Executive Summary

The purpose of this deliverable is to provide a formal planning and methodology that all partners shall apply for creating, using, sharing and disseminating knowledge, their activities and research results throughout and beyond the ADAS&ME project’s lifespan. It makes use of the EC projects communication best practices1 and follows the 6W approach: What, Why, When, hoW, Where and to Whom. It lists the key target audiences of the project and describes in detail the related dissemination tools and channels (both offline and online) to be used to reach them in the most efficient and cost-effective way. The overall dissemination strategy is designed to maximise the outreach and impact of the ADAS&ME results, and comprehensively disseminate the project’s technical and scientific advancements. For this reason, international cooperation is of paramount importance for ADAS&ME, at European level but also by exchanging information and networking with key professional stakeholder organizations and working groups in the US and Japan, with the active participation of the ADAS&ME Advisory Board, and therefore this deliverable defines a plan to coordinate all these international initiatives. Moreover, it defines the clustering and liaising activities with running R&D projects in the fields of road automation, ADAS and driver/rider state monitoring, as well as the international conferences, workshops, meetings and events where ADAS&ME will participate. After its formal release, updated versions of this document will be generated yearly as necessary.

1 Introduction and overall strategy

ADAS&ME will develop adapted Advanced Driver Assistance Systems that incorporate driver/rider state, situational/environmental context, and adaptive HMI to automatically transfer control between vehicle and driver/rider and thus ensure safer and more efficient road usage. The work plan is based around seven provisionally identified Use Cases for cars, trucks, buses and motorcycles, aiming at covering a large proportion of driving situations on European roads. The communication strategy of the project will follow a 6W approach to ensure that every communication opportunity is adequately exploited. The 6W strategy aims at identifying clearly:

1. Why disseminate: for an efficient communication, the first point to be identified is the objectives of the communication.

2. To Whom: different communication objectives will have to target different stakeholders, and these have to be clearly identified.

3. What to disseminate: the identified stakeholders have various profiles, and therefore will have to be approached with different types of messages addressing their fields and levels of expertise, specific interests and needs for information.

4. HoW to disseminate: different stakeholders have to be reached through different channels, using various tools and strategies. To be efficient, the communication has also to be well coordinated (both internally, and externally), and monitored (e.g. impact measured, estimated audience reached, etc.).

5. Where to disseminate: to fully reach its objectives, the project has to disseminate to a broad audience all over Europe and beyond.

6. When to disseminate: the project communication must both run throughout the whole duration of the project, and in some cases beyond, with long lasting and scheduled actions, and take advantage of opportunities that may arise.

This document starts by identifying and describing the dissemination and communication objectives of the ADAS&ME project, tackling the “Why” aspect in Chapter 2 “Objectives

and target stakeholders” under Section 2.1 “Overall objectives”, while targeted audiences/stakeholders and associated messages are defined in Section 2.2 “A targeted

approach”, addressing the “to Whom” and “What” aspects. In order to efficiently implement this targeted strategy, the document starts to answer the “hoW” and “Where” questions in Chapter 3 “Coordination and implementation of a dissemination strategy plan and

international cooperation activities”, where guidelines for the project partners’ dissemination roles and responsibilities, internal organization, reporting, monitoring and key activities are provided, and international cooperation strategy are covered. Chapter 4 “Communication and

promotion tools and channels” keeps addressing the “What” and “hoW” to disseminate by defining the tools serving a continuous and transversal dissemination strategy. This is complemented and extended in Chapter 5 “Scheduled and opportunistic communication” by identifying and listing the events (both organized by the ADAS&ME consortium, or third-party events), opportunities for project presentations, call for papers, and networking activities, further answering to the “Where” and “When” to disseminate questions.

2 Objectives and target stakeholders

2.1 Overall objectives

The objectives of the ADAS&ME communication strategy are:

• To define an effective and efficient dissemination strategy plan for the project.

• To share knowledge and key insights around the project topics (road automation combined with driver monitoring) with the identified target audiences.

• To promote technical and scientific dissemination of the project progress, its research topics and achievements, encouraging publication of project results in conference proceedings and peer-reviewed scientific journals throughout various phases of the project. Partners doing so are encouraged to use open access when they publish scientific, peer-review papers.

• To make public presentations at relevant international conferences, congresses, seminars, workshops and events, where ADAS&ME is invited or proactively submits papers, or suggests / moderates technical sessions.

• To raise awareness about the project aims, and attract attention from potential customers and end-users, suppliers, technology providers, automotive OEMs, and policy and decision makers.

• To engage identified stakeholders into a fruitful cooperation on the project’s topics.

• To “educate” the end-users (drivers, riders) on the benefits of automation and driver/rider monitoring to enhance road safety and achieve more efficient and comfortable driving, with the goal to raise acceptance of such systems.

