Exhibitor Manual Thailand Yacht Show 2021 Thank you for exhibiting at the Thailand Yacht Show (TYS) 2021. This exhibitor manual contains all the necessary information and useful contact details to assist with your pre-show planning. Please spend some time to go through the manual and follow our guidance to ensure the smooth running and success of your event. We would advise that you appoint one person as the Exhibition Coordinator, who will be responsible in coordinating and liaising with the Organizers and Contractors where necessary, and will ensure the prompt completion of all order forms. Thailand Yacht Show 2021Thank you for exhibiting at the Thailand Yacht Show (TYS) 2021.

This exhibitor manual contains all the necessary information and useful contact details to assist with your pre-show planning. Please spend some time to go through the manual and follow our guidance to ensure the smooth running and success of your event.

We would advise that you appoint one person as the Exhibition Coordinator, who will be responsible in coordinating and liaising with the Organizers and Contractors where necessary, and will ensure the prompt completion of all order forms. Please remember to take a copy of all completed order forms and bring copies onsite with you.

I – GENERAL INFORMATION

LocationAccess to the Center is via Road #402 Thepkasattri Road, and can be found on the left-hand side, just after the Boat Lagoon entrance and immediately after the entrance to the PTT gas station. Please refer to the map under Appendix F: Map of Royal Phuket Marina.

Remarks Exhibitors should not dismantle and/or remove any materials BEFORE 6pm on Sunday 10 th January

2021. Thereafter, the hall will remain open until 8pm for those wishing to clear their display. Exhibitors with booths provided by the show should remove all their banners and/or other materials from

the booths, as the stand construction company will dismantle all the booths and collect all their equipment on that night from 8pm onwards.

The hall will reopen again the next day from 8am – 6pm. Exhibitor’s materials can be left overnight (the hall will be locked), however the organizer will not responsible for any loss or damage that might occur.

Floor Plan (refer to Appendix B for the interim floor plan)All floor plan layouts and individual exhibits not fitted with the standard shell scheme must be checked and approved by the Organizer prior to Stand Construction. The Organizer will not accept liability for any layouts not approved by them.

Loading/Unloading At the rear of the exhibition centre are two roller shutter access doors for Loading/Unloading. Vehicles may stop adjacent for loading and unloading but then should be parked in the nearby Parking lot (see Map Appendix F for detail).No Exhibitor shall be allowed access to the hall unless the conditions of the contract between the Exhibitor and the Organizer have been fully satisfied. Please refer to your contract details.

The Show Programme will be available at the Registration Counter. Exhibitors who wish to hold private parties should contact the Organizers for details of the restaurants in the Marina complex.

II – PRACTICAL INFORMATION

CleaningThe Centre provides cleaning services prior to the event opening and following the dismantling and departure, as well as daily cleaning of aisles and common areas during an exhibition.

COVID-19Overall, the Thai Government is very keen to permit International Exhibitions to take place as part of Stage 6 of the unlocking timetable.

Foreign nationals will be permitted to enter the country from September 1st under precise measures mandated by the Centre for COVID-19 Situation Administration, in order to allow economic activities to proceed. The first target groups to enter the country include trade persons conducting business negotiations and attending trade shows, whose visits are generally short and less than the existing 14-day quarantine period.

Event organisers must comply with the disease control measures stated by the authorities. All exhibitors, staff and visitors must wear masks, practice social distancing, check-in and check-out using the Thai Chana application, comply with any disease control measures, and agree to enter emergency state quarantine within a specified timeframe, if required.

CustomsAll customs procedures must be arranged through one of our approved forwarding agents. Please refer to the Preferred Suppliers List (See Appendix D: Preferred Supplier List).

Damage to Venue & FixturesThe Exhibitor accepts responsibility and agrees to pay for any damage to the Centre premises caused by the Exhibitor or their servants and agents during the time that any portion of the Centre premises are under the Exhibitors control. The Centre, as well as any material will remove any installation that would damage the general aspect of the Centre or substance with unpleasant smell or any material or substance considered to be dangerous at the Exhibitors expense.

All Exhibitors are expressly advised that it is forbidden to fix or hang signs, banners, pictures, etc., on the walls with nails, glue, thumbtacks, etc., and they will be charged for any damage.

Exhibitors will also be charged for any damage they may cause to the floors. Therefore, if there is any risk of damage, they must take all necessary steps (plastic sheeting, plywood board, etc.) to ensure the protection of the floors.

Any damage found will become the responsibility of the Exhibitor to bear the cost of the repairs.

Dangerous MaterialsExplosives, petrol, dangerous gasses and inflammable substances are not permitted inside the Centre.Note: Gas cookers and other open-flame appliances are not permitted.

DeliveriesSpecial arrangements must be made for receiving any equipment, goods, displays or other materials that will be sent, delivered, or brought into the Exhibition outside of the dates that the Exhibitor will be present to accept the delivery. Failure to do so may result in deliveries being refused or materials being unavailable when required.

Please refrain from shipping materials more than 3 (three) days prior to the Event Dates.Any materials being sent to the Centre must be marked as follows:

Handling charges may apply. The Exhibition Organizer and the Centre do not accept any liability for equipment, goods, displays or other materials that arrive or fail to arrive at the Centre. The Organizer and the Centre also will not be responsible for any loss or damage of equipment, goods, displays or other materials.

