Dear Reader,

John Lawson

John LawsonDirector, UK Klopotek UK Ltd.

Klopotek’s new Customer Contact Solu-tion consists of Contact 360°, a state-of-the-art business partner management App featuring a personalized dashboard with configurable widgets, and Ticket-ing 360°, a Ticketing App to handle all requests for information, questions, com-plaints, etc. in a customizable workflow.

Customer information of the Contact 360° App includes master address data, pictures and / or a logo, plus informa-tion widgets which can be pulled into the viewer. The layout of the widgets is configurable per user. A huge variety of useful 3rd-party widgets is available, such as Google Maps, Salesforce and finance

have a clear overview of what’s going on utilizing a Ticket Dashboard. All tickets can be forwarded through the entrire or-ganization and alert the recipients with an e-mail and a notification in the Klopotek ‘My Tasks’ Dashboard (with a direct link to the respective ticket).

The Customer Contact Solution is part of Klopotek’s unique combination of technol-

ogies for handling all CRM requirements – browser-based and on all types of devices. Download a brochure which explains all of this in full detail in the ‘STREAM’ section of our website (‘CRM’).

And don’t miss our webinar on the Customer Contact Solution on 9 March. Further details are available at www.klopotek.com: ‘Events’ / ‘Webinars’.

The STREAM App Suppliers Online is di-rectly connected with the Supplier Orders module of the Klopotek Classic Line and offers a selection of key features that support the order placement workflow – cloud-based and on any type of device.

Suppliers Online provides publishers and vendors with an overview of placed or-ders, their statuses, the time schedule and all communication activity. The Web App allows both parties to manage and adjust the orders directly in the system as the order is being processed, keeping every user informed at all times. It enables users to quickly adjust information in a smooth and intuitive way – such as scales (upload-

ing new price lists) – and supports the planning activities of production managers by showing if a vendor is available for a new project.

Users of Suppliers Online at publishers will find the purchase ordering process simpli-fied through the use of automatic order placings for specific vendors based on the metadata of the Production system. Noti-fications when an order has been placed or adjusted help keeping publishers and vendors up to date in their projects. With an inherent and configurable approval workflow, the authorization process is guaranteed: the vendor must approve or refuse orders assigned to him.

More information is available on our web-site: ‘STREAM’ / ‘Suppliers Online’.

Define and execute a renewal marketing strategy: Renewal Manager

Recurring revenue is the most important source of revenue for the subscription economy. It is higher than the new sub-scription revenue and margins are greater. To be successful in generating recurring revenue you must convert new subscribers to renewal subscriptions, and retain them for as long as possible. The renewal effort requires creative marketing and repeated contact. And while the primary objective of renewal marketing is customer reten-tion, it is also an opportunity to increase revenue by offering upgraded products and bundles.

The Renewal Manager is a STREAM-based App to support key processes in this area. Users from the marketing and sales teams can lay out a renewal campaign and track the results throughout the subscription lifecycle – testing and adjusting offers as response rates are tallied.

The browser-based user interface makes it easy to create offers and select the target audience for each renewal series and effort. Wave marketing ensures that sub-scribers are given every opportunity to re-new. With each wave offers can be made ranging from early renewal discounts to special upgrade opportunities. Multiple offers can be made in each renewal com-munication, allowing the subscribers to choose which offer best suits their needs.More information is available on our web-site: ‘STREAM’ / ‘Renewal Manager’.

Comprehensive royalty account informa-tion at a glance: Royalty Account Manager

The Royalty Account Manager is a cloud-based STREAM App to join the family of Klopotek’s Contract, Rights and Royalties (CR&R) solution. Specially designed to provide comprehensive royalty account in-formation, royalty managers and publish-

ing team members, business analysts and rights accountants can access all relevant information at a glance.

Instant access to archived royalty state-ments and payment remittances enables users to easily answer author queries. Necessary adjustments and notations to author’s accounts can be handled with ease.

Using Klopotek’s rich dashboard function-ality, users can customize their own view based on the information most important

to them. Data is provided in widgets, which allow a more flexible and personal-ized user experience.

The Royalty Account Manager can easily be integrated into the existing business process of the Klopotek Classic Line. A seamless integration with Klopotek Ana-lytics makes it easy to create customized reports.

More information is available on our website: ‘STREAM’ / ‘Royalty Account Manager’.

Sneak Preview: PPM12.0

The Royalty Account Manager will be an essential part of our new version of the Klopotek software. As we’re sure you’ll know as a Klopotek customer, an essential part of our software development is to bring the two worlds of our cloud-based STREAM technology and our Classic Line closer together.