• To set a communication platform (website) that provides easy and visually attractive insight to the outside world in both the joined activities of the ADAS&ME consortium as a group, but also room for paying attention to achievements of the individual partners, and other related projects and initiatives within the automotive industry, and the academia and research communities.

• To articulate the project visual identity and branding: logo, promotional flyer and project brochure describing the ADAS&ME activities and goals in more detail.

• To generate the project newsletter and invite relevant audiences to subscribe to it.

• To create and grow social media channels for the project (Twitter, LinkedIn group) and encourage participation, contributing to maximising the reach and impact of the project results and findings in relevant communities.

• To promote international cooperation by clustering and liaising with other EC and international R&D projects, and renowned international working groups and initiatives on automation.

• To promote and support project demonstrations in key European and International congresses and events, in order to broadcast project developments to a wide expert

In order to produce a coherent and efficient communication strategy, the first point to be identified and addressed is: “Why” we should communicate? What are the communication

objectives of the project? Next to these, are the questions: “Whom” do we want to target?

audience, with the support and guidance of the EC and the ADAS&ME Advisory Board.

2.2 A targeted approach

In order to reach the dissemination objectives of ADAS&ME a targeted approach is necessary as different target audiences need or expect different (levels of) information and require diverse ways and channels to receive and have information presented. ADAS&ME will target the following stakeholder groups, without order, as its relevant target audiences, and place an accent mostly on tailored messages that fit the needs of these audiences:

o European associations o International associations

From a much more simplified perspective, the above-mentioned stakeholders can be regarded in two clearly distinct groups:

• The end users: in the end, the adoption of the ADAS&ME proposed features in vehicles to a great extent boils down to the acceptance and confidence raised among the end-users (drivers / riders) who will be driving vehicles that incorporate such technologies. Barriers to the adoption of automation and driver monitoring systems are not necessarily or feel exactly the same for end-users as they are for a more specialist and professional audience such as OEMs, public authorities, etc. As a departing point, the ADAS&ME consortium will assume that concerns for end-users most likely at least include the following (not a complete list): to overcome mistrust in highly or fully automated driving modes, to “understand” (in an intuitive manner) the interaction processes initiated by the (adaptive) HMI of the vehicle and therefore smoothly combine manual and automated driving, and to have data privacy concerns safeguarded. Obviously, keeping the costs associated to the ADAS&ME features and technologies to a minimum is a shared goal by all parties. The project will target different end users with tailored messages per vehicle type (ICE car, EV, truck, bus, PTW), and vehicle use (professional drivers / private use).

• The specialist audience: the ADAS&ME specialist audience does not constitute a homogeneous group. It includes professionals working for private companies (service providers, automotive OEMs, Tier1’s, IT companies, etc.), public authorities (local, national, international), researchers at institutes and universities, etc. However, ADAS&ME assumes that the stakeholders among the specialist audience have in common their interest for similar ADAS&ME messages: automation combined with driver monitoring to enhance road safety, efficiency and driving comfort; adaptive HMI and environmental sensing; intuitive and safe transition processes between manual and automated driving.

The clustering of target audiences into two simple groups and the definition of core messages are meant as a guidance to simplify and render ADAS&ME communications more tailored and manageable. They do not constitute absolute truths (e.g. that end-users are not interested in environmental sensing systems). As much as possible, the dissemination tools and channels in ADAS&ME will be further tailored to the different audiences within the project (e.g. the development of specialist discussion topics for the LinkedIn group, with more generic topics and news being disseminated through the Twitter account).

3 Coordination and implementation of a dissemination strategy plan and

international cooperation activities

Results of different nature will be made available at different stages in the project according to the project plan. A non-exhaustive list of such results includes:

• Technical results, such as those coming from the evaluation of the Use Cases’ demonstrators.

• Feedback from the identified stakeholders and end-users obtained through surveys.

• Identified market trends in the project research areas.

• Scientific papers ready to be published.

• Impact assessment findings.

• Analysis of data privacy issues.

Timing for the release of dissemination contents will be naturally linked to the accomplishment of key project milestones, and therefore dissemination activities will adapt to these achievements. For instance, the integration of the different sensors and/or driver/rider monitoring systems into the ADAS&ME system architecture, or the full implementation and showcase of the demonstrators for each Use Case will occur at different stages throughout the project, and therefore, at each convenient time different messages and results will be communicated, using the most appropriate tools and strategy at that moment, but always following a common, coordinated and coherent dissemination strategy.

The main guidelines, best practices and internal rules for coordinating the dissemination activities across the ADAS&ME consortium are provided in this chapter, and all partners are invited to follow this common strategy, and align with their own communication departments’ strategies in order to maximise the reach and impact of dissemination. For this reason, and in order to ensure and to cross-check the performance of the dissemination activities against the strategic goals, it is necessary to nominate the responsible persons at each partner, to follow up the implementations of activities and to control the overall process. At the content level, key messages for each target group must be clearly drawn, informational vectors defined and events planning developed.

