We urge you to read the manual carefully, fill in and return the appropriate order forms to

the correct address. Though some items and services may not be required, the form should

be returned thus endorsed to avoid any omission and/or error. Please pay careful attention

to submit on deadline.

A-3. Exhibition Administration

Correspondence concerning the administration of the exhibition should be addressed by exhibitors to the KOTRA

[Korea Trade-Investment Promotion Agency], Exhibition & Convention Department, the nearest Korea Business

Centre (KBC) in your country or Allworld Exhibitions' agents. Refer to the attached list at the back of the manual

(See Appendices 7 ).

The Organizer will establish an Organizer’s office (Hall 5) on site for the duration of the period stated below in the

timetable of site operations. Any problems arising during the time of the exhibition should be referred immediately

to this office. Such prompt action can frequently avoid escalation and unnecessary delay.

A-5. Allotment of Space

Space Only, Walk on stand or Premium stand will be formally allotted to all exhibitors in accordance with the

applied space and the nature of the exhibitors on the first-come, first-served basis under the terms and regulations

for participation accepted by the exhibitor at the time of signing the space contract/application, and the date of

payment of the participation fee.

A-6. Site Working Hours (May/ 8-9 /2016)

The standard working hours in the exhibition hall will be 08:00 to 21:00 hours daily throughout the construction

period.

A-7. Completion of Stand Construction

All stands must be completed, including the positioning of exhibits, construction, painting, display and electrical

work, not later than 21:00 on May 9(Mon), 2016.

A-8. Stand Operations (May/10-13/2016)

All stands must be staffed and all exhibits should be displayed during the hours when the exhibition is open to

visitors. In particular, and in order that no discourtesy be shown to last minute visitors, no dismantling of exhibits

or displays may take place before the exhibition closes on the final day.

A-9. Business Day

SEOUL FOOD is restricted exclusively to trade visitors. This is the only way we can ensure the exhibition’s

competence as Asia’s leading exhibition, the quality of the products and services offered and the success of your

visit.

A-10. Payment for Participating and Utility Service

Exhibitors shall pay participating fee by February 29, 2016 to KOTRA.

Exhibitors shall pay utility service (site service) fees (telephone, internet, water supply, compressed air) by March

31, 2016 to KOTRA's Account. Exhibitors should register the demand of utility services after log-in to our website

at the following URL: http://SEOUL FOOD.or.kr/eng/mypage/login.asp by March 31, 2016

A-11. Cancellation of Exhibition Space

In the event of the Organizers agreeing to any request for release from the contract,

the Exhibitor will be liable for all, or part, of the cost stated in the contract in

accordance with the following scale: Cancellation Period

This scale of charges will apply only from the date the Organizers receive written notice by letter, e-mail or fax. In

addition to this scale, the Exhibitor will be liable for any specific costs incurred on his behalf by the Organizers.

These terms cannot be varied under any circumstances.

A-12. Patents and Copyrights

The Organizer does not take any responsibility whatsoever for any losses, damages, or conflicts of interest

resulting from display of any exhibits that bear any form of industrial property right or patent. Exhibitors are

therefore advised to take protective measures by registering designs and/or patenting inventions before the time

of the event.

B. EXHIBITS AND EXHIBIT HANDLING

B-1. Temporary Admission in Bond

Goods intended to be exhibited, or for use in construction or installing an exhibit, or for the maintenance of an

exhibit at the exhibition, shall be accorded duty-free privileges on a temporary basis by the Customs Office under

condition of re-exportation. Goods granted temporary admission shall not a) be loaned, or used in any way for hire

or reward or b) be removed from the exhibition site.

B-2. Temporary Entry Declaration

The Organizer will designate the exhibition site as a bonded area. When the exhibits are to be displayed as

"Bonded Goods", they shall be brought to the exhibition site under "Transportation in Bond" and be approved by

the Customs Office as "Temporary Entry Declaration" cargo upon arrival at the exhibition site. All these procedures

shall be performed by the customs clearing agent (exhibitor's freight company) appointed by the Korea

International Exhibition Center (KINTEX) where SEOUL FOOD 2016 will be held (See Appendix 5 - Freight).

