momentum.

The second part in January 2012 (M12), including a Teacher Community and tools

specifically designed for STEM teachers.

In April 2011, the Partner Private space ecb.eun.org was launched, for partners to be able to

communicate and stay informed about all progress in the setting up of the ECB project. Thanks

to this space, they can be actors in the development of the project.

Besides the entire website’s structure will be reviewed by WP4 and WP5 members at M24, a

year before the end of the project, to make sure the content provided and its organisation is still

in line with the project’s progress and objectives.

This document will define the organisation, the design and the management of the platform.

Special attention will be given to the quality and technical requirements needed for collecting,

posting and publishing content on the inGenious platform.

INTRODUCTION

Reminder of the context

The deliverable on the ECB website is a report detailing the basic portal put in place from the start of the project, while the development of the full portal takes place. This report is written in the scope of WP5 as part of the Communications plan and the dissemination strategy to ensure high-level European visibility and create public and stakeholder awareness.

Purpose and scope of the task

The task related to this deliverable is Task4.1: technical platform release 1, due for January 2012. This report will present all activities which have been put into place for the accomplishment of this task. The Task4.1 technical platform release 1 includes the languages version, news and events, library of resources, registration tools, RSS features and syndication tools.

Structure of the document

The first chapter will present the organisation of the website by describing the site map, the wireframes. the use cases, the different sections and the tools. The design of the website will be the subject of the second chapter, presenting the various pages of the website. The third chapter will explain the management of the website through the update of the content, the translations and the resources.

Ethical Issues

When dealing with pictures, the inGenious editor will be especially careful to respect the European Schoolnet policy. The editor will have got the written consent from anybody appearing on the picture. In the particular case of a child, the editor will need the consent of the parents and of the child himself if he is over 12 years old. This policy is also communicated to ECB Partners for a good integrity of the project.

1 ORGANISATION OF THE WEBSITE

The website was developed over the summer 2011 under Liferay, a free and open source content management framework built on various functional units called portlets.

1.1 Site Map

The portal has been developed following the scheme described in Figure 1. All users have access

to the sections: About, News, Resources, In Practice, Event and Press Corner. Logged in users

will have access to the Learning Lab and the Community from January.

The Community will include a forum, a tool to help schools and businesses finding each other, a

calendar, a library, some case studies, and a directory of members.

From April, ECB partners have been using the Partner Private Space to learn more about the

project, communicate with each other and keep themselves informed of the advancement of tasks

and deliverable.

1.2 Wireframes

The website needs were defined thanks to wireframes, reflecting the tools to be developed for the

platform. Wireframes give some useful information about the structure and are the starting point of

the website design.

As shown on Figure 2, the home page gives an overview of the project by revealing the upcoming events and news, as well as giving a direct access to the resources thanks to the tag cloud.

The News page was first thought showing the news title and link to the full article, and a teaser to

give the reader a first idea of the article.

In the current version of the website, we now have several types of news:

The Partners News on STEM Education, from the Partners RSS feeds, see the paragraph

“Update of the content”.

The inGenious news, translated in the portal languages, which inform the user on STEM

Education projects, upcoming STEM conferences and events, and on general articles about

interesting scientific facts or initiatives.

In the resource gallery, it was clear from the beginning that the user should be able to search

through the different resources by criteria, which have currently been defined as: Country,

Languages, Minimum Age, Maximum Age and Resource Type. Those criteria are the results of

reflections and discussions posterior to this wireframe, shown in Figure 4.

Then the User has an overview of the resource thanks to the title, the thumbnail, the description

first few lines, the age range, and the languages.

The About page, see Figure 5, was designed to have an idea of a page only containing general

texts, called Web Content Display in LifeRay.

The inGenious site is revealing only one part of the whole ECB project, that is why it was decided

in the About page to give explanations about the website, and also about the ECB project as a

whole.

1.3 Use Cases

The use cases were defined at the total beginning of the project, to define the roles of the different

website users.