In order to achieve the communication objectives set above in Section 2.1, a concrete plan for coordinating and implementing the project’s dissemination strategy is presented. This chapter addresses the “hoW to disseminate” aspect from an internal organizational perspective, clearly defining the partners’ roles and responsibilities, and the communication workflows and procedures within the project, coordinated by WP9 leader.

3.1 Key elements of the dissemination strategy

• Articulation of the project corporate identity (branding): a project logo was developed

and a general design outline and visual aesthetics were created at the very start of the project, which are to be used in all the public materials and dissemination tools throughout the project.

Graphic elements, such as illustrations depicting the ADAS&ME Use Cases and ambitioned progress beyond the State-of-the-Art will be generated, showing drivers/riders interacting with future automated vehicles through novel HMI strategies. These will be used as building blocks for all the offline dissemination material in the project, such as posters, leaflets, brochure, but also in public presentations of the project, and the project website. A common web-based project exchange platform tool called SharePoint has been set-up where, among other features, partners will find all relevant WP9 materials uploaded and ready to be used. All staff working on ADAS&ME is granted access to SharePoint and any new persons joining the project are asked to contact the project coordinator to be granted access to it. A Word template for official project deliverables has also been produced, along with a template for internal project documentation needs (such as meeting minutes, reporting on intermediate milestones, etc.), and both have been made accessible on SharePoint, offering a common format for all reports produced by the consortium.

• Identification of the stakeholders relevant for ADAS&ME (as described in Section 2.2 “A targeted approach” of this document), and adaptation of dissemination contents and key messages to these.

• Specification of dissemination tools and channels for connecting with the target audiences:

project website, systematically a “tweet” will be published using the @adasandme project Twitter account linking to the news on the website).

• Definition of internal reporting tools and guidelines for keeping track and coordinating the partners’ dissemination activities, and consolidating under a common ADAS&ME approach. This is described in detail under Section 3.3 “Internal tools for the

monitoring of dissemination activities”.

• Maintenance of an agenda of international events, conferences and congresses addressing ADAS and road automation topics, discussing driver monitoring and HMI technologies, where ADAS&ME partners will participate with either public presentations, submission of technical and scientific articles, moderation of technical sessions, or participating in networking activities. The ADAS&ME Technical Manager will be in charge of keeping a shared internal repository of such events constantly updated (that is described under Section 3.3 “Internal tools for the

monitoring of dissemination activities”), and all partners are asked to share their intentions to participate in any of such events with the Project Management Team. The strategy for disseminating own events and participating in third-party events is fully developed under Chapter 5 “Scheduled and opportunistic communication”.

3.2 Work plan for the implementation of the overall dissemination strategy

At first, ADAS&ME will present and create interest among its target audiences on road automation combined with driver/rider monitoring technologies, where the vehicle and the driver/rider act as a “team” and interact in novel ways through adaptive HMI, enhancing safety and driving comfort. This will start from the very beginning of the project through presentations of the project vision and ambition in relevant conferences and related events, by liaising with fellow projects in the same research areas (at European level, but also in relevant markets such as Japan and the US, with the support from the Advisory Board), and by spreading related news, both from the project activities, from ADAS&ME partners’ related work, or other industry news through the project Twitter account. A website will be set early in the project with a multi-stakeholder expected audience - also with the goal to attract interest and raise awareness among non-professional visitors, i.e. end-users -, and a multi-purpose approach. On the other hand, a LinkedIn group will be set up where technical discussions will be held among experts in the ADAS&ME research fields.

Dissemination is a key work package in ADAS&ME, as there are a lot of barriers that need to be overcome regarding acceptance and prejudices related with road automation, concerns regarding intuitive cooperation vehicle – driver/rider, and legal (e.g. data privacy) issues, among other. Dissemination will therefore help establish a coordinated and constructive dialogue among all the stakeholders identified in Section 2.2, and will contribute to “educate” the targeted audiences in the shared benefits of automation combined with driver monitoring. Dissemination will run from day one of the project and not finish in Month 42, with some activities and dissemination channels that will remain active beyond the official project end, such as the project website and social media channels. Decisions and discussions will be held together with the ADAS&ME partners concerning what constitute the key moments for publications and delivering the different dissemination materials (leaflets, newsletters, etc.), with an eye to the defined project milestones as set in the DoA.

Although dissemination is a continuous effort, it makes sense to simplify the timeplan dividing it into two phases:

• Phase 1, to start creating awareness and presenting highly automated vehicles which will be capable of handing over between manual and automated driving based on driver/rider and environmental context sensing, with advanced technologies that have the potential to significantly increase road safety, efficiency and driving comfort. An overall major goal is to create an interest across the identified stakeholders in the implementation of technologies in vehicles that “will come”.

