I would like to formally welcome Karina and Dave to the Franchise in a different capacity

being the owner operators of Caversham Night ‘n Day. Dave and Karina are no strangers

to the group and will bring a lot of experience into the site from day one and I have no

doubt the customer base will be well serviced as a result of this. After extensive renova-

tions being undertaken, they had their first day’s trading on the 19th November. Caversham

is a pleasing addition and certainly adds a good-looking store to the network.

We also have Justin Rakena and Anna Conway joining the group as the new Franchisees

of Manners and Courtenay Place. This is another step in the right direction for reinforcing

Night ‘n Day’s full offer in the Wellington CBD. Justin and Anna bring a lot of industry

knowledge having been the operator for Z in the Wellington region and operating 11 stores.

I am sure they will embrace the challenge and cement Night ‘n Day’s place in the Welling-

ton CBD.

On top of the changes in the Franchise network we have had several changes at Support

Centre. Of note:

Corinna has been introduced into the office coordinator role

Jillian has replaced Paul in Business Development

Oliver has replaced Wesley in IT

Desiree has joined as an accounting intern who is with us for the summer

I am sure you will work with each of them at some point and appreciate your understand-

ing as they learn the ins and outs of our business.

We are in the thick of a busy time for most stores, with summer trading being the most lu-

crative of the year and I encourage you to review your stock levels, staff training and overall

offer to ensure we are maximising performance throughout this period. Also, tobacco sup-

ply can be disrupted and with the likelihood of increased prices, I recommend you ensure

adequate levels are held.

Helova Keep Cups!

Key features: 100% made in New Zealand. BPA free. They don’t leak. Please get used to

the firm fit of the lid – it is simply a press on lid and you will know when it clicks on. Be

careful until you get used to it. Dishwasher safe. Lifetime warranty on the cup, 1 year war-

ranty on the lid.

Retail:

Regular cups are sold to customers for $10.00 retail and include the first coffee – they are a

regular size, 12 ounces, same as the existing Regular.

PLU 401 is the code for the cup and this will zero off the price of one coffee in the transac-

tion. You still need to ring up the coffee that is ordered.

Ongoing discount: it is common in the café industry to offer a discount for the use of a re-

usable cup. Please use PLU 5033 to subtract $0.50 off the price of a coffee should a cus-

tomer present a reusable cup. This won’t be promoted as yet, but may become a feature

in the longer term.

Cost:

Regular cups will cost $7.50 + GST, including freight.

These will not come from Local Marketing, as they are a regular business expense, howev-

er if you provide some as prizes/giveaways etc, you can be reimbursed via the regular

channels.

Christmas Security

This is a reminder to make sure your till gets emptied regularly and any cash remain-

ing in the till is kept to a minimum. It is also an important time to make sure your se-

curity systems are working correctly and the office secured at all times. Please ensure

cigarettes and tobacco kept to a minimum as required on the shop floor at all time. It

is the right time to make sure all the staff have completed the security module of

Bracken regarding the process in event of robberies. Review the extra change re-

quired over the holiday period. It is important to have arrangements for banking or a

security firm to pick up cash takings frequently as there will be a lot of cash onsite

creating an unnecessary security risk to your site and your staff.

Accounts Payable:

As we are coming into the silly season, can everyone please take care with receipt-

ing goods into their stores. We are seeing the odd errors cropping up that may cause

issues further down the track.

Can you please check that your staff are marking off the packing slips correctly and

also checking that the stock is indeed for your store.

Wages:

Minimum Wage

If you’re under 16 there’s no minimum wage. When you turn 16 you must be paid

minimum wage either adult, starting out or training.

Starting-out minimum wage

The minimum wage rate for starting-out workers is:

$14.16 an hour before tax

$566.40 before tax for a 40 hour week.

Current minimum wage rates

Starting-out workers are:

16 and 17-year-olds who’ve been with their current employer for less than 6

months

18 and 19-year-olds who:

have been paid a benefit for 6 months or more

haven’t worked for 1 employer for longer than 6 months since being

on a benefit, and

have been with their current employer for less than 6 months

16 to 19-year-olds whose employment agreement requires them to do at least

40 credits a year of industry training.

Adult minimum wage

The adult minimum wage rate for employees aged 16 years or older: $17.70 an hour

before tax

Maintenance is key! Here are some tips from Glen Stevens at Majors, about the

Slushy machines.

I had a call from XXXXXX about there slush unit and as I was going to XXXXXX this

week I called in myself to check the unit.

1st issue was the state of the condenser unit, looks like it has never been cleaned,

surprised machine was still working.

I have shown the staff how to clean the condenser and asked them to visit the other

stores to show them, interestingly they tell me you have techs come in to clean all of

the other refrigeration equipment but they do not do the slush?

2nd

not enough product in the machine, the machines work on resistance to know

when to refrigerate and when they let the machine get as empty as this one is the

refrigeration runs all of the time, this is why it has a lot of ice on the first chamber.

They need to keep the unit fuller, it will save a lot of issues.

3rd

defrost process, because the unit is on 24 hours every now and then between

cleans they have been turning the machine off to let it defrost, when a machine is

just switched off the product starts to melt and the ice rises to the top and often will

form into chunks of ice, this is not a problem if the machine is fully melted before it is

turned back on, if it is not fully melted it can Jam the beater and then strip the gears

in gearbox as this one has, there are 2 plastic gears so they do strip and not dam-

age the rest of the unit. The gears are not difficult or expensive to replace.