In order to transport their necessary materials in bond to the exhibition site, the exhibitors must submit the

following documents to the customs clearing agent:

(1) Bill of Lading - 5 copies (with 1 original)

(2) Packing List - 5 copies (with 1 original)

(3) Invoice - 5 copies (with 1 original)

(4) Certificate of Origin - 5 copies (with 1 original)

For the "Bonded Goods" the following acts are strictly prohibited:

(1) Selling

(2) Consuming

(3) Bringing out of the exhibition site

The exhibitor's attention is also drawn to the fact that any loss or shortage caused to the "Bonded Goods" by

reason of theft, breakage, abandonment, etc., will not be leniently treated by customs. When whole or parts of

“Bonded Goods” are lost by such means, customs duties must be paid on them.

B-3. Duty-Free Goods

In accordance with the relevant provisions of the Korea Tariff Law and Regulations, the following items shall be

exempted from duties:

(1) Official catalogues pamphlets, unframed photographs and posters, illustrated or otherwise published by the

exhibitors.

(2) Sample goods (excluding alcoholic beverages and tobacco products) and souvenir articles (badges, medals,

etc.) for free distribution, valued respectively at no more that US$ 5.00 (five dollars) per item on the C.I.F. basis,

provided that the aggregate value and quantity of the goods are reasonable in the opinion of the Customs Office.

(3) Products of low value used up in furnishing or decoration of the temporary stands of the Exhibitors at the

Exhibitions, such as paint, varnish and wallpaper, provided that the aggregate value and quantity of the goods are

reasonable in the opinion of the Customs Office.

(4) Materials for the purpose of demonstrating the operation of an exhibited machine or apparatus consumed or

destroyed in the course of such demonstration, provided that the aggregate value and quantity of the goods are

reasonable in the opinion of the Customs Office.

B-4. Customs Clearing Agents

All the exhibits and related materials upon their arrival at a Korean port shall be entrusted to the official customs

clearing agent in Korea who will proceed on behalf of the exhibitors to supervise customs clearance, transportation

and entry and exit of goods to and from the exhibition site. The Korea International Exhibition Centre (KINTEX),

with a view to securing the smooth progress of the said work, has designated the firms (See Appendix 5 - Freight),

Exhibition Constructors as authorized clearing agents to handle the goods to be displayed at the exhibition site.

Exhibitors are therefore requested to contact an agent among the firms.

B-5. Delivery and Care of Exhibits

The official site-handling agents will undertake delivery of goods to the exhibitor's stand at the exhibition hall.

Exhibitors should be present at the time of arrival of their goods to receive them and assist, if necessary, with

customs clearance.

Neither the Organizer nor the official customs clearing and site handling agents can assume responsibility for

goods once they have been delivered to the stand site.

B-6. Heavy Exhibits

Floor loading limits in the exhibition hall are 5tons/sqm.

The Organizer cannot assume responsibility should it prove impossible to display a particular item because of its

size and/or weight.

B-7. Fixings to Exhibition Hall Structure

The fixing of machines or other items to the floor of the exhibition hall may only be carried out after written

permission has been obtained from the Organizer. The exhibitor must pay any costs thus incurred, including

reinstatement of the floor after the exhibition.

No fixings or suspensions may be made to, or from the walls, roof of other part of the exhibition hall building.

B-8. Nature of Exhibits

All exhibits must comprise items or services relevant to the theme of the exhibition and the organizers reserve the

right to exclude, or remove, at the exhibitor's cost, any item that the organizer considers is not germane to the

event.

Information concerning all exhibits must be filled out in designated form which KOTRA provide by email.

Details provided will constitute in advance of the Official Exhibition Catalogue, a resume for official purposes of the

contents of the exhibition.