• Phase 2, to cover the exploitation and operation of the technologies developed under the project Use Cases, and present the progress achieved by the project, for instance by reporting on the evaluation of the implemented demonstrators.

Once technology developed in ADAS&ME is integrated into working demonstrators, it will be sought to monitor the progress achieved by the project in terms of users’ acceptance (for instance, by means of interviews with end users) and increase in safety. The latter will be achieved e.g. through the publication of articles (in both scientific journals and technical conferences, but also in classic media, such as newspapers or magazines) and the spread of key performance indicators.

Last but not least, the business case for the continuation and replication of the technologies and services developed within ADAS&ME will as well be promoted.

3.3 Internal tools for the monitoring of dissemination activities

3.3.1 Internal Dissemination Report template

In order to keep track of all spontaneous dissemination activities undertaken by the consortium partners, and in view of preparing the dissemination report (D9.2 “Report on

project dissemination and international cooperation activities”) ACASA prepared a very simple “Internal Dissemination Report template”, and has uploaded it to SharePoint (it can be found under WP9 > Documents > Report & Tracking of WP9 activities > WP9 Partners

activities; there, each partner will find their own folder).

This template should be filled in with:

This includes: publications, articles (published in scientific journals, or in regular press), conferences attended, workshops attended, web contents generated, press releases issued, leaflets/flyers/posters, videos, media briefings, presentations made, exhibitions performed, interviews, TV clips, other.

• Date, so to have an overview, over time, of the dissemination efforts accomplished across the consortium.

• Location (City – Country), so to have an overview of the geographical reach of the project dissemination actions.

• Type of audience, so to monitor if we are impacting all types of stakeholders initially identified as of interest for ADAS&ME. These include: scientific community (higher education, research), industry, general public (end users, drivers and riders), policy makers, media (TV, newspapers, radio, web-based media).

• Number of participants, so to have a numeric estimation of the impact achieved with the dissemination activity. This could be number of attendants to a technical session at a congress, or number of visits to an article published on the project website.

• Supporting documents (electronic copy of published articles, agenda of events featuring ADAS&ME presentations, etc.).

Each ADAS&ME partner is asked to keep their own dissemination report template up-to-date with all current (and, if possible, also planned activities), upload it to their dedicated folder in SharePoint, and inform the dissemination manager each time an updated report is generated. By doing so, partners will simplify the process of reporting their activities through the QMR, where all partners are asked to inform, under section 4 of this internal reporting document, their “dissemination/transfer of information/results”.

Dissemination in ADAS&ME is an intensive and transversal piece of work involving all partners across the whole project lifetime. 3.3.3 International cooperation activities

Links with external companies, stakeholders as identified in Section 2.2, and consortia researching and deploying ADAS, C-ITS, road automation and driver monitoring systems, should also be established to fully achieve the dissemination objectives stated in Section 2.1. Some preliminary contacts and synergies have been already established by ADAS&ME with key stakeholders at international level. In particular, ADAS&ME is supported by EUCAR2 and CLEPA3, representing a good balance the OEM’s and Tier1s. Furthermore, ADAS&ME is also supported by JARI4 and QUT5, boosting the global outreach and transferability of knowledge beyond Europe. The research community, which can on their side contribute to the innovation in the area of safe automation, also enhance the project outcomes by further studying the impacts in various contexts and disseminating the results. Indeed, ADAS&ME is supported by key European Associations representing the European research community, such as ECTRI6, FERSI7, and HUMANIST (which is a project partner itself). International stakeholder forums will involve various key stakeholders into the ADAS&ME project innovation process by presenting the outcomes and formulating potential key questions to support the selection of the most promising Use Cases, as well as the development and deployment processes. Furthermore, stakeholders’ feedback will be used in impact assessment. In order to support the user-centred design approach of ADAS&ME and communicate the needs and priorities of the end-users at certain key project milestones, the project will be supported by the FIA8 (having a seat at ADAS&ME Advisory Board), whereas its Spanish member, ACASA is actively participating as leader of the dissemination and exploitation activities within WP9. All relevant stakeholder groups will be invited to attend key project events and demonstrations, discussing ADAS&ME activities and results from their specific perspectives and gathering their feedback. Furthermore, the project will link to other successful automation projects (running and new) through meetings and joint events where feasible. In addition, the project will link to key Working Groups on automation, such as the Trilateral Automation Working Group on Road Vehicle Automation, which focuses on information exchange on the current status of vehicle automation research and development, and governmental initiatives and interests in each of the three regions (US, Europe and Japan). Project demonstrations are also foreseen in key European and international congresses and events, in order to broadcast