Use cases are used to clarify what users / logged-in users / editors are able to do or which pages

they are able to see or modify.

A user is any person visiting the website, without a log in, or before being logged in.

A logged-in user is a user who has completed the registration form and is recognised by

European Schoolnet as being relevant and harmless for the project. The inGenious logged-in

users will essentially be teachers, educators, partners, policy makers, etc.

An editor is a special user who can create, write and update content. The inGenious editor is in

charge of writing the news articles, the events, etc.

A partner community member is an ECB partner who can access the private space

http://ecb.eun.org and has special rights in the inGenious platform.

The use cases document can be found in the Appendix IIAppendix IIAppendix IIAppendix

IIAppendix II.

About Information about the site, the project and its objectives.

Presentation of the partners

Explanation on how to join the project: project partners brochure,

link to the AP form, brief info for schools.

Information on school selection.

News Current news articles relating to STEM in Europe.

Link to the published newsletters.

At the beginning of the project the news will be published by WP5

but input will be asked from all project partners. In a second phase

the possibility of involving willing partners into the production of the

news will be investigated.

The newsletter will reuse the most popular news published on the

website while promoting more particularly good practices regarding

industry-education cooperation in STEM education.

Resources Search tool: online resources, softwares, activities, lesson plans.

Gallery of resources

In practice Companies and projects: presentation of partners’ educational

initiatives.

Events Events calendar that includes national events organised by the

partners and associate partners but also workshops and trainings.

1.5 Use of syndication tools Key to the inGenious dissemination strategy is the wide and instantaneous diffusion of relevant content across the web to websites, readers and/or subscribers. Various mechanisms will be used for this purpose:

1. Offering syndication tools for individuals: The Liferay framework chosen for the

portal hosts content as XML files, which are easily reformatted automatically to offer

RSS. Thus, for each content type (news, events, training sessions, teaching

materials, etc.), a specific RSS feed will be offered. The feeds will be offered in two

places:

o On each page in question, per content item (i.e. on a news page, the RSS

icon will give access to RSS of the news items)

o On an individual page grouping all feeds together, i.e. a dedicated page

describing all feeds available and giving links to subscribe.

2. Offering syndication tools for websites: users who run their own website (e.g.

project coordinators, bloggers, school ICT teachers, etc.) will be able to take

advantage of the RSS feeds provided by the portal for integration into their own

website.

3. Forming strategic partnerships with key portals for education: content will be

provided to the European Schoolnet home page (www.eun.org) and associated sites

such as Futurenergia (www.futurenergia.net), Xperimania (www.xperimania.net) and

eSkills (http://eskills.eun.org). The partners will also be invited to publish content on

their online platforms (see Annex). Agreements will also be sought with other

educational portals such as http://elearningeuropa.info.

2 DESIGN OF THE WEBSITE

2.1 Work on logo and colour scheme

The choice of a designer was based on a 4 competitive-quote approach. Different companies

submitted quotes regarding the visual identity of the project. Josworld, a Brussels based

company, was hired to work with us on the creation of the logo, the website design, and some

communications material such as banners and stickers.

The first part of the work was to define the logo, and the colour scheme.

The logo had to reflect all kinds of Science, and was design as shown below:

(test tube, atom, planet, leaf, maths signs to remind of the project’s topic).

The website design was based on the same font, style and colour scheme, shown below:

It was mainly based on the visual identity developed around the logo with a predominance of the

green colour and the presence of some blue elements (like the G of inGenious).

3 MANAGEMENT OF THE WEBSITE

3.1 Collection of content

In general, there are the following mechanisms for collecting content for the inGenious platform:

The editor browses science education and research websites to find appropriate

news, events or resources to be added to the inGenious portal.

Registered members of the portal can suggest content – in particular partners who

have initiatives in schools and/or relevant events. The moderators in the editorial

team will then decide if the suggested content will be published on inGenious. Once

the content has been published, the partner – or other person – who suggested the

content will receive a notification via email.