Full details of any intended exhibit, or associated material, of an inflammable, radioactive, explosive or other

dangerous nature must be separately submitted to the organizer. Only sufficient associated materials for

immediate usage may be located on the stand site at any time. Further supplies must be stored outside the

exhibition hall. * (See Appendix 2 – Application for carrying-in/out of hazardous materials)

B-9. Demonstrations and Working Exhibits

An exhibitor wishing to operate machinery on its stand site, or carry out mechanical demonstrations, must ensure

that these practices in no way constitute a fire or safety hazard or interfere with the activities of visitors or other

exhibitors.

All moving parts must be effectively guarded and controls sited beyond the reach of spectators.

The Organizer reserves the right to terminate, or curtail, any practice which the Organizer considers to be

detrimental to the exhibition.

B-10. Maintenance and Repair of Exhibits

Maintenance and repair of exhibits should be carried out before or after opening hours (10:00 ~ 17:00) and

according to the instructions of the Organizer.

The Organizer must be informed, as early as possible, of any need for such operations in order that arrangements

can be made for access to the exhibition hall at other times. The exhibitor concerned must pay any costs thus

incurred.

B-11. Packing Cases and Storage

All packing cases must be removed from the exhibition hall as soon as they have been emptied. Arrangements can

be made with an official site handling agent, if required, for cases to be taken away, stored and returned to the

stand site after the close of the exhibition. Similarly, one of these companies should be consulted should a need

arise for the storage of goods in excess of stand requirements.

Packing cases may not remain in the exhibition hall while the exhibition is open to visitors. The Organizer reserves

the right to remove any cases left in the exhibition hall at the end of the construction period and to charge the

exhibitor for this operation. The Organizer, for the subsequent safekeeping of any cases thus removed, can

assume no responsibility.

B-12. Removal of Exhibits and Exhibitor’s Goods

The removal of hand carried exhibits starts from 17:30 to 21:00, May 13, 2016 and from 09:00 to 17:00, May 14,

2016 All exhibits and other properties of the exhibitor must be removed from the exhibition hall not later than

17:00, May 14, 2016

Exhibitors shall decide beforehand how to dispose of exhibits after the closing of the exhibition. After the decision

is made, necessary steps shall be taken through their customs clearing agent before bringing exhibits out of the

exhibition site.

(1) Re-export

Exhibits under temporary entry should be re-exported to their country of origin or to a third country, according to

the regulations governing "Bonded Exhibition Site Operation".

(2) Imports into Korea

The exhibits to be imported into Korea after the closing of the exhibition should go through the appropriate legal

procedure.

(3) Donations

The transfer of exhibits and other related articles to a third party in Korea as a donation can be made by obtaining

an "Import Permit (duty free or with duties)".

(4) Abandonment or Destruction

Abandonment or destruction of temporary-entry articles requires the authorization of the Customs Office.

The exhibitor concerned is requested to consult the Organizer beforehand on the subject.

C. STAND CONSTRUCTION AND SERVICES

C-1. Organizer’s Stand Packages

* Side & Rear Walls: Plywood painted in white and aluminum frame (2.5m high)

* Ceiling: An open aluminum frame (1sqm module) will be fitted over the entire stand area (2.5m high)

* Floor covering: Pytex carpet will be laid over the entire stand area

* Fascia: A fascia board (set at a height of 2.2m) will be erected on each open frontage. The fascia will carry the

exhibitor's English name and stand number.

* Electricity outlet: One for each participating company.

* Electricity (kW/220V): 1 kW per one stand

* All labour for construction and dismantling of rented display.

* Stand details may be changed without notice.

C-2. Stand Fitting Contractors

C-3. Stand Fitting Regulations

a) Walk on Stand & Premium Stand

i) All additional construction work, including light fittings, must be contained within the Walk on stand & Premium

stand structure. It should be noted that Walk on stand & Premium stand walls are contained within the site

allocated, thereby reducing the effective floor area by approximate 50mm in each direction, and that the maximum

clear headroom is 2.30m.

ii) No fixings, other than by removable adhesive or special bracket and obtainable suspensions may be made to the

wall of shell stands. The advice of the Organizer should be sought for any heavy items desired to be fixed to the

shell stand wall.

b) Space Only

i) The name of the contractor carrying out construction work must be submitted to the Organizer in writing, using

the Contractor Nomination Form (See Appendix 1).