project developments to a wide expert audience, with the support and guidance of the EC and the Advisory Board. The project will follow workshops and events organised by the EC exchanging insights with other consortia, as well as the activities of the VRA project9 and its continuation through the CARTRE project10 (with several ADAS&ME partners that are also part of this consortium) that will act as networking tools for the exchange of information and harmonisation activities for road vehicle automation R&D projects. Furthermore ADAS&ME will seek from the very beginning to set up effective communication channels with running R&D projects, MG3.6 projects as well as relevant international projects in the US and Japan. Key relevant events where ADAS&ME intends to disseminate its results have been initially identified and will be updated/extended throughout the project duration. As the list above is expected to be very dynamic and will need continuous updates, ACASA has created a tab in the “Cross-channel dissemination activities report” to keep track of the international conferences and events with planned contribution from ADAS&ME partners. CERTH will be in charge of keeping this constantly updated and raising awareness in a timely manner among the partners on opportunities for public presentations, submission of papers, or networking activities. ACASA will report on all related activities through the previously defined dissemination channels.

3.3.4 Transversal guidelines

To implement the overall dissemination strategy, WP9 consortium partners will meet at regular intervals throughout the project, including face-to-face during plenary meetings. WP9 leader (ACASA) will call meetings and strive to inform partners at least two weeks in advance. Given the geographical spread of the consortium, meetings will most likely be held as conference calls. WP9 leader will also liaise with the ADAS&ME Management Team periodically, and is a member, together with other WP leaders, of the project Steering Committee.

All communication and dissemination activities should take into consideration the guidelines provided in the following document: “Communicating EU research and innovation guidance

for project participants”11. All partners are kindly invited to read this document.

Periodically ACASA will send email requests for all partners to send contents to contribute to deliverables such as the website, leaflets, brochures, LinkedIn, Twitter and the project newsletter. Partners are requested to answer and contribute in a timely manner. Dissemination in ADAS&ME is a shared responsibility. In order to allow ACASA to efficiently monitor ADAS&ME communication and dissemination activities all partners are required to read the present document and report to ACASA in a timely manner. Partners are invited to monitor the following check-list regularly:

• Do I respect ADAS&ME corporate identity in my communications and use the appropriate templates provided by the project (e.g. generic project presentation as the baseline for my presentations, internal reporting template, etc.)?

• Have I informed the Project Management Team and ACASA of potential dissemination activities I have identified?

• Did I receive any request from ACASA to provide content for deliverables?

• Have I informed the Project Management Team and ACASA of news and events that I would like to see featured in the ADAS&ME newsletter and on the ADAS&ME website, or Twitter, or LinkedIn group?

• Did I send contacts and do I have any new contacts to send to ACASA to be included in the ADAS&ME dissemination database? Alternatively, am I disseminating ADAS&ME newsletters and other relevant dissemination contents to my contacts and informing ACASA?

4 Communication and promotion tools and channels

4.1 ADAS&ME presentation

A template Powerpoint presentation has to be used as the basis for all ADAS&ME presentations in every public conference or event as identified in Section 3.3.3. This was produced by ACASA and is accessible to project partners from SharePoint under Documents

> generic project presentation. The presentation briefly summarizes the ADAS&ME vision and concept, it provides a short fact sheet (administrative information) about the project, it presents the consortium composition, work package structure and overall objectives; it also provides an overview of the Use Cases developed within ADAS&ME. The full generic ADAS&ME presentation is included in Section 6.1 of this document.

4.2 Press Releases

The success of the dissemination objectives will to a large extent depend on the visibility given to ADAS&ME in the press. At key moments in the project the consortium will issue and distribute press releases to attract media attention. The project coordinator and WP9 partners will propose to the Project Management Team when press releases are needed and

Heterogeneous target audiences and stakeholders have different levels of expertise and/or awareness on the project research areas; in consequence they have different interests, and must therefore be addressed by a complementary set of dissemination and communication tools and channels. This chapter presents the tools set-up for the project communication strategy presented in Chapter 3, and further answers the “hoW to disseminate” and “What

to disseminate” questions, contributing to reach the ADAS&ME dissemination objectives set in Section 2.1

inform and liaise with ACASA, as WP9 leader, who will prepare the draft press releases, with the active support from HUMANIST. ACASA and/or HUMANIST will prepare draft press releases in English and circulate it to WP9 partners in advance of embargoed distribution dates for partners to use as a template and translate in their own languages as to attract local press. Each partner will be responsible for sending the press releases to its media contacts database, make sure the impact is maximised, and follow up on the generated impact, i.e. gather all offline and online press channels, and websites/blogs, where the sent press release has been used to produce an article (send press clipping to ACASA using the “Internal

Dissemination Report Template”). Press releases will also be available for download on the ADAS&ME website. To keep track of partners activities partners are to contact and inform ACASA and the Project Management Team every time they wish to issue a press release locally.