To stop this happening I have shown the staff that if they need to defrost (keep unit

full and probably will not need to) they are to leave machine switched on and rock

the bottom row of switches to the centre position, this way the beater keeps turning

but the refrigeration is turned off, machine will defrost faster and no chance of the ice

chunks forming that cause the gear strip.

Next morning rock switches back to top and machine will slush again.

For the shops that close at night they could rock the switches to the bottom position

which will let the product melt until 4 deg, and then in morning switch back to slush

and it would not take very long to be ready to dispense.

Joinery Laminate Update

We have had an update from our joinery supplier, advising that there is limited quan-

tities left of the Jarrah Melteca laminate that is used on our current joinery.

We will be actively working on sourcing a close alternative, however it would be ad-

visable for any store that is part-way through updating their joinery to act now and

secure the matching melteca laminate to avoid any slight mis-match.

If you would like to get this underway, please have a chat to your field manager as

soon as possible.

Bits and bobs for this edition!

Code 136 is for a ‘kids’/’small’ milkshake in a deluxe size cup and retails for

$4.90. This is only intended when particularly asked a kids size milk shake and will

not be advertised on the TV screens.

Onion ring PLU Code is 1155 - $4.50

Vanilla 2L ice cream is the most popular flavour but often the one not in stock. All

stores should have at least a third of their 2L in vanilla to maximise sales

Bracken and floor plan trainings are compulsory but not being completed by a

number of stores. You will all see this listed on your 12 month planner for the sec-

tions not fully completed by you and all of these must be completed before the end

of December and also the first 7 modules must be completed before new team

members are on the shop floor.

The pre-bags for the milk bar are required to be on hand as it has been proven

by a number of stores that is it easier, gives staff more confidence and also definitely

saves time in making, giving better customer service

Donuts are now available on drill down as well as PLU codes. Stores displaying

these well and maintaining the quality (they should be discarded after 2 days maxi-

mum) are definitely reaping the rewards. This appears to be a number one line if

looked after for the Group, with over 1,000 selling in a week with only a few stores

contributing to the sales. Feedback has been excellent with comments they are even

better than Krispy Crème from a lady who lives in Christchurch and tried

them. Check them daily and throw them out when required to maintain your sales.

Any store not selling the new donuts and Kai Pie Muffins, please email your Field

Manager to let them know, along with an explanation as to why these are not being

ranged.

Aerial stands are supposed to be small turn around stands. Those with it on their

planner list do not have the correct stand

Coke recently has gone into stores and placed advertising cards on top of cool-

ers, cardboard stands with a Coke can in it on the counters and double the 4 cartons

of display stands that are permitted in store. This has been raised with Coke and

their reps will be spoken to but also you should be active in store to stop this hap-

pening. This also refers to stickers on novelty freezers etc. Unless there has been a

notification from Dan that a certain sign is permitted, treat it as non-compliant.

This story has come through from Justin (Courtenay Place + Manners) regarding

fraud at his stores that he found on just his first day as Franchisee. It is certainly

something to be aware of—the losers in society are adapting to the technology so

vigilance is required!

Did not take long for me to catch my first criminal inside Night n Day (first day on the

job!).

Please let your staff know of the following incident, along with a photo of the offend-

er, who attempted to carry out a ‘common crime’ as follows:

1. Customer comes in and buys products close to but not over $80 worth, typically

headphones or something else that is expensive.

2. They pay by pay wave, this as you know, does not require a pin if under $80

3. They ask for a receipt.

4. They come back shortly after and ask for a refund and give some sort of excuse

such as the product does not fit or it’s not the right type…they show their receipt as

proof of purchase.

5. They ask for cash refund even though they paid by card.

They give you the goods back and you give them cash. The get free cash by fraud!

BE VERY WARY OF THIS. Be very suspicious.

1. Do not accuse the person of a crime.

2. Merely ask to look at the card they used.

3. Apologise while telling the customer that it is common for stolen or found cards to

be used (by paywave) to make purchases then refunds requested thus gaining cash

through fraud.

4. Ask the customer, once again apologising and definitely not accusing them, that

as a result of a crime wave of this type, we require proof of ownership of the card,

such as another source of ID to prove the card is theirs.

5. Should they do this, then take the goods and refund them

6. Do not accept that they come in all the time or that you were the one that served

them 5 minutes ago.

7. The card is most likely stolen or found and we do not want a business that at-

tracts criminals or criminal behaviour.

8. If they stay in the store but will not prove identity, call police.

Once again, you need to be very diplomatic and careful but if you explain carefully to

the customer, if they are legit, they won’t mind complying with your simple request to

confirm identity.

Please print out this e mail and have all our staff sign it as acknowledging and un-

derstanding that our policy is this:

1. No receipt – NO REFUND. (another common crime is for items to be stolen from

us, then the thief returns and asks for refund!!!!)

2. If they have a receipt, look at the mode of payment

3. If it is pay wave, be very suspicious and ask to verify their identity through sec-

ondary ID.

Do not accept that it’s a friends card or family members card, if they say this, ask for

the family member to come in and prove identity.

Remember – if they prove identity through a secondary means, apologise for the

time taken, thank them for helping to keep our community safe and wish them a

great day.

It is a balance and there is a bit of a knack to this, you don’t

want to get it wrong but we do want to attract the right type of

customer so remember - Diplomacy and communication are

your very best tool and the customer is our reason for operating

in this business.