* The exhibitors who use "undesignated companies" by KINTEX should submit this form to KOTRA. If not, the

contractor cannot undertake work in KINTEX.

ii) The tops of all stands must be left open except for small private offices or reception areas, which may be fitted

with ceilings of non-combustible material.

iii) All stand fittings must be prefabricated and pre-furnished. No major painting will be permitted in the exhibition

hall.

iv) The use by contractors of compressors, electric planes, power saws, welding machines and other motor-

operated tools will not be permitted in the exhibition hall.

v) All materials used in the fabrication of stands must be fireproofed or inherently fire-resistant.

vi) Carpet laid to the floor of the exhibition hall may be affixed only by means of easily removable materials. The

exhibitor will be charged for any damage caused to the floor of the building and for the removal of adhesive

residue.

vii) No fixings may be made to the walls, floors, roof or other part of the exhibition hall structure.

viii) All waste and spare stand fitting materials must be removed from the exhibition hall and all stand fittings must

be finally and completely dismantled and removed from the exhibition hall by 17:00 on Saturday May 14, 2016.

ix) No structure of fitment, including light fittings, may extend beyond the boundaries of the site allocated.

x) No structure may exceed a height of 5m from the hall floor unless written permission has first

been obtained from the Organizer.

xi) Setup of double-decker structure can be adjusted by prior agreement with KINTEX.

- For the partition of exhibit stand, 50% or more of its girth should be open (except the transparent one).

- The width of double-decker stairs should be 1.2m or more.

- At the walking interval of 10m, the fire extinguishers should be located inside of double-decker structure.

- If the ceiling part is finished, it is required to set up one or more automatic sprinkler per square meter on the

ceiling.

- The ceiling of double-decker structure should be open.

- The entrance of double-decker structure should be open in the width of 0.9m or more, towards the exit, and

the charging type emergency light should be set up at the front top of entrance.

- It is required to allocate the safety management staff.

- During R.S. work, any other work cannot be done below for safety reasons.

- The price of the second storey shall be 50% that of the lower level space and the contracted floor area of the

upper tier shall not exceed 50% of the contracted floor area of the lower tier (minimum 60sqm) of the stand.

xii) Long runs of unbroken walling should be avoided on the perimeters of stand sites. Such walls should be

interspersed with graphics and/or displays.

xiii) The name and stand number of the exhibitor must be prominently displayed.

xiv) Fully dimensioned drawings of proposed stand structures must be submitted to the Organizer for approval

before any work commences.

Should such drawings not be submitted, the Organizer reserves the right to require the removal or amendment on

site of any structure or display it considers undesirable or in contravention of the exhibition regulations.

C-4. Service Ducts

Connection points from an underground service duct system are located throughout most of the exhibition hall.

Electricity, water, drainage, compressed air and telephone connections can be installed at these points.

C-5. Electricity Supplies

The standard supplies of electrical current available for use on stands are:

220 volt single-phase 60Hz: 10:00~17:00

220 volt three-phase 60Hz: 10:00~17:00

380 volt three-phase 60Hz: 10:00~17:00

220 volt single-phase 60Hz: 24 hours (for freezing exhibition samples)

If voltages other than the above are essential for the operation of exhibits or if the exhibits do not tolerate

unstable voltage or power failure, it may be possible, to install appropriate transformers at the exhibitor's cost.

Contractors will be appointed by the Organizer to run supplies of electricity ordered from service duct outlets to

individual stand sites, effecting termination at an appropriate switch or junction box.

No other contractor will be permitted to make connections to the exhibition hall electricity supply.

Distribution wiring within the stand area is the responsibility of the exhibitor.

C-6. Electrical Installations and Contractors

Electrical installation within the exhibition hall (for work on a particular stand) shall be undertaken by contractors

approved by KINTEX. Please refer to Exhibition Contractors (See Appendix 5 - Electricity installation) or you may

find information on the KINTEX website, www.kintex.com.