4.3 ADAS&ME Website

ADAS&ME website is live at http://www.adasandme.com, and it is the most prominent dissemination tool for ADAS&ME. It has been developed using “Wordpress”13, a well-known

and widely used Content Management System, allowing for great flexibility in order to keep it up-to-date, while fully compatible with mobile devices (responsive). It incorporates “plugins” for SEO (Search Engine Optimization) and enhanced security. It is meant to expose information that can be publicly disclosed, serving as a clearinghouse and interaction arena for project relevant data and information tailored mostly to a general audience, while providing access to more technical content aimed at professional stakeholders as well as project documents, such as deliverables, scientific papers or public presentations. Particular attention is given to integrate the website to social media networks in the course of the project (i.e. Twitter @adasandme, LinkedIn), and a subscription form to the project newsletter, therefore promoting active participation and attracting contributors to all the project dissemination channels, helping spread the word about ADAS&ME achievements. The online dissemination material will remain accessible after the end of the project and will continue to be updated at least for a three more years’ period.

The first version of the website was launched January 2017 and it will be continuously updated throughout the project’s lifespan. The main functions of the website are:

• To provide generic information about the project vision and overall objectives.

• To present, in a schematic way, the seven Use Cases developed and piloted by ADAS&ME.

• To present the ADAS&ME consortium as a whole, its partners, project management structure and governance.

• To disseminate progress results and key messages to the ADAS&ME target audiences (as identified in Section 2.2 above).

• To store all ADAS&ME communication material (in PDF format), including public deliverables, technical and scientific papers, public presentations, leaflet, brochure, poster, etc.

• Home: the homepage features a modern and visually appealing slideshow of pictures and key messages / headlines. It initially presents the seven ADAS&ME Use Cases involving cars, trucks, buses, motorcycles, but can be later used to grasp the attention of the visitors to other project contents or news that are more relevant at that time, also adding a call-for-action, such as e.g. an invitation to join a demonstration event together with a button to subscribe to it. The ADAS&ME targets are also presented in a bullet-point fashion. Elements that will be later naturally added to the homepage include e.g. the project visual identity illustration(s).

• About ADAS&ME: this provides more in-depth information about:

o The project Vision, by means of a fictional story presenting human behaviour that occurs in every driving which may lead to critical situations and crashes. It also demonstrates how the use of C-ITS and automated safety functions, together with unobtrusive driver monitoring, can compensate for human errors and enhance safety and driving comfort.

o The project Objectives, as identified in Section 2.1 above and also included in the ADAS&ME template Powerpoint presentation.

o The project Use Cases, by using cartoon-like illustrations presenting fictional scenarios where ADAS&ME technology would be applied to improve safety, efficiency and driving comfort. These are the same illustrations used to present the Use Cases to the end-user respondents of the survey under WP1/A1.2.

o The Project Management Structure, composed of the Project Management Team, the Steering Committee, the Partner Board, the Ethics Board, the Advisory Board, the Quality Control Board and the Dissemination Team.

• Partners: this presents the consortium as a whole, where partners are classified under different categories, namely “Research”, “Industry”, “Companies” and “Users & Associations”. Logos from the partners are featured here, leading to a short partner profile including the main role and contributions to the project, and a link to the partners’ websites. Partners leading the different Use Cases are also outlined.

• Dissemination: this section is aimed at publishing all public documents generated by the project, including:

o Official Project deliverables, once they are approved by the Commission and are tagged as “Public”.

o Presentations, publications and papers: Powerpoint presentations used in conferences and events where ADAS&ME was presented, publications in regular media and press, and papers and articles from conference proceedings with the previous authorization for publication from the conference organization.

o Project leaflet, brochure, poster

• News & Events: project news and invitation to events will be published in this page in a blog fashion, enabling the visitors to easily disseminate through their own social media channels, thus amplifying the ADAS&ME news and reaching a wider audience. A subscription form to the ADAS&ME newsletter is also included.

• Contact form: a general-purpose contact form for visitors to get in touch with the ADAS&ME consortium.

All ADAS&ME partners are expected to contribute with contents ready to be disseminated through the website, and to add a link in their respective corporate websites to the ADAS&ME website. ACASA is responsible for periodically updating the content of the website.

4.4 ADAS&ME Newsletter

The newsletter addresses the specialist audience target group. The aim of the newsletter is to ensure a regular flow of information about the project to all interested stakeholders in order to maintain awareness about all news, achievements, meetings and events related to ADAS&ME.

The newsletter will be issued at least three times during the project, with the first issue due mid 2017. WP9 partners, together with the Project Management Team, will discuss the desired structure and content. The newsletters will contain the following features:

• An “In the Spotlight” section featuring an ADAS&ME Use Case or specific developed technology (e.g. sensor integrated in vehicle) or demonstrator, and associated interview with key related personality or partner that is responsible for that feature being highlighted.

• A “News” section featuring all latest news, achievements, meetings, events related to ADAS&ME since the last issue.