The editorial process carried out for the inGenious portal takes into account the promotion of the editorial values described above as well as a structured step-by-step process from content creation to online publication.

1. Selection of content: Following the guidelines, policies and priorities described above, the editor will select appropriate content for the portal as needed.

2. Verification of content: a first run-through of the validity and quality of the content to be posted. Depending on the type of content, the pedagogical team may be involved. More standard content (projects, events, news, etc.) is validated by the editor alone in the languages he/she is competent in. Where the editor lacks specific language competency, the translation team supports in the validation of content from general perspective.

3. Editing of content: The structure of texts follows guidelines in terms of the data models described below. The editor fills in any extra fields of the data model, which are not already covered by the content.

4. Publishing of content: Once the text is finalised and ready for publishing, it is sent for proofreading and translation.

3.2 Quality Control

The following points are taken into account when collecting, writing and editing content for the inGenious website:

Truth and accuracy: the content published on the portal should be accurate, well

sourced, based on sound evidence and presented in clear language.

Impartiality and diversity of opinion: content should reflect impartiality and allow

diversity of opinion. Controversial subjects or scientific, political and industrial

controversy shall be handled with care. Specific efforts are made to ensure

scientific balance.

Editorial integrity and independence: the content produced in-house or from

external providers should be influenced neither by political or commercial

pressures, nor by any personal interests.

Serving the community’s interests: the content published on the portal have a

primary audience – educationalists in general, researchers and policy makers – as

well as a secondary audience, which includes visitors who come to the portal via

other websites or online searches. With the primary audience in mind, the content

should therefore be accurate, relevant and appropriate to match as much as

possible the expectations and needs of the audience.

Fairness: our output will be based on fairness and openness. Both internal and

external contributors will be treated honestly and with respect.

Privacy: we will respect privacy and will not infringe it. Private behaviour,

correspondence and conversation will not be brought into the public domain unless

there is a clear public interest.

Accountability: we are accountable to our audiences and will encourage a culture of

willingness to learn from them.

Responsiveness: maximising responsiveness means serving the different

requirements of these stakeholders promptly and accurately the first time.

Besides the above mentioned general quality control, content of pedagogical nature needs to get through the pedagogical quality control. In most of the cases, this refers to the teaching materials and learning resources uploaded in the inGenious resource library.

According to the pedagogical quality criteria developed by a teachers’ panel, good resources should:

Motivate students

Encourage communication within the classroom

Have travel-well requirements and easy to replicate

Do not require very specific skills from teachers

Do not require expensive or specific software or equipment

Involve cross-curricular activities

Are linked to real life situations

Use technology

Involve sharing in the school and/or with the community

In order to have a regular update about the statistics of the website, the inGenious web

editor will write monthly reports showing the amounts of Page views and visits of the

website, classified per country. Those data will be collected via Google Analytics, and to

them will be added the numbers of registered partners to the private space, the number of

registered teachers to the community from January 2011, the number of resources and

practices uploaded during the concerned month.

User feedback will be a key factor to make sure the website answers user needs and

expectations. The inGenious team is still discussing the possibility of having different

surveys and/or focus groups.

The footer of the inGenious website contains a “Contact” link, which gives all website

visitors the possibilities to ask any question or give any feedback.

3.3 Update of the content

3.3.1 Frequency of the updates

Specific parts of the site will be updated regularly in order to keep a good ranking in search

engines and retain visitors:

3.3.2 News and RSS

Partners and Associate Partners will also play a role in the management of the website and will be invited to contribute either at the technical level by developing portlets and other tools, or by populating the website with content such as articles, resources or videos.

inGenious news should reflect STEM news, events, as well as partner news. To be able to reach partner news easily, inGenious uses partners’ RSS feeds. RSS is a format for delivering regularly changing web content. Many news-related sites, weblogs and other online publishers syndicate their content as an RSS Feed to their users.