‘Jump-outs’ ensure a seamless interaction not only between STREAM applications: as long as there is no special App available for a specific workflow / process yet, the Classic Line is connected.

Long-term, STREAM Apps will replace the Classic Line which covers the whole product life cycle in publishing, but until this will happen, the Klopotek Classic Line will be fully supported and enhanced in parallel with STREAM developments. (The Klopotek data model – ORACLE – will

continue to be used by both the Classic Line and the STREAM Web apps. This also applies to changes and enhancements of the data model.)

As a first step of a technology transition to the STREAM world, the Klopotek CR&R Classic Line will be move to the browser-based App structure. This will be an es-sential part of PPM 12.0.

Enhancements of patch 1 - 2017

of the Classic Line . . .

O2C: credit card tokenization / credit cards handling for customers and contractorsWhen selling your products utilizing Klopotek Order to Cash (O2C), you may choose to accept credit cards as a means of payment. A customer may have various credit cards and may want to use them for different orders. In order to meet the requirements of the Pay-ment Card Industry Data Security Standard (PCI DSS), you can now – as of version 11.0 – contract with a payment service provider (PSP) that meets this standard to handle your credit card transactions.

You forward the credit card data to the PSP. The credit card is registered in the PSP’s system. As part of the registration process, the PSP verifies the credit card data, saves it, and returns a substitute value for the credit card number (token) and, where applicable, an account number. The PSP defines the validity period of the token.

If a customer wants to pay for their order(s) with a credit card, you must send an authori-zation request to the PSP. You can send this request for a single order or you can combine multiple orders in a single request. The PSP checks whether the credit card is registered and valid. The amount of the payment for the order(s) must be approved. The PSP sends a request for approval to the card issuer (e.g. a bank). If there is sufficient credit available to cover the amount, the PSP receives an authorization for this amount from the card issuer and sends you an authorization code for the transaction.

If your publishing group operates with multiple contractors, you must define a PSP to process credit card transactions for each contractor. In this way, the contractor that pro-cesses the sale of the product determines the selection of the PSP. You define which credit cards can be processed for each contractor.

PPM / CR&R: subsidiary rights claims – manually add linesRegular subsidiary rights claims are generated by the ‘PPM Generate subsidiary rights claims’ batch procedure and processed in the ‘Rights Revenues’ module (Klopotek Prod-uct Planning and Management system / Contracts, Rights & Royalties). You can now – as of version 11.0 – add manual claim lines to regular subsidiary rights claims that are not in the statuses ‘To be invoiced’ or ‘Invoiced’. This allows you to post multiple payments for a regular claim in relation to different rights. The payments are also itemized accordingly on the royalty statement.

PPM / CR&R: subsidiary rights claims – additional search criteriaIf you sell rights to a licensee, the Klopotek system generates a regular subsidiary rights claim for the current royalty accounting period. The licensee must provide you with the royalty statement for the period so that you can record and invoice the precise amounts of the claims.

In the ‘Rights Revenues’ module, you create reminder letters for licensees whose royalty statements are outstanding. In order to make the search for outstanding royalty state-ments more efficient, the search criteria ‘Effective Date’ and ‘Rights’ have been added to the ‘Claims’ search form (as of version 11.0).

If you create reminder letters in different languages (dependent on the licensee’s lan-guage of correspondence), you can search for rights claims whose licensee has a particu-lar language of correspondence (‘Correspondence Language’) in order to create reminder letters in a particular language for the selected licensees.

PPM / CR&R: subsidiary rights revenues data source – total gross amount of the claimFor the ‘Rights Revenues’ module, you can create and manage mail merge templates and thus create, among other things, customized letter templates for reminder letters in

IAP: utilizing the ORCID iD

Scholarly publisher Wiley announced it will become “the first major publisher to require ORCID iDs for submitting authors” in November 2016. “Being the first major publisher to require ORCID iDs is an exam-ple of our commitment to improving the management of research data by resolving name ambiguity among the research com-munity,” said Judy Verses, Executive Vice President, Research at Wiley (source: www.wiley.com).

Klopotek’s International Address Pool (as of version 10.8) is capable of handling the ORCID iD – just as well as the ISNI (Inter-national Standard Name Identifier) and other common identifiers. Customers who want to adopt these identifiers can easily do so without system updates or modifica-tions. Feel free to contact your Klopotek Consultant in case of any questions.

relation to invoice subsidiary rights claims. In addition to the layout and typography, you define the data fields. In connection with objects and thus specific values, these data fields are filled from the database during the mail merge. The possible data fields are provided to the Klopotek system via data sources.