ACASA will distribute the newsletter electronically via “Mail Chimp14” to the ADAS&ME contacts database (that is available to the consortium partners through SharePoint), which will be composed of professional contacts that ADAS&ME consortium partners will share with ACASA to constitute a critical readership for the newsletter from the onset, before the sending of the first issue. This approach will also allow ACASA to keep track of the number of readers. However, partners who cannot or do not wish to provide contacts for this database will be asked to act as multiplier and disseminate the newsletter further themselves, and communicate to ACASA the number of recipients they sent the newsletters to. The database will also include individuals who subscribe via the website, and other fellow projects will be asked to help disseminate, too. Recipients will be able to opt out from receiving the newsletters at any time. The newsletters will also be available for downloading from the website.

4.5 ADAS&ME Flyer, Brochure and Leaflet

A promotional flyer about the project will be distributed (in print and electronic forms) to a broad range of potential stakeholders. The flyer will be followed up with a project brochure describing the ADAS&ME activities and goals in more detail. The aim of the brochure is to increase exposure to the respective technologies that will be developed and piloted in ADAS&ME. The brochure will explain the seven Use Cases developed in ADAS&ME in details. The precise aim, content and structure will be defined by the Project Management Team and WP9 partners. The brochure will be available as printed copies and electronically to be downloaded from the ADAS&ME website. Printed copies will be handed out at ADAS&ME events.

Leaflets are foreseen at key moments in the project’s lifespan. The exact shape, size and format of the leaflets will be decided among the Project Management Team and WP9 partners. The partners will decide the key moments in the project when to produce and distribute such leaflets. The leaflets will be available as printed copies and electronically to be downloaded from the ADAS&ME website. Printed copies will be handed out at ADAS&ME events.

4.6 ADAS&ME Videos

The filming and editing of video materials will be an important dissemination tool in the project. The collection of video footage will be possible when the implementation of demonstrators related to Use Cases will commence, hence most of the video production will occur towards the end of the second year of the project. However, previous video recordings will be possible of intermediate work, which can be used in a final composition. Participants to tests who will consent for video recording (e.g. face recognition) will be asked for permission to use related footage for videos aimed at public dissemination.

As some of the Use Cases cannot be demonstrated live as they require long distances (e.g. platooning or long range touring), it is planned to perform final tests with video recording (e.g. one month before the final event). These videos will be edited and used and showcased during the final event to show all the performances achieved that cannot be shown live.

It is foreseen that video creation will include: interviews with the users after using the ADAS&ME demonstrators, and interviews with main stakeholders at the demonstration/testing locations. Videos will be streamed on the website and in the relevant social media platforms. They can also be used during partners’ events to present how ADAS&ME technologies function, the impact on users, etc.

Meetings with WP9 partners will be used to discuss the content needed for videos and logistical arrangements needed for filming at pilot sites, inviting stakeholders for interviews, etc.

4.7 Partners Dissemination Channels

In addition to all the tools listed above, partners are expected to make use of their existing dissemination channels to increase ADAS&ME visibility. These are: corporate website; social media channels (Twitter, LinkedIn, Facebook, Instagram, etc.); newsletters.

ACASA will seek support from the FIA (that is member of ADAS&ME Advisory Board) to use their dissemination channels as well as those of the automobile clubs in Europe representing the interests of end-users. FIA will strive to get automobile clubs to publish ADAS&ME-related articles in their club magazines. European automobile clubs represent a total membership of about 36 million individuals. Same support will be sought within the other members of ADAS&ME Advisory Board, namely UMTRI15 (in the US), QUT (in Australia), and JARI (in Japan).

5 Scheduled and opportunistic communication

5.1 Organization of ADAS&ME Events

At least one internal workshop is foreseen per year, and these are key internal project events:

• The first workshop is in the context of WP1, to debate on the draft ADAS&ME Use Cases. This will be held in Brussels the 6th of April 2017 in connection with the 1st European Conference on Connected and Automated Driving (http://connectedautomateddriving.eu).

• The workshop for the second year of the project is planned to be performed in parallel to the ITS World Congress or TRA (or other key relevant event, to be confirmed).

• The final project workshop and key demo event will be held in Barcelona (Month 48). The final project demonstration is foreseen to take place in IDIADA test track and Barcelona public roads. The preliminary structure of the final ADAS&ME event follows:

o 1st day at IDIADA test track. Morning: project final results presentation and demo showcase (simulator, videos and the vehicles that were tested in preliminary); Afternoon: test tack demos of Scania (truck, bus), Ducati (motorcycle), Vedecom (electric car) and DLR (electric car) in dynamic platforms.

o 2nd day in Barcelona (a preliminary location would be the “Barcelona Forum” area, which has different urban routes designed depending on the required testing conditions and infrastructure - traffic lights, pedestrians, etc. - and scenarios - intersections, etc.). Morning: test demos in public roads of Scania (truck, bus), Ducati (motorcycle), Vedecom (electric car) and DLR (electric car).

