The Degree Progress Report is an advising tool to be used by students in conjunction with their advisor throughout the student's academic career at MSU Denver.

This report is NOT considered an official MSU Denver transcript or record of completed coursework. It is an advisory guide and might not reflect complete information until the final graduation check.

In-progress coursework is included in this report. Changing registration, catalog year, repeating a course, completing a course with a less than minimum required grade, changing major, minor, concentrations, or any other changes to the academic record may impact the Degree Progress Report.

Repeated Courses: If students have repeated courses, either at MSU Denver or in transfer, the Degree Progress Report may show more credit than can be applied to their degree requirements. It is important to review the report and follow University policy with regard to repeated course. If a student has repeated a course, they are encouraged to submit a Grade Replacement Form in the Registrar's Office, SSB 160 (#3) for a more accurate Degree Progress Report.

Remind students to complete a formal graduation application by the published graduation application deadline.

For advisors, DegreeWorks:

USING STUDENT ID

DISPLAYING AN AUDIT USING FIND – STUDENT ID, FIRST NAME, LAST NAME

1. Click Find button

2. Enter Student ID or First Name or Last Name.

Note: To select a single student, enter the student's ID number in the Student ID field or enter the student's name in the Name field. Wild cards (@) can be used as part of the search string in any of these fields. A search for "WE@" in the Name field will produce a list of all students who contain "WE" as the first two characters of their first, last or middle name.

1. Click Find button

2. Select one or more options from drop down fields 3. Click Search button

Note: To search for a group of students, use the other fields to build your search criteria. Students can be selected based upon their Degree, Major, Minor, Concentration, Sport or any combination of items shown on the search screen. Selecting multiple items will only display students that have those items. Example: Choosing major in Chicano Studies and major in Political Science will return only students that are registered for both majors.

Although it is possible to create a list of students who meet specific selection criteria, Degree Works on the Web can only perform degree audits on one student at a time. Selecting multiple students will create a drop down list of the selected students.

You may query on any of the above search options to direct your search for a desired outcome. If you have more than 50 students returned, you will receive the following message which will tell you how many total records were returned and that a maximum of 50 will be loaded.

STUDENT VIEW

The Student View is the default worksheet format type. It provides general information about the student's complete and incomplete requirements, grouped into logical sections or blocks.

Unless student ID or name is known, the Find button will be used to search for students.

The user can enter a student’s ID in this field and bring up their audit.

Student name will display here. When multiple students are returned using Find, the drop down arrow can be used to switch between students.

Current student’s degree will be displayed here. The drop down arrow can be used to switch between primary and secondary degrees.

Student’s current major will be displayed here. If the student is a dual major, only their first major is displayed in this field.

Displays the last date an audit was performed for the current student.

This drop down box lists the different types of audits that are available. The Student View is the typical type of audit; additional options will be displayed further in document.

If you want to view a different type of audit, select the option from the drop-down and then click the View button.

Will allow you to either print or save the audit while retaining the formatting.

Lists completed coursework, both native and transfer by term.

Double Major 1. With the student audit displaying 2. Double majors falling under the same degree (e.g. BA Political Science and Chicano Studies) will not have a drop down

arrow. The majors will display within a single audit in the order they appear in the Majors field in the student’s demographic/academic summary area. Only the primary major will appear in the Major section of the audit header.

3. Since the degree is the same for both majors, only one General Studies Requirement block will appear within the audit.

4. If the student has Concentrations associated with both Majors, they will display following both Majors in the order they appear in the Concentrations field in the student’s demographic/academic summary area.

Student View Degree Progress Bar

The Degree Progress bars are a visual indicator representing the student’s progress based on their chosen curriculum looking at both requirements and credits needed.

Requirements Bar is a percent calculation based on the number of completed and in-progress courese as required for the degree, major, minor, concentration and general studies.

Credits Bar is the percent of all credits completed by the student in relation to the total number of credits required for their chosen degree.

Legend

Complete:

This symbol will appear beside all requirements within the audit that have been completed. The row will display the course(s) that fulfilled the requirement along with the grade and term in which the course was taken.