C-7. Electricity Regulations

a) Only a contractor approved by KINTEX, as listed (See Appendix 5 - Electricity installation) may undertake

electrical work in the exhibition hall. The name of the contractor to be used must in all cases be submitted to the

Organizer. You may find information on the KINTEX website, www.kintex.com.

b) The level of lighting on stands must not exceed 100 watts per square metre.

c) Only 600V EV cable may be used for temporary electrical wiring.

d) In principle no-fuse-breaker should be used as a switch. All switches must be installed at least 300mm above

floor level and separate switches must be fitted for lighting and power circuits.

e) Where an electrical heating apparatus, with a surface temperature in excess of 70 degrees centigrade, is

installed, safety guards must be fitted. Similarly, supports for, and walls adjacent to, such a heating apparatus

must be of heatproof and flameproof material and apparatus be set at least 300mm above floor level. Carpets may

not be fitted in the vicinity of operational heating apparatus.

f) The Organizer’s contractor will only effect a connection to the exhibition hall electricity supply after officials of

KINTEX have carried out a safety inspection.

C-8. Compressed Air (20 m/m)

A supply of compressed air will be made available from the fixed outlet in the exhibition hall service duct adjacent

to the exhibitor's stand. Requests for this service should be made on the application form (See Form 2 - Utility

Services). For small requirements, exhibitors are recommended to provide, or have their contractor to provide, a

portable electrical compressor.

※ It is the responsibility of the exhibitor to provide necessary pipe work from that point to the

required location on the exhibitor's stand site.

C-9. Water and Drainage: Water (20m/m), Drainage (75m/m)

Connections to the exhibition hall water and drainage system can be made available at fixed points in the service

ducts on, or adjacent to, the Exhibitor's stand site. Requirements should be indicated on the application form at

* It should be noted that arrangements for, and the cost of, necessary pipe work from the service

duct outlet to the required location on the stand is the responsibility of the exhibitor.

C-10. Telephones

Exhibitors can order domestic/international telephone services via:

Public telephones are located at various points in the exhibition hall.

C-11. Gas Services

All stands for those who need gas energy service will be designated in Hall 1,7,8. Those exhibitors who need

gas services are required to contact the Organizer before ordering.

If exhibitors need gas energy service in other halls, exhibitors can bring electrical equipment or borrow them.

* Use of Burner and Gas Range is prohibited in all exhibition halls.

C-12. Other Services

If exhibitors wish to use items other than those above, they should contact other lease contractors directly.

On-site utility application will not be permitted. Please do apply beforehand.

C-13. Stand Clearing

It is the responsibility of exhibitors to maintain their stand in a neat and tidy condition while the

exhibition is open to the public. The Organizer will arrange for all parts of the exhibition hall, including stand

gangways, Walk on Package stands and Premium Package stands, to be thoroughly cleaned prior to the opening of

the exhibition and subsequently each day, out of exhibition hours. This cleaning, for which no charge will be made,

will comprise the sweeping of floors, dusting of furniture and the removal of normal domestic rubbish. It will not

include the cleaning of Space Only stands exhibits, which remain the exhibitor's responsibility, or the removal of

excessive waste materials generated by an exhibitor's demonstration. Any need for the clearance of such industrial

waste must be indicated to the Organizer in advance of the event in order that arrangements can be made for its

removal. A small charge may be made for this service.

C-14. Parking Service

KINTEX parking lot charges KRW 6,000 per day for each vehicle except trucks and other heavy-duty vehicles. The

all-day ticket will be sold at the parking service centre (located between Hall 1 and the Help desk). Lorries are

eligible for two-hour free parking when bringing in goods. You may pay the fee on-site upon your use/arrival.

F. SECURITY AND INSURANCE

F-1. General Security

The Organizer will take every reasonable precaution to ensure the safety of exhibits and exhibitors' property,

including the operation of closed-circuit television, static guards and mobile patrols.