All relevant stakeholder groups will be invited to attend key project events and demonstrations, discussing ADAS&ME activities and results from their specific perspectives, gathering their feedback and taking advantage of their expertise in the relevant fields of research tackled by the project. Partners showcasing technologies in pilot sites and in-country partners are expected to provide the logistical support needed for the events, and to identify and invite local stakeholders, striving to get their participation and raising their interest. ACASA will coordinate the press work and global dissemination around the events, both real-time (e.g. “twitting”) and later (e.g. publishing news in the project website).

ADAS&ME will seek to spread its results and achievements, and reach out to the identified audience through the organization of face-to-face events, as well as the participation in related international conferences. Lively discussion with all stakeholders and end users will be achieved by involving these in workshops, events and demonstrations, either self-organized or convened by third parties. The Advisory Board of the project will play a key role in facilitating the maximum outreach of such activities. This chapter addresses the “hoW to disseminate” question.

Whenever there is an opportunity, ADAS&ME will organise national events/workshops and citizen involvement through local events, supported by social media for raising awareness and societal involvement in activities related to road vehicle automation.

In order to structure the related work, a specific activity (A9.2) on ongoing demos and events has been planned in the DoA, whereas activity on iterative simulations/demonstrations (A6.2) will develop the tailor-made software and hardware to support those events. The project acquired knowledge will be integrated in the project demonstrators that will be evaluated and demonstrated with real vehicles in real roads. This will be achieved through the organisation of demonstration events, under the supervision of the Advisory Board consultation. Furthermore, a number of scientific publications will integrate the knowledge that will be generated and coordinated through the dissemination strategy presented in Chapter 3 “Coordination and implementation of a dissemination strategy plan and international

cooperation activities”, and supervised by the project innovation management (activity A10.2).

5.2 Dissemination at events

Beyond the above mentioned project key workshops and own demo events planned, other key relevant events, where ADAS&ME seeks to be visible and intend to share and promote its results, have been initially identified. These will be updated/extended throughout the project duration, as initially compiled in Table 1 “International conferences and events relevant to

ADAS&ME” under Section 3.3.3, and internally managed through the “Internal

Dissemination Report template” described in Section 3.3.1. Furthermore, a dedicated activity (A9.3) on clustering and liaising actions with relevant R&D projects is also foreseen.

All partners willing to attend any of such (or other) events need to inform the Project Management Team and ACASA well in advance of their intention before committing to attend and/or submitting any contribution (presentation, paper/article). The Project Management Team will decide and assign sufficient resources to partners in a case by case basis. Partners are specifically requested to monitor the events agendas in their countries and investigate if ADAS&ME can be integrated into the programmes. In any case, partners are requested to inform the Project Management Team and ACASA whether they will disseminate ADAS&ME activities at these events. CERTH will be the main responsible partner for monitoring relevant European and international events were ADAS&ME can or should be present, and to approach partners in a timely manner should their contribution/participation would be needed.

5.3 Role of the Advisory Board

To maximize the reach and impact of ADAS&ME, the research and development work must be in line with the requirements, needs and trends of the industry, and be well aware and find the way ahead of the legal, organizational and strategic issues facing road automation and driver monitoring technologies. The ADAS&ME project therefore has appointed a cross-sectorial Advisory Board consisting of four independent high level experts with wide reputation and proven expertise in the fields of road safety, automation and international

cooperation, stemming from the US, Australia, Asia and Europe, who will provide practical assessments and ideas for a successful implementation of ADAS&ME results. With its broad expertise, the Advisory Board will monitor and ensure that the ADAS&ME Consortium is progressing along the correct path. Advisory Board members will be asked to provide feedback at key project milestones. They will convene three times during the project at relevant key project milestones (first year, mid-term and final demonstration). The relevant action is coordinated in A9.6 within WP9. The preliminary composition of the Advisory Board is: Dr. Jim Sayer (UMTRI, US), Dr. Ashleigh Filtness (Carrs-Q, Australia), Olivier Lenz (FIA, Europe), Dr. Masao Nagai (JARI, Japan).

The members of the Advisory Board will be involved as “active observers” in the project activities. More specifically, the expectations for involving the Advisory Board are the following:

• To gather requirements and inputs on the needs and vision of ADAS&ME, while providing their expert feedback.

• To provide the consortium with market as well as technological insights for aspects needed to assess the potential of the ADAS&ME technologies.

• To help assessing the performance of the developed technologies and to obtain advice in order to maximize the project impact.

• To identify cross-sectorial opportunities and obstacles.

• To obtain input for the Use Cases with respect to alternative and complementary approaches to overcome the specific challenges that might be identified.

• To identify additional exploitation opportunities of the project results.

• To help in dissemination of the project outcomes so that ADAS&ME reaches a higher level visibility at international level.