Not Complete:

This symbol will appear beside all requirements that have not been completed.

Degree Works Wildcard:

The “@” symbol in Degree Works is considered a wildcard. This means it represents all classes when used as a prefix, and can also be used to represent all course numbers when it follows the course alpha. When a course alpha is followed by the “@” symbol (ACC @) this means any course number for that prefix can be used to fulfill the requirement. In this case, any Accounting class would fulfill the requirement. When “@ @” is used, see example below, it means any course prefix and any course number can be used.

Complete except for classes in-progress: This symbol will appear for requirements where the student is currently registered for the class(es) needed to fulfill the requirement. The row will display the course that will fulfill the requirement once completed, along with the grade “R” and the term in which the student is registered for the class. This symbol will also appear next to planned classes in the student’s What If and Look Ahead audits.

Nearly Complete: This symbol will appear when all the course requirements have been met but there are additional requirements that have not. For example, if a student has completed all of their course requirements but hasn’t met the minimum residency requirement or the minimum GPA requirement, this symbol will appear in the Degree block of their audit.

Transfer Class:

The letter “T” will precede the credits earned on course(s) that have been transferred from another institution. The MSU Denver course(s) that fulfilled the requirement along with the institution at which the course(s) were completed and the term in which the credits were applied will be displayed on the audit.

Pre-requisite: Course numbers that are followed by an * indicate that the course has prerequisite requirements.

Using the scribed catalog as a guide, the blocks within the Student View audit present all applicable requirements for a student’s degree, general studies, declared major(s), concentration(s), and minor(s). In the block header, the Catalog Year is displayed. This view will also give you information on what courses will meet the unfulfilled requirements.

Degree: Lists all the blocks that are required to complete the student’s degree.

General Studies: Lists all the general studies requirements included in the student’s degree.

Major: Lists all the classes required for the student to earn a degree in their declared program of study. If a minor is required, it will display in this block as a requirement already declared or still needed.

Concentration: Lists all the classes required for the student’s concentration (if applicable).

Minor: Lists all the classes required for the student’s minor (if applicable).

Additional Requirements: Lists additional courses required for major/concentration/minor (if applicable).

The following blocks may or may not display for each student depending on whether that student has courses that fall into these areas.

In-Progress The courses the student is currently registered for are listed here, in one place, in addition to displaying where they fit throughout the audit.

Additional Courses Any course that does not fulfill a specific requirement will fall here. These credits count toward graduation, but are not used elsewhere. This is a great place to look for areas the student could pick-up an additional program or concentration.

Insufficient Insufficient courses include any incomplete courses, any courses from which you were withdrawn, any courses you audited, any courses you repeated, or any courses you failed. Insufficient courses will also include any classes where the grade received does not meet the grade requirement for the course or program.

Not Counted These courses either exceed the number of allowed repeats or are considered developmental, and therefore, will not count as hours towards graduation. These courses do count towards the overall GPA.

Exceptions Any exceptions granted to the student are referenced both on the requirement where the exception is applied and in the optional Exceptions block.

Notes Anyone that has access to Degree Works can see the notes, including the student. Notes in Degree Works will be utilized by the Graduation Exavluation staff only for information regarding a student’s graduation checkout.

4. Click Add Course button – Multiple courses can be added but must be added one at a time

5. Click Process New button

6. Look Ahead audit will display with any classes added showing with a grade of “PLAN” and a term of “PLANNED TERM”

7. Click Back button to repeat

Note: Clicking the drop down arrows on the Look Ahead Courses Used: fields will display the parameters used to run the What If audit as well as any classes that were projected.

Note: The Look Ahead allows the audit to reflect unregistered classes the student plans to take in future terms. As with the What-If, it is important to remember that these audits are not saved, but can be printed and run again. The Look Ahead function is available on both the What-If audit and on the Worksheets tab.

Note: In-progress classes and their credit hours will automatically be added to the Term Calculator in alphabetical order according to term. If a student is registered for classes in consecutive terms (e.g. Spring and Summer or Summer and Fall), all of the classes the student is registered for will appear in the Term Calculator. Classes in future terms can be removed to get an accurate calculated term GPA.