As of version 11.0, the standard data source for reminder letters in relation to subsidiary rights claims has been enhanced to include the total gross amount of the claim.

PPM / CR&R: partial payments for co-productionsIn the case of co-productions (e.g. the printing of the illustrations for a book), a contract party performs services, in part, for another contract party and not just for itself. The other contract party is invoiced for these services. The services may or may not relate to core business. Your system administrator classifies the different service types accordingly. As of version 11.0, it is now possible to specify and process partial payments in relation to core business services.

Payments for services are revenue, and revenue shares are generated for the beneficiaries when the service is completed. A partial payment does not constitute completion of the service. Revenue shares are generated for all received payments once the final payment is received. The invoice document for a final payment shows the total amount for all core business services, lists all the partial payments that have been received to date, and shows the amount outstanding for core business services.

PPM / CR&R: installment payments for component contractsFor component contracts in the ‘Contracts’ module, you create installments at contract header level. By means of the installment type, you define whether the installment ap-plies to all the components (contract units) or only a particular component (as of version 11.0).

PPM / TMP: version family – shortcut and tooltipThe ‘Version Family’ form in the ‘Products’ module (part of Klopotek Title Management and Product Marketing) displays all the versions linked to a title. The versions are dis-played in relation to their ‘parent’ editions. The ‘Version Family’ form can be opened from the ‘Product’ form and now, as of version 11.0, from the results of the product search, enabling you to work more efficiently. It is also possible to open the ‘Version Family’ form from both locations by means of a keyboard shortcut.

A tooltip displays prices and tasks from the product schedule for each version, so that you can get an overview of the key product data for the different versions in the ‘Version Family’ form.

IAP: Update Service reimplemented as a database procedureThe ‘IAP Update Service’ batch procedure generates and saves keywords for business partner data (International Address Pool). These keywords form the basis of the search in the user interface.

Until now, the batch procedure was developed using JAVA technology. As of version 10.8, the batch has been converted to an ORACLE database procedure. As a result of this switch in technologies, both the performance and stability of the procedure are improved, and it is no longer necessary for your system administrator to install the batch on the batch server.

Please note: technical changes associated with patch 1 | 2017There are several important technical changes associated with patch 1 | 2017. Your system administrator has already been informed. Please contact your consultant or customer service representative in case of any questions.

The Art of Cooperation: learn about it at the Publishers’ Forum 2017

Added value has stopped being a one-way road from authors to readers / consumers. Today it is important to acknowledge cy-cles, networks and relationships as well as to act upon the right market signals when it comes to your business planning. Under the new claim “Publishers’ Forum: Going Full Circle”, the event will cover strategic

outlooks, debates, and workshops in order to take into account recent developments in the publishing industry.

This year’s more detailed motto of the two-day conference, which will take place from 24-25 April, is: “Big + Small: To suc-ceed in the next wave of transformation, it will take more than any one player can tackle alone.” Klopotek is the Platinum Cooperation Partner of the event.

As a result of ‘digitization’, ‘globalization’ and the substantial implications these dra-matic changes have, new business models are being created, new players are enter-ing the market, and new ways of accessing the market are being developed. Publish-ing and IT development are complement-ing each other’s efforts.

Readers are turning into users who come up with their own ideas of how and when to make use of or ‘consume’ the content offered by publishers, and they want to decide about which channel to use.

Traditional, proven processes in publish-ing are undergoing radical changes, as new concepts for electronic, granular products require processes which have been adapted to these concepts. We’ll see

Last but not least: the benefits of Klopotek for publishers in detail

a shift to aligning the processes with the content first – and only, as a second step, publishers will ‘materialize’ this content into specific product forms.

It is our firm belief that publishers will successfully manage the process of change we’re in, if they meet and confront these challenges, if they actively enter trans-formation processes, and if they make investments and have a clear vision of their goals.

Obviously, talking about the future of the business we’re in is very important. So if you have a minute, check out the article “The benefits of the Klopotek solution for publishers”, written by our Executive Vice President, Wolf-Michael Mehl. It touches on several current and future challenges

Faber Creative Spaces, Bloomsbury, Lon-don / 22 February 2017 / „Knowing your Rights: The Challenges of Selling Book Rights in a Changing & Increasingly Digital Landscape“. Unfortunately, all tickets are already gone, but you can still watch two webinars with Breakfast Speaker Lynette