Yahoo Pipes, a feed aggregator and manipulator provided by Yahoo, will be used to grab content on partners’ sites RSS feeds and give them the same look. In that way the inGenious news will be updated automatically on a daily basis.

Any new content will have to be o be about Science, Technology, Engineering and Maths (STEM).

Some news would be as well echoed in a choice of Social Media such as Facebook and Twitter.

The social media strategy will be as followed:

European Schoolnet’s Facebook, YouTube and Twitter account will be primarily

used to disseminate information about inGenious.

Partners will be invited to publish news about inGenious with their own accounts.

Partner tweets should include mandatory “central” tweets pushed out by European

Schoolnet.

EUN will create a list of al ECB/ partner Twitter accounts

@eu_schoolnet/inGenious.

A hashtag, such as #inGenious or #inGenious-science, will be used on Twitter to

refer to the project.

New tweets should be issued on weekly basis by European Schoolnet.

3.3.3 Resources

The inGenious website aims to create an easy-to use repository of teaching and educational material on STEM education, published under the “Resources” part of the project.

The resources include online learning resources, lessons plans, activities, case studies, experiments, videos, etc.

Targeted resources will be provided by the partners and displayed on the gallery, shown on Figure 12. When a user clicks on a resource, he can access the detailed view, as shown on Figure 13.

The gallery will also be connected to the Learning Resource Exchange service (LRE, http://lreforschools.eun.org) of European Schoolnet to allow users to search through educational content from many countries and providers.

The Learning Resource Exchange service has its own search function and tag cloud, as shown on Figure 14.

3.4 Translations

The ECB / inGenious portal – http://ingenious-science.eu - will be developed and deployed in eight languages (English, French, German, Dutch, Italian, Portuguese, Spanish and Swedish) with a first release in English, French and German only. The other languages will be offered in January for the second technical release. Depending on the number of Associate Partners the possibility to add new language versions will be considered.

Dealing with multilingualism raises a number of challenges and notably having to go through a translation process and to differentiate between the static and dynamic elements

of the website. All the static content will be translated beforehand. Some permanent texts such as the About section (description of the project and partners, contact…), some in-depth articles, campaigns that will be run on the website, press information will be translated into all the required languages to ensure a broad diffusion of the content.

Regarding the resources we will give priority to those available in several languages but this multilingualism won’t be ensured for all the resources displayed on inGenious and notably not for the websites and online applications inGenious will be pointing to. However the search function on the resources gallery will allow users to browse the resources according to a language filter. As for the best practice identified within the project and which will be tested in the 15 pilot countries, they will also be translated.

A number of actions are taken to ensure the quality of the translations.

Translators will always translate into their native language

Translators are advised to use the European Commission’s online terminology

database (IATE – Inter Active Terminology for Europe2)

Special attention is brought to localisation. Localisation is the process of adapting content so that they match the requirement of a specific language or culture. In order to achieve this, translators, for example, make sure that date and hour formats respect their language rules, education system particularities match the education system in their country or that content published match their cultural particularities. Translators are also requested to localise all web links available in the documents to translate. Localising a link means changing its HTML code so that it points to the correct language version. The inGenious editor or the translation coordinator double-checks the translations before publication. In this way, it is verified that there are no formatting errors or changes in presentation before approving the text, and that links are localised. When needed, the translators are asked to have their translations proofread by another native speaker. In particular, the more sensitive texts such as printed materials must be proofread in this way.

The Figure 15 shows the example of the paragraphs in the About page translated in French and German.

4 THE PARTNER PRIVATE SPACE

The Partner private space was developed in April 2011 for the partners to communicate with each other and be always aware and kept informed of new information about the project. Its URL is ecb.eun.org.

The menu gives access to the different parts of the Space:

Each of those pages has a footer stating that the ECB project is co-funded by the FP7 Programme. The footer gives access to the Copyright statement, the Legal statement and the Privacy Policy.