Internet AccessWireless Internet access is provided for all Exhibitors free of charge.

Security and Safety Security in the Centre will be provided from 3pm on the 6th through 3pm on 11th January 2021. The Organizer and the Centre will not be responsible for the safety of articles of any kind brought into

the Centre premises by guests, Exhibitors, their servants, agents or contractors, members of the public or any person whatsoever.

The Centre maintains 24 (twenty-four) hour security, seven days a week, with its own staff. Individual surveillance of the stand can be requested by Exhibitors at their own expense.

An identification badge is required to enter the Exhibition. This badge is provided by the Organizer at Exhibitor Registration.

The Organizer may refuse entry to or expel any person whose behaviour is considered incompatible with the Exhibition’s image or who refuses to comply with the local safety rules.

All gangways leading to Emergency Exits and exit doors must remain unobstructed, at all times. All fire hydrants & fire extinguishers must remain unobstructed, at all times.

SmokingSmoking is not permitted in common areas of the complex, except where designated.

Signs and PromotionsThe posting of signs and promotions within the Marina is subject to the prior written agreement of the Centre, and carried out by the Centre or under its control at the expense of the Exhibitor.

Stand Activities Gas cookers and other open-flame appliances are not permitted. Should an Exhibitor wish to sell alcoholic beverages they must be in possession of their own Offside

License. Should the alcohol be imported, the Exhibitor must also have an Import License to present should it be requested.

All requests for water connection will be reviewed by the Centre and, if approved, a price quotation will be sent to the client.

ShippingExhibit material or display must be shipped or transported direct through the official appointed freight forwarder. Please refer to the Preferred Supplier List (See Appendix D: Preferred Supplier List).

Storage The Centre does not offer any premises for the storage of empty crates and packaging during the

exhibition. They must therefore be immediately removed as the installation progresses and, if necessary, be brought back during the dismantling. This service can be arranged through the approved forwarding agent of the Centre (See Appendix D: Preferred Supplier List).

Similarly, Exhibitors will pay for any removal of waste packaging resulting from the event’s installation (crates, boxes, etc.).

Exhibitors may request that the Centre provide, maintain and remove waste containers at the Exhibitor’s expense.

Delivery Area and Goods Lift: Please use the Centre loading doors for unloading and loading all event materials and goods. Vehicles may stop adjacent to the Centre for loading and unloading but then should be parked in the

nearby parking lot. Refer to the map under Appendix F: Map of Royal Phuket Marina for the location of the car park for trucks and lorries.

Access to the exhibition spaces in the Centre is via the external delivery area at the rear (west side) of the exhibition hall (maximum height: 3.55 m, maximum width: 4.50 m)

Royal Phuket Marina has a forklift. Its use should be arranged in advance by contacting the Marina at [email protected] or +66 81 958 1959

Load Capacity Permitted weight limits for loads at floor level in the main exhibition hall are as follows: Main Hall: 700kg per sqm. Board Walk or Esplanade: 700kg per sqm.

These load restrictions are not only valid for the installation of exhibits but also for their transportation within the hall.

Electricity / Power Supply Each stand (shell scheme or raw space) will be furnished with double socket 5 amp supply. Additional electricity/power supply can be obtained from the shell scheme contractor. Prices List &

Order Form attached on the back. Please submit your order by 1st December 2020 .

IV – BOOTH STRUCTURE, BERTH DETAILS

Exhibit Stands and Equipment Chairs, tables and other furniture rental, if required, should be hired from the Preferred Suppliers List.

(See Appendix D: Preferred Supplier List). The clear ceiling height varies in the exhibition area therefore the standard maximum to be used for

stand planning is 3.15 m. Name board dimensions are WIDTH OF BOOTH by 20cm High should an Exhibitor wish to produce

their own. All materials used, methods of installation, and structural fitness must comply with all local safety

codes; any temporary structure should not be installed in such a way that hinder or obstruct the operation of the hall’s fire and safety routes and equipment.

Exhibitors will not allow or permit any damage to the Centre’s building or any part thereof or any fixtures, nor shall any alterations to the structure be allowed. Hacking, drilling, screws/ pins, nailing, adhesive or devises of any description likely to deface or damage walls, floor, furniture and furnishing are not allowed on hall’s finishes.

Exhibits should not be removed before 6pm on Sunday 10 th January. The hall will remain open until 8pm for those wishing to clear on that day and from 8am till 6pm on the Monday 11th January.

In-Water Displays Berths will be available from 8am Wednesday 6th and should be vacated by 5pm on Monday 11th

January 2021. Vessels requiring berthing outside of those times should contact the Marina Office directly at mari-

[email protected] or +66 81 895 1715 / +66 76 379397-8. Power and water are available on the docks during that period at no cost to the exhibitor.

3. Late orders after 19th December will be subject to availability plus 10% surcharge. Order on-site must be paid in CASH ONLY plus 30% surcharge.

4. The exhibitor will receive 30% refund for any cancellation during set up time. There will be no refund for cancellation during show days.

5. One socket must be used for one exhibit only at a time. Multiunit connection is not allowed to prevent the risk of power overload.

6. All socket outlets must be ordered from the official contractor without exception.7. The standard supply is 110v, 220v or 380v with approximately 10% fluctuation. For the safety of your

equipment, please use a stabilizer.