However, the ultimate responsibility for the safe-keeping of all items rests with the exhibitor who should therefore

seek adequate insurance coverage against theft or damage and provide on-stand lock-up storage for small and

valuable items.

The most critical time for security is during the hours immediately following the final closing of the exhibition. At

that time stands should not be left unattended until all valuable items have been secured or removed.

F-2. Fire Precautions and Prevention

Each exhibitor must ensure that all their staff members are aware of the location of the nearest fire alarm and fire

extinguisher and that they are conversant with their use. Any person detecting an outbreak of fire, however slight,

must make immediate use of the fire alarm system and subsequently use every endeavor to quench or contain the

outbreak by use of fire extinguishers and removal of goods in the vicinity, while at all times refraining from any

action likely to cause panic or alarm.

F-3. Limitation of Liability

The Organizers, their servants or agents shall not be liable for the safety of Exhibitors, their servants, agents,

contractors or invitees during the exhibition nor for any exhibits, articles or other property of whatever kind

brought into the exhibition by exhibitors, their servants, agents, contractors, invitees or members of the public.

The Organizers shall not in any event be held responsible for any restrictions or conditions which prevent the

construction, erection, completion, alteration or dismantling of stands or the entry, siting or removal of exhibits, or

for the failure of any services or amenities provided by the hall landlords or other third parties.

The exhibitor agrees to defend and hold harmless the Organizers from all liabilities, claims, or expense for any

trademark, copyright, or patent infringement arising out of the operation or promotion of its exhibit.

F-4. Insurance

Exhibitors shall make sure that they are fully covered by insurance including, but not restricted to, all risks on their

property, exhibits or articles of any kind, public liability and comprehensive protection against any loss or damage

caused by any circumstance whatsoever whether by reason of fire, water, theft, accident or any other cause. The

Exhibitor shall insure against, indemnify and hold the Organizers harmless in respect of all costs, claims, demands

and expenses to which the Organizers may in any way be subject as a result of any loss or injury arising to any

person (including members of the public or the Organizers’ staff, agents or contractors) or property howsoever

caused as a result of any act or default of the Exhibitor, his servants, agents, contractors or invitees. If the

Organizers so demand the Exhibitor shall provide proof to the Organizers that the Exhibitor has adequate insurance

cover.

Exhibitors must ensure that their temporary staff or their servants, agents, or contractors are insured against

claims for workman's compensation.

The period for which such insurance shall be maintained shall run from the time the Exhibitor or any of his

servants, agents of contractors first enters the exhibition grounds, and to continue until he has vacated the

exhibition grounds and all his exhibits and property have been removed.

G. PUBLICITY

G-1. Publicity Program

An extensive press and public relations campaign, employing all suitable forms of media and publicity outlet will be

mounted prior to, and during the exhibition. The campaign is the result of methodical research and consultation

with the industry and the government by the Korea Trade-Investment Promotion Agency (KOTRA).

Press releases will be issued to all media representatives at regular intervals, and press conferences held.

Exhibitors are urged to provide the Organizer with up-to-date information regarding their products and activities

using online application at SEOUL FOOD 2016 website, plus appropriate catalogues and photographs of their

exhibits no later than March 31, 2016. Exhibitors are also requested to publicize the exhibition through their own

advertising and to make their participation known to business contacts.

G-2. Visitor Attraction

A large-scale direct mail exercise, together with posters and specialized advertising in newspapers and leading

trade journals, will ensure that all potential visitors plus key elements in government and trade organizations are

reached and made aware of the importance of the exhibition.

The Organizer will print invitation cards and distribute them to the exhibitors to facilitate their invitation of clients

and businessmen to the exhibition.

H. ADMISSION

H-1. Admission of Visitors

Trade visitors to the exhibition will be required to register on arrival in order that a comprehensive analysis of

attendance may be made.

H-2. Admission of Exhibitors

The entrance badges for exhibitors and their staff will be available at KINTEX “Entrance of Hall5’, in between

May 8-9, 2016.
