Introduction

This document was created to provide instructions on how to complete a new SM Work Orders form in

the Service Management module. The SM Work Order details every aspect of customer contact,

scheduling, cost entry, and billing. Creating a Work Order is the first step of the Work Order

Management Workflow.

In this document you will learn to

• Open a new Work Order form

• Complete the Information section of the Work Order form

• Complete the Scope section for the Work Order form

Creating a New Work Order Form

Work Order forms can be created in two methods

• From the Work Center

• From the Menu Tab

Creating Work Orders from the Work Center

Though there are multiple ways to create work orders from the Work Center, we will only show one

method in this job aid. To learn to create work orders from other queries in the Work Center, access the

HELP section of V6.

1. Select the Service Management tab from the Menu tab.

2. Expand the Call Center folder.

3. Select Service Site as your entry option based on the type of information the customer provides.

4. Select your Service Site or Customer from the options in the right column.

5. Select the Create Work Order dropdown option from the Create Related Item button. A new

Work Order Form will open. The new form will prefilled with the next available work order

number. See Figure 1.

Creating Work Orders from the Menu Tab

1. After selecting the Menu tab, click Service Management as your module type.

2. Select the Programs folder, and click the SM Work Orders icon to open a Work Orders form.

See Figure 2.

3. After your form is open, enter “N” or “+” in the Work Order field to create a new work order

record. See Figure 3.

Completing the New Work Order Form Once the Work Order form is open you may complete it using the details the Caller provides during the

call. The Work Order form is divided into two sections – the Information section at the top of the form,

and the Scope at the bottom of the form.

Header Section

You will enter fundamental details about the work order in the Header section of the form.

Complete the following fields in the Information Section by entering the information directly into the

field or by pressing F4 in the field to see available options. See Figure 4.

e. Center

f. Site Contact Information

Scope Section

The Scope section describes the issue or problem that needs to be resolved. When you click in the

Scope section, the Sequence field will automatically populate. The Sequence indicates the number of

scopes that are associated to the Work Order. There may be multiple Sequences assigned to a work

order.

Complete the following fields in the Info tab of the Scope section by entering information directly into

the field or by pressing F4 in the field to see available.

a. Scope

b. Division

c. Bill To (Prefills from the Service Site)

d. Call Type *

e. Rate Template *(Prefills from the Service Site)

* these fields are not required to be entered in the scope when the Work Order is initially created, but

they must be entered before the Work Completed line is entered. See Figure 5.

Once the details for the Information and Scope sections are entered, your Work Order is ready to move

to the next phase of the Work Order Management Workflow.