The Private Space has also an internal chat available on each page, allowing the logged-in users to communicate privately.

4.1 The Home page

The Home page is public and allows the users to sign in and access the rest of the private space.

Users need to have an OpenID log in to access the Private Space. The document How to create an OpenID can help them creating one.

Then they log in with their OpenId in the log in portlet and can access the Private Space by Clicking Enter the Partner Community.

This page shows to the logged-in users the STEM event calendar and the users’ activities, as well as the full menu from which logged-in users can access the different sections.

Partners can add any STEM event information they want to share with the rest of the Private Space users.

4.2 Learning who is who

The Who is Who page shows a map of Europe were all the partners are listed and displayed per country. This map is interactive and shows which partners below to which countries when you pass your mouse over a country. If you pass your mouse over a partner name in the list, it will show the country to which the partner belongs.

A directory helps the users to relate names to companies they work for, to the country they work in and to find contact information about the different companies.

Clicking on a name opens a window showing the contact details of the person and of his/her colleagues working on different parts of the ECB project.

Clicking on country shows a chart of all partners based in this country, with their main General Assembly, Technical, Financial and communication contacts.

Clicking on a partner name in the list opens a window focused on the contacts of this company.

Every partner has the possibility to show their name, photograph, email address, phone number, mobile number and skype name.

Contact information pages were also created to show partner contacts sorted by General Assembly, Technical Group, Finance Group, Steering Committee, Ethical Committee and Associate Partners.

The partners are listed by alphabetical order, and the flag of the country in which the partner is based appears when a mouse is over the partner name.

The second column provides the related contact name, and clicking on it shows all contact information.

4.3 Financial reporting

The next page regroups all information and documents related to financial reporting of the ECB Project. It provides links to the financial regulations for ECB in CORDIS updated by the European Commission, the ECB Consortium Agreement and other useful links.

The next page gives a reminder of what are the Work Packages and which Tasks and Deliverables are assigned to them.

Each Work Package has two different charts: one for the tasks and one for the deliverables, reminding at which date they need to be produced.

In the library, partners can add all documents related to the ECB project.

The documents already uploaded in the library include the description of work, the Grant Agreement and Consortium Agreement, the Highlights reports, some reading material, some documents related to the six Work Packages, etc.

When a logged-in user uploads a document, a notification appears in the Members’ Activities portlet of the Home page.

4.6 Forum

The Partner Private Space provides an access to a forum for all logged-in users, for partners to be able to communicate and stay informed about all progress in the ECB project.

A partner can start a discussion or answer to another colleague’s question or remarks.

The forum is divided in six parts, corresponding to the six Work Packages, for all partners to find questions related to their work very easily.

All logged-in users can subscribe to the forum, therefore receiving all posted messages by email. Every partner can then be kept informed of all doubts, questions, progress, achievement, etc, of his fellow partners.

The forum allows a user to see all of his posts in one page, his subscriptions, and recent posts.

A notification appears in the Members’ Activities portlet of the Home page any time a user posts a message in the forum.

CONCLUSION

inGenious is shaping the future of maths and science education.

The role of inGenious is to bring together existing STEM initiatives, build upon the knowledge and skills available to stimulate young Europeans studying STEM, thus providing them the tools to influence their future and ensure a more prosperous future for Europe.

The inGenious website is the result of months of work to provide a stable, modern web portal with lively content and user-friendly tools, to attract both teachers and students thanks to a repository of fascinating practices, a dynamic design, complete information on STEM news and events in Europe, best examples of STEM initiatives tested in 1,000 pilot schools, and so much more.

The inGenious team is aware of the importance of the mobile-device compatibility, and has foreseen to work on the issue, to study if the inGenious website could be compatible, and how, in 2012.

From January 2012 onwards, STEM teachers will have their own community to communicate with each other and share their opinion on practices or initiatives. Building a network, they will have better access to stimulating ways of captivating young Europeans with Science, Technology, Engineering and Maths.
