Performing Cycle Counts in PMM These are the steps you will take in PMM to perform a Cycle Count in PMM to update your on-hands in a PMM Inventory Location. 1. Performing Cycle Counts in PMM

These are the steps you will take in PMM to perform a Cycle Count in PMM to update your on-hands in a PMM Inventory Location.

1. Login to the Inventory Management module of PMM2. Highlight your specific area in the Select Supply Location dialog box and click

‘OK’.

3. The Inventory Management screen for your area will appear.

4. Click on the Inventory Control tab.

5. Double click on the New Count Sheet Wizard icon.

6. Click the ‘Next’ tab on the Physical Inventory Count Sheet Wizard – Step 1 of 4.

7. Using the scroll bar on the left, scroll down to the bottom of the page on the Physical Inventory Count Sheet Wizard – Step 2 of 4 screen and uncheck the ~No Bin Location. Then click ‘Next’ at the bottom of the screen.

8. Name your count sheet in the ‘Count Name’ field and type in the number of counters in the ‘Number of Counters’ field.

9. On the lower right half of the screen, check the top box identifying the total bin location/items from the ‘Available’ field. Then click the ‘<’ button to move all of the selected bin locations from the ‘Available’ field to the ‘Assigned’ field. Make sure your box is checked on the assigned side. Then click the ‘Next’ button.

10. Your count sheet should appear in the Count Name field (if not select your count sheet from the list) of Physical Inventory Count Sheet Wizard – Step 4 of 4 screen. Click ‘Print Preview’ and your count sheet will open in a new window.

11. Print the count sheet by selecting the print icon in the tool bar.

12. Close the count sheet by selecting the close box in the upper right hand corner of the screen.

13. Click ‘Finish’ at the bottom of the Physical Inventory Count Sheet Wizard – Step 4 of 4 screen.

14. Perform your cycle counts, documenting the on-hand quantities for each item in your area.

15. The name of your counts will appear in the Inventory Management box for your area. Double click your count sheet to open the count document.

16. Your count sheet will open.

17. Key in your data from the count sheet.

*Note - If you have to leave your area prior to completing your counts click the white disc icon until you are able to come back and finish entering your counts.

18. Click on the yellow disc icon so count sheets will be available for review.

19. Click ‘OK’.

20. Close out the screen by clicking on the X in the upper right hand corner.

21. Double click on the Review Count Sheet icon.

22. The Physical Inventory Count Sheet Review screen appears. Select your count sheet from the drop down menu if it does not auto populate in the count name field. Then click the ‘OK’ button.

23. The following screen will appear. Verify the amounts and pay close attention to the Count Discrepancy field.

*Note lines 1 and 2. Line 1 shows there are no discrepancies. Line 2 shows there is a discrepancy.

24. Place a check mark in the recount box of all items that have a discrepancy.

25. Click on the yellow tablet on the tool bar to generate the recount sheet.

26. A new window will open. Highlight your count sheet from the available options. Make sure you select the count sheet with “Recount” in the name.

27. Click print preview. A count sheet will appear with the items that need to be recounted.

28. Print the count sheet. Click finish. Close the count sheet by clicking on the X in upper right hand corner (as described in steps 11 and 12).

29. Recount the items on the form and enter the on-hands quantity on the count sheet. Once all items have been recounted double click on the recount sheet icon.

30. The recount sheet opens.

31. Enter the data from the recount sheet.

32. Click the yellow disc icon to submit the counts for review.

33. The following dialog box will appear. Click ‘OK’.

34. Close out the screen by clicking on the X in the upper right hand corner.

35. Double click on the Review Count Sheet icon.

36. The Physical Inventory Count Sheet Review screen appears. Select your count sheet from the drop down menu if it does not auto populate in the count name field and click ‘OK’.

37. The review count sheet form will appear.

38. After you are sure all items have been correctly entered. Override the errors.

39. Click on the item number in the upper half of the screen. Make sure the check box is highlighted in the lower half of the screen. Click in the override box on the lower half of the screen. Note the area becomes highlighted in blue. Type in the counted quantity. Repeat this process for all items that have discrepancies.

40. After all discrepancies have been resolved (for counts and recounts), double-click on the Review Count Sheet icon.

41. The Physical Inventory Count Sheet Review screen appears. Select all of your count sheets from the drop down menu by holding down the control key and highlighting each document (as shown below) and click ‘OK’.

42. Click the lightning bolt to adjust on-hand inventory.

43. Cycle counts have been successfully updated.
